Transportation PolicyAlthough we are an organization that promotes sustainable conservation activities throughout the world, nearly every employee in the Arlington office currently drives to work independently, despite the alternatives available, which include:

Public transportation: Metro, Metrobus, Art Carpooling/rideshares Biking or walking

In addition, we are currently paying for a number of expensive parking spaces, and do not have enough spaces for each employee. Therefore, in an effort to encourage alternative forms of transportation, Rare is implementing a transportation policy to become effective August 1, 2005 for Arlington office staff, which is outlined below.

Alternative Transportation Users:

Because we would like to encourage alternative forms of transportation, for those employees that do utilize alternative methods to get to work, such as walking, biking, or metro, Rare will subsidize the cost of shoes, bicycles, or metro fares for these employees in the amount of $40 per month. In order to be eligible for this benefit, employees cannot hold a parking spot in the garage below the building. Essentially, this will be a monthly taxable benefit that will be added to your paychecks to be used towards the costs incurred from using that form of transportation. The intention with this benefit is that the employee will be using a method other than driving as their main form of transportation to and from work.

In addition to the new policy, Rare has also enrolled in SmartBenefits with Metro. With this benefit, employees can elect to have up to $105 deducted on a pre-tax basis from their paycheck each month to be used towards the use of Metro. In order to enroll, employees must purchase a reusable SmartTrip card for a one-time cost of $10. Each month, any funds deducted from the paycheck, in addition to the $40 subsidy from Rare, will be placed on the card electronically for the employee to use. Please note that all employees are welcome to enroll in the SmartBenefits program, regardless of whether or not Metro will be their main method of transportation. For more information, or to enroll, please see Human Resources.

Drivers:

As mentioned above, in the past, Rare has not charged a fee to employees for parking spaces in the garage below the building, despite the fact that Rare does incur a cost for these parking spots. Moving forward, Rare will begin to charge employees a monthly fee in exchange for an assigned parking space. This fee will be subsidized substantially by Rare and will be a minimal cost to the employee, as compared to the average cost for parking for the Metro D.C. area. Starting on August 1, 2005, employees will be charged $14 per month ($7 per pay period, after taxes) if they wish to have a dedicated parking spot at Rare. This amount will be deducted automatically from your paycheck. This amount was arrived at by calculating the number of spots that Rare currently pays for, divided by the total number of parking spots assigned to Rare.1 As the number of extra parking spots grows, the monthly fee per person will grow as well. This will be addressed on an annual basis and will be communicated to staff annually, before the increase.

For those employees that wish to continue driving to work, but would like to explore the option of carpooling or ridesharing with other employees, please send an email to Kristin with your preferred schedule and location. Based on interest, we will attempt to set up a schedule or assist in the coordination of a carpooling schedule.

1 Example: Rare has 15 parking spaces to date. Three of those spaces are at the cost of $70/month to Rare. $70 * 3 = $210 per month. $210/15 spaces = $14/space.

IMPORTANT: Despite this policy, there is no guarantee that you will receive a dedicated spot at any time you request it – ie there are a limited number of spots available, and at some point we may need to create a waiting list for future spots.

Green Guidelines: Rare Arlington OfficeJuly 2005

Promoting sustainability externally in our mission, vision, goals, programs and projects requires that Rare itself maintains a sustainable organization in its internal operations. Therefore, our guidelines for a “green Arlington office” are follows. This plan is merely a start and we will consistently update and adapt it as new lessons, materials and innovations become available.

With this in mind, we adhere to five main principles of a green office:

Environment / sustainabilityo Energy consumption: Reduce the environmental energy impact of the office (the way we

commute to work, our use of energy and lights, turning off computers, energy-saving appliances, etc.)

o Reduce / Reuse / Recycle: Make every effort to follow the principles of reduce, reuse and recycle in that order: 1st consume less, 2nd reuse what we or others already have, 3rd recycle our waste or obtain recycled products

o Buy local: Support local businesses and products as much as possible, thereby decreasing the amount of energy used in transporting goods to the office

Social responsibilityo Fair labor: check out labor standards for each company we contract with or purchase from,

ensure that their employees are receiving fair wages and follow social responsibility guidlenes

Cost o Ensure our resources are best being used in the right placeso Remember our status as a nonprofit organization

Simplicityo Consume less stuff! (reduce acquisition of things o Use less stuff! (i.e. print on less paper)

Professionalismo Just because we are a nonprofit, does not have to mean we look like one! By following

simple guidelines and keep our offices clean and neat we can achieve both a professional, homely and international look that makes Rare what it is

1) Purchasing: All purchases must be examined through the five themes of our green office as listed above. Generally, we look for items in this order:

