&.1.2. Modif(in- col#mnsThere are many options for manually modifying columns, including resizing, moving, freezing, sorting,

hiding, and calculating.

cross, click and drag the edge of the column.

To e&pand or collapse the lines included in a single subtotal, click the e&pand or collapse icon ne&t to

the field being subtotaled. To e&pand or collapse all subtotals, click the e&pand)collapse icon in the

lower lefthand corner of the total line.

&.1.6. Mana-e "eport La(o#t

While many individual modifications can be made to a report using icons and dragging columns,

multiple modifications can be made at once using the change layout function. The "hange Layout icon

provides an interface for changing the column order and the sort order. %t allows you to apply filters

and display options to the report. *elow are directions for each of these functions. After making

changes, click +Transfer to apply your changes.

The "olumns tab is used to select and order the columns you want to appear on your report. The

names on the left indicate the columns included in the order they will appear. The names on the right

are the available fields that can be added. -oubleclick on a column name to move it from one area to

the other. To reorder the columns, select a column name and click the arrows at the top of the tab to

move the column up or down a position. "trl alt choose all fields, /ou can also can use search help

for 0uick find a field.



Appl( )ilter

The !ilter tab is used to set criteria for including or e&cluding specific items in a report.

%n the first step /ou have to define Filter Criteria. The names on the left indicate the columns to be

filtered in the order they will be filtered. The names on the right are the available columns. -oubleclick

on a column name to move it from one area to the other. To reorder the columns, select a column

name and click the arrows at the top of the tab to move the column up or down a position.

After generating a report, it is possible to e&port it into 5icrosoft '&cel and)or 5icrosoft Word using

three different options. 'ach of these options saves the file in a slightly different format. *efore using

any of these options, you have to set the macro security in your 2ffice products to medium. Within

your 2ffice program, follow the menu path Tools ( 5acro ( 1ecurity. 1elect the 5edium security

setting. Then click the Trusted 1ources tab and ensure all the check bo&es are selected. "lick 2= to

save the changes. !or the best results, ensure your 2ffice program is closed before performing any of

the following actions.

#sing this e&port option will retain all of the formatting that you may have done to

the report in 1A4, such as moving columns, setting filters and sorts, etc., but w

E%portin- to Microsoft E%cel

#sing this e&port option will not retain any of the formatting that you applied in 1A4, such as moving

columns, setting filters and sorts, etc. $owever, it does add a colored background and heading and

retains the proper column width.

6. "lick +1preadsheet.... An %nformation bo& will open advising you that any formatting you

have applied in 1A4 will not be e&ported with the data.

7. "lick +"ontinue. The '&port list ob@ect to <<L bo& will open.

8. "hoose able and click +"ontinue.:. "lick +"ontinue again.;. '&cel will open with the report displayed. /ou can now format the report and save it as

necessary in e&ternal &ls file.?. %n 1A4, an %nformation bo& opens stating that you should save the data in the spreadsheet. As

soon as you click +"ontinue, the report in '&cel closes, so be sure you have saved it if

necessary before doing so.
