3. Achievement summary for the 2018/19 financial year 1. The Annual fund-raising event “Palkalai Kathambam- 2018” was organized and $30,000

was raised.

2. e-Kalvi Charity Fund Inc.  has been registered as a charity with the ACNC.

3. e-Kalvi Charity Fund Inc.  was endorsed as a Deductible Gift Recipient (DGR) from 27 Nov 2018

4. e-Kalvi Charity Fund Inc.  is a Public Benevolent Institution endorsed to access the following tax concessions:

• GST Concession from 27 Nov 2018 • Income Tax Exemption from 27 Nov 2018 • FBT Exemption from 27 Nov 2018

5. An MOU was signed with Carers Foundation for A$25,000 donation for e-Kalvi

projects for 2018/19 financial year.

6. A nine-member sub-committee was set up for the management of e-Kalvi program.

7. Besides the already established 20 e-Kalvi centers in the 2017/18 period, 12 more

fully-funded e-Kalvi centers were opened in the 2018/19 financial year.

8. Number of direct beneficiary students-number increased from 2000 to 2500.

9. More than 50% GCE(O/L) pass rates were achieved in the majority of the centers.

Higher progress was achieved in the Malayaham regions.

10. As per the advice of northern provincial governor, NP5 pilot project was initiated

by Provincial Ministry and Department of Education. During these pilot project, 5

of the low performing schools were selected form 5 districts in the Northern

Province and their e-Kalvi implementation is monitored.

11. 158 Refurbished laptops were sent for the e-Kalvi centers and e-Kalvi libraries. We sent

100 Refurbished Laptops in the previous year as well.

9. Grade 9 Mathematics video e-lessons were successfully completed by Sri Pada National

College of Education and distributed via online.

10. JUGA-Victoria sponsored a hands-on workshop for promoting STEM education (Science,

Technology, Engineering and Mathematics) in Vanni. The workshop was organised by the

faculty of Engineering of University of Jaffna and the resource persons were from IIT, India.

We donated Rs200,000 for this valuable cause.

4. e-Kalvi (e-Education) Program Report July 2019

Through the e-education program, students learn mathematics science and English as video lessons. These lessons were video recorded by well-trained teachers to cover Sri Lankan curriculum and

provided with USB memory. In addition, each e-learning centre is provided with Laptop, Multimedia Projector, Projector Screen, Tablet (two) Multifunction Copier for using these video lessons. Our main goals are to alleviate the shortage of quality teachers and encourage students to self-study. Last year we signed a Memorandum of Understanding (MoU) with the University of Jaffna for the successful implementation and further technical support of our e-education programs in the Northern, Eastern and Up-country areas. Together with the University of Jaffna and the Northern Provincial Council, we have developed our e-libraries in 36 schools in the Northern Province. In addition, a pilot program was started in 5 schools from 5 of the districts in Northern Province. It is very appreciative to have the support of the Governor, Provincial Ministry of Education and Provincial Department of Education.

a) e-Lessons Through our e-education programs we offer the following subjects, as well as many practice exam questions. These can be downloaded from the following website: http://www.ekalvi.org/e-lessons/

b) Model of e-Learning Centers These centres are managed by a committee of volunteers from the local community. We provide the necessary facilities including multimedia equipment and video-based e-lessons to teach the students. The Committee should provide us with the details of the students who use the centre and their exam results for the purpose of assessing their performance. We provide incentives for the volunteers and teachers who teach there. In future, it’s expected that these community-based committees to run their centres from their own financial resources.

c) How can you help our e-learning centers? 1. Wherever you wish to set up your own centers, we will provide necessary advice and provide e-learning courses free of charge. 2. It costs us AU $ 3500 for the initial setup and AU $ 1000 per year for maintenance of a new centre. 3. Donors can also help us by adopting one or more existing centres by subscribing an annual maintenance fee of AU $ 1000. If you would like to make a 2nd or 3rd choice, JUGA-Victoria will oversee these stations and your name will be featured on our donor’s list. The funds has to be sent to and maintained by E-Kalvi Bank Account of the Lions Club of Colombo Grand Circle.

d) Our e-Kalvi centers There are 31 stations are currently operating in the North, East and Up-country regions. All these are clearly indicated in the interactive map of Sri Lanka below.

g) Steps to Create e-Learning Centers 1. First of all, a committee / association / society should be formed and the members should

cover the whole spectrum of the local community, including teachers, principals and well-

wishers of the community.

2. A FACEBOOK GROUP account should be created for the centre and the relatives and friends of

the locals should be included in the group so that they can follow the progress and finance

these centres.

3. A constitution should be created for this centre. (We'll give you a sample)

4. A bank account should be started in the name of the association.

5. All transactions that are above 1000 rupees should be made by cheques.

6. The details of the students and their pre and post e-Kalvi enrolment results for each term

should be sent to us to assess their progress.

7. Student's supervision and safety at the centre should be monitored by a student's mother or a

female member of the executive committee.

8. All staff and volunteers must read and sign the Code of Conduct prepared by e-Kalvi Charity.

h) Monitoring The local committee and well-wishers should oversee and report all the activities of e-Kalvi centers to the e-Kalvi Charity. The academics from e-Kalvi charity would analyse the progress of each exam and make recommendations. These recommendations will be forwarded to the relevant centres to make necessary actions to implement. All financial transactions are audited by e-Kalvi charity’s treasurer and the Lions Club of Colombo Grand Circle.

i) Types of our e-learning centers There are four different types of e-Kalvi centers administered by e-Kalvi charity.

