We welcome you to CHS-Leadership Based Education. I want to assure you that this is one journey you will be

grateful for. As you are aware, we are a Christ-centered educational institution with focus on positive

character development. We offer our services to families with children from 3months to 11years.

Our independence as a private school with global focus allows us to incorporate the best combination of

Christ-Centered

The educational philosophy of CHS is based on God’s truth as revealed by the Holy Spirit in God’s Word, the

Bible, and in creation. We don’t avoid teaching about the world, but we challenge pupils to see the world

through the lens of the word of God: created perfectly, damaged by sin, and redeemed by Christ. The Bible is

also used to learn skills for restoring every aspect of a fallen world— starting with our minds, our hearts, our

relationships, our moral choices, and our worship, but extending to the needs of those around us and to the

Cypress Hillside School believes that every child will learn successfully in an environment that appreciates,

The Cypress Tree

Our green colour is taken from the tree as a symbol of life in nature and trees known to be universal symbol

which represents life, prosperity, and strength.

CHS TREE LOGO

The symbol of CHS logo with Cypress Tree on the Hillside within the logo symbolizes stable growth of pupils

within our school.

The Cypress Tree is known to be an evergreen tree whose leaves never fall off in season and out of season.

Cypress Tree is also known to be one of the most long-lived trees on the planet with a vast range of the largest

trees ever known in the world with 12 distinct species. It is known to be able to grow up to 150 feet tall in the

right conditions while their straight trunks can grow to a girth of 12 feet in diameter at a growing rate of 1.5 to

2 feet yearly.

Cypress Tree Symbolism draws from the height and shape to inspire concepts like immortality and hope and in

support of our delivery of such a quality kind of education through Christ to be remembered for a life time.

Another great feature about Cypress trees are their knees. Though the reason is unknown, it is known to pull

some of their larger roots out of the ground though with their ends still within the ground, but the raised

section gives the effect of a bent leg with the highest point resembling a knee. These knees will grow in

knotted looking shapes. And this in effect with our value and as CHS champion, we will remain bent in humility

before God who made heaven and heart in humility.

We believe our pupils will be large and outstanding wherever they find themselves in the journey of life as

they also remain evergreen in relevance to many generations.

Cypress tree is easy to maintain, durable, is decay and bug resistant, energy efficient because it’s denser than

normal woods and its medicinal benefits can be derived from two sources – the cones and the needles.

Surprisingly, many people rely solely on the essential oil of cypress, rather than the plant parts themselves.

CHS CHARACTER DEVELOPMENT APPROACH

Cypress Hillside School is a member of the great America character organisation. We like to think of life as one

long, challenging journey in which individuals have the opportunity to take many different paths and travel

with many different people depending on their decisions and their goals. That imagery also holds true for a

person’s character development. While everyone’s path is different, CHS wants to walk with her pupils along

their journey by providing resources, coaching and a dedicated network of others who have begun their

journey too. Much like life, character development isn’t about the destination. It’s about the path chosen

along the way. We’re here to help inspire your child to start the journey of deliberate character development.

CHS POLICIES

SAFEGUARDING STATEMENT POLICY

At CHS, we respect and value all children and are committed to providing a caring, friendly and safe

environment for all our pupils so they can learn, in a relaxed and secured atmosphere. We believe

every pupil should be able to participate in all school activities in an enjoyable and safe environment

and be protected from harm. This is the responsibility of every adult employed by, or invited to

deliver services at CHS. We recognize our responsibility to safeguard all whom access our school and

promote the welfare of all our pupils by protecting them from physical, sexual and emotional abuse,

neglect and bullying.

ADMISSION POLICY

Cypress Hillside School operates a NO discriminatory process on the basis of race, color, sex, religion,

national, and ethnic origin in the administration of her educational policies. Entry to CHS is open to

any member of the community from anywhere in the world.

Parents and legal guardians are essential members of our community. The parents and legal

guardians are the primary educator of their children. The responsibility of the school is to support

parents in this undertaking. Parents and legal guardians are strongly encouraged to support the team

so as to better educate our pupils.

We are always pleased to meet parents and discuss the admission of their children to our growing

CHS.

ADMISSION REQUIREMENTS

For now CHS admission team accepts pupils throughout the academic year as long as an appropriate

place is available. To be considered for admissions, the applicant must submit:

i. A completed and signed Enrolment Application.

ii. A Birth Certificate.

iii. Immunization Card (Early Years) and duly filled medical Fitness Form.

iv. A valid residence permit for non-Nigerians.

v. 2 Passports Photograph of students and 1 each of parents and parents ID card copy.

vi. All documents must be submitted with Enrolment Application pack to CHS’s Admissions

Office.

vii. Result of two consecutive terms from previous school (Transferring Students).

GROUP PLACEMENT POLICY

Year placement in CHS is based on the under listed for the purpose of our quality.

Whenever it is not possible to accommodate all qualified applicants based on limited space, the latter

will be placed on a waiting list and will then be considered for admissions on the basis of the date the

application is received by CHS’s Admissions Office.

i. Pupil’s age (i.e. date of birth) MUST be of appropriate age by 1st September.

ii. Past Academic Records (Transferring Pupils).

iii. CHS age-appropriate assessment. This assessment assists in right placement of a child.

iv. Parents/Guardian compulsory Interview.

