Job Descriptions Roles & Responsibilities Moldgreen ARLFC Club Accountant Role purpose: The Club Accountant is responsible for the management of the club’s accounts and its financial dealings. Typical responsibilities: 1. Be fully aware of the financial position of the club at all times and keep the Management Committee informed of all financial trends and any areas of concern. 2. Produce an income and expenditure budget for the club. 3. Produce detailed budgets for each year and produce a financial report at each Management Committee meeting. 4. Work with the agreement of the Committee with the Chair and Club Accountant to perform the function of a Senior Management Team. 5. Prepare and present full financial statements to the AGM. 6. Keep adequate records regarding all the club’s financial transactions. 7. Manage the club’s cash flow and maintain a working level of petty cash. 8. Be a signatory on club cheques with at least one other person. 9. Ensure that club members do not handle, deposit, pay out or otherwise deal with the club’s funds without the Club Accountant’s knowledge. 10.Invest surplus funds and manage the club’s investment programme. 11.Collate the subscriptions from all teams. 12.Follow the club’s code of conduct and the RFL’s rules and regulations at all times and ensure that other member’s do the same. 13. Act in accordance with the club’s core documents and policies at all times, with particular reference to the aim’s and objectives of the club, as detailed in the Constitution. Club Administrator

Role purpose:The Club Administrator has the responsibility for maintaining relationships with the sport's governing bodies and other relevant external organisations and for ensuring that the club complies with the rules that govern the sport. Internally, the Club Administrator has responsibility for compliance with the rules and Constitution of the club. The Club Administrator is the key Management Team contact for members.

Typical responsibilities:1. Provide an open communication link between Management Committee, any active sub-

committees, members, other clubs and leagues and any other external agencies.2. Deal with, record (for a minimum of 3 years) and distribute all internal and external

communications for the club.3. With the Club Chair prepare agendas, reports and papers for all meetings and minuet

meetings.4. Work with the agreement of the Committee with the Chair and Club Accountant to perform

the function of a Senior Management Team.5. Provide a link between all sections of the club, the League, Service Area and RFL.6. Support and assist the Volunteer Co-ordinator and the Head Coach with their duties.7. Keep up to date with the future strategic direction of the club.8. Role purpose:The Chair has overall responsibility for the smooth running of the club. The Chair provides the club with strong leadership and gives direction to the club’s Management Committee and other members.

Typical responsibilities:1. Manage all club, Committee and AGM meetings.2. Ensure that club meetings are held according to the club’s constitution.3. Chair meetings in an unbiased and effective manner.4. Be an effective leader, encouraging focused discussion.5. Cleaner

Role purpose: The cleaner is responsible as part of the Facilities team for maintaining a clean and safe environment for employees and visitors.

Typical responsibilities:

1. Maintain all indoor areas of the facility to high standards of cleanliness and tidiness 2. Clean all surfaces, glass, mirrors, floors, toilet areas and offices/rooms. 3. Report to a Maintenance Officer any breakages or items in need of repair or replacement (including cleaning equipment and materials) 4. Store all cleaning equipment and tools after use 5. Remove rubbish for re-cycling as appropriate 6. Assist the Facilities Manager with setting up meeting rooms as required 7. Provide relevant information to the Volunteer Manager to ensure that records of coaches and coaching qualifications are maintained. 4. Arrange appropriate coaching training sessions 5. Role purpose: The Club Development Officer is responsible for introducing the club and the sport to the local community so that the membership of the club continues to grow and the sport flourishes.

Typical responsibilities:

1. Drive the strategic direction of the club in the local community. 2. Develop strong partnerships with local schools and other groups. 3. Liaise with local agencies such as Service Area Co-ordinators, RFL, etc. 4. Ensure that the management and administration of club procedures are regularly reviewed to create quality assurance. 5. Take feedback from external agencies back to the club and work to act upon it. 6. Work with the Ethics and Equity Officer to improve access to the club to people from all backgrounds. 7. Work with the Fundraiser to ensure that the club meets the criteria for grant applications. 8. To act as the first point of contact for anyone witnessing or being subjected to discrimination. 3. To support the training of coaches, officials, players and all members in the club in tackling discrimination. 4. To promote the RFL best practice guidelines within the club (RESPECT) 5. Promote anti-discriminatory practice. 6. Work with the Club Development Manager to improve access to the club to people all sectors of society. 7. Role purpose: The Facilities Manager is responsible for making sure that any buildings or grounds owned or leased by the club meet the needs of the club efficiently, safely and cost effectively.

Typical responsibilities:

1. Ensure that the club facilities are utilised as effectively as possible to capitalise on space available. 2. Co-ordinate for the Management Committee any refurbishment, renovations or repairs to the facilities. 3. Manage the general upkeep of the buildings and grounds 4. Liaise with the Volunteer Co-coordinator to ensure there are sufficient resources available to keep the facilities to standard. 5. Make sure that health and safety and legal requirements are met. 6. Manage cleaning, waste disposal and recycling. 7. Manage a facilities budget and keep records for the Club Accountant of expenditure. 8. Liaise with the Fundraiser to ensure that the facilities are prepared for fundraising activities.9. Negotiate with external suppliers on behalf of the Management Committee as required. 10. Role purpose: The Fundraiser is responsible for raising an agreed amount of money for the club using a number of fundraising mediums.

