EXECUTIVE SUMMARY

A recent survey, Education Assistance Plans, conducted by the International Foundation of Employee

Benefit Plans, reveals trends in organizations' education assistance policies. According to the IFEBP survey,

94% of organizations offer some type of formal or informal education assistance plan with 88% having a

formal policy and 6% having an informal policy.

Of those who offer an education assistance plan :

74% have less than 15% of their employees participating.

99% of respondents make education assistance benefits available to full-time salaried

employees, 86% offer benefits to full-time hourly employees, 37% offer benefits to part-time

salaried employees, 33% offer benefits to part-time hourly employees.

93% offer education assistance to cover undergraduate-level and graduate-level course work,

69% cover online and distance- learning courses, 56% cover vocational and technical course

work.

100% pay tuition expenses, 64% pay for books, 63% pay for fees, 21% cover supplies.

73% of organizations reimburse expenses based on completion of the course, 69% reimburse

based on the grade received.

57% do not require that employees pay back all or part of any monies reimbursed for education

if they leave employment. The most common time period that employees must continue working

for their organization to avoid having to pay back any monies is one year .The survey collected

information from 226 U.S. and Canadian multiemployer trust funds, corporations, public

employers and professional service firms. The results include 62 valuable education assistance

and tuition reimbursement policy sample policies and forms.

Therefore the question arises that Why Should You Develop Educational Assistance Policy? Under

the training and research done by me I got the opportunity to assist my seniors ,in valvoline Cummins ltd. at

Gurgaon to assist and hence put forward my views ,while formulating the hr policy related to educational

assistance in the organization. I came to the realize that by strengthening the educational assistance

program, you can maximize use of money that your organization contributes to employee tuition, become or

maintain your status as an employer of choice, and contribute to your organization’s competitive advantage.

Thus the main Purpose of the Educational Assistance Program Is to “assist employees in their

professional development and in advancing their careers by encouraging voluntary academic studies that

contribute to improved performance.”. Moreover ,Employers can meet the challenge of having a well-

educated, knowledgeable workforce by supporting continuing education, either through tuition advances or

reimbursement. These programs also can help employers attract and retain employees who are interested in

advancing their education, skills, and careers.

Thus this is one of the important tools for hr managers since Human resources is a term used to refer

to how employees are managed by organizations, or to the personnel department charged with that role and

the field has moved from a traditionally administrative function to a strategic one that allegedly recognizes

the link between talented and engaged people and organizational success. I also learnt about various other

Human Resource Management organizational functions that deals with issues related to people such as

compensation, hiring, performancemanagement ,organization Development , safety, wellness, benefits,

employee motivation, communication, administration, and training.

Henceforth , In these settings, Human Resources Development is the framework that focuses on the

organizations competencies at the first stage, training, and then developing the employee, through education,

to satisfy the organizations long-term needs and the individuals’ career goals and employee value to their

present and future employers. Human Resources Development can be defined simply as developing the most

important section of any business its human resource by, “attaining or upgrading the skills and attitudes of

employees at all levels in order to maximize the effectiveness of the enterprise”

Under the Training undertaken by me , I got the opportunity to work under a live project That is designing

the Hr policies, Under Educational assistance Policy for Working executives in organizations. I with the

help and support of various people Learnt about various companies practices and their benchmarking on the

topic .I also researched on various courses available for working Executives, apart from all this few of the

things which were a learning and an interesting experience , like designing of social activity at the

workplace like the quiz competitions , for socialization and creating a healthy learning and fun environment

at workplace .Thus overall it was a great learning activity .

Ashland Inc and a US $ 12 billion player in road construction, refineries, lubricants & chemicals and

Cummins Diesel Sales & Service India Ltd (CDS&S), a global leader in diesel engines has outlined its

roadmap for leadership in the engine oil and lube s market in the country. The company would launch a suite

of products researched and formulated with expertise from Valvoline, USA and customized for engines in

India. The company is also focusing further to strengthen its distribution & marketing network to enhance its

reach in the lube market. The Company shall work towards maintaining its leadership position in the CNG

Vehicle segment through continuous work with major OE’s and expanding its product slate and distribution

as newer markets emerge for use of CNG. Valvoline Cummins Ltd is targeting sales of Rs. 250 crores for

FY 2004-05. 