Pupil’s Placement Policy

The basic criteria for placement are the age of the child on 1st September annually, and the school's

assessment of the child during the admissions process. However, other factors will also be considered,

including maturity, educational history, and level of achievement to include sibling’s placement. The school

reserves the right to place each child in the class deemed to be most appropriate and beneficial to that child.

Registration of Intending Pupil

The route to registration for any other prospective parent:

Stage 1 – The first point of contact is the frontline/admissions officer.

Stage 2 – Prospective parent purchases a form for Ten Thousand Naira (₦10,000:00) Only. Either from the

school’s frontline/admissions Office or fill application form online and pay into the school’s GTBank account –

0407721138, and the evidence of payment can be transferred to the school’s whatapp number

09078888220. Prospective parents may be given an informal virtual tour, on site before 2:30pm and physical

tour from 2:30pm, during school time.

Stage 3 – Parent completes application and submits it with all requested documentation to the

frontline/admissions officer physically or to send through email to; [email protected]

Frontline/admissions officer ensures it is a complete application and then schedules an assessment date. An

immediate assessment can also be done from 10am – 2pm.

Stage 4 – Assessments take place all year round depending on available openings.

Stage 5 – The frontline/admissions officer sends messages to all candidates informing them of the outcome of

the interview. Successful candidates are asked to pick up their admission letter.

The school session runs through Autumn, Spring, and Summer term round. We observe public holidays

specified by the state and federal government of Nigeria and close during Christmas and Easter holidays fully.

Cypress Hillside School Employees

Cypress Hillside School recognises that a dynamic and efficient staff body dedicated to their work is necessary

to maintain and constantly improve the school’s educational program. The effective educational community

have been able to engage men and women of integrity, high ideals and with human understanding.

To maintain and promote the CHS essentials, CHS consistently seek and hire employees that are academically

qualified and with passion for children. The school is committed to assembling a highly competent, well-

trained staff, fitting for each discipline and responsibility into a balanced, well-run school program. Our

employees have embraced our values, CHS is proud of its commitment to people and continues to monitor

progress, measure success and engage regularly with employees within her community.

CARE POLICY

The school and its representatives will take all reasonable care to ensure the educational and physical well-

being of the pupil under its care. We undertake to inform parents timely of any areas of concern and to work

with the parents to reach a suitable conclusion. The school reserves the right to deny admissions or to exclude

a child if it feels it cannot offer an appropriate program, if information regarding a child has not been

submitted accurately or if the school feels the child is an unsatisfactory member of the school community. In

all cases the Head of School’s decision is final otherwise approved by the School Board.

ARRIVAL AND DISMISSAL

CHS starts daily activities at 8:00 a.m. Parents are requested to drop off their children latest 7:45 a.m, to have

them ready for Morning Schedules which include morning prayer which will begin immediately following the

8:00 a.m. bell. Students arriving prior to 7:45 a.m. should be dropped off in the Morning Care Program.

Dismissal for ALL grades is 3:00 p.m. club sessions inclusive.

1. Arrival and Departure Policies

Cypress Hillside School pupils are expected to arrive at school on time. The school day starts at 7.30a.m for

staff and 8.00a.m for pupils. Supervision will be provided for pupils from 7.30a.m and pupils arriving before

7.00a.m will be handed over to our early arrival team managers from 6:45am while other managers will need

time to pray and prepare the classroom for the day's activities. This preparation time is essential in

maintaining the quality of our daily program.

2. Pick-up Policy

No pupil will be allowed home with any other adult, other than the designated parent or care assistant, unless

the frontline has received notification in writing or by email from such pupils parent sending in an email to pick

with the bearers picture.

If circumstances arise during the day that require another adult to pick your child up from school, please notify

the school office by email with approved persons picture and the message will be passed on to on to duty

managers.

During the day, pupils are supervised and no child can leave the building without an adult. In the unlikely case

of a child going missing in school, the teacher would alert another member of staff and begin a search. If the

pupil is not found in the school environment, the parents/carers would be called and the police informed. If a

pupil were to go missing on a field trip, then a similar procedure would be implemented although the police

would be called immediately.

For the safety of the pupils, those who are not picked up or are remaining will be taken to the Extended Care

Program. We discourage abandonment of pupils at all times and would require parents to pick-up their

children, as at when duly arranged with the school. Late pick up shall attract a fine.

ATTENDANCE POLICY

Class Attendance

CHS considers attendance very important. Every learning time is precious and counts to the academic success

of the pupil. To satisfy the attendance policy, pupils must come to the school every day and must actively

participate in the learning activities of the day.

Tardiness

A pupil is tardy if he/she arrives at the school after 8:00 a.m. Pupils who arrive after 8:00 a.m., must report for

detention. Pupils arriving after morning prayer has started will not be permitted to enter prayer, will be

seated in the detention and will be given a grade appropriate bell work assignment to complete. Anything

other than a doctor’s appointment is considered an unexcused tardy. The pupil must present a doctor’s note

for the tardy to be considered excused. Any class work or homework missed, must be completed within 24

hours after the pupil has returned to the school. A tardy pupil’s entrance into class disrupts their fellow

classmate’s concentration and ability to learn in a class that is already in progress, and will not be tolerated.

