Excused Absence Policy

The following reasons are excusable absences from band rehearsals or performances: weddings, funerals, close family graduation, illness, school approved excused absence for vacation, or conflicts with a school activity that have been documented in advance and approved by the band director. Please submit all excused absence requests by note or email well in advance so that the band may adjust and prepare for a superior performance. The following reasons are not excusable absences from band rehearsals or performances: part-time jobs, birthdays or birthday parties, Cardinals games, concerts or other entertainment events, packing or cleaning for vacations, homework, studying for tests, being tired, or having a busy week. Attendance throughout the entirety of a performance is expected. Please submit a request for an excused absence if you cannot stay to the end. As with any other activity, it is essential to have a uniform attendance policy that applies to every member of the group. While all inexcusable absences have their place in the lives of teenagers, they cannot be a part of the excused absence policy without taking away from the group’s progress. We ask that all families support and adhere to this policy. Teenagers are very aware when a policy is being applied unfairly, and this is one that we cannot apply uniformly without the support of the parents. Of course, honesty and integrity are values that we hope to cultivate in all of our young people. Thank you for supporting the Eureka High School band program as we work together to provide opportunities for “Teens at Their Best!”

Eureka High School Bands

BAND LETTERING GUIDELINES

A letter is a symbol of outstanding extracurricular achievement. Listed below are the requirements for earning a letter in band. Letters (or bars for subsequent letters) are presented with all band awards in the spring of each academic year.

1. The student shall earn an "A" or "B" for the first three quarters and have an "A" or "B" during the fourth quarter at the time of presentation.

2. The student shall have no unexcused absences from performances. 3. The student shall participate in All-Suburban Band auditions or in the District Solo & Ensemble Festival. 4. The student shall attend all days of band camp. 5. The student shall work at least one fundraising event.

(For those shifts the students has signed up for but not been in attendance, shift points will be deducted

from their total band letter points.)

UNIFORM POLICIES

Both the marching and concert uniforms should be worn and cared for according to the following. Failure to follow uniform policies will result in a lowered grade for the performance and fines assessed for damage to the uniform.

Wear and Care of the Marching Band Uniform Wearing the Uniform Uniforms may be altered, but do not cut the fabric. Temporary alterations by pinning or basting are acceptable. When wearing the uniform in public, the entire uniform must be worn at all times with the exception of third quarter. Appearance in partial uniform is unacceptable. Students should take off the jacket and hang it in the band room during third quarter snacks. Do not change into or out of the uniform while in public. If the

temperature is cold, students may bring blankets to games. All other times, the jacket and pants are to be zipped, the collar may be unhooked and the hat either worn correctly or tucked under the arm.

Black band t-shirts and shorts are to be worn underneath, and long underwear can be added during cold weather. Only uniform shoes and black socks that go above the ankle must be worn with the uniforms. Students will not perform with white or other colored socks or anklets and will lose points for that performance. Clean mud and dirt from shoes before each performance. No food, drink, gum or candy while in uniform.

Hair, Jewelry & Make-up Male AND female hair should not touch the collar. Long hair should be worn in a ponytail and/or pinned and tucked up under the hat. Small post earrings or studs are the only acceptable jewelry that can be worn with the uniform are. No hanging earrings, watches, bracelets or rings allowed with the uniform. Make-up should be applied sparingly. No face paint, colored hairspray or sparkles. This will help keep the uniform clean and not attract attention away from the design of the uniform itself. What to Store in the Garment Bag Only the uniform jacket, pants, plume, gauntlets, gloves and socks may be kept in the garment bag. Do not

store shoes, small woodwind instruments, drum sticks, flip folders, etc. in the bag as the bag material is thin and can easily tear. Uniform bags will hang on racks for travel; hat and shoe boxes should go on the bus. Care of the Uniform After the Performance

Hang the uniform neatly in the garment bag after each and every performance. Pants are to be folded along the crease in the pant leg. If the uniform is wet from a performance, whether from rain or perspiration, allow it to air dry and/or take it to the cleaners as soon as possible. Damage will result if the uniform is left in the garment bag while still wet or damp. Gloves, collar liners, and tux shirts should be laundered after every use.