In India, Valvoline Cummins Ltd, a JV between Ashland Inc., USA and Cummins Sales & Services (India)

Ltd ,a wholly owned subsidiary of Cummins India Ltd. is one of the India’s fastest growing lubricant

marketer and producer of quality branded automotive/industrial products. Products include automotive

lubricants, transmission fluids, gear oils, hydraulic lubricants, automotive filters, specialty products, greases

and cooling system products. Valvoline also offers Car Brite car care products for automotive cleaning and

maintenance. We have come a long way since we started out operations in India in 1998. We're a growing,

dynamic company having base of 54 stock points delivering products and services to 500 distributors for

bazaar trade and 2945 institutional customers. In bazaar trade we approximate that our products are available

in more 15,000 retail counters across India.

choice of a large variety of retail (DIY) and reconditioning (DIFM) products

Valvoline America has been selling filters since last 20 years and is established player in the US filters

market. Valvoline is also selling filters in Australia. Valvolines internationally reputed range of filters has

now been launched in India. Its filters are backed by the same Quality Guarantee stamp that backs the

performance of its engine oils worldwide.

Valvoline Cummins Ltd. has one of the largest product portfolios in the diesel engine oils and automotive

engine oil market with a market share of 3% plus. However, outside of the public sector units engaged in the

manufacture and marketing of lubes and engine oils, Valvoline Cummins is the third largest player in

Northern India. The company expects to end the current financial year with revenues in excess of Rs. 215

crore. . 

The company will launch new range of Filters; Eagle 1 Car Care Products like Ever Fresh Perfumes A

product imported in India through Eagle 1 industries USA (A Division of Valvoline, USA); Tectyl range of

rust preventives used both in the industrial and automotive segments; All Fleet Premium which has approval

for Ashok Leyland and has long oil drain interval, longer engine life and oil consumption control; Premium

Blue Environmental friendly lubricants, catering to the highest specification levels, and meant for off-

highway application like Gensets etc. and Champ 4T Premium A synthetic blend 4 stroke engine oil, meant

for premium motorbikes. 

Valvoline Cummins Limited has been growing at a CAGR of 30% plus over the last few years and has

established itself as a market leader in the CNG, DEO and Powergen segments. The company will also be

focusing on the Eagle One range of car care products as a key consumer focus driver in addition to the off-

highway and on-highway lubes market. 

Elaborating on the company strategy for the next fiscal, Mr. Naveen Gupta, CEO, Valvoline Cummins

Limited said,We are uniquely positioned to leverage the expertise and technical know-how of our global

parents which would enable us to bring to India, a suite of products specially designed for the hi-end, state-

of-the-art automotive and diesel engines. We are also working on further evolving our OEM relationships

with local vehicle manufacturers.

ASSOCIATION WITH SPORTS

Valvoline’s rich history in motor sports dates back more than 100 years and includes championships in

Formula One, Indy Cars, NHRA drag racing, World Rally Championship, and NASCAR racing and at such

premier events as the Indianapolis 500, Daytona 500, Le Mans and Bathurst 1000. 

The Valvoline Company made history by becoming the first consumer products company to own a

NASCAR Winston Cup team. 

Rookie of the Year candidate Scott Riggs, Valvoline America’s racing driver, was voted "Most Popular

Driver" in the NASCAR 2006 series.

Valvoline not only sponsors Riggs' team, but the company is in its fourth year as 50-percent owner of the

race team. The other half of the team is owned by MB2 Motorsports' Nelson Bowers.  After years of success

in NASCAR, Valvoline took the bold marketing step in 2001 of co-owning the team. As Riggs is fond of

saying about his sponsor/owner, "They're in the car; they're on the car; and they own the car."

Valvoline has taken its racing program to new heights, introducing different paint schemes and collectibles

to race fans, serving as the official motor oil of Daytona International Speedway.

Treading on Valvoline International racing lineage, Valvoline Cummins Ltd., tied up with JK Tyres for the

25 hour DubaiKarting Race held on the streets of Dubai on December 2004.  

The Team India studded with celebrity names like Narain Karthikeyan, Karun Chandhok (Team Captain),

Armaan Ebrahim 

Valvoline Cummins Ltd., also became the first Lubricant Company to make a soft launch of a racing team

named, “Team Valvoline”. The Team comprised, (a) Amittrajit Ghosh – National Racing Championships –

Runners Up 2004 (b) Deepak Chinappa – Asian Zone and Indian National Karting Champion 2003-04 (c)

Mr Amanpreet Ahluwalia- Indian National Rally Championship IInd position 2005. Excited about its

success in the Formula Maruti category, Valvoline also sponsored Raymond Banajee (The reigning National

Karting Champion) in the Formula LGB category.

The Team Valvoline drivers showing true colours of Valvoline, clinched both the Formula Maruti and

Formula LGB titles in its debut outing itself.  Team Valvoline was also nominated for “MOTORSPORT

TEAM OF THE YEAR” award for the year 2005 NDTV Profit & Car & Bike Magazine alongwith the likes

of Team MRF & Team JK Tyre. Team Valvoline again finished with two podiums this season (2006-07)

with Ajay Kini winning the National Racing Rookie Championship and Rayomand Banajee winning the

LGB Hyundai championship.