Absences and Illness

It is the responsibility of the parents to call the school’s front office or send an email to report a pupil’s

absence. This should be done between 7:30 a.m. and 8:00 a.m. on each day that the pupil is absent. It is

required that parents should clearly state the reason for the pupil’s absence. It is the school’s policy to

anonymously alert our parents of potential communicable diseases in our school via email. Students must be

fever free for 24 hours before returning to school. Students should not be sent to school if they have a fever of

99.4 or higher, have vomiting, diarrhea, an extreme runny nose, or any other signs of illness. Children

displaying these symptoms will not be permitted to enter the Academy or will be sent home.

EARLY RELEASE/DISMISSALS

CHS considers the safety of our pupils a priority. For the early release of a pupil, it is required that a parent or

legal guardian must sign the early release form before the pupil will be released to him or her. CHS (under any

circumstance) will not release a pupil to any person, whether related or unrelated without appropriately

authorized parent or legal guardian permission. Any parent or legal guardian wishing to send a relative or

friend to pick up a pupil, must notify the frontline office in writing followed by a phone call to the school

indicating the identity of the person he or she will be sending to pick up the pupil. The delegate must be

prepared to show a photo ID.

VACATIONS

Vacations are discouraged during school time. If it is necessary to take a child out of the school for a

prolonged period of time, please consult the Head of School before making arrangements. You MUST report

the child’s absence to the school. Work will be assigned for make-up after the child returns to the school. It is

the pupil’s responsibility to complete and submit work missed during his/her absence in a timely manner. Class

Manager will assign an appropriate due date.

BIRTHDAYS

Please check with the front desk for food allergies in your child’s class before bringing in any birthday treats.

Birthday treats must be store bought and include a label listing all the ingredients. NO HOMEMADE ITEMS

WILL BE SERVED. Treats should be limited to cupcakes.A treat MUST be provided for every child in the class. All

such treats will be passed out during your child’s lunch break. Party invitations are not to be distributed in the

classroom unless all students in the child’s class are invited, or ALL girls or ALL boys instead.

BOOK BAGS

All CHS pupils must have a backpack-style book bag in order to protect their computer and other valuables

from damage, and loss. Please check your child’s backpack to ensure that toys and expensive games are not

brought to the school. CHS will not be responsible for personal items that are lost, stolen, or broken this

includes jackets and clothing or electronic items. Backpacks should be placed against the wall in the student’s

classroom or hung in their appropriate place.

CAR LINE PROCEDURES

The CHS carline procedure* is designed for maximum safety and efficiency in transporting our children to and

from . Please enter the parking lot to the entrance gate toward the entry front gate. Staff members will direct

pupils from their car into the school. For dismissal, please turn on the opposite side of the school to the gate.

Park and pick up for now.Your child/children will be directed to you after clocking out after the 3:00 p.m.

dismissal.

Carline Operating Times

Carline will be operated Monday through Friday mornings between 7:30 a.m. to 8:00 a.m. and afternoons

between 3:00 p.m. to 3:30 p.m. If children arrive prior to 7:45 a.m., they must be checked into Morning Care

Program for supervision (at no additional fee).

CHANGE OF ADDRESS/PHONE NUMBER/EMAIL

It is very important, for emergency and administrative reasons, that every enrolled family maintains an up-to-

date address, phone number and email address record at the school office. It is the parent’s responsibility to

notify the school through the front line office immediately if there is a change in this information during the

year.

CHILD CUSTODY

It is the responsibility of the custodial parent to make the school aware of any court order preventing the

other parent visitation rights. If any court ordered child custody agreement does exist, a copy must be placed

in the child’s permanent office file. The school will not be held accountable if this policy is neglected.

COMMUNICATION

Communication is the only effective way of understanding a situation and for solving a problem. Please check

your daily emails, pupil’s mum-formation (crèche) or information booklet for important information. Any

concern or question relating to the pupil in the school should be communicated to the front office as soon as

possible so that an appointment can be arranged with the pupil’s class manager. Scheduled appointments

must not be during school hours.

PARENT-CLASS MANAGER’S CONFERENCE

Three official Parent’s- Class Manager’s conferences (one each term) are scheduled during the year to discuss

pupil’s development within the school program and every other concern within the community. Parents must

attend these conferences. Class Managers and parents may request additional communication platform as

soon as it is needed. It is extremely important that parents keep the office informed of any changes to contact

information.

CURRICULUM

The Curriculum refers to all the guided experiences of the pupil under the direction of CHS. CHS adopted the

tailor made British/Nigeria curricula. The instructional program is monitored and evaluated by the

DAMAGES

At CHS, we teach our pupils responsibility and accountability. In the case a pupil damages or loses CHS’s

property; parents/guardians WILL be asked to replace the damaged property through writing.

DELIVERIES

We discourage parents from delivering birthday treats,balloons, food, etc. during the School hours. In special

occasions, the deliveries should be left at the front office with receiver’s name and grade written on the

container.

DISCIPLINE

CHS believes that punishment should be meaningful to pupils and should focus on transforming the life and

choices of the pupil. CHS is committed to maintaining an environment that inspires our pupils to become a

positive influence on their peers. In the light of CHS philosophy, we dedicate ourselves to:

•Serving, assisting, and helping each CHS pupil to maintain good conduct.

•Providing a wholesome, Christian environment that exposes our students to Christian principles, values and

attitudes.

