Introduction Welcome to the CloudApps SuMo for Salesforce Winter ’15 Install Guide. Follow the steps outlined in this document in order to install the Winter ’15 release of CloudApps SuMo for Salesforce into an existing Salesforce.com Enterprise Edition or Unlimited Edition org. In order to successfully complete the installation of your CloudApps SuMo for Salesforce application, the System Administrator must perform the following steps.

Requirements Before attempting to install the SuMo for Salesforce package, the System Administrator must ensure that the following prerequisites are met in order to successfully complete the installation.

Salesforce Organisation Types CloudApps only supports the installation of the SuMo for Salesforce package into either an Enterprise Edition (EE), Unlimited Edition (UE) or Performance (PXE) organisation types. Installing SuMo for Salesforce into Developer Edition (DE), Group Edition or Professional Edition (PE) organisation types is not supported.

Salesforce User License Types Salesforce or Salesforce Platform user licenses are required to be assigned to all users of the SuMo for Salesforce application, CloudApps does not support the use of any other user license types. Users with other license types, such as Chatter Free, will not be able to access the SuMo for Salesforce application or its components.

Chatter The SuMo for Salesforce application integrates with Chatter’s Post and Comment features. System Administrators must therefore ensure that Chatter is enabled in the Salesforce organisation, before they install the SuMo for Salesforce package. Please follow the steps in the article below to set up Salesforce Chatter in your organisation: https://help.salesforce.com/HTViewHelpDoc?id=collab_enable.htm&language=en_US

CRM Content The SuMo for Salesforce application integrates with Salesforce CRM Content features. System Administrators must therefore ensure that Salesforce CRM Content is enabled in the Salesforce organisation, before they install the SuMo for Salesforce package. Installation You should have already been provided with a URL for installing CloudApps SuMo for Salesforce package (contact CloudApps if you have not received this). To begin the installation process, click on the URL link (or paste the URL into your browser address bar). You will then be re-directed to the Salesforce.com login screen and prompted to enter login credentials for the org into which you wish to install the application. Log in using your System Administrator credentials to begin the installation. Following a successful login you will be presented with the “Package Installation Details” screen click Continue to start the installation:

The first step is to “Approve Package API Access”. Click “Next” to proceed with the installation:

The second step is to “Choose security level”. Select the “Grant access to admins only” radio button and then click "Next" to continue:

At the third and final step click “Install”:

This final step can take several minutes to complete. You will receive a message indicating that your request to install the application is in progress. Once the installation has completed you will receive an email notification message. The installation of CloudApps SuMo for Salesforce is now complete. Please complete the following steps described below as a System Administrator before using the package.

Note: The following instructions are written with the ‘Enable Improved Setup User Interface’ option enabled. Before proceeding, customers are advised to enable this setting by clicking on the User Menu and selecting Setup from the list of available choices:

1. Within the setup sidebar, navigate to App Setup | Customize | User Interface 2. Under the ‘Setup’ section, check the ‘Enable Improved Setup User Interface’ option if

it hasn’t already been checked, then click Save 3. Also, within the User Interface, check the box 'Show Custom Sidebar Components on

All Pages'. Once this has been completed, please continue with the following steps in this guide.

User Page Layout The User page layout needs to be modified so that the ‘SuMo Player Type’ fields can be made available to administrators; to do this please follow the steps below.

1. Enter Setup by clicking on the ‘Setup’ link at the top of the screen 2. Within the sidebar select Administer | Manage Users | Users 3. Click on the Full Name of the user 4. Click Edit Layout in the top right of the page 5. Create a new Section immediately below the User Detail section, with the default

settings, as follows:

6. Add the SuMo Type fields as shown:

7. Click the Save button to complete the task and save your changes

Defining SuMo User Types There are four SuMo user types that can be defined. As individual users can be required to perform more than one function they can also therefore be assigned more than one SuMo User Type; i.e. they could be an Influencer and & Observer, a Player and an Administrator or an Administrator and an Observer etc. The four SuMo User Types can be summarised as follows:

SuMo Administrator: Administers the SuMo application, cannot trigger rewards, receive rewards or view the rewards and performance of Players.

SuMo Influencer: Influencers are able to trigger rewards for Players, but cannot receive rewards themselves or observe the performance of any Players.