Wrinkled or soiled uniforms are not acceptable for performance. Do not attempt to remove stains from the

uniform yourself and never machine wash any part of the garment (with exception of the tuxedo shirt). Uniforms will be collected by the uniform parents and taken to the dry cleaners at the end of the season. However, should the uniform become soiled before all games and marching festivals have taken place, the uniform will need to be professionally cleaned prior to the next event at the expense of that student. A muddy or otherwise soiled uniform is

not acceptable for performance.

Uniform Grading

Students will receive a lowered participation grade if improperly attired (i.e. white/anklet socks, white or other brightly colored undershirt, hair not secured above uniform collar, inappropriate shoes).

1 Hat & Plume Mirror attached

to hat only with Velcro and not

permanently affixed. Gently wipe

away fingerprints from mirror with a

soft cloth. Hat should be worn so that

two fingers can be placed between the

bridge of the nose and the brim. Do

not wear the hat backwards. Strap

should be underneath the chin and

tightened so that the hat does not

move around but feels comfortable to

the wearer. The webbing on the inside

of the hat may be adjusted to

accommodate hair that needs to be

tucked underneath. Gently open and

close the hat box so as not to break

the plastic clasps.. Always insert and

remove plume from hat by holding

the metal cup.

2 Baldric The shiny sash that is worn

across the chest is removable for dry-

cleaning purposes only. Because the

jacket zips in the back, there is no need

for the wearer to detach the baldric from

the Velcro strip and snap. Do not remove.

3 Jacket Zip in back & hook collar.

Place on hanger when not worn. Air-dry

at home after performance; do not leave in

garment bag overnight.

4 Gauntlets There are left and right

gauntlets which wrap around the jacket

sleeve. Fold the sleeve down before

placing the gauntlet over the wrist and

pinching the Velcro together. Gauntlets

should be worn so that the shiny material

faces outward and the “fins” lay flat

against the body when arms are held

down at the side. Store gauntlets in

garment bag pocket.

5 Gloves The black cotton gloves with

beaded palm can easily be lost. Store

either in hat box or garment bag pocket.

Owning an extra pair is a good idea.

6 Pants Adjust shoulder straps so

length of pants does not reach past

shoes. If strap adjustment is not

adequate, pants may be hemmed.

Pocket in front for gloves, money, or

keys. Match up creases in pant legs

and fold neatly over hanger.

7 Socks Only tall black socks are

to be worn with the uniform; no

anklets and no colors or designs.

Owning an extra pair is a good

idea.

8 Shoes Only black marching

shoes are to be worn with the

uniform. Black or any other color of

tennis shoes are not acceptable. Shoes

will be clean of dirt and mud prior to

each performance and are not to be

stored in the garment bag.

COMMONLY ASKED QUESTIONS

1. When is Band Camp? � July 18 – 22 from 8:00 a.m. – 4:00 p.m. for Drum Line

2. What should I bring to Band Camp? The weather will be sunny and hot so wear light colored and loose fitting clothing. Wear tennis shoes (no sandals), sunscreen, and a hat and/or sunglasses. Rehearsals will be outside unless otherwise stated. Bring a jug of water with your name on it. You will need your instrument, your sheet music, a pencil, and your copy of drill. You will also need to get a lyre (pronounced like the word

“liar”) and flip folder which attach your music to the instrument. Lyres and flip folders are available at most music stores. Percussionists will need a flexible 3-ring binder with clean sheet protectors for their music as lyres do not work for these instruments. Those in the battery will also need to purchase ear plugs due to the high decibel levels that result in playing a marching drum.

3. What will we be doing in Band Camp? Band Camp is our time to prepare our show so that every member will know their music and their positions on the field. A major part of your grade will be evaluation of your performance in these areas.

4. What if I am unable to attend some of the sessions? The drill is very difficult to learn if someone is missing, and even more difficult to make up. You need to let us know when and why you will not be in attendance at Band Camp immediately (see attached Summer Rehearsal Schedule and Excused Absence Form). You should visit with coaches or sponsors about balancing Band Camp with other practices. Work schedules should be cleared. If you need a ride, you should call a friend or your section leader to arrange transportation. Note that absence from rehearsal may result in the student being moved to an alternate or non-performing drill position in the marching band program in order for the band to better learn the show.

5. What will we do the first day of school? We will practice and play. Plan to have your instrument, tennis shoes, music, drill and pencil.

