Problem statement Current University of Houston-Downtown Masters of Science in Data Analytics (UHD MSDA) students are seeking deliverables that will create and promote the UHD Data Analytics Society. The deliverables must be functional and be ready to use by the UHD Data Analytics Society upon completion. Each deliverable must support the UHD Data Analytic Society’s objective to educate and promote the field of data analytics and its applications to current students, prospective students, and prospective employers.

Project mission statement Our mission is to create deliverables for the UHD Data Analytics Society which consist of the following;

1. The creation of the organization2. The UHD Data Analytics Society website3. The blog whatisdataanalytics.com4. The “What is Data Analytics?” infographic video5. The Promotional material for the organization.

We aim to create minimal and functional frameworks for deliverables that can be used in the near future and be updated according to the organization’s needs.

Project objectives The team will create deliverables which the UHD MSDA students can use to promote data analytics through the creation of the UHD Data Analytics Society. The project’s primary objective is to create deliverables with minimal functionality to build up the organization’s framework. The project’s secondary objective is to create content which the organization can use educate and promote the field of data analytics and its applications to current students, prospective students, and prospective employers.

Required resources Each deliverable has its own resource needs. However the major resources required are as follows;

Time: Time is a limiting factor for every deliverable; with the deliverable due December 15, 2015 there are only a few weeks left to fulfill all the requirements of the project.

Communication skills: They are necessary between team members to navigate the project and to fulfill the project’s main objective – to communicate the definition of data analytics.

Website building skills: They are necessary for the UHD Data Analytics Society website and the whatisdataanalytics.com blog.

Funding: Lastly, funding is required for every deliverable; the organization needs funding to set up as an NPO, the website and blog need funding for domain and email hosting, the infographic video needs funding for the animator(s) and narrator(s), and promotional material needs to be professionally printed.

Control system Each deliverable has its own control system. However, to manage the overall project, there will be a lead project manager. Several deliverables require more than one team member to contribute. Therefore, each deliverable will have a manager responsible their deliverable’s tasks and task assignments.

Tools for keeping track of the project are email, text/phone, Zoho project management software, and face to face meetings. Zoho project management software sends automatic updates to team members when new tasks are assigned. This keeps email and texting/phone calls to a minimum. Team members also meet regularly once a week to discuss any concerns they have regarding the project.

Lastly, a hard due date of December 15, 2015 has been set by our client (Dr. Hill). All team members are aware that their final grade is dependent upon delivery of a quality project. This incentivizes team members to work together and work diligently.

Major contributors Every team member has been assigned a deliverable to manage. Outside of the team, major contributors include:

Risk areas and contingencies Several risk factors exist for this project;

Time: Approval of the organization is dependent on the Student Activities office, if approval is delayed, the organization may not have its first meeting until the Spring 2016 semester.

Resources: Producing the promotional material is dependent on funding and approval for printing; if funding or approval is delayed, quality promotional material may have to wait till Spring 2016.

The skill and availability of the animator(s) and narrator(s): The infographic video is dependent on finding and working with animators and narrators; if the animators are not available, the work is not of quality, or the work is not finished, then the video may have to be delayed or dropped from the project.

The availability of UHD educators and industry professionals to answer Q&A’s: The website for the Data Analytics Society will feature 2 Q&A’s from UHD educators. Q&A’s are dependent on the availability of the educators; if educators are not available, the website will be posted with minimal functionality. The blog whatisdataaanalytics.com will feature 2 Q&A’s from industry professionals, Q&A’s are dependent on the availability of the industry professionals; if the industry professionals are not available, the blog will be posted with minimal content.

Problem Statement: The students of the MSDA have concerns about the program’s direction and future. The Data Analytics Society will be created to give the MSDA students a forum in which they can discuss their issues with the program and give a unified voice when talking with Administration. The Data Analytics Society will also promote the MSDA to prospective students and educate them on the applications of Data Analytics.

WebsiteObjective: To build an internal and external framework of a website. Minimal displays of the external (viewable) website will be created. Internal framework will be chosen for future growth of website.

Problem statement: The Data Analytics Society needs a web presence where current MSDA students can collaborate, and prospective students for the MSDA can learn about the program and Data Analytics. Implementing a new website will make it much easier for the society publicize news items, events, and faculty or student research and activities.

Deliverable mission: To create minimal, functional, and temporary website for the Data Analytics Society to display information about the organization to current MSDA students. The Data Analytics Society website will be created to promote and educate current and prospective students about data analytics and the UHD MSDA program. The website will focus on the academics of data analytics; Q&A’s with educators and blog posts about how data analytics applies to academic disciplines will be featured.

1. Website design must be compliant with UHD identity standards.2. Website design must be aesthetically pleasing and convey an impression of

modernity, scientific excitement, and educational excellence.3. Users must be able to navigate and orient easily, Site must follow standards, render

Project Attachments: This website project consists of five documents that are considered to be attachments to this project plan. They are as follows;

Site map – a hierarchical, schematic map of the proposed site.