SuMo Observer: Observes the performance of Players but cannot trigger rewards for those players. Observers cannot administer the SuMo application. An Observer might be the head of a department or the manager of team who wants the ability to observe the performance of their team members.

SuMo Player: Participates in the ‘game’. Players can receive rewards and view their own performance, as well as viewing the performance of other Players. Players can also trigger rewards for other Players that are in the ‘game’ with them.

To set up the SuMo application, each user will need to be set with the appropriate SuMo User Type. Setting the SuMo User Type will automatically assign the corresponding Permission Set for the user type(s), as well as a SuMo License. To do this the System Administrator should check the relevant SuMo User Type box(s) on the User records. This operation can also be performed by means of a mass update using an appropriate data load/update tool if required, as well as the following means. To assign the SuMo user types to individual users on a one-by-one basis follow these steps, repeating steps 3 to 5 for each user:

1. Enter Setup by clicking on the ‘Setup’ link at the top of the screen 2. Within the sidebar select Administer | Manage Users | Users

3. Click Edit next to the user's name

4. Scroll down to the SuMo section previously created and check the SuMo User Type that is required for that user

5. Click the Save button to complete the task and save your changes For convenience this operation can be performed en masse for ‘SuMo Player’ user types via a utility accessible from the SuMo Configuration page as follows:

1. Enter Setup by clicking on the ‘Setup’ link at the top of the screen

2. Within the sidebar select Build | Installed Packages

3. Click on Configure next to the SuMo package name

4. On the Application Configuration page, expand the Installation section

5. Check the Roles of the users that you wish to assign SuMo Player access to (if any Roles exist)

Note: Users that do not have a Role selected will fall under the category <none specified>

6. When completed, click on the Assign button:

As previously mentioned, all other SuMo User Types (SuMo Administrators, SuMo Observers and SuMo Influencers) will need to be individually assigned by an Administrator, or en masse using an appropriate data load/update tool.

SuMo Administrator Permission Set The seed SuMo Administrator permission set contained in the SuMo for Salesforce package needs to be modified in order for further permissions to be granted to SuMo Administrator users. Use the steps below to create a new SuMo Administrator permission set that will then be assigned to all SuMo Administrator users.

1. To create the new SuMo Administrator permission set, enter Setup by clicking on

the ‘Setup’ link at the top of the screen 2. Within the sidebar select Administer | Manage Users | Permission Sets 3. Click Clone next to SuMo Administrator 4. Enter a Label and API Name, e.g. SuMo Administrator (New) then click Save 5. Click on the new Permission Set Label name to view the Permission Set Overview 6. Click System Permissions 7. Click Edit 8. Find the Permission Name Customize Application, then check the Enabled checkbox 9. When done, click Save and then navigate back to the Permission Set Overview page 10. Click Assigned Apps 11. Click Edit and in the Available Apps list, add success.CloudApps SuMo to the Enabled

Apps list 12. When done, click Save and then navigate back to the Permission Set Overview page 13. Click Object Settings 14. Click on the Competitions object name highlighted below

15. Click Edit and check Group and Targeted under Competition Record Type Assignments

16. Click the Save button to complete the task and save your changes

Once the steps above have been completed, the new SuMo Administrator permission set needs to be manually assigned to users in the org that will be administrating the SuMo for Salesforce application. Currently these users will already have the SuMo Administrator user type assigned to them on their profile, as well as the old SuMo Administrator permission set. System Administrators will therefore need to manually assign the newly created SuMo Administrator permission set to these users.

Configure Workflow Rules To configure the Time-based Workflow Rules, enter Setup by clicking on the ‘Setup’ link at the top of the screen. Within the sidebar select Build | Create | Workflow & Approvals | Settings and ensure that a user is set in the Default Workflow User field, if not, enter a user’s name in the field or click the Lookup icon to search for a user. When a user has been set in the Default Workflow User field, click Save

Time Limit Set 1. Within the sidebar select Build | Create | Workflow & Approvals | Workflow Rules 2. If the Understanding Workflow page is displayed, click Continue 3. Click on the Time Limit Set rule name to view the workflow rule 4. Click the Clone button 5. On the Step 2 Configure Workflow Rule page, do not change the default settings and

click Save & Next 6. On the Step 3 Specify Workflow Actions page, under Time-Dependant Workflow