As a human resource intern my work included:

1) HR POLICY AND PLANNING

Collect, Review and analyze reports of different organizational policy (TCS,AIRTEL,ASHLAND

INC,ORANGE SEVICES, ICIC BANK,AEREN R ) about educational assistance program.

Participate in the development of HR policies and strategy for the same .Research on the institutes

which are options for working executives with details of courses were reviewed and studied.(IIM A,

IIM B,IIM C, IIM KOZHIKHODE,IIM L, XLRI, SYMBIOSIS, MDI, IIT DELHI )

2) Selection and Recruitment

Employee recruitment forms a major part of an organization's overall resourcing strategies which seek to

identify and secure the people needed for the organisation to survive and succeed in the short to medium-

term.

Assisted my seniors in shortlisting the suitable candidate for, Job-Title- Assistant manager reporting ,

department- Finance and accounts, location- Guragaon.

BODY OF THE REPORT

Formulating and designing of new kind of policy like the educational assistance program ,keeping in my

mind the industry practice .The importance of these policy , processes and steps involved to stategise and

formulate such policy in the organizations. The purpose of the educational assistance program is for

workforce planning and development.  It provides a tool for managers and employees to support academic

activities that directly relate to the organization's identified knowledge, skills, and behaviors (organizational

competencies), and which support the mission, vision, and values of the organization.  The educational

assistance program is not an employee benefit, right or entitlement; it is a management program for

workforce development.

In today's rapidly changing business environment, organizations have to respond quickly to requirements for

people. Hence, it is important to have a well-defined recruitment policy in place, which can be executed

effectively to get the best fits for the vacant positions. Selecting the wrong candidate or rejecting the right

candidate could turn out to be costly mistakes for the organization. Selection is one area where the

interference of external factors is minimal. Hence the HR department can use its discretion in framing its

selection policy and using various selection tools for the best result.The recruitment is the process of

searching for employment and stimulating them to apply for jobs in the organization whereas selection

involves the series of steps by which the candidates are screened for choosing the most suitable persons for

vacant posts.Thus HR policies for selection and recruitment were undertstood with the companies policies.

Additional reimbursable fees include:

For courses less than a year , reimbursement upon successful completion.For courses over a year , 50% reimbursement will be at each year, while remaining 25% upon successful course completion .

Approved part time courses which cost upto rs.30,000, company will reimburse 75% of admission charges.

Maximum limit for reimbursement is capped to RS.50,000.

100% reimbursement on all the Cisco certification. Orange has joint partnership with Cisco for Technical Training.

Six Sigma and ITIL training is inhouse training funded by Orange and is Vendor based training

full time executive MBA fully reimbursed. The certification courses are also fully reimbursed. The candidate should agree to serve the company for next 1 year after completion of the course.

Employee will repay 100% of any all amounts as educational assistance in the event employment is terminated within 1 year after the completion of an approved course.

Employee will pat 50%if employment is terminated after 1 year but prior to two years.

Employment commitment, bond period of minimum 2 years or equivalent to the course whichever is higher , the period will be calculated after successful completion of the course.

Not available 6 months after the training. The training that are held abroad, 1 year bond is to be signed by the employee.

MBA full time : 3 years bond with Bharti Airtell on completion of the course

Cisco certification : 1 year bond with Bharti Airtel on completion of the course

Effect of termination of reimbursement

Company may withhold any and all amounts to secure repayment .

If bond is not honoured, recover as per recovery clause (full pro rated @10%interest rate)

Employees availing of monetary assistance will be required to sign an agreement to

serve TCSL for a mandatory period as follows

Financial assistance post – approval of the application will be disbursed on

submission of the admission invite or proof of admission on to the course

Successful completion of the course will imply that employee has been issued a

passing certificate or marksheet recording that the employee has passed the education

program for that academic year/session and is eligible to receive a degree.

Employee availing of monetary assistance and not completed the mandatory service

period or not completing the program successfully for reasons other than resignation

or termination, will be required to repay the entire monetary assistance to TCSL.all

recoveries will be made from salary in a staggered manner decided by Head of

Compensation.

In case of resignation or termination ,the employee must repayTCS

immediately .TCSL reserves the right to recover the same from the full and final

settlement dues and any shortfall must be repaid to TCSL by the employee

Re –fitment on return to service after successful completion of the program will be

based on the compensation and promotion policy of TCS at the time of return and

will not be automatic.
