Exhibit Fees • EARLY BIRD: $1,475 for exhibit space through March 29,

2019; $1,625 after • $350 additional to insert a brochure in attendees’ packets • $250 for each additional exhibitor badge; $550 for each

additional exhibitor badge to attend the full meeting • CSE will be preselling drink tickets for exhibitors to distribute

to attendees for the various receptions. Tickets are $12 each and you may purchase as many tickets as you would like. CSE will provide you with your tickets during setup on Sunday.

Exhibit Hall ScheduleExhibitors are not expected to be in their booths while the meeting program is underway. It is up to the individual exhibitor as to whether special appointments will take place during technical sessions. Minor time shifts may be necessary to accommodate the program of events. Advance notice will be given to the exhibitor’s main contact if changes are made.

Vendor Promotional E-Blast Message Reach your potential customers AND maximize your presence before arriving in Columbus! CSE’s goal is to assist you in increasing your sales by targeting key prospects with pre-show marketing in the weeks leading up to the Annual Meeting. The exhibitor recognition webpage and special vendor e-blast will serve as resources for attendees to learn more about your company and conference discounts. This promotional opportunity is included for all 2019 exhibitors.

To participate in this opportunity, provide a brief company profile and/or a 2019 special offer (50 words or less) with your agreement and CSE will include your message on our exhibitor recognition webpage and in the special vendor e-blast message prior to the Annual Meeting! All information must be received by March 29, 2019.

Promotional Distribution For a $350 fee, exhibitors may provide a single printed promotional piece or flyer to be inserted in the attendees’ registration packets. Size is limited to 8 ½’’ x 11’’ and not more than 2 pages or the equivalent. A sample of the piece must be submitted in advance for CSE’s approval.

Door Prize Drawings To encourage consistent traffic in the exhibit hall, CSE will continue to facilitate the successful door prize drawings to provide even more incentive for attendees to visit your exhibit booth. Each door prize will be hosted at your exhibit booth where you will collect business cards of attendees and draw your own winners.

We strongly encourage all exhibitors to offer at least one door prize worth $50 or more. Special discounts on products and services are welcome. Prize information is included in conference registration materials. Please be sure to fill out the door prize section on the exhibitor contract. We don’t want you to miss out on this popular promotional opportunity.

Advertising Opportunities CSE offers advertising in the onsite program to expand your reach and provide optimal visibility among meeting attendees. As the primary tool for attendees to navigate the education, networking, and exhibitor offerings of the Annual Meeting, the program is referred to by attendees multiple times daily throughout the event and even after they leave.

Exhibitor Badges One badge is included in the exhibit registration fee that includes access to the conference sessions and meals. Additional badges are $250 each and include meals, but do not include access to the meeting sessions. Extra exhibitor badges are limited to a maximum of four per exhibit, for a maximum of five representatives per booth.

For exhibitors who wish to attend the meeting sessions through an additional exhibitor badge, a new pass has been created. For $550, exhibitors may now attend all sessions and serve as an exhibit representative.

Drink TicketsTo help increase traffic at exhibit spaces, CSE will be preselling drink tickets for $12 for exhibitors to hand out to attendees during receptions. There is no limit on the number of tickets that may be purchased. Exhibitors will be provided with branded, specific drink tickets during exhibit hall setup on Sunday, May 5.

Cancellations and Refunds Written cancellations must be sent to CSE@CouncilScienceEditors.org on or before April 12, 2019 by 5:00pm (MST) to receive a refund of their payment minus a $75 deduction for administrative fees. No cancellations will be accepted after that date. Exhibitors who do cancel after 5:00pm (MST) April 12, 2019 will receive no refund, regardless of cause or inclusion in a booth. All cancellations must be received in writing.

Exhibitor Rules and Regulations Exhibitors shall arrange their exhibits so that they do not obstruct other exhibits. Aisles must be kept clear; to this end, exhibits should be arranged so that booth staff will be inside the space assigned. Display materials or equipment at the sides of the booth shall not exceed the height of the side rail and within 4’ of the front of the exhibit space. All material used (e.g., paper, cardboard, cloth, etc.) shall be flame-retardant. Safety and fire exits and equipment must be left accessible and in full view at all times.

All exhibit-related business activities must be conducted within the exhibitor’s assigned space. CSE reserves the right to control or prohibit any exhibit or part of any exhibit, which, in its opinion, is not in keeping with the policies of CSE. This reservation refers to persons, products, and printed matter. Exhibitors must comply with ordinances and regulations set forth by the building, fire, and police departments and any regulations set forth in the interest of common safety.

Only sponsored exhibitor information, brochures, etc., are permitted. Representatives may not display or disseminate non-sponsored information.

You are encouraged to provide door prize giveaways to attendees who visit your booth.

Public address and sound-producing or amplifying devices that project sound beyond the exhibitor’s space are prohibited.

Indemnification, Liability and Insurance The Exhibitor assumes the entire responsibility and liability for losses, damages, and claims arising out of exhibitor’s activities on the Hyatt Regency Columbus premises and will indemnify, defend and hold harmless the Hyatt Regency Columbus and its respective agents, servants, and employees from any and all such losses, damages, and claims. In addition, the Exhibitor indemnifies and agrees to hold harmless CSE, its officers, directors, guests, employees, and agents, from and against any action, losses, costs, damages, claims, and expenses (including attorney fees) arising from any damages to property or bodily injury to Exhibitor, or agents, representatives, or employees thereof by reason of the Exhibitor occupancy or use of the exhibition facilities. Upon signing the contract, the Exhibitor expressly releases the foregoing institutions, individuals, and groups from any and all claims for loss, damages, or injury. This also includes the period of storage during and following the event.

All Exhibitors must insure themselves at their own expense against property loss or damage, and against liability for personal injury. The Exhibitor agrees to provide insurance coverage for personal injury and property damage liability covering the Exhibitor and his property in such amount as the Exhibition facilities requires. CSE shall each be named as an additional insured on all of Exhibitor’s policies of insurance. Insurance protection against fire, theft, or damage to the Exhibitor’s materials must be carried at the Exhibitor’s expense.

Exhibitor acknowledges and agrees that it shall be solely responsible for obtaining licenses, permits, etc. that may be required for it to be broadcast, perform, or display any copyrighted materials including, but not limited to, music, video, and software. Exhibitor shall indemnify, defend, and hold harmless CSE, its directors, officers, employees, and agents, and each of them, from and against any and all claims and expenses, including attorney fees and costs, arising out of or related to Exhibitor’s expense.

Restrictions CSE reserves the right to prohibit or require the removal of any display or exhibit, or any part of the exhibit, which it deems not suitable or in accordance with these regulations or in accordance with acceptable professional ethics, or prohibits for other reasons deemed necessary or appropriate by CSE. All exhibit areas shall conform in all respects to applicable safety, health, and fire codes.

Security Insurance of both contents and personnel is recommended. CSE does not insure exhibitor property. CSE shall use reasonable care in providing security services during the hours of installation, the conference, and dismantling for the protection of the exhibitor’s materials and display. Beyond this, CSE, its respective officers, directors and employees, or agents shall not be responsible for the safety or protection of the property or of the exhibitor, its employees, and agents from any cause.
