1. Logging into Archibus 1. Login using your Loughborough University Username and Password

2. The Start screen will be displayed, click on Building Operations to open the menu screen

2. Reporting a Problem – 1. Click on Report Problem

1. Your contact details will be filled in automatically in the Requestor section

2. Start typing the building name and select from the dropdown list (ensure the first letter is uppercase)

Alternatively click to the right of the Building field and select from the building list, you can also filter using the fields at the top of each column

3. Select the Floor

4. Select the Room number

5. Describe the exact location

6. Select the Problem Type from the 2 tier dropdown list

7. Enter the description of the problem add as much detail as possible

8. Click Submit

3. Uploading Documents and Photographs

1. Click Add Documents (you can add up to 4 documents or photographs per work request)

2. Click on and select a document to upload from your computer

3. Click Browse and Select document or photograph to upload from your computer

4. Add a description for the document you are uploading

5. Choose whether you want the document locked or unlocked (unlocked can be edited by others, locked cannot)

6. Click Ok to save document to work request

4. Tracking a Work Request

1. Click on View Maintenance Service Requests

2. Select a job from the list

3. You can see the status of the job

4. And the job history, including who is working on it and any comments they have made

5. You can use the filters to filter by status

6. Or date requested

5. The Building Operations Console From here you can see at a glance the status of all of your requests

1. Click on Building Operations Console

Job Lists

2. Assigned to Work Order - These jobs in the job queue awaiting labour

3. Issued and in Process - These jobs have been allocated to a tradesperson, or are in progress

4. On Hold for Labour - These jobs are on hold for another person to assist, for breaks, or if a job hasn’t been completed by the end of the day

5. On Hold for Parts - These jobs are on hold to collect or order parts

6. On Hold for Access - These jobs are on hold to await access to an area

All lists can be collapsed by pressing the black arrow

7. The Filter Band at the top of the screen allows you to filter by Site, Building, Floor or Problem Type

8. You can use one or multiple fields to filter by clicking on selecting from the list, then clicking

9. For more in depth filtering click on you can then select from any or all of the additional filter fields.

10. To clear previous filters click

11. To re run a recent filter click and select a previous filter from the list.
