Thank you! For taking this step and applying for a leadership position in AIESEC IUM. AIESEC is very different from other societies. How you noticed already through the quite long application process, we are not looking for random members that signed up to join this society and then show up once a month for the parties. We are looking for people that really want to make a change, develop themselves and others and also want to invest in this. This includes: As a LCP up to 10 working hours per week As a VP up to 7 working hours per week Attending all National Conferences A high level of proactivity and self-motivation As a leader in AIESEC you are a role model to your members (if you are always late and don’t fulfil your tasks, you can’t expect that from them) and represent AIESEC to the external world (companies, universities,…) . From my own experience I can only tell you that the two years that I spend as a direct leader of a team (first VP Incoming Exchange, then LCP) were the best in AIESEC. Even though I thought that I am not ready for this I learned so much, met amazing people and really developed as a person. It’s not about how much you know or if you are a born leader, it’s about if you know where to find the information, if you are ready to stand in for your team and always strive for excellence (with your team and also with your self-development). In this booklet you will find the job descriptions of all EB (Executive Board) member because it is important for every EB member to know the responsibilities of your colleagues. 2015 Executive Board and Leadership Team

These are the positions that will be elected:

Local Committee President Vice-President of Incoming Exchange Vice-President of Communications

The Executive Board (EB) consists of the Local Committee President (LCP), Vice President of Incoming Exchange (VP ICX), Vice President of Outgoing Exchange (VPOGX), Vice President of Talent Management (VPTM) and Vice President of Communications (VPCOM).

This team of five members are executive; they are directly and democratically elected by the membership of the local committee and each hold the ultimate decision making power within their respective functional departments with the LCP overall responsible for the LC.

The EB sets the overarching strategic direction for the LC fulfilling a consultative role. Each Vice President is a department head and is responsible for the overall results of all the teams within their department. They are responsible for managing the team leaders (if they exist) within their department and for ensuring the coordination between them.

1. Executive Board and Leadership Team Job Roles & Responsibilities

General Responsibilities

Hold the position for a period of approximately 14 months from elections until December 2015, including a handover period between November and January. Responsibilities include:

Attendance at all national conferences. Attend every LC Meeting and all socials Present a united front as a Leadership Team Have access to the exchange module on EXPA and be on the phase and role of the system Attend a weekly EB meeting Proactive contact with MC, ensure all activities are tracked completely on podio. Coordinate creation of departmental business plan.

Local Committee President

LC Management Lead and manage the EB (and LT if Team Leaders exist) Set direction for and maintain the motivation of the EB (and LT) Coordinate the creation of a LC Business Plan; Facilitate quarterly reviews of the year plan and monthly reviews of all goals and targets; Manage the LC organisational structure; Ensure effective chairing of weekly EB meetings; Submit monthly LC tracker; Coordinate Elections; Coordinate transition and conduct LCP specific transition with elect;

Finance Create an annual budget; Administer the LC finances; Submit monthly cashbooks (and bank statements if a bank account exists)

National Association Represent the LC on a local, national and global level Ensure that all national membership criteria are met Attend and participate in all national conferences Attend and participate in all National Legislative Meetings Communicate regularly with the MCP Contribute to the national strategy and direction of AIESEC Namibia; Understand the LC’s role in national plans Attend Board of Directors’ meetings of AIESEC Namibia

Vice President of Incoming Exchange

It is up to the VP ICX elect to decide on the structure of ICX this year, i.e. whether or not there will be team leaders and if so, how many. This Job Description assumes there will not be team leaders.

Coaching Overseeing the progress of the team members and their coaching and motivation. Providing support for the team members where required. Ensuring team members are focused and follow the negotiated Business Plan, providing

guidance when the team member is thought not to be working at their full potential.