By implementing our Soaring Eagle Behavior Guide (SEBG), our daily goals and overall plan will be reinforced

by helping each pupil learn to make right choices and develop self-discipline and sense of personal

responsibility. In following the strategies of Soaring Eagle Behavior Guide with the infusion of our ‘Leader in

me program’, each pupil learns the behaviors that are expected of them at a given situation. The Soaring Eagle

Behavior Guide highlights all positive behaviors a pupil is expected to exhibit within and outside the School

premises.

STEPS IN HANDLING DISCIPLINARY PROBLEMS

When a pupil makes choices not in keeping with classroom rules, he/she will be:

1. Given the time to study and master the appropriate skill that is required (For instance. self-management),

through guided activities such as assigning a Bible passage that highlights the choice that the pupil made. It is

expected that the pupil will adjust his/her behavior as he/she learns more about the challenging skill. By

assigning the pupil a Bible passage; he/she may learn to conduct himself/herself according to the

commandments of God having the end in mind prior actions.

2. If the behavior continues after the opportunity to address the problem, the class manager will notify the

pupil’s parent by sending an email home describing the pupil’s infraction. It is expected that at this time,

parent will assist the child in mastering the particular skill needed.

3. If the behavior continues after notifying the parent, the pupil will be recommended to the Head of School

for a behavior training which will take place after the official school hours and a note will be made in the Class

Manager’s discipline record.

4. If behavior still continues, the class Manager will schedule a conference with the Head of School, the class

manager and the parents to brainstorm the best strategies that would help the pupil.

5. If a pupil gets three conferences with the Head of School, teacher, and parent, it is a clear sign that CHS is

not the best fit for the pupil. Parents will be advised to change environment for such pupil to drive a point of

need to take responsibility into that pupil.

The following are considered serious and are subject to strict review and definite action:

i. Fighting.

viii. Possession or use of controlled substances.

ix. Dishonest behavior; Lying, stealing or fraudulent acts.

x. Possession of immoral or pornographic material.

xi. Truancy (absence without permission).

xii. Consistent nonconformity to CHS rules regarding proper dress or good grooming.

xiii. Threatening behavior of any kind.

xiv. Violation of the internet Policy.

xv. Excessive uniform violations.

xvi. Any form of infraction of any other rule set down.

xvii. Bringing of toys, cell phones, gadgets etc.

xviii. Bringing of cash.

SEBG targets:

Soaring Eagle Behaviour Guide (SEBG) Goal

The goals of this program are to train pupils to be responsible, stop unacceptable behaviours, encourage good

behaviours, and establish a peaceful and productive classroom. SEBG empowers our pupils to take practical

approaches in reaching their educational and life goals in a faith-filled environment.

CHS has the legal right to search lockers, backpacks, cell phones, computers, personal belongings, or anything

brought to school.

EMERGENCY CARDS

Each family must fill out an emergency card at the beginning of the year. In case of an emergency, we must be

able to contact a parent or legal guardian. You must name at least two emergency contacts in addition to the

pupil’s parents, and/or guardian. These contacts will be called if parents/guardian is not available. Notify the

office immediately when information changes.

EMERGENCY DRILLS

Fire drills are conducted once in a term each year.

Emergency Evacuation Plan

In the event of an Emergency Evacuation of the premises, classes will be notified and appropriate guidelines

will be followed with adult directing to point of assembling.

SCHOOL ALERT SYSTEM

In the event of any emergency, parents will be contacted via phone call or email. Parents should keep the

office updated with current contact information in order to be reached in the event of ANY emergency.

MORNING & EXTENDED AFTER SCHOOL CARE PROGRAMS

The Morning Care and Extended Care Programs will be available from (6:45am) to 7:45 a.m. and from 3 p.m.

to 6 p.m. The Morning Care Program is free to support working parents who would have to be at working

places before 8am and the Extended Care program is N500 an hour, this is to discourage parents that can pick

their children earlier from abandoning them. Charges will be assessed based on 15 minute increments. We

will track your usage of the programs throughout the month. Each pupil attending the programs, is required to

have a completed Informational Form in their student file.

CHS FIELD TRIPS

According to CHS Educational Policy, all field trips shall:

•Support the curriculum of the grade.

•Provide learning activities related to the objectives of the program.

•Be planned with systematic procedures, such as but not limited to, permission forms, transportation, and

adequate adult supervision.

•Suitable teaching shall precede and follow each field trip.

•The school reserves the right to prohibit a pupil from attending a field trip.

At CHS, field trips are a part of the curriculum and not an option. Pupils will be permitted to go on school

supported and parent sponsored trips only after parents have:

1. Signed the written permission slip supplied by the CHS.

2. Returned the handbook review form and emergency card.

NOTE:

A student who does not have the necessary forms signed and returned to the school will be placed in the

classroom and any money paid for the trip will be refunded. Telephone permission or parent notes are not

acceptable.CHS will not host activities or events that involve an overnight stay. Field trip transportation is by

bus or parent drivers. In other cases, where the parent provides transportation, the parent is responsible for

arrangements. When transportation is provided by the school, all students are expected to use this

CHS FIELD TRIP DRIVER POLICY

Parent/Guardians may serve as drivers for our field trips. Chaperones must submit;

•A valid driver’s license.

•Proof of current insurance in advance of the field trip.

Volunteer hours will be given for your time driving while chaperoning our field trip.

FOOD ALLERGY POLICY

Food allergies can be life threatening. CHS will work with pupils, parents to support physician’s

recommendations to minimize the risks and provide a safe environment for the allergic pupil. Below is a list of

responsibilities we expect of the family, Pupil and physician. It will be the parent’s responsibility to:

•Notify CHS of the pupil’s allergy.