6. Do I have to memorize my marching music? Yes. All marching band performances are performed by memory including our halftimes, competitions, and parades. Memorization tests are part of your first quarter grade. If you memorize your music first, you will find that learning the marching techniques and field positions will be much easier. Music will be passed out either by the end of the school year or day one of camp at the latest.

7. What if I have other questions about Band? Our section leaders are all upperclassmen with experience in our program and should be able to answer your questions. If you have questions, please contact these students, the drum majors, or the band staff. Ask questions if you are not sure about something -- we can't help you if we don't know that you need advice.

FUNDRAISING/PAYMENT POLICIES

• Always turn in money in the form of a check or money order made out to “EHS Band.” Cash payments will not be accepted.

• Turn in money in an envelope with the following information prominently displayed: your name, description of the fundraising activity or payment installment, and the amount of money enclosed.

• Slide your labeled payment into the drop box just inside the band room.

• Please be timely. If a situation arises that will prevent your family from making the payment deadline, please contact us immediately.

• If fundraising payments are received after the due date, students will be restricted from participating in subsequent fundraising until the amount of the previous fundraising event has been paid.

• Students will receive a fine card for payments not received in the way of fundraising, uniforms, lost music, spring trip or accompanist fees. If a fine has been issued, students will not be allowed to attend dances and diplomas will be withheld until payment is received. Please send a check for the amount fined to the band office made out to "EHS Band.”

THE TOP 5 RULES OF CONCERT ETIQUETTE

Refrain from talking or making any other unnecessary noise.

• This is the first and greatest rule. It also includes whispering during the performance. Turn off pagers, cell phones and watch alarms.

• Text messaging during a performance is also inappropriate. Food and beverages are never allowed in the theatre. Do not applaud between movements.

• The piece is finished when the director lowers their baton. Do not leave the theatre during the music.

• Wait for a break in the concert to visit the restroom, unless you are carrying a screaming child, in which case you should leave quietly and quickly.

TRAVEL POLICIES

Traveling to our festivals and competitions is a privilege. It is the responsibility of band members to properly conduct themselves and represent Eureka High School in a positive manner at all times. Failure to do so may result in the loss of travel privileges, in addition to normal disciplinary consequences as described in the EHS student handbook.

Bus Procedures

• All students must sign up for a bus with their name and emergency contact number.

o No switching buses after signing up. o Only sign your name on the list, not a friend’s. o Do not cross off another person’s name.

• Treat chaperones with respect and follow their directions. With bus drivers and chaperones that are not on the band staff, make an effort to be courteous and respectful.

• No talking or laughing above the normal conversation level. Headphones must be used if listening to music.

• If it will fit, place your instrument under the seat. Sticks and mallets should not be out unless used in conjunction with a practice pad; practicing on bus seats is not allowed.

• No glass containers or bottles without caps. Properly dispose of any trash.

• Assist with the loading and unloading of equipment. We can’t go anywhere until all of our stuff is moved nor go home until everything is back in the band room. This task goes much more quickly if everyone helps out. Many hands make light work!

Travel Procedures

• Each student is responsible for being on time. Wear a watch and synchronize it to the director’s time. Tardiness will result in a lowered performance grade.

• Stay in a group of at least four band members at all times. Never leave the performance site without permission from the band director.

• All policies in the EHS student handbook apply at every event in which the band participates.

• Students are required to have the Rockwood Attendance Procedure and Out-of-Town or Overnight Travel

forms on file in the band office prior to the first day of school. Students will not be allowed to participate in rehearsals or travel with the band without these forms on file.

• Students may check out from an event only with their own parent/guardian following the performance. Siblings, grandparents, aunts and uncles do not apply. In accordance with district policy, riding with a

friend’s parents is also not permitted. The parent and student should see the director or chaperone in charge of their bus to be marked off the attendance list.

• If you cannot ride the bus due to a conflict in schedule, you may travel to the event with a parent only. Please send a note no later than the week before the event that you will ride with a parent so that we may plan accordingly. In accordance with district policy, riding with a friend’s parents is not permitted.

