ATHLETIC DEPARTMENT PHILOSOPHYThe Carmel Catholic philosophy focuses on the development of the whole person. Competitive athletics, properly conceived and executed, is an integral part of the overall educational experience of the Carmel student.

The successful athlete must have a strong will: will to win. will to persevere despite discouragement and seemingly insurmountable obstacles. will to discipline oneself for personal growth and for the betterment of the team.

These qualities, developed and nurtured in athletics with the realization that they are to be carried over into more important aspects of life, provide the essential nature of Carmel athletics. The goal for each athlete and team is to perform at 100% of capabilities. If something is worth doing, it is worth doing well. Each athlete is encouraged to strive for excellence within the limitations of the individual’s capabilities and talents.

In addition to the principles of the Carmel Catholic Mission Statement, the Athletic Department includes the following elements in its philosophy:

THE PRINCIPLE OF GOOD SPORTSMANSHIPWinning is an objective, but the primary goal is to play the game well. This principle of good sportsmanship includes the following: conduct of the athlete on the athletic field, respect for opponents and game officials, and adherence to the rules of the game. All disagreements with officials’ calls should be expressed appropriately through the proper channels. Students who disregard the values inherent in good sportsmanship will be disciplined immediately. A second violation will lead to limited or permanent suspension from the team.

THE PRINCIPLE OF TEAM PLAYIt is a privilege to represent Carmel Catholic through athletic competition. This privilege is earned of athletic ability apparent at practice and games, as well as through the demonstration of good character in all aspects of student life. The honorable conduct of an athlete brings esteem to Carmel Catholic and to the athlete’s teammates. Good conduct includes but is not limited to the way the athlete receives the judgments of officials. First and foremost, the athlete is courteous and respectful. Team leadership, fair play and humility are paramount virtues to be built into the character of the athlete. Each Carmel Catholic athlete plays as part of a team. Personal gain and glory are sacrificed for the sake of the team. Athletes who resist team play by drawing attention to themselves will be counseled and disciplined because such behavior damages the image of our school and is considered unacceptable.

THE PRINCIPLE OF LEADERSHIPAthletic leadership is both a gift and a skill. Athletes develop their leadership skills through practice and through observing the example set by their coaches. Coaches, who are called to be the primary models of good leadership, display the qualities of respect, maturity and good sportsmanship when dealing with players, other coaches and game officials. Coaches, whose fundamental role is that of teacher, should be depended upon to help form the athletes in character, leadership, personal drive to achieve, and skill development. Athletes are thus encouraged and instructed to assume the role of leader in their contact with other students

and teammates by personally setting the example for good sportsmanship and strong moral values.

THE PRINCIPLES OF DISCIPLINEAthletic training at the high school level should concentrate primarily on the fundamentals of a sport. Coaches should not engage in tactics that exceed the ability of the athlete and depend upon luck for successful execution. Athletes must learn the value of discipline in the exercise of fundamental skills so that

they can execute in a predictable and appropriate manner. Part of any training involves mental attitude and control of emotions. Players must be

helped to deal with the disappointments of their own limitations as well as the exultation of their successes. Every athletic encounter is an opportunity to form an athlete’s character and to teach as much about failure as about success.

The discipline learned on the athletic field should carry over into other aspects of an athlete’s life. This witness to the student body is reflected in the symbols of the athlete’s dress on days when teams compete. On these days, athletes are asked to dress in a manner which reflects the athletes’ self-discipline, team spirit and confidence. Our students’ faith life also plays a significant part in the athletic environment. This can be expressed through shared prayer before and after games and attendance at the school mass on days when athletes are competing. All coaches are encouraged to promote the faith development of athletes, through the appropriate use of liturgy, sacred symbols and prayer.

*Denotes sports that have limited spots available and require try-outs. All other sports do not cut student athletes.

Cheerleaders and Pom Pons try out the spring prior to the sport seasons and perform in the fall and winter seasons at sophomore and varsity football and boys’ basketball games. The levels of competition and regulations are determined by the Illinois High School Association (IHSA) and the Carmel Catholic staff.

POLICIES AND PROCEDURES

Physical Examination:All athletes are required to submit an original completed IHSA physical form which has been signed by a licensed physician. This form releases the athlete to participate in a particular sport and is valid for Carmel Catholic Athletic Department purposes for 365 days, unless an athlete has been injured. This form is submitted to the Athletic Department, which keeps a record of the form. This form must be submitted by the athlete before any participation in an IHSA-sponsored sport can take place, whether for a try-out or for participation on a team or squad.

Training Room:The training room is under the supervision of the Athletic Trainer. He/she will be available throughout the school year each afternoon for the treatment and care of our athletes. The trainer will assist each coach in the preparation of first aid kits for use at away games. No students may be in the training room at any time, unless under the supervision of the trainer or coach. The trainer will be present at all varsity home events.