•Provide labeled emergency medication with a physician’s order form signed by the physician.

•Educate the pupil in self-management of his/her food allergy.

•Train another adult of their choice (other than the class manager) to go on field trips with the pupil to

administer emergency medication as required.

•Ensure that all staff members who teaches the pupil are aware of the pupil’s allergy and the symptoms that

associate with it as well as the appropriate follow-up care.

All emergency medication will be kept in the Head of School’s office with the physician’s order form unless

otherwise directed by the physician. The class manager who has a pupil with an allergy, will leave information

in the Substitute Folder concerning any necessary precautions.

MEDICAL EMERGENCIES

In case of a medical emergency:

•First aid will be administered immediately.

•After further evaluation by the school nurse, if hospital is required such pupil might be referred to the school

appointed hospital ‘LIFELINE CHILDREN’S HOSPITAL’ about four minutes away from school. It is within Lekki

Phase 1.

•The parent/guardian will be notified.

•If the parent/guardian cannot be reached the additional emergency contacts will be called upon.

ENROLMENT FEES

Parents are expected to pay up ALL school bills prior resumption of every term.

Upon payment a refund of fees is not possible as expenses are budgeted based on enrollment and paid in

advance.

GUM CHEWING

Gum is NOT allowed on the property at any time. It is important that we take care of school and the

community.

HARASSMENT/BULLYING

CHS is devoted to providing a Christian, professional, and supportive educational community for the

administrators, staff, parents and pupils. CHS has adopted and promulgated a harassment policy that

addresses behaviors that interfere with fulfilling the school mission. CHS condemns any form of harassment

from pupils, staff, or parents, and will address all credible allegations promptly.

Purpose of the Policy

CHS Harassment/Bullying Policy proposes:

•That every person in our community is free from physical, psychological or verbal intimidation and

harassment.

•That each individual involved in the school community maintains and further develops attitudes and

behaviors which express respect for others and are reflective of each person’s God-given dignity.

•To encourage a heightened sensitivity toward behaviors that others may find offensive and intimidating,

whether these behaviors refer to race, religion, color, gender, sexual orientation, national origin, age,

Background Status.

This policy is not intended to otherwise limit the expectation of staff, pupils and volunteers to engage fully in

traditions of teaching, celebrating, participating in and being formed by the Quality faith, including but not

limited to curriculum.

Explanation of Harassment

Harassment can result from a single incident or from a pattern of behavior involving verbal, written or physical

conduct or communication. We follow the school order for reporting and investigating all reported incidents

of bullying and/or harassment.

Harassment encompasses a broad range of behaviors, which could include, but are not limited to:

•Physical, mental or verbal abuse.

•Insults, jokes, or derogatory slurs based on one or more of an individual’s protected status(es).

•Unwelcome sexual advances or touching.

•Implicit or explicit requests for sexual favors.

•Unwanted sexual comments (serious or humorous).

•Unwanted sexually suggestive telephone calls, letters, e-mails, etc.

•Comments or jokes based on issues of modesty and developing social awareness.

•Unwanted forced involvement in activities.

•Intimidation in front of a group or forced personal sharing in groups.

• Inappropriate media or music use which would violate this policy.

CONFIDENTIALITY

The right to confidentiality, both of the complainant and of the accused, will be respected to the extent

possible, but will be consistent with legal obligations and with the necessity to investigate allegations of

misconduct and to take corrective action when this conduct has occurred.

HEALTH RECORDS

CHS requires that enrollment and acceptance of pupils into the community is contingent to a submission of

Immunization card as provided in Nigeria. Any pupil without proper immunization records according to

Guidelines will not be permitted to begin classes until proper immunizations and Medical Examination report

forms are submitted to the School.

HONOR ROLL CRITERIA

Here at CHS all grades are eligible for the Honor Roll. Below are the specifications about the honor roll

program:

Valedictorian: In order to merit the honor of a valedictorian, a pupil must have earned straight 98marks across

all subjects in the three consecutive terms in the academic year.

Salutatorian: In order to merit the honor of a salutatorian, a pupil must have earned 95marks across all

subjects in the three consecutive terms of the academic year.

Directors’ Honor Roll: In order to merit Director’s Honor Roll, a pupil must have earned 90marks across all

subjects in the three consecutive terms of the academic year.

Honor Roll: In order to attain Honor Roll, a student must have earned an A in all academic areas.

SPECIAL AWARDS

Eagles Award

All enrolled pupils of CHS are eligible for the special award, “CHS Eagles”. This is a yearly recognition of those

pupils who excelled in academics and character. These pupils represent CHS Eagle principles. To select a pupil

for this award, class managers will use the three terms grades and the following guidelines:

Attitude — positive attitude toward all staff members and peers.

Behavior —should follow CHS and classroom rules in all situations.

Quality Identity —service, applies Quality beliefs and values.

HOMEWORK

CHS considers homework as part of the learning processes and experiences. Homework is given to reinforce

concepts and skills taught in class for enrichment. Also, we use homework to encourage the growth of pupil

responsibility and initiative for their own progress and to provide parents the opportunity to participate in

their child’s scholastic growth. Incomplete homework will affect a pupil’s grade.