BAND VOCABULARY

Band Handbook – published every year and covers the performance schedule, grading procedures, extra-curricular lettering guidelines, travel and uniform policies, forms requiring signatures and other important band information. If you need an additional copy, please contact the Band Office or download from the band website. Trip Sheet – an itinerary of upcoming activities which can easily be downloaded from email if you are on our database and have Microsoft Word. Check our website to download a copy. Band Patrons – the parent organization that supports the efforts of our performing groups. General meetings are held every other month in the EHS Band Room. All parents are encouraged to attend. Freshman Band – All freshman are enrolled in this non-auditioned inside band unless the student has auditioned for and been accepted into the Symphonic Band. Concert Band – the non-auditioned inside band consisting of sophomores, juniors and seniors. Symphonic Band – the inside band that is selected by audition.

The Freshman, Concert and Symphonic Bands meet together during the summer and 1st quarter to form

the Wildcat Pride Marching Band.

Battery – the percussionists who march on the field. Front Ensemble – the “pit” percussionists who play keyboards, cymbals, and other large percussion instruments along the front sideline closest to the audience. This group marches only in parades. Drum Line – the marching band term for the percussion section including both the front ensemble and battery. Color Guard – the flag and rifle performing group that presents the marching band’s visual program.

Winter Guard – Color Guard performing to pre-recorded music in a gym during the winter season. At EHS, this extra-curricular group forms in November and ends in early April at the Mid-Continent Color Guard Association Championships. Jazz Lab – a zero hour class where students learn jazz performance skills, as well as jazz history and theory. Big Band – an extra-curricular group also involving the zero hour class, forming a standard instrumentation for jazz performance and featured at EHS band concerts. This group begins rehearsals after the conclusion of marching band season two mornings each week. Students will get tryout

information through band class. Rockwood All-District Honor Band – an honor group formed of band members at Eureka, Lafayette, Marquette, and Summit by director nomination. Conducted by a guest clinician (i.e. college band director), rehearsals include a Friday night, all day the following Saturday, and a concert that Saturday evening. This group is formed if a free weekend can be found among the four high school band programs. Take advantage of this opportunity if your child is nominated. All-Suburban Band – a St. Louis area honor band that auditions at Ladue High School in early November, rehearses about five times and presents a concert on a Sunday in January. This is a pre-qualifying event for the All-State Band

auditions.

All-State Band – the highest honor for a high school band student in Missouri. Auditions are held in Columbia the first weekend of December. If selected, the student goes to the Tan-Tar-A Resort at the Lake of the Ozarks and rehearses with the best high school musicians in the state, performing for the state’s music educators the last Saturday in January. Solo and Ensemble – held the first weekend in March, students play a solo or small ensemble of three or more musicians for a judge, earning a I, II, III, IV or V rating based on the musical and technical merit of the performance. Solos and ensembles that receive a “I” rating qualify to go to the State Solo and Ensemble festival in Columbia on the last Saturday of April or first Saturday in May for a rating with higher standards and honors. Make sure your son or daughter enrolls with a

group of similar ability and commitment level within the same band, not

necessarily friends. If one person quits, the whole thing is cancelled

and cancellation fees apply to all.

TIPS FROM CURRENT EHS BAND PARENTS

• Have your child tend to their uniform after a performance, especially if it’s wet. Fold pants along crease. Take it out of the garment bag and hang it up to dry out, otherwise the wool will mildew and smell.

• Items to purchase which are not provided by the band: o Black socks – worn with the marching uniform and

tuxedos; Buy at least 3 pairs for marching and 3 pairs for concert season as they are easily lost.

o Khaki shorts and slacks – worn with band polo for casual performances & working fundraising events.

o “Hot Hands” – (optional) for the cold performances. o Bobby pins – for girls AND boys with long hair. Hair

must be tucked up under the hat and NOT touch the collar. o Boxer shorts & Band T-shirt – to be worn under the

uniform as students will change on a bus. o Black marching gloves – students take them off and are

easily lost; consider an extra pair.

• Consider a phone for your child. Sometimes plans change (arrival times from away performances) or details are missed (oh yeah, practice was cancelled tonight) and you’ll want to be informed. No one wants his or her child standing in front of the gym for two hours waiting for a ride.

• Any completely black DRESS shoe may be worn during concert season. Black tennis shoes are not appropriate.

• Be sure your child brings things to do for the long bus rides to competitions. Homework, a book, iPOD, or even portable DVD players are examples. However, if you feel any of these could be lost or left behind, it may be in your best interest not to allow your child to bring along that item. Also, make sure they have money with them for meal stops.