Actions click Add Time Trigger 7. Setup the Workflow Time Trigger by selecting ‘Reward: Time limit’ from the picklist

list, with a value of ‘0’ 8. When done, click Save to return to the Step 3 Specify Workflow Actions page

9. Under Time-Dependant Workflow Actions, click the Add Workflow Action button to reveal the picklist and then click Select Existing Action

10. From the Select Existing Actions page, use the Search picklist to select Field Update, from the Choose Action Type list

11. From the Available Actions list, select “Field Update: Set Reward Status to Failed” and then click the Add button to move it to the Selected Actions list

12. When done, click Save to return to the Step 3 Specify Workflow Actions page 13. On the Step 3 Specify Workflow Actions page, click Done 14. Finally click the Activate button

Ready Competition with Start Date 1. Within the sidebar select Build | Create | Workflow & Approvals | Workflow Rules 2. If the Understanding Workflow page is displayed, click Continue 3. Click on the Ready Competition With Start Date rule name to view the workflow

rule 4. Click the Clone button 5. On the Step 2 Configure Workflow Rule page, do not change the default settings and

click Save & Next 6. On the Step 3 Specify Workflow Actions page, under Time-Dependant Workflow

Actions click Add Time Trigger 7. Setup the Workflow Time Trigger by selecting ‘Competition: Start’ from the picklist

list, with a value of ‘0’ 8. When done, click Save to return to the Step 3 Specify Workflow Actions page 9. Under Time-Dependant Workflow Actions, click the Add Workflow Action button to

reveal the picklist and then click New Field Update 10. Use the settings below to create the ‘Update to next state’ field update:

Actions click Add Time Trigger 13. Setup the Workflow Time Trigger by selecting ‘Competition: Start Notification Date /

Time’ from the picklist list, with a value of ‘0’ 14. When done, click Save to return to the Step 3 Specify Workflow Actions page 15. Under Time-Dependant Workflow Actions, click the Add Workflow Action button to

reveal the picklist and then click New Field Update 16. Use the settings below to create the ‘Set About To Start To True’ field update:

Running Competition with End Date 1. Within the sidebar select Build | Create | Workflow & Approvals | Workflow Rules 2. If the Understanding Workflow page is displayed, click Continue 3. Click on the Running Competition With End Date rule name to view the workflow

rule 4. Click the Clone button 5. On the Step 2 Configure Workflow Rule page, do not change the default settings and

click Save & Next 6. On the Step 3 Specify Workflow Actions page, under Time-Dependant Workflow

Actions click Add Time Trigger 7. Setup the Workflow Time Trigger by selecting ‘Competition: End’ from the picklist

list, with a value of ‘0’ 8. When done, click Save to return to the Step 3 Specify Workflow Actions page 9. Under Time-Dependant Workflow Actions, click the Add Workflow Action button to

reveal the picklist and then click Select Existing Action 10. From the Select Existing Actions page, use the Search picklist to select Field Update,

from the Choose Action Type list 11. From the Available Actions list, select “Field Update: Update to next state” and then

click the Add button to move it to the Selected Actions list 12. When done, click Save to return to the Step 3 Specify Workflow Actions page 13. On the Step 3 Specify Workflow Actions page, under Time-Dependant Workflow

Actions click Add Time Trigger 14. Setup the Workflow Time Trigger by selecting ‘Competition: End Notification Date /

Time’ from the picklist list, with a value of ‘0’ 15. When done, click Save to return to the Step 3 Specify Workflow Actions page 16. Under Time-Dependant Workflow Actions, click the Add Workflow Action button to

reveal the picklist and then click New Field Update 17. Use the settings below to create the ‘Set Closing Stages To True’ field update:

Competition Performance Reporting Snapshot Scheduler

1. To configure the Reporting Snapshot Scheduler, enter Setup by clicking on the ‘Setup’ link at the top of the screen

2. Within the sidebar select Administer | Data Management | Reporting Snapshots 3. If the What is a Reporting Snapshot? page is displayed, click Continue 4. Click Competition Performance reporting snapshot 5. In the Field Mappings section, click the Edit button 6. Under the Map Summary Fields from Source Report to Target Object section, map

the Competition: ID field from the Fields from Source Report column to the Competition (Lookup(Competition)) from the Fields in Target Object column:

7. When done, click Save to return to the Competition Performance reporting snapshot page

8. In the Schedule Reporting Snapshot section, click the Edit button 9. Set the Frequency to Weekly and in the resulting window, select the day of the week

that the scheduler will run 10. Set the End date that the scheduler will run to, it is suggested that the end date is

set to 31/12/2099 to ensure that the scheduler will always be running 11. Finally, click on Preferred Start Time and set a time when the reporting snapshot will

take place on the day previously specified in step 9 12. If the Administrator or any users require an email that contains the results of every

scheduled Reporting Snapshot when they have been completed, check the appropriate Email Reporting Snapshot box

13. Click the Save button to complete the task and save your changes

Competitor Performance Reporting Snapshot Scheduler

1. To configure the Reporting Snapshot Scheduler, enter Setup by clicking on the ‘Setup’ link at the top of the screen

2. Within the sidebar select Administer | Data Management | Reporting Snapshots 3. If the What is a Reporting Snapshot? page is displayed, click Continue 4. Click Competitor Performance Reporting snapshot 5. In the Schedule Reporting Snapshot section, click the Edit button 6. Set the Frequency to Weekly and in the resulting window, select the day of the week

that the scheduler will run 7. Set the End date that the scheduler will run to, it is suggested that the end date is

set to 31/12/2099 to ensure that the scheduler will always be running 8. Finally, click on Preferred Start Time and set a time when the Reporting snapshot will

SuMo1 Tab (Optional) SuMo for Salesforce can be accessed on Salesforce1 via the ‘SuMo1’ tab. This tab needs to be added into the organisation by Administrators in order for Salesforce1 users to see the ‘SuMo1’ tab in the Salesforce1 app. To do this, please follow the steps below:

1. Enter Setup by clicking on the ‘Setup’ link at the top of the screen 2. Within the sidebar select Setup | Mobile Administration | Mobile Navigation 3. Select SuMo1 from the Available list and add it to the Selected list 4. Click the Save button to complete the task and save your changes

Configuration Prior to using CloudApps SuMo for Salesforce, administrators will need to enable the object triggers that will enable Rewards to be generated for users in the application. Additionally administrators have the option to enable any of the seed Achievements that come pre-loaded in the application.

Trigger-enabled Objects Administrators can choose to enable specific Standard and Custom Salesforce objects they wish Rewards to be triggered from.

1. To enable the triggers on the supported Salesforce Standard Objects, within the sidebar select Build | Installed Packages

2. Click on Configure beside the SuMo package name 3. Click on the Configuration section 4. Administrators can then check the Objects they wish to enable triggers on 5. Finally, click Save again to enable the triggers on the selected objects, the page will

then reload

1. To enable the triggers on Custom Objects, select an object from the Add an Object picklist

2. The page will then reload and the custom object will be added to the list of trigger-enabled objects

3. Administrators can then check the custom object they wish to enable triggers on 4. Finally, click Save again to enable the triggers on the selected objects, the page will

reload once again 5. You can click Delete in the Edit column to remove any custom objects that you have

added, this will in turn disable any active triggers on those custom objects

Available Achievements When the Seed Data is loaded for the first time, all the Level-up Achievements will automatically have the Available field set to ‘True’. However, all the other seed Achievements that are supplied in SuMo for Salesforce will have their Available field set to ‘False’ by default. This enables Administrators to then selectively choose which Achievements they wish to make available for Reward to their users, by simply setting the Active flag to ‘True’ on the desired Achievements.

Customisation This section details how to customise the User Interface (UI) components that are available in the CloudApps SuMo for Salesforce application. These steps are optional and not all of the components need to be enabled in order to use the application.

Object Page Layouts The following operations can be performed for each of the page layouts on each of the objects that have Visualforce In-line Components available. These objects are; Accounts, Campaigns, Contacts, Leads, Opportunities, Cases, Contracts and Solutions. Whilst the Visualforce component names vary by object they all follow the same naming format, which is ‘Achievement_ObjectName’ and ‘Reward_ObjectName’ i.e. ‘Achievement_Account’ for the in-line Visualforce component that is available to display Achievements on the Accounts standard page layout. Similarly the standard layout pages all follow a similar naming convention, which is ‘ObjectName Layout’. The following steps are specifically for the Account page layout and in-line Visualforce components but can be repeated for the other page layouts when taking into account the naming rules described here.