LUNCH

School will serve lunch to pupils from 3 and above . Do not send fizzy drink into our community and foods high

in sugar are not permitted.

MEDICATION

Prescription Medication

If a pupil is required by a medical doctor to take prescription medication during the school day, the school

nurse will ONLY administer the medication under the following conditions:

CHS receives a copy of the doctor’s order form which includes:

•Name of medication.

•Condition for which it is being given.

•Dosage and time of administration.

•Duration of the request.

•Doctor’s signature and telephone number.

1. Medication must be in original pharmacy label, with written information clearly visible.

2. No medicine shall be administered to pupil in crèche. Rare exceptions may only be approved by the Head of

School.

3. Medication Dispensing forms must be filled out and submitted in the office.

4. Pupils are NOT to administer their own medications. Do not send medicine in lunch boxes.

5 Parent approval form to dispense.

Non-Prescription Medications

1. Must be in the original container (PCM bottle, cough syrup bottle, etc.).

2. Must be clearly identified as to the name and type of medication and dosage instructions.

3.“Medication Dispensing Form signed & dated by parent must be on file giving the pupil’s name, medication

name, dosage instructions, specific dosage times, and any other necessary instructions must accompany the

medication.

Example: “Please give Lily one teaspoonful of ‘brand name’ cough medicine at 10:00 a.m. and 2:00 p.m.”

Parent must sign and date the form. Forms for administering medication can be obtained in the front office.

NOTE: All medications, prescriptions or over the counter type, must be turned in to the School Nurse or front

office for lock-up in the sickbay. No pupil is to keep any medication on his/her person or in desk, back pack,

etc. Even cough drops and throat lozenges must be kept in the front office. Parents must list all medications

their child is taking. If there is a medication change, please contact the school to update medication form.

Miscellaneous Medical, Health & Illness Issues

The school nurse staff attends to any pupil that becomes ill or hurt during school hours. The parent/guardian

will be notified by telephone if the situation warrants. In general, any pupil in attendance should be able to

participate in CHS activities. The School should be informed of any illness, emotional upset, and loss of sleep,

medication administered or other situation that may affect your child.

•If your child is ill (running a fever of 99.4 degrees or above, exhibiting flu or strep symptoms, experiencing

constant sneezing or runny nose, cough, or has an unexplained rash, head lice or nits), please keep him/her

home and notify the front office of his/her absence.

•Anytime your child becomes ill during the school day, we will call you to pick up your child. If you cannot be

reached, we will call one of the friends or relatives you have listed to contact in case of emergencies.

•If your child leaves CHS ill one day, he/she must stay out 24 hours unless a doctor’s note is brought in stating

that he/she is able to return.

•Accidents and injuries will be reported to the parent. An accident report form will be sent home. These

should be signed by parents and returned to CHS the following day.

•Parents will be notified if a communicable disease has been detected at the school via email.

•If your child has an allergy, please pick up an Allergy Alert form in the front office. All allergies will be treated

as serious. Parents of pupils with allergies will be required to have a doctor sign Allergy Alert form on file.

•In case of emergency, the following steps will be taken:

1. Parents or emergency contact will be notified.

2. If the above persons cannot be reached, then the child’s doctor will be contacted.

3. Pupil will be taken to the school appointed clinic in case of serious injuries.

NETWORK/INTERNET POLICY

The purpose of internet access is to enhance instruction and support learning in a manner consistent with the

mission of CHS. The internet offers unique resources to pupils that allow them to access electronic libraries,

search topics in almost any field and obtain information otherwise not available on a local, immediate

level/format.

Student usage of the internet shall ONLY be for educational purposes consistent with the curriculum of the

Cypress Hillside School. Usage for entertainment or recreation is generally PROHIBITED at all times unless

directed by the class manager. Inappropriate use of the internet may result in cancellation of privileges and

pupil may face disciplinary action should there be a breach. Parents and pupils must sign an Acceptable Use

Policy form for their child. Parents are strongly encouraged to attend meetings related to child safety and the

internet.

PARENT/ MANAGERS ORGANIZATION

All parents with children attending CHS are required to become members of the Parent/Managers

Organization (PMO). The objective of the PMO is to help promote the welfare of the school and to provide

educational and social opportunities for families. PMO sponsors general meetings each term year. The

purpose of the general meeting is to communicate PMO Objectives.

PARENT/HEAD OF SCHOOL MEETINGS

The HOS’s office is open on a daily basis for parents who would like to present concerns, ideas, or questions in

an informal atmosphere. HOS will do its best to answer all questions while respecting individual rights and

confidences. This meeting will give parents the opportunity to deal with issues as they occur in an atmosphere

where they can be heard as well as given input.

GRADE LEVEL MEETINGS

Grade level meetings with the class managers are offered each term to provide parents an opportunity to

discuss issues that relate specifically to children of different age/grade levels. The social, emotional, spiritual

and academic areas will be discussed. It is our hope that this opportunity will help parents and the school to

enhance our experience of community. These meetings will also provide time for parent concerns and

questions. Please note no meetings will be conducted during instructional hours.

PORTFOLIOS

Portfolios are a collection of work samples which demonstrate individual pupil’s growth in a particular subject

area. The collection of documentation will include student work samples, written records and anecdotal notes

from class managers, assistant or pupil; photographs, product of performance assessment, informal progress

reports, checklists, rating scales and rubrics.