Towels:All athletes are expected to provide their own towels each day for showering. The towels which belong to the Athletic Department are for the use of the Athletic Trainer only.

Telephone Message System:Phone messages can be left before, during and after school hours. A message may be left for the Athletic Trainer when he/she is not on campus by calling 847-388-3330. Parents may leave a message for a particular coach on his/her assigned extension, or send an e-mail. Head coaches are expected to check and forward these messages to individual coaches in their program.

Lockers:The Athletic Director will give each coach a listing of specific lockers available for his/her team. Athletes must use only the locker assigned to them by their coach, and must use the American brand combination locks with the key slot in its back, available for purchase at the bookstore. One week after each team’s season is over athletes must empty their belongings from the athletic locker. Personal belongings which remain in the locker after that time will be considered abandoned; the belongings will then be thrown out or donated to charity.

Locker Room Supervision:A coach from each level of the sport involved in practices or in games on a given day is required to supervise the locker room 15 minutes prior to practice or games. All athletes must be dressed and out of the locker room when their coach leaves for the practice or the game. It is required that the coach check for belongings that are left out, secure anything that remains, requires that all athletes and students leave the locker room and lock the door. All coaches should explain this procedure to their athletes so that no coach with locker room supervision will be tardy to his/her practice or game. After a team’s practice or game is finished, at least one coach from that team must be present in the locker room until their athletes are gone. Athletes from other teams or activities need not have access to the locker room unless approved. After all athletes have departed, the locker room must be locked as

well as all interior or exterior doors. If an athlete finds the locker room locked and he/she needs to get into the area, that athlete must find his/her coach to open the door.

Transportation:Each coach will be given a transportation schedule prior to the beginning of his/her season. The coach is expected to check departure times and insure that his/her athletes are ready to leave at the appointed time. Coaches will accompany their team on the bus at all times. Athletes may be excused from riding on the bus only in emergency situations and must have a written note from their parents stating the reason. This letter must be filed with the Athletic Director one day prior to departure. After any contest, a coach may release the athlete to his/her parents if the coach visually recognizes the athlete’s parents. If early dismissal from class is required, it will be noted on the transportation schedule. Any early dismissals will be requested by the coach and approved by the athletic office. The athletic office will then send notification via e-mail to the faculty notifying them of the specific team, athletes, and time approved for early dismissal. Students will not be permitted to leave class early unless this procedure is followed. Pick-ups during school hours are to take place at the Hesse Center, Entrance C. A copy of the coach’s current driver’s license is to be on file with the Business Manager prior to driving the Carmel mini van. Keys are located in the athletic office and should be returned immediately after use. All trash should be emptied from the mini van and all windows shut and doors locked. If there are any problems with or damage to the vehicles a report must be filed with the Athletic Director within 24 hours.

Athletic Keys:All coaches who are also Carmel Catholic faculty will receive their keys to the athletic area from Carmel’s Human Resources Department. The Athletic Director will issue keys to off-campus coaches upon securing them from Human Resources. Checks for off-campus coaches will be issued after all keys have been returned to the Athletic Director. A coach who has lost a key must immediately report that loss to the Athletic Director. Coaches are not to give their keys to a student at any time.

Eligibility Lists and Team Rosters:Each coach must provide the Athletic Director‘s Administrative Assistant with a roster as soon as possible after uniforms have been issued. Changes to the team’s roster after this time must be promptly reported by the team’s head coach. Team Manager’s Responsibility:The duties and responsibilities of team managers vary from sport to sport. Coaches are asked to be specific in communicating to their managers. All managers will work closely with the Athletic Trainer and coaches.

Practice Procedures:The varsity coach of each sport will establish a practice schedule for all teams in his/her program. All coaches in the program will be expected to follow this schedule. Each coach is also responsible for making sure all practice equipment is put away, including equipment in the weight room if it is used. Coaches using facilities away from Carmel Catholic are responsible for the conduct of their athletes and for seeing to it that their athletes are properly transported to and from practice. Practice should be kept within the specified times and athletes should not be allowed to linger in the locker room after practice. The Assistant

Athletic Director will schedule practice times for boys’ and girls’ basketball in the winter as well as gym times for spring sports.

Athletic Eligibility:1. There are three “columns” on the athletic eligibility list

2. It is only possible for a student-athlete to move one column at a time (i.e., per week) in either direction.a. A student cannot go from Athlete to Athletic Ineligibility in one week, without going

through a week of being on Athletic Probation.b. Neither can a student go from Athletic Ineligibility to being Athlete in one week.

