Coping with Change….

SEV Induction May/June 2015

Anne Andrew

Objectives

Understand the impact change can have

on individuals

Review possible reactions to change

Confirm changes to the SEV role

Know how to manage change within the

EV team

Changes this year so far……..

New SEVs

New Teams

New SQA systems and procedures

New ways of working

WHAT’S MY OBJECT

Sometimes working in a team feels like

this

The 4 factors influencing your

reaction to change

The current level of discomfort with the

way things are now.

The attractiveness of the vision of the

future.

The previous experience of change.

The peer or workgroup support for the

change.

The Seven Stages Of Change

Looking back

Time

1. Losing Focus

2. Minimizing the impact

3. The Pit

4. Letting go of the past

5. Testing “new ways”

6. Searching for meaning in the “new ways”

7. Integrating the “new ways” into what I know and understand

Looking forward

Fight/ Flight Syndrome

Our bodies have evolved to help us deal with

danger.

Despite changes in society our instinctive

response is to either:

Fight (aggressive behaviour)

or

Fly (passive behaviour)

Spectrum of possible behaviour towards a change

Acceptance

Indifference

Passive

Indifference

Active

Resistance

Enthusiastic co-operation/support

Co-operation

Co-operation under pressure

Acceptance

Passive resignation

Disinterest

Apathy

Doing only what is ordered

Regressive behaviour

Non-learning

Protests

Working to rule

Doing as little as possible

Slowing down

Personal withdrawal

Committing “errors”

Spoilage

Deliberate sabotage

Teaching caterpillars to fly

Two caterpillars are chatting and a

beautiful butterfly floats by.

One caterpillar turns and says to the other,

"You'll never get me up on one of those

butterfly things."

Even though we often resist change and

risk, it is often inevitable!

So how has the SEV role really

changed?

Lead team members and manage the

standardisation process

Support and develop team members, providing

mentoring and coaching as required

Monitor the practice of individuals and the

overall performance of the team

What do we mean by….

Lead – to show the way to others

Manage – to be in charge; to ensure

smooth running

Support – to give active help and

encouragement

Develop – to change or grow or become

stronger

What do we mean by….

Mentoring - to act as a guide or helper to

develop

Coaching - training on how to….providing

additional support

Monitoring - process for checking fair and

correct

Next Steps

Be aware of how you are dealing with the

changes in your team

Acknowledge any stress that the change is

causing and take positive steps to deal

with it

And remember….

….there is always help

Monitoring

Monitoring QV Activity

• QV reporting process - QAMS

• Observation of Performance - QA Appointee

Performance Reports

SEV QV Report Sign off

Managing Performance and

Feedback

• Feedback based on evidence not opinion

• Feedback to teams

• Feedback on performance

• Link to videos – Feedback on visit

QV Report 10 Point Check

1. Comments relating to a criterion must accurately match

that criterion.

2. Comments should not conflict with any other comments

in the report or any of SQA’s Requirements.

3. Report content should be accurate in relation to the

qualifications being verified.

4. Good Practice is about more than routine practice, and

therefore comment is not expected per criterion.

5. A recommendation is not a required action. If an action

is required, this would constitute an Amber or Red.

QV Report 10 Point Check (cnt’d) 6. Action points must be SMART. When agreeing

completion dates, realistic timescales should be

factored in.

7. If re-assessment is required for HN Unit(s), time may

firstly be needed to develop another assessment

instrument.

8. Use appropriate SQA Codes for Awards/Units being

verified. Use EV Report codes for Assessor/Verifier

Awards/Units as per QV Guidance.

9. Check spelling, grammar, punctuation and ‘flow’- does

report make sense, does it read well?

10.Ensure all sections of the report are completed

accurately.

QV Report Monitoring

Workshop 6

Compare the example completed QV Report against

the 10 Point QV Report Checklist, and in your group

discuss and identify which criteria (approximately half)

have not been met.

Time: 30 minutes

the instructions.

Standardisation Activities

Standardisation Activities

Senior External Verifier KPMs require us to :

1. Train, develop and support members of the EV team to

meet SQA requirements.

2. Monitor performance of the EV team to meet SQA

requirements.

3. Ensure consistency of decisions made by members of

the EV team.

Standardisation Activities

How can we identify standardisation

needs?

Intelligence • Monitoring reports, visit plans, e-mails, discussions etc

• Centre feedback

• Internal feedback from SQA

• Appeals or complaints

• Issue from IAR Reports (Discussions with candidates)

• Issues raised by External Verifiers. (example)

Standardisation Activity

Construction Operations Standardisation Event,

October 2014.

IAR Report from the previous year identified that

qualification verifiers needed to ensure that

- report writing was more evaluative

- narrative reflected the evidence.