Typical responsibilities:

1. Develop a fundraising strategy for raising money through sponsorship, ticket sales and grants. 2. Organise event fundraising (organising charity balls, galas or sporting events). 3. Liaise with the Facilities Manager to ensure that the facilities are prepared for fundraising activities. 4. Liaise with the Website Manager to provide a consistent image of the club. 5. Organise traditional street or door-to-door collections. 6. Organise direct mailing to ask for donations. 7. Work with the Club Development Manager to ensure that the club meets the criteria for grant applications. 8. Role purpose:

The Head Coach is responsible for the management of the club’s coaching programme and promoting the value of coaching within the club. Typical responsibilities:

1. Produce a coaching strategy for the club and a coaching plan to ensure that the club has sufficient qualified coaches to meet the player’s needs. 2. Ensure that all coaching policies, plans and practices within the club are in line with the Equity, Child Protection, Health and Safety polices or Codes of Conduct as per the RFL. 3. Provide all relevant information to the Volunteer Manager and Club Administrator to ensure records of club coaches and coaching qualifications are maintained. 4. Recruit and manage the coaching team at the club. 5. Ensure strong communication exists through all teams at all levels in the club. 6. Identify training needs on an ongoing basis and manage the delivery of training to meet those needs. 7. Assist other coaches in their continued professional development (CPD) and encourage coaches to apply for Service Area positions and to move through the Coaching Pathway. 8. Liaise with the Sports Physiotherapist to ensure peak performance at all times for all players. 9. Liaise with and supply information to the RFL Coaching team. 10. Monitor and evaluate the coaches on a regular basis and the performance of the coaching team against the coaching strategy and plan. 11. Typical responsibilities:

1. Promote the image of the club externally so that there is an increased awareness of the club in the local area and Service Area. 2. Work with the club’s Management Committee to ensure a consistent image for the club. 3. Produce a marketing strategy and plan for the club’s marketing activities 4. Design creative marketing campaigns for the club. 5. Work with the Media Relations Officer to produce the club’s news letter and reports. 6. Work with the Club Development Manager to ensure that the club is promoting itself to the local community in the best way 7. Seek out new merchandise for the club to offer to members, supporters and players. 8. Liaise with the club’s Website Manager to ensure that the website is supporting the club’s image. 9. Produce as requested by the Management Committee flyers, brochures, programmes and advertisements. 10. Maintain accurate accounts for the Club’s Accountant of merchandise purchased and income produced and produce marketing budgets to the Management Committee. 11. 1. Develop and implement a strategy for press relations and media relations. 2. Ensure a good working relationship with all media channels in the area. 3. Ensure accurate reporting of club events, fixtures and initiatives. 4. Write relevant, accurate media releases. 5. Work with the Marketing Manager to produce the club newsletters and reports. 6. Liaise with the Management Committee to ensure that the Committee is kept informed of all media activity. 7. Support and promote the rules, regulations and codes of conduct of the club and the RFL. 8. Liaise with the media at club events and functions. 9. Work with the club’s Volunteer Manager to use external media to recruit new volunteers. 10. Monitor and evaluate success in media coverage. 11. Role purpose: The Registration and Fixtures Administrator is responsible for the registration of players and members of the club and ensures that the fixtures of each team are confirmed and a fixture list is established for each season.

Typical responsibilities:

1. Ensure all registration forms are completed on time. 2. Create a full list of fixtures for each team in the club. 3. Review and rearrange fixtures list as necessary. 4. Complete all relevant documentation appertaining to registration and fixtures (including referee reports) and distribute as appropriate. 5. Pass completed documentation to the Club Administrator. 6. Purpose of role: The Team Coach is responsible for a team’s training sessions and matches and getting the best possible performance from individual players and the team.

Typical responsibilities:

1. Plan, prepare and implement a season coaching plan and individual session plans to RFL Coaching standards and style. 2. Work with other coaches in the preparation and running of each session. 3. Liaise with the Head Coach to ensure each team has two coaches and a maximum of 20 players to one coach (2 coaches to 20 at under 12s). 4. Role purpose: The Club Welfare Officer is responsible for the implementation and adherence to the RFL Child Protection Policy and its resulting guidelines by the club and its members.

Typical responsibilities:

1. Act as a source of advice and support on child protection issues and matters. 2. Support the training of coaches, officials and those in contact with children through the game of Rugby League. 3. Act as first point of contact for anyone in the club who has a concern about a child and about poor practice/possible abuse. 4. Ensure the effective implementation of the RFL policy on Child Protection. (In the case of concerns and/or allegations of child abuse, it should be stressed that the Club Welfare Officer is NOT required to make any decision regarding the matter but should follow the guidelines as laid out in the RFL Child Protection Policy) 5. Assist the RFL to fulfil its responsibilities to safeguard children and young people at club level. 6. Assist the RFL to implement its child protection plan at club level. 7.