3. If a teacher wishes to move a student down a column, certain criteria must be met.a. To place a student on Athletic Probation, the teacher must indicate that the student

is performing at 76% or worse in the course for the quarter at that point.i. The teacher may keep the student on Athletic Probation for as long as the

student is performing at 76% or worse level. It is possible for student to be on Athletic Probation for an entire semester.

ii. To maintain a student on Athletic Probation, the teacher must submit the student’s name each week on the Eligibility Form.

iii. The teacher must indicate in the explanation column on the Eligibility Form the reason for the student’s borderline status (e.g. failing a test, not turning in assignments, inadequate work, etc.).

iv. If a student’s name is not turned in by any teacher for a given week, that student’s name returns to the Athlete column.

b. To place a student on Athletic Ineligibility columni. The student must ALREADY be in the Athletic Probation column for that class.ii. The student must be receiving 69% or below for the quarter at that point.iii. The teacher must indicate the Missed Opportunity for improving the grade for

which the student failed to take advantage (e.g. failing a test, failure to turn assignments, failure to meet with tutor, etc.).

iv. The teacher must make a reasonable attempt to contact the parent(s) and inform them of the student’s performance.

v. The student must complete a Plan for Improvement which is approved by the teacher, detailing what steps the student will take to rectify the problem and get off the Athletic Ineligibility column.

vi. If there is no opportunity for student to improve the grade, the student will return to the Athletic Probation column.

4. Consequencesa. Athletic Probation

i. Whenever a student is placed on Athletic Probation by a teacher, the Athletic Director’s Office will relay this information to1) the student2) the parent3) the coach4) the Guidance Office

ii. A student may remain on Athletic Probation as long as student is in academic danger.

iii. If a student is placed on Athletic Probation by three teachers in any given week, the Athletic Director will check with those teachers to determine actual grade percentages, which may affect eligibility (per IHSA rules).

iv. iv. Any athlete placed on probation/ineligibility must attend a mandatory 1 hour study session run by a faculty member. If the athlete does not attend they will automatically ineligible for the following week of competition. In case of a game/match on the day of the study session the session must be made up the following week, even if the athlete is no longer on probation.

b. Athletic Ineligibilityi. Whenever a student is placed on Athletic Ineligibility by a teacher, the Athletic

Director’s Office will relay this information to:1) the student2) the coach3) the Guidance Office4) the Associate Principal5) the parent (by way of follow-up call or letter)

ii. If student is placed on Athletic Ineligibility for a single teacher, that student may not participate in any interscholastic athletic games for the calendar week.

5. Failing Semester/Quartera. Quarter Failure

i. If an athlete fails the quarter but has not been on probation or ineligibility for that class, they will be on probation for the first week of competition following the quarter.

ii. If an athlete fails the quarter and has been on probation or ineligibility for that class, they will be ineligible for the first week of competition following the quarter.

iii. If an athlete fails two quarter classes then the athlete will be ineligible for the first two weeks of athletic competition the following quarter.

iv. If the athlete fails three classes in the quarter he will be dismissed from the team or not be able to tryout for the next season.

b. 1st Semester Failure (same as Quarter Failure)c. 2nd Semester Failure

If athlete fails a 2nd semester course, that student must take summer school courses to be allowed back into school so that athlete will be eligible.

Coach-Athlete Communication:A number of our athletes compete in more than one sport over the course of a year. In support of this decision, our coaches are cautioned against discussing their particular sport with an athlete while that athlete is involved in another sport. This helps avoid undue pressure on the athlete to engage in additional training beyond what the athlete is already doing. This also helps the athlete focus appropriately on the current season’s sport skills and discipline.

Outside Participation:No athlete may be a member of a team outside of the Carmel Catholic Athletic Program while an active member of a school team.

Coaching Approvals: Coaches are approved by the Principal, Human Resources Director and the Athletic Director. No coach can volunteer unless he or she has been screened by the Athletic Director and approved by the Human Resources Director. Any person who assists in practice in any way must be approved by the Principal, Human Resources Director and the Athletic Director. Head coaches will be responsible for any violations. All coaches and volunteers are required to have completed a background check and Virtus training before coaching begins.

Athletic Awards:The head coach decides when to have their awards ceremony with all levels of that sport attending. If cafeteria or lounge space is required, the coach must request the date and time from the Assistant Athletic Director who will check availability with the President’s Administrative Assistant. Each head coach must provide the Assistant Athletic Director with a team list which identifies letter and trophy winners at least two weeks prior to the team’s awards ceremony.

Athletic Fee:Carmel Catholic High School requires a participation fee of $130 per sport. This fee is submitted to the head coach along with the signed policy statements by Sports Registration Night posted in the school calendar. Some teams also require a signed Team Policy sheet, which must be turned in with the athletic fee. If the fee has not been paid in full by the end of the semester, the athlete is prohibited from taking final exams.

Athletic Department Regulations: Participation in athletics, as in any co-curricular activity, is a privilege and not a right. Any student-athlete who wishes to be a member of an athletic team must live up to the spirit and the letter of regulations and training rules. These rules are designed to help participants improve in the Christian principles of self-discipline, self-denial, working well with others (including coaches and fellow student-athletes), and sincere dedication to the improvement of self and of the team.