2) Waste: While it is important that the office remain clean and free of items/objects that no longer work or we no longer have use for, Rare commits to not adding more nonbiodegradable materials to landfills. Every effort will be made to dispose of waste in an environmentally sustainable manner. Some of these methods are:

a) Donation for reuse (i.e. Goodwill, other charitable organizations, Craiglist, Freecycle, etc.)b) Recycling

c) Proper waste disposal (all computers/electronic equipment/nonbiodegradable materials can be disposed of through events like the Arlington county hazardous waste events that happen a few times a year; batteries should be saved and disposed of through a battery disposal center as well)

3) Lights: In the Arlington office, we should make every effort to TURN OFF THE LIGHTS when leaving a room at all times. Also, all new lamps/bulbs purchased by Rare will be energy efficient bulbs (such as compact fluorescent bulbs), which will in turn save both energy and money.

CFLs last 8-10 times longer than our current incadescant bulbs. If we used CFLs about 10 hours a day, 5 days a week, we wouldn't have to replace them for another 4 years.

CFLs use 75% less energy than regular bulbs to produce the same amount of light. A 23-watt CFL is the same light output as a 90W incadescant bulb.

One CFL saves about 800 pounds of carbon dioxide from polluting the air throughout the lifetime of the bulb. This means by replacing all 8 bulbs in the reception area, Rare would be keeping 6,400 pounds of CO2 out of the air.

4) Appliances: All appliances purchased will follow the Energy Star guidelines and must be energy efficient. On a case by case basis, the costs and benefits (both environmentally and monetarily) will be weighed to determine if a used product or a new energy-efficient product is more appropriate.

9) Energy: In order to reduce the amount of energy used/consumed in the office, every machine or computer in the office will be connected to a power strip that is turned off every night or when the employee is not in the office. Also, care will be taken to purchase only energy efficient (or “Energy Star” appliances).

10) Paper: There are many ways to reduce paper usage and cut down on the environmental impact of our office in terms of paper. We will follow these three general guidelines:

a) Reduce paper used: a. all printers will be automatically set to print double-sided (except color printer)b. drafts can be printed two pages per sheet or more to reduce paperc. we will try not to print documents that are not absolutely necessary

b) Reuse paper: try to reprint on used paper or take notes on the backs of paper you no longer needc) Recycle: all paper that can be recycled will be recycled, this includes both white paper that is

recycled in the office and mixed paper that will be collected at each desk-space and taken to the recycling center in Arlington by a Rare staff member

d) Purchase recycled paper ONLY: all Rare printed materials, including in-house printing and standard office copy paper will be 100% post-consumer recycled paper. Rare is committed to paying the premium price for these products. Also, every attempt will made to ensure that all printed materials made outside of Rare (communications pieces, business cards, annual reports, letters, field notes, etc.) will be printed on 100% post consumer recycled paper as well.

Turning your machine off also reduces heat and mechanical stress and prolongs its life. So you'll be saving energy and money, as well as postponing the day your machine gets landfilled. It is also true that you can save energy by encouraging your computer to sleep as often as possible. Change the settings so that it goes to sleep sooner, and use the sleep mode instead of a screen saver. But at the end of the day, turn the thing off.”

Always turn lights off when leaving a room: “Turn out the lights if you are the last to leave a room, unless you are coming back within two minutes. Contrary to popular belief, turning lights on consumes no more electricity than they use when already lit. This is true for both fluorescent and incandescent bulbs.”

12) Roles and responsibilities within Rare: These “green guidelines” are set up and updated by a volunteer Rare clean up committee. However, certain items are the explicit role and responsibility of positions at Rare. The following is a brief listing of these roles:

a) General Procurement: The Administrative Assistant is the general contact for all procurement. This includes, but is not limited to: office supplies, office paper, office equipment, light fixtures, food and coffee supplies, and meeting supplies. All items should be approved or purchased through this person to ensure quality control and sustainability guidelines. It is also the Administrative Assistant role to ensure the green guidelines are being upheld and that general office procedures (such as reducing junk mail) are being followed. If the Administrative Assistant is not available, Rare staff who purchase items will use this document to guide their purchases.

b) Information Technology Procurement: While the IT Consultant, together with the VP, Finance and Operations are responsible for purchasing of large-scale office IT equipment, green guidelines are upheld by this document as well as the Administrative Assistant.

c) Incentives/Gifts: The general responsibility of producing and purchasing materials with the Rare logo is with the Marketing and Communications department and all purchases should be made in accordance with the green guidelines set out in this document.

d) Waste Disposal: General Arlington office items will be taken care of by the Administrative Assistant, according to these green guidelines. Specific items from each Program must be handled by that person (for example if staff have a digital camera that no longer works, they do NOT simply throw it away, they would properly dispose of it through a hazardous waste channel).