Content tracker – a spreadsheet listing, by page, every item of content, words, images, PDF, programmed element, or other – to be included in the site, with data columns for recording who is responsible for various aspects of processing the content, and for noting progress on these tasks.

Functional Specification – defines the operation of all programmed elements of the site (such as navigation, featured elements, secure areas).

The Design comps - They are a set of graphics files that will specify and display all of the visual features of the site, including page layouts, colors and fonts to be used, identity elements, banner and thematic images. These are developed in, and are the deliverable from, the design phase.

The Redirect List- It will be developed during the project. It is a spreadsheet that lists every page in the existing site for which the clients wish to recognize the current url and the page to which we should redirect it in the new site. (This maintains the utility of existing bookmarks that users may have to the current site.)

Whatisdataanalytics.com BlogObjective: Our objective is to develop a blog that will discuss how data analytics applies to an academic discipline.

Work Requirements: To create the blog, we will need the following items in order for the blog to be considered complete:

For this deliverable, we will utilize the experience of one of our group members who currently holds a Bachelor’s of Science in Computer Science to develop the website. He has experience building and coding html, CSS and other website related programming tools. Another of our group members is familiar with creating new email addresses. Two of our group members have experience writing and revising content and are available to review the written content before it is posted to the blog.

Control System: For this deliverable we will have one person to act as the project manager. This person will be responsible for setting the deadlines and working with the assigned writers/designers to ensure that each item needed to complete the blog are done in a timely manner. The project manager will be responsible for maintaining weekly contact and setting follow-ups with each writer/designer for a status check. The project manager will remain the key contact for this deliverable and will be able to answer any questions regarding the status of each subtask. By having one person in charge of this deliverable, will eliminate conflicting information and confusion of who to report to.

“What is Data Analytics?” VideoProblem statement: Current students of the MSDA, prospective students of the MSDA, and prospective employers struggle to simply define the field of Data Analytics and its applications.

Promotional MaterialsObjective: The promotional materials that will be created are a message board ad/ posting (16”x20”), a poster (8.5”x11”) and a first meeting survey. The message board ad/posting and poster will be used to promote the Data Analytics Society and inform potential members of upcoming meetings. It will also be used to generate interest in the program and society in general. The first meeting survey will be potentially used during the first meeting of every semester or whenever a new member joins the organization. It will be used to chart student demographics, knowledge of data analytics, how the society was discovered, and level of interest in the society.

Problem statement: More students need to learn about the program as well as the other deliverables being created.

Deliverable mission: In order to gain members for the society and more users for the other deliverables, promotional materials will need to be created to garner interest.

Project work requirements: The tools needed for this project are as follows;

A survey monkey account The InDesign tool Pre-survey interviews – They will be carried out to find the gaps in knowledge when

discussing data analytics.

About 3 1/2 hours a week are needed to work on the project. Since it will be due on the 15th of December, the project aim is to be done by the 13th. In total, 14 hours of project time is estimated.

Exit criteria

Jelilat Adesiyan will be the major contributor. Other team members will be needed for review purposes as well as for the pre-survey

A survey monkey account, the InDesign adobe tool and other team members are required resources.

Control System

Each team member will be in charge of a specific project and will majorly contribute to one project. Team members will also contribute in minor ways to each deliverable. The most important thing for this project is to have the deliverables ready on time and co-ordinate to create cohesive deliverables.

The most important aspects of the work to track and control are the final deliverables. The critical points in which in the process at which controls should be placed (those with

which we have outside vendors) is in the pre-survey interview because it depends on others.

Set up project evaluation dates with other team members, 4 days before milestone is due to determine whether the project should be continued. The milestone dates for each of the project leaves a lot of room for changes when compared to the project completion date

Risk area with contingencies when possible

One of the foreseeable risks is that of the availability of group members for the pre-survey interview. Because they’ll be busy carrying out their parts of the project, their schedules might be at risk.

Another likely risk is the breakdown of the survey monkey website. If it breaks down, switching to survey creator, survey gizmo, or print out paper surveys.

Risk exists in agreement of color themes and logo. To abate that risk, consultation with team members will be diligent and creation of several templates for approval will be planned.

Funding for printing may not be available, however, Student Activities allows organization a printing allowance. Quality may be sacrificed in order to deliver printed material.

Conclusion The project creates deliverables to help promote the agenda of the UHD Data Analytics Society. The five deliverables, the organization, the website, the blog, the infographic video, and promotional material all aim to define, promote, and educate current students, prospective students, and prospective employers on the subject of data analytics. The team has the experience and qualifications necessary to complete the project. The team is aware of bottlenecks caused by time, resources, and funding and have contingencies planned. The team is aware of the December 15, 2015 due date and is working diligently to deliver all parts of the project within the time frame.