Portfolios will be used during parent / manager / pupil conferences to demonstrate the pupil’s learning in the

classroom. Parents, manager and pupil will collectively review and discuss selected work samples and plan for

future growth as a team.

REGISTRATION/RE-ENROLLMENT

At re-enrollment time, priority will be given to families in the following order:

•Current pupil re-enrolling/re-registering.

•Siblings of family members already in attendance, provided space is available.

Current families must re-enroll/register within the allocated timeframe annually or possibly risk losing their

position. Acceptance for admission is communicated via an Acceptance Letter after the appropriate

enrollment fee has been paid by new pupil ALONE.

REMEDIATION GUIDELINES

A pupil enrolled in CHS who fails one core subject may be required to participate in a remedial program.

Failure of two core subjects may result in remediation or retention at the discretion of the HOS. Failure of

three or more core subjects may result in retention till end of the session. Occasionally, a pupil may also be

retained for maturity or social development reasons. The following criterion applies to the remediation

process:

Remediation must take place in one of the following:

•A CHS remediation program.

•By a teacher certified in the subject area contracted by the parent and approved by the HOS.

•In a remediation program which has been approved by the HOS.

1.Prior to the beginning of the next academic year, the HOS must receive:

•Validation of attendance and

•Proof of proficiency (in the subject areas) including work samples and test scores.

Failure to meet remediation guidelines may result in remedial retention.

The following documentation guidelines will be followed after meeting remediation guidelines:

•The original failing grade is recorded on the permanent record against the new mark and may not be altered.

•Proof of proficiency in the subject area must be recorded on the permanent record card.

TRANSFER RULE

Any pupil who fails one or more core subjects must meet the remediation guidelines of the school. After these

criteria have been met, further assessment may be administered by the school to ensure proper solution.

Note: Students with an existing student support plan will be reviewed individually.

REPORT CARDS

Report cards are available for each trimester. Report cards are reviewed before being dispersed. Please

acknowledge receipt of your child’s report by mail .

SAFE ENVIRONMENT

To ensure safe environment, CHS staff and parent volunteers are expected to undergo background screening

and finger printing. Parents will incur the cost of background screening and fingerprinting.

RECORDS & TRANSCRIPTS

Pupil’s transcript and record requests should be made to the Administrative Assistant in the school office and

may take up to 3 working days to process. No exceptions will be made.

CHS’S RIGHT TO AMEND

CHS retains the right to amend the handbook. Parents will be notified in writing if changes are made during the

academic year via email. CHS reserves the right to waive any disciplinary regulation.

SPORTS PROGRAM

CHS will be looking into registering our pupils in one of the local leagues as soon as we have a team for

training. However the school will engage in table tennis, basketball within the community

MENTORING PROGRAM

CHS offers tutoring and mentoring services to those pupils who need it. Please contact the office if you need

these services for more information.

UNIFORM POLICIES

All uniforms must be purchased from CHS administrative assistant

All pupils are to be in full uniform at all times unless otherwise directed by the school. Upon receiving 2

uniform violations, the pupil may not participate in the next jeans/free dress day.

Written notification is required if there are exceptional medical reasons for the pupil not to be in the proper

uniform. Other guidelines to follow in determining dress code and general appearance are as follows:

•No bandanas may be worn.

•No tattoos—temporary or permanent.

•No writings or markings on the skin.

•No cut off or ripped jeans on jeans day.

•pupils may wear a watch but NOT a cross or religious medal or simple necklace.

•Girls may wear one pair of stud earrings.

•Any jewelry beyond the items mentioned above will be turned in to the office to be collected by the parents

with N5,000.

Shoes

Wearing proper walking shoes is a fundamental element in maintaining the correct walking technique, as well

as preventing injury. Shoes are tools. Without the correct tools, you are likely to hurt yourself, making you

more prone to suffer further and more severe injuries in the future. With this in mind,all CHS pupils MUST

wear everyday black low heel shoes, not more than one inch without laces and with non- noise-making sole.

CLASS HOME WEAR DAY

Pupils will be allowed to wear a home CLOTH first day after each midterm break. This signifies our preparation

to visit the less privileged to our pupil in alliance with our selfless value. However, this will be fees tagged as

the cost to wear home cloth will be pegged at N1000 per pupil. Pupil may choose to wear a jeans (Not cut nor

tattered), shirt or dress. The shirt must be appropriate and have sleeves. CHS jewelry regulations still apply.

The generated funds are used for purchase of items for the scheduled place of visit.

ADORNMENTS

Adornments are limited to earrings (studs or small-round earrings) and wrist-watches. Such adornments

should be inexpensive, as the school is not be obligated to conduct investigations into such missing items.

Religious necklaces or chains for any reason are not permitted.

VALUABLES

CHS team are not responsible for valuables pupils bring to school. It is recommended that pupils leave all

valuables at home. Pupils Students should not bring toys or unusual items to the school unless they are

intended for a specific purpose in the classroom and have been requested by the class manager or assistant. If

a pupil brings one of these items to Academy, it will be placed in the office for the parent to pick up.

PERSONAL ELECTRONICS

The following items are not permitted on the grounds of CHS:

•Photo/Video equipment (except as allowed for approved projects).

•Portable CD players.

•Handheld video games.

•Any other non-approved electronic device.

•Cell Phones.

Violators of this rule will have the item confiscated until a parent can claim the item with money in the HOS’s

office.