1. In order to add the Visual Force elements to each Page Layout, enter Setup by clicking on the ‘Setup’ link at the top of the screen

2. Within the sidebar select Build | Customize | Accounts | Page Layouts 3. Click Edit beside the Account Layout page layout 4. In the Account Layout section at the top of the page, click on Visualforce Pages in

the list.

5. There will be two Visualforce elements listed, Achievement_Account and Reward_Account

6. In turn, drag each of these elements from the Visualforce Pages list and drop the elements at the desired position on the Account page layout as show below. It is suggested that these elements are positioned at the top of the Account Information section.

7. Once both the Achievement_Account and Reward_Account elements are in position, hover the cursor over the Achievement_Account element and click the Properties icon that appears in the top-right corner

8. In the resulting pop-up window, set the Height (in pixels) field to 100 and click OK. 9. Repeat steps 7 and 8 for the Reward_Account element.

Home Page Layout SuMo for Salesforce provides Summary Components that can be added to the narrow ‘Sidebar’ and wide sections of the Home Page layout. These components provide information for users on their status and progression throughout the ‘game’. Please follow the steps below to add any of these components to your organisation.

1. Enter Setup by clicking on the ‘Setup’ link at the top of the screen 2. Within the sidebar select Build | Customize | Home | Home Page Layouts 3. Click Edit beside an existing home page layout that you wish to add the SuMo

components to 4. In the Select Wide Components to Show section, select SuMo Performance History if

required 5. In the Select Narrow Components to Show section, select any of the following

components: - SuMo ToolKit (This is a required component) - SuMo - SuMo Performance - SuMo Rewards - SuMo Competitions - SuMo Promotions

Note: It is recommended that only the SuMo component be selected as shown above, as this component comprises of the SuMo Performance, SuMo Rewards and SuMo Competitions components. When added to the Sidebar, the SuMo component will rotate through displaying these three individual components. Alternatively, these three components can be added individually and displayed in the Sidebar.

7. Click Next to proceed to Step 2. Order the components 8. In the Narrow (Left) Column list, order the components as required, ensuring that

the SuMo ToolKit component is at the top of the list 9. In the Wide (Right) Column list, order the components as required 10. Click Save to complete the task and return to the Home Page Layout list view

11. Repeat the steps 3-12 for all Home Page Layouts that should contain the SuMo summary components

Subtab Apps 1. To configure the SuMo Subtab Apps on the profile page, enter Setup by clicking on

the ‘Setup’ link at the top of the screen 2. Within the sidebar select Build | Create| Apps 3. Under the Subtab Apps section, click Edit next to Profile (Others) 4. In the Available Tabs list, select Motivate and Rewards, then add them to the

Reports & Dashboards Extension Package Installation To proceed with the installation of the Reports and Dashboards module you will require the appropriate installation URL (contact CloudApps if you have not received this). To begin the installation process, click on the URL link (or paste the URL into your browser address bar). You will be re-directed to the Salesforce.com login screen and prompted to enter the login credentials for the org that you wish to install the reports and dashboards into. This should be the same organisation that the CloudApps SuMo for Salesforce package was installed into. Following a successful login you will be presented with the “Package Installation Details” screen.

Click Continue to start the installation and you will now be taken through two steps.

The first step is to “Approve Package API Access”. Click “Next” (at the bottom of the page) to proceed with the installation.

The second step is to “Install Package”. Click the “Install” button to continue.

This final step can take several minutes to complete. You will either receive an email notification message or an on-screen confirmation that the installation has completed.

Reports & Dashboards Post Installation Steps

Assigning the Running User Dashboards Security From the App Menu in the top right hand corner of the page, select the CloudApps SuMo application. Now click on the Dashboards tab and for each of the SuMo Sample Dashboards perform the following:

1. From the View Dashboard pick list select each of the SuMo Sample Dashboards in turn

2. Click the Edit button 3. In the “View dashboard as:” area at the top right of each dashboard edit page, use

the pull-down arrow to decide whether to ‘run as specific user’ e.g. the SuMo Administrator or display the dashboards according to each viewer’s access level i.e.