• Your child may say they don’t want you to be around. Someone’s child will be very happy to see you. Go ahead and agree to work an event, chaperone a trip, serve 3rd quarter snacks, or videotape a concert. They won’t be sorry when it’s all over. Meet and hang out with other band parents!

• When the kids have a performance on a weekday, make plans to attend. The crowds are usually sparse, but the kids will sound awesome and appreciate your being there.

• For competition days, plan to go early, stay all day and get home late. Volunteer to be part of the pit crew or help to feed the kids snacks. Go to lunch with other band parents. Wear your purple and yell REALLY LOUD!

• Understand that band is not like signing up for any other class. There is a time commitment required outside of school, mainly during 1st quarter.

• Buy a cassette recorder and tapes, CDs or a digital voice recorder for the symphonic band audition and other playing tests. You’ll be glad you did on the Sunday night before they are due!

• Encourage your child to participate in Solo & Ensemble, or to audition for the All-Suburban Band. Yes, it is an extra event on the calendar (maybe more than one), but it is a wonderful opportunity for your child to stretch themselves musically. These types of honors are great to include on a college application. IT IS WORTH IT!

• If the directors are offering extra help (i.e. to prepare for All-Suburban Band or solos and ensembles), take them up on it. They want what is best for your child. Take advantage of the opportunity!

• For Solo & Ensemble, take advantage of every opportunity to practice with your accompanist, and be aware that they charge a one time fee of about $75 for practices and to play at the event.

• If you are not receiving band emails, High Notes newsletters or trip sheets, email a director and request to be added to the list. Stay informed!

• Trip sheets are important details for any traveling that the band does. Ask your child if they picked one up and check your email. These sheets come out the week before an event. Find them on the band website too!

• If you’re invited to go out after a football game or fundraising event, try to go at least once. It’s a great way to get to know other parents away from school.

• Join the Band Patrons – buy a purple shirt (or two or three). Everyone will look to the purple wave in the crowd or at an event. Be a part of the group! Attend the Band Patrons meetings as they are a great source of information.

• You have the opportunity to be part of possibly one of the most memorable times in your child’s life. Take advantage of it. Be involved and help make it the best program for your child.

• In general, don’t be afraid to ask someone.

GRADING AND DAILY CLASS

40% of the quarter grade is rehearsal skills. This includes the student contributing fully to the music using their best effort with all of the daily supplies – instrument, sheet music, lyre and flip folder, drill, pencil, and tennis shoes (no flip-flops). 40% of the quarter grade is assignments. Students make home recordings of the assigned material for a grade. Any media is acceptable: cassette tape, CD, mp3, e-mail .wav files or other Windows Media Player or Quick Time compatible format. 20% of the quarter grade is performance. Students are present and on time with the clothing and accessories needed for performance – marching shoes, band polo, band t-shirt, khaki pants/shorts (not provided) and black marching gloves. For Freshman, Concert, and Symphonic Band, students will need black dress shoes and socks. Tuxedos, ties, and cummerbunds are checked out to male students. Ladies should try on their dress at least a couple weeks before the concert in case it needs to be exchanged. (See the handbook purchase form.)

Symphonic Band Auditions – Music will be distributed by mid-September. Each student will make a recording of their best performance of the music and turn it in by October 10. Incomplete tapes will not be accepted. Freshman, Concert and Symphonic Bands will begin in class at the conclusion of marching season. All-Suburban and All-State Band auditions will utilize the same audition material.

Our summer rehearsals are critical to the overall success of our marching band program to insure that we are prepared to perform early in the school year and do well in competition. All students and families

should add these dates to their summer calendar. A part-time job is not an excused absence from rehearsal or performance.

Withdrawals demand an unfair workload on the students and negatively impact the quality of the band’s performance. Rockwood School District Attendance Procedure for Secondary Music Programs

1. A performance schedule will be announced in a timely manner, usually during the first two weeks of a semester. Additional performances to the schedule will be announced as far in advance as possible.

2. After the performance schedule is distributed, students will be given forty-eight hours to indicate any previous commitments that conflict with the scheduled performance dates. To request an excused absence for a performance, the student must have a written parental request. The parental request should include the student name, performance date, and prior commitment. This request must be submitted within the forty-eight hour time frame.

