The Chairman welcomed the members to the Special meeting (21st meeting) of the Senate. He stated that the Special Meeting was convened to consider the award of the degrees to the candidates who have been declared qualified for the award of degrees in various disciplines, to be awarded at the Convocation of the Institute scheduled on 17th November 2007.

The Senate recorded the communications received from the following members for not attending the meeting:

The agenda was then taken up.

Item No.21.1.2: To consider the reconstitution of the Committee

for Screening and Evaluation of the nominations for the Distinguished Alumnus Award.

RESOLVED THAT the Committee for Screening

and Evaluation of nominations for the Distinguished Alumnus Award be re-constituted as under: a) Director b) Deputy Director c) All Deans d) President, IIT Roorkee Alumni Association e) Two eminent personalities outside IIT Roorkee to

be identified by the Senate. Further, in view of the above, the amended

Guidelines for the Award of Distinguished Alumni Awards are given at Appendix ‘B’.

Item No.21.2.1: To report the nomination of two members from the

Institute Senate on the Students Affairs Council (SAC).

The Senate noted that the Chairman, Senate

(Director) on behalf of the Senate has nominated the under-mentioned two members from the Institute Senate on the Students Affairs Council (SAC) for the Session 2007-2008:

The Senate noted that the Director (Chairman,

Senate) on behalf of the Senate has approved the recommendations of the Screening Committee for Distinguished Alumni Awards 2007. The Distinguished Alumni Awards for the year 2007, will be conferred to the under-mentioned Alumni of the Institute in the forthcoming Convocation:

The Senate noted that the Director has approved the award of the academic and other prizes to be awarded to the students for the year 2006-2007, which will be presented to the respective students during the Annual Convocation/Prize Distribution Function/ Foundation Day, as per the details given at Appendix ‘C’.

The Senate further noted that the Director has also approved the Research awards for the year 2006-2007, to be awarded during the Prize Distribution Function, as per the details given at Appendix ‘D’.

The Senate noted that the Director (Chairman,

Senate) has approved the institution of the following cash prizes/ Scholarships:

1. “Prabhakar Swarup Civil Engineering Award” of

Rs.10,000/- to a student of B.Tech. Civil IV year, who obtains the highest CGPA in B.Tech. Civil Engineering IV year.

2. “Mrs. Leila Saxena Memorial Cash Award” of Rs.

5,000/- to a student who obtains the highest CGPA in B.Tech. Metallurgical & Materials Engineering Final year.

3. “Amba Prasad – Kalawati Memorial Cash Prize”

of Rs. 5,000/- to the student who obtains the highest CGPA in M.Tech. (Geomatics) Final Year, in place of the three under-mentioned cash prizes:-

(i) Amba Prasad – Kalawati Memorial Cash

Prize of Rs. 1,500/-. (ii) Dr. Ved Prakash Sharma Memorial Cash

Prize of Rs. 1000/-. (iii) Gordhan Das - Bas Devi Memorial Cash

Item No. 21.2.5: To report the nominations for award of Honoris Causa (Ph.D.) degree to eminent persons in the next Annual Convocation of the Institute.

The Senate noted that the Executive Committee of the Senate in its meeting held on 10th August 2007 constituted a Committee under the Chairmanship of Prof. H.O. Gupta, Dean, PGS&R to recommend a panel of eminent persons to the Chairman, Senate to decide upon the names of the persons out of the suggested panel, for recommending the same to the Hon’ble Visitor for approval for awarding the Honoris Causa

(Ph.D.) degree, in the Annual Convocation of the Institute, for the year 2007.

The Committee suggested the following names for further consideration of the Chairman Senate and the Chairman, BoG:

Appendix ‘B’

GUIDELIENS FOR THE AWARD OF DISTINGUISHED ALUMNI AWARDS

1. The distinguished alumni award be given only to a person who has

been awarded a degree from IIT Roorkee or its Predecessor University of Roorkee.

2. Nominations for consideration of Distinguished Alumni Award

(DAA) may be invited from all over the world and any body can make nomination for consideration. The information seeking nominations should be widely published on the institute website, publications and any other means as the institute may consider suitable to give wide publicity.

The Secretary IITR Alumni Association may also be requested to assist in seeking nominations.

3. The advertisement to seek nominations should be published in

December/January every year and nominations received up to end of April every year. The nominations received should have the CV of the nominee. In case, further information is required about a nominee, Dean, Alumni Affairs may request for the same from the nominee. The nominations received may be classified into one of the following categories.

a) Academics / Research b) Corporate Development / Administration / Entrepreneurship c| Social Sciences / Engineering and Services / Public

Administration. 4. All nominations should be scat to the office of Dean, Alumni

Affairs, Indian institute of Technology, Roorkee, 247 667. 5. Upto four Distinguished Alumni Awards can be given every year. 6. The nominations received should be screened and evaluated by a

committee consisting of the following: a) Director b) Dy. Director b) All Deans

d) President, IIT Roorkee Alumni Association e) Two eminent personalities outside IIT Roorkee to be identified by the Senate.

The alumni nominated for the previous two years, but were not finally selected be considered for Distinguished Alumni Award along with the fresh nominations.

7. The awards may be announced in July/August and be given on the occasion of the Annual Convocation.

8. The recommendations of the committee may be sent to the Senate

for approval. 9. The Distinguished Alumni Award (DAA) should consist of a

citation, a plaque and a certificate. Suggested Annual Timetable for the Distinguished Alumni Awards (DAA)