1. Full Centers These types of centres will consist of at least 10 students in each class. We offer Laptop, Multimedia Projector, Projector Screen, Tablet (two) and Multifunction Copier. There are currently 31 such centres. Below is the financial information required to run each full centre for the first year:

Method of operation Trained teachers or volunteers with experience are assigned to teach e-lessons to students at these centers. They will teach the students with the help of e-lessons videos and answer the students' questions with further explanations. They are also responsible for conducting examinations using model exam papers sent by us or prepared by them. Each students performance in the model exams are assessed and given feedbacks with further explanations when required. We also provide incentives for the teachers’ services. We plan to increase this stipend in the foreseeable future.

2. Semi Centers These types of centres will consist of fewer than 10 students in each class, operating in schools or outside of schools in the remote areas. We offer used Laptops to these centres. Fund needed to inaugurate a semi centre.

Method of operation Since there is a shortage of trained teachers or specialists in these remote areas, these centers are run or managed by schools or individual well-wishers. We provide two laptops or two Tablet which includes e-Kalvi lessons and model question papers. The Principal or the person in charge of the institute will provide the necessary volunteer personnel to help the students. We will provide a small stipend for the volunteers who will be teaching here in the future.

3. e-Library (200+ Schools) We will provide one or two laptops with e-learning lessons and model question papers for these centres. We will also provide with split-headset facilities which can accommodate up to five students at once. There are 36 schools, out of our target of 200+ schools, are already benefiting. Lectures of faculty of Engineering, University of Jaffna, are working diligently with us to implement this program in the North and East successfully. Fund needed to inaugurate a semi centre.

Method of operation The laptops we provide are housed in the school library or in dedicated rooms. Students can make use of these by making a convenient reservation.

4. Volunteer organizations The following social service organizations have been successfully implementing our education program with us. a) Sivanarul Illam Their homes are located in Mannar, Oddisuttan, Badulla and Akkaraipattu. They are keen to increase the attainment level of students' progress in Mathematics and Science subjects. All of these centers are provided with multimedia equipment and e-lessons and stipend are paid to teachers or volunteers. b) Up-Country Community Development Council They are working with thirteen schools in Badulla and Nuwara Eliya districts to increase the attainment level of Tamil Language students' Mathematics and Science subjects. We have provided them with five laptops and two USB memory sticks with e-lessons. c) Thilakavathiyar Women's Home Situated in the village of Pulukamam in the Batticaloa district, the Tilakavathiar Ladies' Home is working hard to increase the attainment of students’ in Mathematics, Science and English. We have provided them with e-lessons, multimedia equipment and stipend are paid to teachers or volunteers. In this case, all teaching activities are administered by the institution. d) International Medical Health Organization International Medical Heath Organization (I.M. H.O) has implemented e-learning centers in two schools in Maskeliya in Nuwara Eliya district.

• The Laccumbe Tamil Maha Vidyalaya has 72 students in Year 10 and 80 students in Year 11. It is

noteworthy that the Year-11 exam performance in the past year has increased in Mathematics

and Science by 28% and 30%, respectively.

• Bloomfield Tamil Maha Vidyalaya has 95 students in Year 10 and 90 students in Year 11. It is

noteworthy that the Year-11 exam performance in the past year has increased in Mathematics

and Science by 69% and 75%, respectively.

e) Thangamma Educational Development Center - Kanagarayankulam. There is an e-learning library at Thangamma Educational Development Center at Kanakarayankulam. At this centre the students learn Mathematics, Science and English with the help of multimedia e-lessons. This centre is supplied with 8 laptops, multimedia projector and laser printer. A monthly stipend of Rs7500 is paid to the IT support staff. f) Kilinochchi Educational Development Fund Kilinochchi Educational Development Fund (KEDT) has opened two e-learning centers in Kilinochchi. We have provided computers, multimedia projectors, laser printers and e-lessons to these centres. One of these sites is located at Karadipokku Junction and the other in Malayalapuram. g) Trincomalee District University Students Union (TDUSA) TDUSA has been doing a great job of bringing together university students in the Eastern Province. Selvanayagapuram Mahavidyalayam, Kalaimagal Vidyalayam and Vigneswara Vidyalaya, which are very poor in educational performance in Trincomalee district. TDUSA is implementing an e-Kalvi program by enrolling students in these schools. We are providing computer, projector, laser printer and tablet and a stipend of Rs 7500 per month per subject as incentive. h) E-Education through Eastern University The e-Kalvi program is being implemented in 20 schools in Pattarupu, Modu West and Kalkudah Education Zones in the Eastern Province. Eastern University Senior Lecturer Dr Chandrawardani Devadasan coordinates this on behalf of the e-Education NGO. i) Carnival Project - Jaffna Hindu College Association, Canada The Jaffna Hindu College Association from Canada is implementing the following e-learning programs coordinated by us under their sponsorship. 1. St. Teresa's College for Women in Kilinochchi 2. Mulangavil Mahavidyalayam 3. Mallavi Central Maha Vidyalaya j) e-Education in reputed colleges Recognizing the need for e-education, the educational community has begun implementing this program in colleges. For this we are offering 32GB USB memory stick with e-lessons free of charge. Smart board, multimedia projector, computers and necessary equipment’s are obtained through their respective alumni associations. The following schools have recently started e-education.

5. The NP5 Education Pilot Project The President and Secretary of the e-Kalvi Charity held a meeting with the Governor of the Northern Province in Sri Lanka on March 2019 for the implementation of the e-Education Program in the Northern Province Schools. At the outset, the Governor has proposed a program that would select the most educationally disadvantaged school in each district and implement the e-education program. It

was also decided to supervise the program by the Provincial Education Department and the Department of Education. The Northern Province Department of Education has selected the following schools.

In addition, we will provide the necessary equipments for schools which don’t have multimedia facilities.