Any athlete may be dismissed from a team for failures which contradict the spirit of the athletic competition at Carmel. Such reasons are failure to obey training rules, continued failure to try, attitude and conduct detrimental to the welfare of the team, insubordination, etc. Any athlete who places his/her health or team discipline in jeopardy by failing to observe team training rules is subject to suspension or dismissal from the team/squad.

An athlete who quits or is dismissed from one team is not allowed to try out for another sport until the next sports season. If an athlete is cut from one of the teams, he/she may go out for another sport immediately. If an athlete is dismissed, quits, or is removed from the team because of grades, he/she may not use the athletic facilities at Carmel Catholic High School until that particular season is concluded. If an athlete quits the team for whatever reason, that athlete may not try out again for that particular sport while a Carmel student. An athlete may not participate in the intramural program in the same sport(s) that he/she played interscholastically within the same school year.

All teams normally practice Monday through Saturday. An athlete is not allowed to miss practice with the following exceptions: a medical excuse, family reasons of some urgency, or permission by the coach in advance of the practice. In order to maintain integrity, all members of a team are treated as integral parts of a cooperative venture with the same rules and regulations applying to all.

Specific Rules and Regulations:1. The IHSA has rules and regulations regarding participation. Understand what these

are, and understand that violations are punished severely.(See IHSA, “Key Provisions Regarding IHSA Rules” included in student/parent handbook)

2. All athletes must be on time for practice. Every program will enforce its own sanctions for its tardy or absent athletes. These sanctions are intended to remind athletes of the importance of practice and help athletes catch up on conditioning they may have missed. Any player who misses a game without a legitimate excuse will be dismissed from the team. Any lateness caused by a violation of school rules and regulations will be considered unexcused. Detention dates are not to be changed to avoid a conflict with practice time.

3. All athletes must be on time for games - home or away.4. Game Day Dress Code for Male and Female Athletes: Game Day Dress inspires a

sense of team unity among the athletes; acknowledges their responsibility to represent the entire Carmel Community through their actions on and off the field; and accepts a discipline above and beyond the daily student dress code. It is meant to call the athletes to a deepening awareness that they compete for a goal beyond their individual efforts and they represent the school’s tradition of sportsmanship above victory.Game Day Dress for student athletes is determined by a vote of the team. If the team votes for Game Day Dress, they agree to the following rules: Uniform pants/skirts, socks and shoes must be worn. A dress shirt (not a polo) with a collar is worn buttoned to the top with a formal

dress tie (bow or neck) properly tied and tightened to the neck.Game Day Dress is worn: On the day of a competition or on Friday if a competition is held on

Saturday/Sunday. By the members of the team which is competing.

5. An athlete’s hair must be cut in a manner that the Deans of Students deem appropriate.

6. Athletes are expected to understand and follow these general training guidelines: All illnesses or injuries must be immediately reported to the team’s coach, no

matter how slight it may seem to be. If under a doctor’s care for an injury or an illness, an athlete may not return to practice unless the school is given a confirmed written release from the student’s physician.

Any violation of school or Athletic Department rules regarding tobacco, alcohol and controlled substances will be dealt with seriously. If the violation occurs at a school event, the athlete will be dismissed from the team. An off-campus violation first offense will constitute a two-week suspension from game activities, and the second offense will constitute dismissal.

Proper nutrition and sleep habits are the best ways to keep healthy enough to compete at one’s best.

When an athlete has a game scheduled on a school day, the athlete should be home no later than 10 p.m. the evening before. When there is an early morning practice or game scheduled on a weekend or a school holiday, eight hours of sleep is recommended. In these cases, the coaches will set curfews. If a coach phones an athlete’s home at curfew but does not find the athlete at home, the athlete will not play the next game.

7. Any player involved in stealing or damage to school property either at Carmel Catholic or another school will be dismissed from the team.

8. Athletes are expected to understand and follow these general competition behavior guidelines: Questioning the officials is reserved for the coaches. Acknowledging or talking with spectators at games or practices is prohibited Athletes removed from a game for unsportsmanlike conduct by a coach, official or

both, will not be allowed to play in the next game. Respectful treatment of opponents and opposing coaches as well as bench

personnel is expected. Foul and profane language or actions will not be tolerated. Positive words and

actions are a definite sign of appropriateness to outsiders.9. Prior to the first contest, athletes will be issued school equipment and/or uniforms.

Each athlete is responsible for the care, cleaning and return of this equipment.10. Athletes who are unhappy with the amount of their own playing time or their role on

their team should request to have a private meeting with their coach. In private discussion, both coaches and athletes can honestly express their feelings and goals. Any open display of unhappiness in the athletic arenas or in the locker room will not be tolerated. Athletes should try to understand that everyone is participating with the same goal in mind: to give Carmel its most competitive team possible.

11. Parents are allowed to contact the coach about any concern they have, except the issue of playing time. Decisions concerning playing time are left to the coach, who is the professional evaluator of his or her team. Parents who have concerns about playing time must defer to the previously stated policy. All matters of playing time should be worked out between the coach and the athlete. If a coach/parent conversation turns into a playing time issue, the coach is instructed to politely end the discussion.

