Locating the WIDS System and Logging into WIDS

To go to the WIDS Web System click on the Web address or type: https://brevard.wids.org into your browser. To Log into WIDS Web, enter your last name first initial as the user name [Figure 1]. Enter your password and then click on the Log In button. Note: Your password is originally sent to you in an email from [email protected] You will be prompted to change your password once you log in.

WIDS Home Page

Once you log in to WIDS you will be brought to the Home Page [Figure 2]. 1. In this section you will find a link to notifications, your personal profile information,

Site information that you are permitted to view, Organization information that you are permitted to view, and the ability to reset your password.

2. Site Explorer allows you to view the Unit, Subunits, Programs and Courses that are active in WIDS.

3. Search allows you to search for a program or course that are active in WIDS. 4. Create a New Project allows you to create a New Program or Course. 5. My Curriculum Projects is a view of all the Programs and Courses that you are

working on or have been associated with through a role. Clicking on the Project Name will take you into the file for entering information pertaining to the Program or Course.

Add Project (Program Information or Course information)

To add a project (in this case your program information) click on Create New Project. The Add Project screen will appear [Figure 3].

Filling in the fields: 1. Project Name: This is the official Name of the Program. This information can be

obtained from the course catalog. An example of a Program Name is Crime Scene Technology.

2. Project Number: The Project Number for Programs can also be obtained from the course catalog and is known as the Major Code. The Project Number for Aerospace Technology is CRAS.

3. Project Type: Select Program from the drop down menu. 4. Subunit: Select the subunit associated with the Program from the drop down menu.

For Crime Scene Technology the Subunit is Law & Public Safety. Note you must select a subunit for the program to become a Work in Progress (WIP) and be moved through the approval process. Note: If a subunit is not selected the Program will become a personal project and will not be able to become approved and active. Personal projects are not visible to other WIDS users.

5. Click Save to save your Program.

Locating your Project on the Home Page

Once you have saved your Project information you will be taken to your Home Page [Figure 4]. Locate the Project Title for your current Program. Click on the Program Title hyperlink to enter the Program and continue entering Program Information.

Editing a Page

Each WIDS page has an EDIT hyperlink (located in the upper right of the page) for access to fields that can be filled out or edited [Figure 5]. Click on the edit hyperlink. Note: On each WIDS page there is a Home Page hyperlink. If at any time you need to return to the Home Page you may do so by clicking the Home Page hyperlink.

Program Outcome Summary: Adding Program Information

Filling in the fields: 1. Organization: You will notice that the Organization field is already populated for

you with Brevard Community College. 2. Program Number: The Program Number is populated from the information you

have previously entered; however you may change the information in this field if there is a need.

3. Program Title: The Program Title is also populated with the information you have previously entered; however you may change the information in this field if there is a need.

4. Description: This is the Official Program Description located in the BCC catalog. 5. Instructional Level: Select the appropriate Instructional Level from the drop down

menu. Information for the instructional level can be found on the web at http://www.brevardcc.edu/academics/degrees-certifications/index.cfm

6. Career Cluster: Select from the drop down menu. 7. CIP Code: Go to http://www.fldoe.org/workforce/dwdframe/ . Select your

program. The CIP code will be on the Program page. 8. Click on Save to save your work before moving to another page or editing. Note: You may copy and paste information into the fields.

Program Outcome Summary: Adding the Mission Statement

1. Click on Mission from the left hand menu. Click on Edit to open the page for editing. 2. Copy and Past the program “purpose” by locating your program at the FLDOE

Frameworks website. Go to http://www.fldoe.org/workforce/dwdframe/ Note: In the first sentence of the description change the word “purpose” to “mission”.

3. Save and Close.

Program Outcome Summary: Adding Target Population

1. Click on Target Population from the left hand menu. Click on Edit to open the page

for editing. 2. Type the words “Career conscience students seeking advanced skills in the field of

(enter the field) (see example above). 3. Save and close.

Program Outcome Summary: Adding Career/Job Titles

• First, locate your program’s Career/Job Titles information: go to http://www.brevardcc.edu/academics/career-technical-programs/our-programs

• Select your program • Select Explore Career (on left navigation bar) • [NOTE: if there are any listed on the state framework that do not appear on

the BCC website, notify Cathy Beam or Jalanda Hudson so they can be added]

1. Once you have located your program’s career/job titles, click on Career/Job Titles from the left hand menu. Click on Edit to open the page for editing.

2. Click on Add Job Title Note: A new dialog box will appear.

3. Enter the Career/Job Title 4. Enter the NAICS Code 5. Click on Save. When you have finished adding Career/Job Titles Click on Close Edit.

