Putting together an event is no easy task. An event planner is responsible for the smallest details in events. In order to ensure that the event planner fully understands the needs of those involved in the events, many times it is necessary to create and distribute a vendor application. I created this vendor application for an event titled, “World Culture Festival.” The purpose of this application is to make certain all of the vendors who are participating in this event will have the necessary supplies to participate.

Time: Festival runs from 12:00 pm until dark; Volunteers will need to be present before and after festival.

Examples of Volunteer Duties:
Assist with event set up – tables, chairs, signage
Assist with clean up during the event – clearing tables, emptying trash cans
Assist with event tear down – dismantle booths
Volunteers are very important to helpexecute certain events. Many times it is the event planners role’s to secure volunteers. Creating a volunteer flyer is a great way to attract volunteers for help with events. I have created this particular flyer to invite people to volunteer for the “World Culture Festival.”

As an event planner, many times it is necessary to secure donations from businessness to be used as gifts or prizes. The best way to secure these donations is through a donation request letter. This letter should describe the organization requesting the donation and also the event which the the donation will be used for. Clear and concise language is vital in order for this information to be effectively communicated. This is an example of a donation request letter which I created. I used this template to secure donations for an event titled, “Grad Finale.”

Many events can attract people from out of town. This creates a need for overnight accommodations. Depending on the event, the planner will be more or less involved in the overnight accommodations. I created this hotel accommodiation list for Northern Kentucky University’s graduation. Many families are coming from out of town to attend this event and will need overnight accommodations. This piece showcases my ability to effectively communicate with business in order to negotiate deals. It also showcases my ability to present the information in a concise, appealing manner.