12. If after the player and coach have met and the parent(s) still has concerns, the parent may call the Athletic Director and schedule a meeting with the coach, Athletic Director, parent(s) and athlete to discuss the concern(s). If after the meeting with the coach, Athletic Director, parent(s) and athlete, the parent(s) still has concerns, a meeting with the Principal may be arranged.

13. Athletes who have campus parking privileges must keep their car in their assigned parking spot during practices and games. Athletes are prohibited from parking in the staff/faculty parking areas at any time. In accordance with Parent/Student Handbook policy, athletes who fail to follow these restrictions will face disciplinary sanctions, Mundelein Police Department tickets, having your car towed, and/or possible revocation of the privilege of driving and parking on campus.

14. All sanctions and punishments are at the discretion of the Athletic Director.

Carmel Catholic High School believes that the preceding rules have a significant role to play in building a successful sports program. They are fair and consistent and will

be applied across the board. If an athlete is in violation of a rule, he/she will be punished. Athletes must be responsible for their actions, and accountable for what they do.

Letters and Trophies:Athletic letters are awarded in each sport based on standards set by the Athletic Department as to what constitutes a varsity, junior varsity, etc., athlete. Consistent with the philosophy of athletics and competition at Carmel Catholic, the important factors in letter awards include effort, a cooperative attitude, overall contribution to the team, and self-success. The wearing of a school letter is a privilege, not a right. The privilege of wearing this letter can be suspended at any time for an offense of a serious nature. Carmel Catholic encourages the development of individual incentive by awarding trophies for valuable performance and leadership at the varsity level.

Use of Facilities:The athletic facilities at Carmel Catholic are not for public use. They are intended for the use of the members of organized athletic programs at the school, the Physical Education Department and supervised student activities. Permission to use the facilities is secured through the Athletic Director for school-related or junior club events. Permission for use other than normal practice times and clubs is approved through the Athletic Directors Office. The gymnasium, the locker rooms, wrestling mats and the weight machines are not to be used by individuals or groups unless there is a faculty member continually present to supervise the activity. All areas of the gym building and the weight room are off limits unless the athlete is participating in organized and supervised athletic practice. Only athletic shoes may be worn on the gymnasium floor.

Attendance on Day of Contest: To be eligible for any athletic contest or practice on a school day, a student must be in compliance with school attendance policies for the entire school day. Exceptions may be made by the Principal in the event of sickness or death in the athlete’s family, court orders, or other extreme emergencies, by means of notification in writing to the Deans of Students one day in advance. It is the responsibility of each coach to check the absentee list to determine which students are ineligible for practice or games on any particular day.

Conduct at Athletic Events:The following rules of conduct are from the IHSA’s Code of Conduct for Athletes:

Know and adhere to the athletic code of the school. Exceed all attendance and academic requirements as practical evidence of loyalty to

school and team and a proper philosophy of school-sponsored athletics. Observe all policies regarding conduct, doing so as a duty to school, team and self. Practice and play fairly, giving complete effort in all circumstances and credit in victory

to teammates and to opponents in defeat. Accept favorable and unfavorable decisions, as well as victory and defeat, with equal

grace. Demonstrate respect for opponents and officials before, during and after contests. Abstain from the use of alcohol, illegal drugs and tobacco.

What Carmel Catholic Expects of All Athletes: Proper behavior and respect towards others that reflects positively on the team, and

on the Carmel Catholic Community. An understanding that the primary reason for being in school is academic work. An

athlete’s classroom behavior must be exemplary. If a player begins to experience even a little difficulty in school work, he/she will be asked to get weekly reports from all teachers.

A realization that practice is the most important part of the season. Effective practice requires the concentration of the whole team at all times. Players who practice hard and with intensity are the players who are winners every time.

Judicious and appropriate behavior that represents the values of Carmel Catholic High School in all an athlete does - by thoughts, words, and actions.

An awareness that individual recognition and accomplishment are the result of teamwork.

Acceptance and respect for the decisions of the coaches which are in the best interest of the team and Carmel Catholic by discussing problems or negative feelings with the coach in private and displaying only positive mannerisms in play and practice.

A mutual and collective respect for others on a day-to-day basis and a reliance on coaches and teammates as a support group, pursuit of common goals as a unit and an ability to put aside differences..

A recognition that teammates need support and encouragement. A realization that the true nature of competition is evaluated by effort, sportsmanship,

leadership, and teamwork. If the student-athletes receives a high evaluation on these criteria, victories will be made everyday; wins and losses will take care of themselves

What is Expected from the Cheerleaders/Pep Organizations: The choice of appropriate cheers at the right time, insuring that cheering is positive

and does not inflame or incite rooting sections and spectators. Cheers directed at game officials and any provocative, vulgar and obscene language and gestures are forbidden.