Co-ordinate Main point of contact for the MC, ensuring all important information is passed on to team

members. Hold weekly ICX Team meetings, which you will chair; making sure there is clear

communication and collaboration amongst Leaders. Update MC with regards to targets and ICX progress Adherence to national raising strategies and focuses Set clear job descriptions for the team members before recruitment starts to ensure

everyone knows what to do.

Oversee ICX process within LC Financial management of ICX tasks Accountable for ICX results of the LC Ensuring the delivery of quality ICX experience Ensuring contact data, leads and accounts are maintained and handed over properly to the

next team. Attend network events in support of the Team Leaders External scanning of local business community, actively searching for innovative new

strategies to market the Exchange Program together with the MCVP ICX

VICE PRESIDENT FOR COMMUNICATIONS

You are final responsible for the overall communication strategy of AIESEC, including brand management and both internal and external communication. You ensure the overall LC management of market research, brand communication, marketing materials, press releases, sales and product collateral, customer messaging and coordinating press analyst relations.

Responsibilities

Marketing Management Manage, update and develop LC databases for customer segmentation purposes Support other

areas with development of product-based marketing and promotion strategies

Brand ManagementFinal responsible for local material alignment to the national brand Provide support and brand consultation to other functional areas on creation and evaluation of

marketing/branding materials Conduct annual local brand audit Educate and track other functional areas on correct usage of AIESEC brand Educate all LC members on AIESEC Identity to form brand ambassadors

Public Relations and MediaDevelop local media partnerships Coordinate PR materials and content about AIESEC, such as reports, media releases, articles Implement National Communication Plan at local level to reach stakeholders Develop and implement LC Communication Plan

Channel ManagementTrack the usage and effectiveness of all LC communication channels Manage local website and update content in alignment with national strategies Develop social media strategy and supervise all online outgoing LC messages

Internal Communication Coordinate LC Newsletters Development and implementation of Knowledge Management strategy Manage LC visual templates and communications channels Coordinate management of the LC wiki

Vice President of Outgoing Exchange

The newly-elected VPOGX will be responsible for co-ordination with the outgoing team in order to determine the number of Team Leader roles to be made available, and the Job Descriptions of these roles.

Responsibilities:

Creating OGX agenda and year plan, along with smaller-scale timelines for each term Ensuring high standard of OGX process at all stages: marketing, recruitment, events, EP care

o Setting clear and detailed goals and expectations for the OGX teamo Oversee training of new members in areas such as marketing, sales and knowledge of

the GIP and GCDP Programmes and OGX products (GoGlobal, GoVolunteer) Ensuring good communication within the OGX team

o Holding weekly meetings with OGX Team Keeping OGX members accountable to delivery of results Ability and willingness to step in and support the OGX members in any area where assistance is

required Develop good relationships with university schools/departments, international student societies,

and student’s union, in order to promote the outgoing programmes more effectively Communication with MC VPOGX and other VPOGXs on a regular basis Providing a point of contact and information for students and others interested in finding out

more about the AIESEC Exchange programmes

Vice President Talent Management

Coaching Ensure all project teams have adequate training and learning structures Provide ongoing support to VPs and their teams

HR

Plan recruitment process with EB Decide dates for Intro meetings, lecture presentations, Orientation Day

Member Induction

Coordinate the induction of new members into LC Arrange and coordinate the training sessions and meetings Oversee the contents of sessions delivered by external speakers (3rd years, alumni, corporate

partners, national team etc) Service and Learning

Overall responsibility for learning activities in LC Organize and coordinate learning activities for members, EPs and trainees Coordinate reception for incoming trainees along with VPBD Work with the VPOGX to coordinate EPs preparation and integration Facilitate AIESEC Experiences for all members and EPs Book all rooms for LC meetings and events Competency management Prepare delegations for conferences Ensure frequent social events for the LC

Member Accreditation

Coordinating, promoting and managing the FAST TRACK program Ensure that everyone is on the right stage and team in myaiesec.net (coordinated by the VPTM, executed by the respective team leaders) Ensure a constant reward and recognition system