Program Outcome Summary: Adding Accreditation Information

1. Click on Accreditation Information from the left hand menu. Click on Edit to open the page for editing.

2. Type the information for Southern Association of Colleges and Schools - Commission on Colleges (SACS/COC) http://sacscoc.org/ [If you have more, list the organization/s and provide a link]

3. Save and close.

Program Outcome Summary: Adding External Requirements

1. Click on External Requirements from the left hand menu. Click on Edit to open the

page for editing. 2. Type the information for Florida DOE

Frameworks: http://www.fldoe.org/workforce/dwdframe/ 3. Save and close.

Program Outcome Summary: Adding Entry Requirements

1. Click on Entry Requirements from the left hand menu. Click on Edit to open the page

for editing. 2. Type the information:

Requirements include: o Standard high school diploma (or equivalent) o Completion of college placement test (if applicable) o [Insert applicable limited access criteria]

3. Save and close.

1. Click on Related Outcomes from the left hand menu. When the menu expands click

on Core Abilities also on the left hand menu. Click on Edit to open the page for editing.

2. Click on the + next to Add Core Abilities. Note: A new dialog box will appear.

3. Select all 5 Core Abilities by clicking in the box next to Core Abilities. All 5 Core

Abilities will now have a check mark in the boxes next to them. 4. Click Save. 5. Close Edit when finished

Program Outcome Summary: Adding Performance Standards

1. Click on Program Outcomes from the left hand menu. Click on Edit to open the page for editing.

2. Click the Performance Standards Tab 3. Click on the + next to the Add Summative Assessment Strategy

• Add summative assessment strategy (ex: Writing Portfolio) 4. Click on the + next to Add Criterion

• Add criterion (ex: 80% of students earn a grade of C or above)

Program Courses: Adding Course List

The program course list includes all of the courses that are part of the program. There are two types of courses in the course list:

• Child Courses: Those courses “owned” by the program. No course belonging to another subunit may be set as a child to a program belonging to a different subunit. NOTE: If there is a course that you feel is a child of your program but it will not allow you that option, please let your WIDS System Administrator know. The course may simply be in the wrong subunit and should be moved.

• Associated Courses: Those courses not “owned” by the program. They may be owned by another program or just associated with a subunit.

1. From the Program Courses tab, click on Course List from the left hand menu. Click on Edit to open the page for editing.

2. Click Add Course.

1. Select the “Link to an existing course” radio button NOTE: Unless this course is brand new to the college, you should never select the “Create a new course” option. All of the courses in the 2012-2013 course catalog have been added as either active courses or course shell into the system. If you are having trouble finding a course in your program, please contact your WIDS System Admin.

2. Add the course title or number. HINT: If you have multiple courses to add with the same course prefix, you can enter just the prefix and select all the courses you want to add at once. NOTE: Many programs have a Humanities Requirement or something similar. If this applies to your program, you will still need to add this as a course to your program so the total amount of credit hours is accurate. These requirements have already been preloaded as course shells into the system, just search for the requirement by title.

3. Select Search. 4. Check the box next to the course/s you want to add. 5. Choose whether this course is a child or associated course from the drop down.

NOTE: See above for an explanation of the difference between a child or associated course.

6. Click Save.

Program Courses: Assigning Core Abilities to Courses

1. Click on Assign Outcomes To Courses from the left hand menu. Click on Edit to open the page for editing.

2. Click the Assign Core Abilities Tab. Each of the core abilities are listed on the left and each of the courses in your program are listed at the top of the matrix.

3. Select “Assessed” from the drop down next to the appropriate core ability for each of your child courses. NOTE: You can only assign core abilities to child courses of your program. An asterisk (*) next to the course title denotes that it is an associated course.

4. Click Save.

Program Courses: Assigning Program Outcomes

1. Click on Assign Outcomes To Courses from the left hand menu. Click on Edit to open the page for editing.

2. Click the Assign Program Outcomes Tab. Each of the program outcomes are listed on the left and each of the courses in your program are listed at the top of the matrix.

3. Select “Assessed” from the drop down next to the appropriate program outcome for each of your courses. NOTE: An asterisk (*) next to the course title denotes that it is an associated course.

Program Courses: Assigning External Standards

Not all programs have external standards. If this applies to your program, leave this area blank.

1. Click on Assign Outcomes To Courses from the left hand menu. Click on Edit to open the page for editing.

2. Click the Assign External Standards Tab. Each of the external standards are listed on the left and each of the courses in your program are listed at the top of the matrix.

3. Select “Assessed” from the drop down next to the appropriate external standard for each of your courses. NOTE: An asterisk (*) next to the course title denotes that it is an associated course.

4. Click Save.

Program Courses: Program Configuration

Leave this area alone for now. We also will not be doing anything with PATs or Outcome Assessment Plans (OAPs) at this time.