‘run as logged-in user’ 1.

4. Remember to click the “Save” button to save the dashboard changes 5. Click the “Close” button (and select “Close” on the resulting confirmation) to

complete the task 6. Repeat steps 1 to 5 for each of the available SuMo Sample Dashboards 7. Once done, the CloudApps SuMo for Salesforce application is ready to use

Appendix

Sharing Model Access (Optional) The Sharing Model controls the visibility of Achievements and Challenges that are visible to users in the SuMo for Salesforce application. This feature enables Administrators to be able to enable specific Achievements and Challenges to be visible to subsets of users, therefore allowing the targeting of Achievements and Challenges backed on functional, geographic or other areas of interest within the organisation. In order to implement this approach, the Organisational-Wide Defaults for the Achievement and Challenge objects are required to be set to Private and the relevant Sharing Rules set up that define which groups of users can access the chosen Achievement and Challenge records. Sharing Rules allows for exceptions to be made to the organization-wide sharing settings for defined sets of users. These rules are used to extend users' access to records based on defined criteria, as with workflows, multiple criteria can be applied using a combination of ‘AND’ and ‘OR’ operators. Once defined, the Sharing Rule allows specification of who the record(s) should be made available to and the level of access granted. Access may be provided to specific Users, Roles or Public Groups or any combination of those. Sharing Rules can therefore never be stricter than the organization-wide default settings - they simply allow greater access for particular users. For example, a sharing rule could be created on the Achievement object to only include Achievements acting on the Lead object for users that belong to the ‘Sales Team’ Public Group. It should be noted that formula fields such as Business Area are not available for selection in when creating Sharing Rules. Also, when creating sharing rules for Challenges, users should be provided with Read/Write access so that User Challenge records can be created when a user ‘Accepts’ or ‘Repeats’ a Challenge. A Read only level of access is sufficient for sharing rules based on the Achievement object.

2. Within the sidebar select Administer | Security Controls | Sharing Settings 3. Under Default Sharing Settings, click Edit in the Organisational-Wide Defaults

section 4. Using the Default Access picklist, set the default access for the Achievement object

to Private, and Public Read/Write for the Challenge object then click Save

Note: Editing the organisation-wide sharing defaults will cause all sharing rules to be recalculated. This could require significant system resources and time depending on the amount of data in the organisation. Administrators will receive an email confirmation when the organisation-wide defaults have been processed.

5. Under Sharing Settings, click New in the Achievements Sharing Rules section 6. Using the wizard, define the rule name, rule type, which records to be shared and

with whom and finally what access level those users should have 7. Click the Save button to complete the task and save your changes 8. Click OK to the warning message 9. Repeat steps 4 to 8 to create Challenge Sharing Rules

It is recommended that when the Sharing Model has been enabled on the Achievement object, that a Sharing Rule is created that shares all the Level-up Achievements with all internal users.

1. Under Sharing Settings, click New in the Achievements Sharing Rules section 2. In Step 2 Select your rule type, create a Criteria based rule type 3. Set the Field criteria to Level Up equals True 4. In Step 4 Select the user to share with, set share with Public Groups to All Internal

Users 5. In Step 5 Select the level of access for the users, set access level to Read Only 6. Click the Save button to complete the task and save your changes 7. Click OK to the warning message

When the organisation-wide defaults and sharing rules have been created, it is important that Administrators update the Owner ID on all seed Achievement records (including Level-Up Achievements) to be either the SuMo Administrator or another Administrator. By default, the owner set on all seed Achievement records will be a temporary user named SUMO, which is applied during the AppExchange installation process. The easiest way to change ownership for all the seed Achievement records is to use the Achievement List Views and the standard 'Change Owner' feature. Simply select all the seed Achievements and manually reassign ownership to a SuMo Administrator or another Administrator. When these steps are completed, Administrators will be able to view which users within the organisation have access to specific Achievements and Challenges by clicking the Share button at the top of those records. The Sharing Detail page lists the users, groups, roles, and territories that have sharing access to that specific record and provides an explanation as to why that user has access to that record.