Adherence to all IHSA regulations on the use of noisemakers and musical instruments at athletic events.

Elimination at basketball games, of all cheering, whistling, foot-stomping, or other activities designed to deliberately distract a player who is about to shoot a free throw or to taunt a player penalized with a foul.

What is Expected of the Student Supporters and Spectators: An acceptance of the responsibility to be a good host for visiting schools and a good

guest when at an opposing school, knowing that all Carmel students and fans are representatives of Carmel Catholic High School.

Respect during the playing of the national anthem, pre-game ceremonies, and half time activities.

The highest degree of good sportsmanship in the following areas: Cooperation with the directions of cheerleaders and security personnel. Avoidance of the visiting school’s rooting section and any provocative activity. Standing in a bleacher section in front of the first row of seats during the game. Leaving the aisles clear for others to pass to and from their seats.

An awareness that students involved in unauthorized activity at athletic events will be subject to disciplinary action.

Avoidance of other school’s campus and surrounding neighborhood prior to and after athletic events (except on official school business). Any student who causes vandalism or destruction of another school’s property will be subject to severe disciplinary action.

What is Expected of the Parents: Insistence that their sons and daughters adhere to the highest level of good

sportsmanship on or off the playing field, as athletes or spectators. Respect for officials and an acceptance that they are in charge of the game and are

never to be yelled at or accosted in any way. Behaviors that set a great example to our student-athletes of good sportsmanship and

positive energy. Refusal to engage in public criticism of coaches. Use of appropriate protocol for expressing concerns to a coach outlined under Athletic

Department Regulations.

CARMEL CATHOLIC HIGH SCHOOL ATHLETIC DEPARTMENT

ATHLETIC DIRECTORThe Athletic Director is appointed by and reports to the Principal. He/she manages and supervises Carmel Catholic’s coaching staff, athletic facilities and athletic activities. The Athletic Director will develop athletic policy and philosophy which is consistent with the mission and values of the school and subject to the approval of the Principal and the Board of Directors. He/she will be the primary teacher and supervisor of these policies and philosophy.

He/she will delegate responsibility as appropriate to the Athletic Department’s staff. Along with the Principal, the Athletic Director is the primary representative of the school to the Illinois High School Association (IHSA) and the East Suburban Catholic Conference (ESCC). Specific Responsibilities:1. Regarding ADMINISTRATION OF PROGRAM:

Maintains, supervises and promotes a full range of athletic activities consistent with the philosophy of education of Carmel Catholic.

Contracts all officials not handled by the assignment chairperson. Orders banners for Conference, Regional, Sectional, and/or State Champs. Presents dates for all athletic contests for publication in the school calendar in

consultation with the head coaches. Meets at least monthly with the Principal. Coordinates and prepares all home athletic events. Solicits and assigns all chaperons and event assistants. Updates the Athletic Policy and Procedure Manual, presenting any changes to the

administration for review.

2. Regarding the COACHING PERSONNEL Provides leadership and support for all coaches. Promotes a collaborative spirit among the personnel. Is responsible for the supervision and evaluation of all coaches involved in the athletic

program. Conducts a search and screening process to recommend candidates to the Principal

to fill all coaching positions. With the Principal and Human Resources Director, interviews all recommended candidates.

Receives and distributes to head coaches pertinent IHSA and conference information. Provides an orientation program for all new personnel in the Athletic Department. Plans and implements a pre-season and post-season meeting with all coaches to

review procedures and policies and to plan and/or evaluate seasons. Delegates responsibilities and duties to the Assistant Athletic Director and the Athletic

Director’s Administrative Assistant as needed.

3. Regarding FACILITIES Coordinates, supervises and schedules the use of the facilities for both practices and

games; provides for the security of the facilities; and informs Business Manager’s office of building usage during seasons.

Insures the proper maintenance and cleaning of the athletic facilities, alerts Business Manager of maintenance needs to maintain the fields and stands areas; and lines fields.

Is the contact with the Junior Corsairs regarding use of the gym. Obtains off-campus sites for practices and games when necessary. Maintains an inventory of equipment in conjunction with the Assistant Athletic Director.

4. Regarding TRANSPORTATION AND ATHLETIC VEHICLES

With the aid of his Administrative Assistant, schedules transportation for all athletic events. Provides directions to away sites. Schedules use of the Carmel mini van.

Insures that drivers hold proper license to drive vehicles. Notifies the Business Manager of all needed repairs on the school mini van, advises

when repairs are needed; and sets expectations for use of school mini van.

5. Regarding the EAST SUBURBAN CATHOLIC CONFERENCE AND THE IHSA Represents the school at conference meetings. Represents the school at IHSA meetings and promotes and implements its rules. Insures representation at seeding meetings. Contacts assignment chairman for each sport and level, indicating needs for the next

year. Supervises the IHSA and conference paperwork:

Eligibility and fee payments Team contest forms Regional/Sectional/State information New coaches information Secures bi-weekly statistics from coaches.

