Dear Fellow Soroptimists, Welcome to the 36th Annual Camino Real Region Spring Conference! Please accept this invitation to join us April 25, 26, and 27, 2014 at the beautiful Hyatt Regency Hotel in Valencia, California where we will be “Focusing on our Goal: Helping Women and Girls Live Their Dreams”. I know you will enjoy the friendly atmosphere of our conference hotel and our exciting Spring Conference program. I invite you to explore the Tentative Conference Agenda and our entire “Call to Conference” so you, too, will become excited about our Spring Conference adventure together. We will, also, be celebrating our 35th Anniversary of the Camino Real Region, which happened during this biennium, during this Conference. You will see that time has been allowed to update you on the state of our region, to honor our presidents and clubs, to educate you more about Soroptimist and the newly revised programs, and of course, to honor the wonderful women who win our signature awards. There have been a few changes instituted into this year’s weekend agenda. Instead of having the Governor’s Luncheon at noon on Friday, we will have a President’s Luncheon at that time. This luncheon will be for outgoing 2013-2014 presidents, official guests, and Camino Real Region Board members. It will be by invitation only and will replace the Presidents’ Reception held each year. We have heard your requests for the Leadership program to be available when more people can attend it. So, it has been moved to Saturday morning, immediately following the “new” Leadership Breakfast. The Saturday business session has been moved to Saturday afternoon, immediately following the Ruby Award luncheon. This being an installation year, the Installation Dinner and Outgoing/Incoming Governor’s Reception will be held Saturday night. The Memorial Breakfast will be held on Sunday morning prior to the Women’s Opportunity Award and Violet Richardson Award program. We will, of course, take pleasure in spending time with old friends, making new friends, and shopping at the Trade Fair. The Trade Fair has been changed to be on Saturday only, but the hours have been extended so you will have more time to shop! I look forward to seeing you all there!

To: The Camino Real Region From: Spring Conference Committee On behalf of Governor Linda, the Region Board, and the 2014 Spring Conference Committee, I invite you to attend the 2014 “Focusing on our Goal: Helping Women and Girls Live Their Dream ” Spring Conference, April 25, 26, and 27, 2014 in Valencia, California. We are excited to announce and welcome our official Federation visitor Susan “Sam” Buchenau, Fundraising Council Chair, member of SI Valley de Oro, Desert Coast Region. Our Federation’s “Live Your Dream” is a strategy with important goals: to extend SIA’s reach and mission; to grow SIA’s recognition as a global women’s organizations, to grow SIA’s donor pool and to increase revenue through corporate sponsorship. These goals are critical to each of our clubs and we look forward to the presentation from our Federation visitor. This year’s conference will be held at the beautiful Hyatt Regency, Valencia, California. The hotel is beautifully appointed, and offers many amenities, including restaurants, lounges and 24 hour gym. Valencia is also home to 24 community parks, the first Tournament Players Club golf course in California, over 30 miles of connected pathways and trails, and fantastic local fitness centers. Valencia also has great restaurants and entertainment venues…not that any of these things will interest you, of course, because you are dutiful and devoted Soroptimists committed to the conference programming!

This year will also include the very important activity of Region elections for the 2014 – 2016 biennium. Nothing can be more important in shaping the Region’s future than selecting the best of us to lead and govern. And, last but not least—don’t miss this year’s Conference Trade Fair with extended shopping hours!

CLUB DELEGATE INSTRUCTIONS AND RESPONSIBILITIES

DEFINITION OF A DELEGATE A person elected and authorized to act on her Club’s behalf The Delegate or Alternate has the voting power of the Club’s membership

QUALIFICATIONS OF A DELEGATE

Have a working knowledge of Soroptimist by-laws Understand the objectives and ideals of the organization Be mindful of her Club’s opinion about how she should cast her vote

ON ARRIVAL AT CONFERENCE Register promptly Check in at Credentials desk to receive voting card

REMINDER

If at any time the Delegate is unable to attend one of the voting sessions, the Club’s alternate may take the Delegate’s place by changing status at the Credentials Desk. Once this is done, the Delegate and the Alternate may not switch places again.

