    Forward from the Committee

    The execution of ASEAN University Youth Summit (AUYS) 2016 is getting closer. Therefore, we need to collect a lot

    of information in order to provide the best services for all participants of AUYS 2016. In addition, participants also

    have the right to know all information about AUYS 2016 so that they could prepare for the event well. The contents

    of this book include detailed rundown of events, rules to be followed by the participants, and some forms as a

    tool to gather information about participants. 

    This book also contains a description of the AUYS 2016 in Sumbawa. There are several forms that needs to be

    filled out by participants and sent back to the committee no later than January 20th, 2016. Those forms are pick-

    up form, drop-off form, and personal information forms for participants. All the forms must be completed by all

    participants. Besides that, there is a special form for participants who plan to perform as a talent in Gala Dinner

    and ASEAN Cultural Show program. The provisions to be talent in the ASEAN Cultural Show is described in a special

    section in this book. 

    This book was made as a pdf. To be completed and returned to the committee, participants can follow the

    following instructions below:

    Hopefully this book can help participants in understanding the program of AUYS 2016. As a committee, we really

    hope to be a good host by providing good service to the participants. Therefore, we also request cooperation from

    Rules for Round Table Discussion 

    Hello ASEAN students! During your preparation to Sumbawa, we would like to inform you some rules

    regarding to AUYS 2016 Youth Conference. Here are things that you should pay attention and prepare

    for joining the forum: 

    Lecture Session 

    1. 

    Dress Code: formal dress (black suit, white shirt, tie, long black pants/skirt) and pantofel shoes 

    2. 

    We will have two keynote speakers in this session 

    3. 

    There is no Questions and Answers session

    4. 

    All participants should attend the lectures and focus to the topic.

    5. 

    All electronic devices should be switched off or in silent mode 

    6. 

    All participants are able to bring drinks 

    7. 

    All participants are not able to take any pictures during the session 

    8. 

    All participants should keep quite during the session 

    Round Table Conference 

    1. 

    Dress Code: formal dress (black suit, white shirt, tie, long black pants/skirt) and pantofel shoes 

    2. 

    Each university should have a representative to speak in Round Table Conference 

    3. 

    Each delegation are able to deliver question or giving response to other delegation after the

    approval of moderator 

    4. 

    Moderator has the authority over the whole conference 

    5. 

    Participants should deliver idea, response, question, etc politely 

    6. 

    A delegation is not able to dominate the forum

    7. 

    Participants, who are not a delegation in Round Table Conference, should attend the whole

    conference

    Participants, who are not a delegation in Round Table Conference, are able to deliver questions or

    response after the approval of moderator. Participants just need to raise hand before deliver a

    question or response. 

    9. 

    Round Table Conference will be held in 4 sessions, which takes 40 minutes in every session. There

    will be a coffee break for 10 minutes between the sessions 

    10. 

    Delegation of each university could be changed in every session of Round Table Conference

    Rules for Gala Dinner and ASEAN Cultural Show 

    1. 

    Bring Your Special Souvenir

    Each participant is required to bring a souvenir from each country, because at the end of the

    gala dinner there is a program where each participant will exchange souvenirs with delegates

    from different countries, or at least from different university. When you accept souvenir or

    parcel from other participant, you are not allowed to asking price or quality of the souvenir. 

    2. 

    Use Your Traditional Dress 

    Everyone who involved and participate in this event are required to use traditional clothe

    whether participants, facilitators, guests, and member of the committee. Because at the gala

    dinner there will be held an ASEAN culture show program, where participants will show the

    traditional appearance of the respective countries, so for participants who do not show

    anything, at least appreciate the participants who appeared to participate using traditional

    clothing. 

    3. 

    Delegate’s Traditional Performance 

    Participants of AUYS 2016 are allow to show at least 1 traditional appearance from their

    country, such as singing, dancing, reading poetry and others. Maximum duration of appearanceis 7 minutes, it may appear in groups or solo. If the participants will present an appearance at

    this event, they have to confirm to the committee no later than 20th  of January 2016. Your

    confirmation should be done with filling the form which has attached in this book (Form of

    ASEAN Cultural Show).