6. Regarding FINANCES Formulates the annual budget for the athletic program and periodically reviews its

implementation with the Business Manager. Receives budget requests from all coaches and submits all requests to the Principal

and Business Manager for approval. Is responsible for the purchase of all athletic equipment, uniforms and supplies. Coordinates ticket sales and receipts for all home games. Supervises the collection of all athletic fees.

ASSISTANT ATHLETIC DIRECTORHired by the Principal in consultation with the Athletic Director and reports to the Athletic Director:

1. Regarding ADMINISTRATION OF PROGRAM Coordinates a program of recognition of athletes and teams. Schedules team pictures each season. Updates plaques and trophies. Orders awards requested by head coaches at the end of each season.

2. Regarding COACHING PERSONNEL Provides leadership and support for all coaches. Promotes a collaborative spirit among the personnel.

3. Regarding FACILITIES: Sets up concessions with Athletic Boosters and student volunteers. Helps maintain fields. Maintains inventory control in conjunction with the Athletic Director. Schedules gyms for practices, intramurals, and feeder leagues.

4. Regarding the EAST SUBURBAN CATHOLIC CONFERENCE AND THE IHSA Helps promote and implement the rules of the IHSA and the ESCC.

5. Regarding RECORD KEEPING Provides lists of athletes for each sport’s season to the faculty. Provides for and collects weekly eligibility check during each athletic season. Is responsible to verify eligibility rosters and to insure that all coaches follow Carmel

Catholic’s eligibility policy.

ATHLETIC DEPARTMENT ADMINISTRATIVE ASSISTANTHired by the Human Resources Director; reports to the Athletic Director.

1. Regarding RECORD KEEPING Coordinates the record keeping system for athletes, including an up-to-date physical

form, policy sheets, accident reports and athletic fee payments. Types team rosters (once set by the coaches) and submits copy to the Business

Office. Sends or faxes team rosters and schedules to newspapers and opponent schools. Collects try-out and practice schedules, season record, game stat sheets and budget

requests from coaches. Notifies head coaches, Carmel receptionist, and transportation contact of changes in

team schedules. Assists the Athletic Director in the creation of the Coaches’ Binder: submits approved

copy to each new and returning coach. Assists with the Athletic Department Calendar Proposal in February (including due

dates for athletic fees, season starts, Sports Registration dates, etc) and the Sports Calendar in May.

Assists with creation of the Athletic Department Budget Proposal in October. Submits digital board announcements and daily bulletin notices as requested. Collects season record information and budget requests from coaches. Assists the Assistant Athletic Director with mailing deficiency notices to parents. Completes and faxes IHSA eligibility forms for all transfer students. Coordinates Athletic Boosters bulk mailing in August, processes monies in data base,

and advises President’s office of monthly winner. Creates Season Sports passes, sells passes and processes list of season pass

holders. Assists with Senior Night correspondence and event tasks. Assists with Summer Camp information as requested including photocopying and bulk

mailings.

2. Regarding ADMINSTRATION OF PROGRAM: Calls an opposing team’s Athletic Department at least three days ahead of schedule to

confirm an event, and checks for conflicts between Carmel Catholic’s schedule and the opposition school’s published schedules. Maintains current database of competitor school information (i.e. school contacts, address, telephone and fax numbers emails, etc.).

Provides secretarial assistance to Athletic Director, answering phones and taking messages.

Assists the Athletic Director with scheduling, ailing sports contracts and keeping them on file.

Creates programs for home varsity events for boys’ and girls’ volleyball, and basketball.

Assists with schedules for transportation, maintenance requests, weekly calendar notice for classroom and staff use, and athletic hallway athletic letter board.

Collects and files information from the IHSA, and the ESCC, as well as tournament information.

Assists with other events, such as home varsity games, and Registration Night as needed.

Assists Athletic Director in soliciting donors, creation and mailing of Championship Party flyer, obtaining proper licenses, identifying gifts and sending thank you letters.

Maintains updated Athletic Department calendar containing sporting events with off-campus transportation notations.

Works with Assignment Chair regarding assignment of officials and completes stipend sheets for payment. Reschedules officials as necessary.

3. Regarding TRANSPORTATION AND ATHLETIC VEHICLES Provides directions to away sites. Coordinates transportation for all away sporting events

4. Regarding FACILITIES: Assists the Athletic Director with parent/student volunteer lists for the concession

stand. Assists the Athletic Director with worker lists for games and completes stipend sheets.

HEAD COACHAthletic coaches are hired by the Principal and Human Resources Director in consultation with the Athletic Director.

Head coaches report to the Athletic Director, supervise assistant coaches and provide leadership, supervision and organization in the specific athletic program while carrying out the general objectives and philosophy of Carmel Catholic.