DUTIES DURING CONFERENCE

Attend all sessions Participate in discussions, remembering to reflect Club’s viewpoint Note results of voting

RESPONSIBILITIES AFTER CONFERENCE

When asked to clarify, I explained that a leader is only as effective as the people she serves. Business/Professional Experience In 1992, I started my agency with 1 team member. My agency has now grown to 7 team members and protects over 2,000 families. In a new business, you have the opportunity to learn every position in the company. Starting out, I was the accountant, Director of H.R., Marketing Director, Sales Manager and Receptionist. Over the years, my communication, listening, and interpersonal skills improved as I worked with policyholders, and team members. While building my team, I worked diligently to improve my leadership, and management skills. Those early years were hard. I always believed perseverance and hard work would lead to success. My dream was that when my agency became successful, I would have an enhanced ability to give back, not only to the business community, but also to others that haven’t had the same good fortune.

Commerce Statement as to why you are willing to serve In 2011, I had the unique opportunity to be President of SISFV just a few months after our club was chartered. It was like starting my agency. Over the last two years, our charter members and I had a chance to learn about SI from the ground up. Every member was on every committee; by-laws, program, finance and service. This provided a unique opportunity to use my professional business skills to organize a new club. Since I was the only member that had any extensive experience with SI, our members relied on me to teach them about SI and how a club operates. They say the best way to learn about a subject is to teach it. Essentially, that is what I did as president for two years. Believe me, there was a lot I didn’t know and had to learn quickly. I will never forget the support and guidance I received from our District 4 Director Darlene Gandara and Governor- Elect Dora Zavala. Frankly, we may not have made it if not for their leadership and guidance. After 20 years in SI, I finally understood the importance of strong region leadership. Now our region needs a new leadership team, and it is time for me to give back. As a Soroptimist for 20 years, these last two years as President of SISFV have been one of the greatest blessings of my life. I have never worked so hard, learned so much, and loved serving an organization more than SISFV. It would be a privilege and an honor to continue serving our region as District 4 Director.

TRADE FAIR RULES AND REGULATIONS

The following requirements have been established for Soroptimist clubs and commercial vendors participating in the 2014 Spring Conference Trade Fair, Hyatt Regency Hotel, 24500 Towne Center Dr., Valencia, CA.

1. A paid registration fee provides one draped 6-foot table and one chair. 2. A clothing rack is equivalent to one table space (vendors are responsible for bringing their own

rack). 3. Tables will be assigned by the Trade Fair Chairperson, Liz Mirzaian. Under no circumstances will

vendors be permitted to move from their assigned spaces without express authorization from Liz, or the committee Co-Chair, Jo Ann Vindigni.

4. Participation is on a first-come (and first paid) basis. Since many vendors offer similar or “same-type” products, those who register early will be given first preference. However, steps will be taken to limit the number of vendors selling similar types of merchandise.

5. All vendor merchandise MUST be able to fit on, or within your vendor space. If your merchandise cannot be contained within your space, you may purchase additional space before April 1, 2014.

6. While designer-inspired items are permissible, “knock-offs” are not. Counterfeit consumer goods (knock-offs) are defined as goods that infringe on the rights of the holder of a trade mark by displaying a trade mark which is either identical to a protected trade mark or by using an identification mark which “cannot be distinguished in its essential aspects from such trade mark”. Counterfeit consumer goods are not allowed in the Trade Fair.

7. All set-up and dismantling of displays is the sole responsibility of the participating SI club or vendor.

8. Arrangements for electrical access can be made by contacting the Trade Fair Chairperson on or before April 1, 2014. Vendors must supply their own commercial-type extension cords. Additional fees imposed by the hotel for any added needs supplied by the hotel the day of the event, will be the responsibility of the vendor.

9. The Trade Fair will be open to the public and will be situated in public areas. 10. Vendors assume responsible for the security of their merchandise. 11. Cancellations must be received (in writing), before April 1, 2014 or fees will be forfeited.