3. Students may be excused from a performance commitment, without penalty, upon teacher approval of a written parental request for absence that must be received by the teacher within the forty-eight hour time period.

4. Students may be excused from a performance commitment, without penalty, for an excused absence from school.

5. Students may be excused from a performance commitment, without penalty, for emergency reasons. Emergencies will be dealt with on an individual basis.

6. Students will not be excused from a performance commitment for work.

7. Students who receive an unexcused absence for a performance may have their quarter grade affected by no more than 20% of the total points.

8. In the event of an unexcused absence from a performance commitment, the future eligibility of the student in the performance ensemble will be assessed.

9. In the event of multiple excused absences from a performance commitment, the future eligibility of the student in the performance ensemble will be assessed.

10. Students who are absent from school on the day of a music performance or any other school-sponsored activity will not be able to attend or participate in that activity during the day or evening. Students must be in attendance six periods of the day to be eligible to participate in an activity with a written doctor or dental statement releasing them to participate, administrative approval, and attendance of a part of the school day. Under unusual circumstances, an administrator may grant approval for participation if arranged in advance.

OUT-OF-TOWN OR OVERNIGHT TRAVEL FIELD TRIP PERMISSION TO PARTICIPATE, RELEASE OF LIABILITY, AND INDEMNITY AGREEMENT Student’s Name ____________________________________________________________ School Year _______________________________________________________________ The undersigned parents/guardians of the above-listed Rockwood student will be informed of any details of any trip taken during the above-referenced school year, including the places to be visited, the dates and times of departure and return, the purpose of the trip, the method of transportation, and the requirements imposed on students who participate. In exchange for the Rockwood School District sanctioning the trip and providing district-paid teachers, coaches or sponsors to accompany and supervise the student group, the undersigned herby release and forever discharge the Rockwood School District, as well as its directors, officers, administrators, employees and other agents from any and all claims, causes of action or suits arising out of or related to any personal injury, property damage or death sustained by the above-mentioned student while on said trip, whether or not such injury, damage or death was caused in while or in part by the action, inaction, negligence or fault of the Rockwood School District, its directors, officers, administrators, employees or other agents, and agree not to sue. The undersigned further agrees to indemnify and hold harmless the district, as well as its directors, officers, administrators, employees, and other agents against any claims asserted by or against my child as a result of or that occur during his or her participation in said trip. The undersigned further agrees that the Rockwood School District representatives accompanying the student shall have the right to enforce rules of conduct and to impose disciplinary action in the event of the student’s failure or refusal to obey said rules of conduct, including dismissal from the trip. The Rockwood School District assumes no financial liability for trips. Parents assume all financial responsibility for trips, including those cancelled by the district and trips extended unexpectedly. In addition, parents assume all financial responsibility should they withdraw their child from the trip, or should their child by sent home from the trip by Rockwood representatives for any reason, including failure or refusal to obey the rules of conduct. The undersigned also acknowledges that any physician/hospital visits during the trip are the student/parents’ financial responsibility, and not the responsibility of the district. Parents/guardians may request the administration of prescription medication or over-the-counter medication pursuant to district policy, and as set forth in the Booklet. The undersigned agrees that neither the district , its directors, officers, administrators, employees, or other agents shall incur any liability as a result of any injury arising from the administration or self-administration of such medication, and the undersigned hereby acknowledges that no such liability shall exist, and on behalf of themselves and the student hereby waive any such liability. BAND CAMP MEALS

During the final week of band camp (August 1-5), the Band Patrons provide dinner for the students who request it. We do this to ensure they get a good meal after being in the summer heat. The students are welcome to bring their own food, but they will not be allowed to leave campus for dinner. This is for their safety. Besides, how else could you feed a teenager for a week for $30? A sample meal will include: a main dish like pizza or a sub sandwich, chips, fresh fruit, dessert, a snack for later and plenty to drink. Please submit a check payable to “EHS Band Patrons” for $30 to cover a full week of meals. Payment is required by Friday, May 20, 2011. For just $10 per family, you can help support the band and stay involved. This membership covers the cost of a “band buzz book”, any recordings produced and mailings. This way, the money we raise for the kids, is used for the kids.