1. Pre-Season Checklist: Required paperwork for each athlete has been turned in to the appropriate offices. Student has a current physician’s physical or IHSA physical card on file which will be

valid for the duration of the season. Inform the Athletic Director’s office of additions to the team, along with jersey and

locker assignment numbers. Be thoroughly familiar with Athletic Department policies. Practice schedule for all teams in the program submitted to the Athletic Director. All

lower level coaches must clear their practice times with the varsity head coach of their particular program. Both basketball programs are on a master schedule.

Review all IHSA regulations regarding your sport in the handbook. Clarify varsity letter requirements with all athletes and submit to the Athletic Director. Select and instruct team managers and statisticians; submit names to the Athletic

Director. Communicate with trainer regarding training and medical needs.

Review student Athletic Policy Handbook with your athletes. Locker assignment sheet filled in and submitted to the Athletic Director.

2. Year Round Responsibilities: Formulate objectives and goals for the coming sports season. Keep abreast of new ideas and techniques by attending clinics and workshops,

reading current literature, and encouraging members of staff to do the same. Be knowledgeable of rules and regulations concerning his/her sport. Implement proper procedures for out-of-season practices according to IHSA. Be as active as possible in professional organization. Maintain inventory, care and maintenance of equipment. Attend Athletic Department functions when required. Be sure that only Principal-approved coaches are involved in instruction of Carmel

Catholic athletes. No individual can be on the field at any time unless approved by the administration. The head coach will be responsible for all levels in his/her program.

3. Seasonal Responsibilities: Handle communication to all prospective athletes. Coordinate the paperwork required of each Athlete at the start of the season: Student

athlete information sheet, a current physical date, a signed policy sheet from the Athletic Handbook (with all required signatures), and payment of $130 athletic fee.

Arrange for a systematic issuance of equipment. Review the department policies and procedures papers with assistant coaches. Be knowledgeable of all IHSA regulations from IHSA handbook regarding eligibility,

recruitment, and practice procedures, and see to it that members of his staff are aware of above procedures.

Clarify to athletes requirements for a team letter, after such requirements have been approved by the Athletic Director.

Select and instruct team managers on proper care of equipment, facilities, and other duties as assigned.

Submit desired departure times to Athletic Director for compiling of transportation schedule, if different from transportation schedule.

Submit budget requests to Athletic Director before September 15 of each year. Submit practice schedules for all times in his/her program to Athletic Director for

approval. Boys’ and Girls’ Basketball will be on a master schedule. If coaches wish to change they must check with the Assistant Athletic Director.

Assume responsibility for constant care of equipment and facilities being used. Assume supervisory control over all phases of teams in the program. Organize and schedule practice sessions on a regular basis with the idea of

developing the athlete’s greatest potential. Apply discipline in a firm and positive manner as outlined according to school policy

and philosophy. See that facility regulations are understood and enforced. Conduct oneself and teams in an ethical manner during practices and in

contests/games. Report results of contests, games to media and Athletic Director. Instruct players on rules and rule changes, and new ideas and techniques.

Provide to the Athletic Director for file purposes a copy of all general correspondence and bulletins to student-athletes and parents.

Adhere to the times outlines in the seasonal transportation schedule. Inform the Athletic Director of any serious discipline problems within specific program. Directly supervise or designate a supervisor of locker room at the close of each

practice or contest/game. Inform the Athletic Director of the names of his/her athletes who are no longer

members of the team and the reason that they are no longer included on the roster/list. The Athletic Director must also be informed of the names of any athlete who has been ejected from any contest.

4. End-of-Season Responsibilities: Arrange for the systematic return of all athletic equipment and submit list of lost

articles to the Athletic Director. Arrange storing and conduct an inventory of all equipment. Submit to Assistant Athletic Director list of letter winners and special award winners. Recommend additions and/or improvements for the care and maintenance of facilities. Recommend to the Athletic Director, and Principal and Human Resources Director,

personnel for vacant assistant coaching positions. Let Athletic Director know what teams you would like to schedule for the coming year. Assist Athletic Director in the evaluation of each assistant coach. Maintain records of team and individual accomplishments and submit season end

varsity stats and records of all levels.

ATHLETIC TRAINERReports to the Athletic DirectorResponsibilities include:

Cleaning and organization the training room. Availability in the training room each afternoon from 3 until 6 p.m. Availability for the treatment of athletes at all varsity home contests. He/she will be

available prior to, during, and after each contest. Supervision of student trainers in the preparation of team training kits. Conducting inventories of training supplies and informing Athletic Director of ordering

needs. Supervision of those athletes requiring long-term treatment of injuries. He/she will

communicate with the athlete’s coach, and make recommendations based on his/her own experience and consultations with doctors, trainers, and therapists.

Collection of completed Emergency Forms from the Athletic Administrative Assistant; forms kept on file at all times.

Meetings with all student trainers at the beginning of each season to explain their job responsibilities. Student trainers will not assess an injury: their function is to assist the Athletic Trainer.