INDEMNIFICATION AGREEMENT

Indemnification: The 2014 Spring Conference Trade Fair will be held in a public area, accessible by conference attendees, hotel guests, and/or other visitors or guests of the hotel facility. Camino Real Region and the hotel facility do not provide any security, therefore it is the responsibility of the Vendor to protect their merchandise and equipment from theft, mysterious disappearance, or damage. The Vendor and/or its officers, directors, independent contractors’ or employees shall indemnify, defend and hold harmless the Camino Real Region and its officers, directors, and members from and against any all demands, claims, damages to persons, property, losses and liability, including reasonable attorneys’ fees (collectively “Claims”) arising out of or caused by the Vendor’s negligence and/or its officers, directors, independent contractors’ or employees’ negligence in connection with the use of the hotel property/facilities that are currently being used. CLUB AWARDS AND RECOGNITIONS

The following awards and recognitions acknowledge Clubs who are participating in Soroptimist programs of service. Awards will be presented to Club Presidents at the Spring Conference Awards Banquet on Friday, April 25. Please make sure you attend or send a representative from your Club. The following are the categories for which a club may receive an award or recognition: GOVERNOR’S CLUB AWARD Recognition is given to Club Presidents, by the Governor, for their participation in the four areas of the SIA Shaping the Future Campaign. Presidents must return the completed award form to Governor Linda by March 21, 2014. Clubs also must submit Program Focus Reports for each event or program. DISTINGUISHED SOROPTIMIST RECOGNITION A Distinguished Soroptimist is a member who has made a personal commitment to developing her Club and enhancing her own Soroptimist experience by recruiting a new member and accomplishing at least five additional club activities during the 2013-2014 club year. VICTORY AWARD This award is given each year at Spring Conference to the Club who has shown the greatest gain in membership. The award is based on the statistics available to the Region Treasurer from SIA. (Be sure to send in a 5008 each time you induct a new member. Your Club’s membership figures are based on these forms.) If there is a tie, one Club will keep the trophy until Fall Workshop and the other Club will keep the trophy until the following Spring Conference. WOMEN’S OPPORTUNITY AWARD (WOA) The Women’s Opportunity Awards program is SIA’s signature award program. It assists women who provide the primary source of financial support for their families by giving them the resources they need to improve their education, skills and employment prospects. Women’s Opportunity Award recipients may use the cash award to offset any costs associated with their efforts to attain higher education, such as books, childcare, tuition and transportation. In addition to providing the primary financial support for their families, eligible applicants must be enrolled in, or have been accepted to, a vocational/skills training program or an undergraduate degree program and must demonstrate financial need. VIOLET RICHARDSON AWARD (VRA) Named after the president of the first Soroptimist club, the Soroptimist Violet Richardson Award honors girls, ages 14-17, who are making a difference through volunteer service. Each year, Soroptimist clubs honor girls who donate their time and energy to causes that make the community and world a better place—such as working to end discrimination and poverty, assisting women and children who are victims of domestic violence, or mentoring young girls. RUBY AWARD Formerly the Soroptimist Making a Difference for Women Award, the Soroptimist Ruby Award: For Women Helping Women recognizes and honors the first federation president, Ruby Lee Minar. A ruby is also a deep red gemstone associated with wisdom, importance, vitality, strength, vivacity, power and love: all words embodying the strong and compassionate women who are our award recipients. The Soroptimist Ruby Award honors women who have worked to improve the lives of women and girls through their professional and/or volunteer work. See www.soroptimist.org for the application although, the award is a Region-only award. FIRST TIME ATTENDEE RECOGNITION Recognition will be given at the Saturday, April 26, Business Session, to all members attending Camino Real Region Spring Conference for the first time. PUBLIC AWARENESS RECOGNITION Camino Real Region will recognize Clubs with outstanding achievement in the area of Public Awareness. To qualify clubs must submit a Governor’s Club Award form by the deadline, as stated above, and have at least 30 (of 50) points in the Public Awareness section.

Camino Real Region’s Spring Conference is the most amazing, inspiring and energizing annual program and event! It represents not only our collective but individual hard work and efforts but provides the stepping stone into what we will do in the future to improve the lives of women and girls.