VISITORS

While we value our visitors, it is imperative that class instructional time not be interrupted. When you come to

CHS during the day for any reason, please stop at the gate office and sign in. Parents are welcome to make an

appointment to visit classes provided procedure is followed. Class visits are a time for observation only; they

furnish an excellent background for parent-class managers conferences. The parent should make

arrangements with the school front line office to ascertain the daily plans to observe in classrooms. At least a

one day notice should be given to the Manager. This also applies to potential pupil who wish to visit.

VOLUNTEERS

CHS greatly encourages parents to volunteer, as it benefits each pupil greatly to have their families involved in

their community. Parents will be asked to volunteer their talent during different events in the school.

CHS Yearbooks are digital, must be pre-ordered and should you prefer a hardcopy printed, kindly pre-order

also and all will be distributed on the last day of every school year.

FINANCIAL POLICY

Parents and guardians of children attending CHS are fully responsible for all financial commitments set forth in

the CHS Agreement and this handbook.

TUITION AND FEES

A tuition schedule is prepared each year by the school. The schedule is reviewed and/or approved by the

based upon the anticipated financial needs of pupils for the upcoming year. Payment of CHS tuition begins in

August of each academic year.

Parents/Guardians may select one of the following tuition payment options:

•Single payment for full year paid before August 1st of each Academic year qualifies for a 2% discount.

•Two payments: 60% tuition due on or before August 1st and 40% due on or before half term.

LATE TUITION PAYMENTS

In the event of late payment, the family will receive notification indicating the late payment. If there is a

second consecutive incident of late payment, a letter will be sent to the family indicating a due date by which

the payment must be made or else the family may no longer have the benefit of having the pupil enrolled at

the school.

Fees

Registration fees, Joining fees, School fees, sport fees, and extended care fees and all other fees.

UNFULFILLED FINANCIAL OBLIGATIONS PRIOR RESUMPTION

Pupils whose families have not met all their financial obligations to CHS, will not receive their clearance card

with which they are programmed to clock into classrooms.

Parental Involvement & Communication

CHS Open Door Policy

Parents are encouraged to make an appointment with the school to discuss any matter of concern relating to

academics and all other interests. They should do this by walking in at any time or booking an appointment

through the front desk officer. They can also make use of the communication book sent through the children

daily. For matters of a minor nature.

PUPILS BEHAVIOUR AND SUPPORT SYSTEM

Behaviour Policy

We want to praise and reward children for good work, effort and behaviour. The values set out by CHS

provide the basis for our ethos and coupled with the school rules that are there to promote good behaviour.

They are readily visible around the school as well as verbally reinforced. Our teaching staff offer every child a

high level of individual attention, together with consistent and helpful advice. We celebrate success,

emphasize the positive and deal with the negative in a sensitive and tactful way.

Children’s achievements of all kinds are celebrated in assembly with a certificate. At the end of each week a

child is chosen from each class to enjoy a drink with the Head as a reward for embodying the CHS values in

their behaviour and work.

All children need to discover where the bounds of acceptable behaviour lie, as this is all part of growing up.

Where behavioral expectations are not met, the Reception class teacher will talk to the child to establish if

there is a problem or a lack of understanding. She will always deal with behavioral issues in a caring,

supportive and fair manner. If a verbal reprimand is appropriate the teacher will also remind the child of the

expected behaviour. Occasionally, where deemed appropriate by the teacher, a sanction may be set such as a

‘time out’ from an activity or playtime. Teachers never use corporal punishment or physical punishment.

Restraint is never used as a punishment but may be necessary in some circumstances to prevent the child

harming herself, others or property. In such a case and minimal method of restraint may then be used. Parents

are informed of any use of physical intervention on the same day or as soon as reasonably practical.

Parents will always be informed if poor behaviour persists so that they can work in partnership with the

manager to support the child. They can help by recognising that an effective school behaviour policy requires a

close partnership between parents, teachers and children. It is understood that parents who accept a place for

their child at Cypress Hillside School will undertake to uphold the school’s policies and standards.

Class Rules

Cypress Hillside School incorporates corporal punishment on the degree of the offense. However, the Head of

School may also administer on a discretionary basis depending on the gravity of the offence. At the beginning

of every term, the class managers and the pupils agree on accepted behavior in the class.

Reinforcement

We believe more in positive reinforcement as the main reason for discipline is to encourage good behavior.

Some methods we use for reinforcement are listed below:

1. Stickers.

2. Commendation of good behavior.

3. Award Certificates.

4. Privileges e.g., take a small group of children who have done something special that

day out of class for a special treat around the school.

Verbal Warning

Verbal warning is done to correct a child who has misbehaved or disregarded the class rules. The

class manager stoops low to the pupil’s level, make direct eye contact and correct the pupil with a

firm but low tone of voice.

Most times, it is better to take the pupil to a quiet place and issue the verbal warning.

Time Out

Time out is not the same thing as being sent to the consequence world for a good thinking . Time out is

separating a pupil that is misbehaving in class from the rest of the group. The key word in time out is that the

pupil will be engaged in a more demanding individual task while others continue to work as a group.

Moral Instruction Circle time

Moral instruction circle time is about approaching behavior (bad) from the biblical point of view. The

…………………

has just committed. The manager would always use this method to reinforce good behavior by mentioning the

names of the children that made progress in their behaviour.

HOS Visit

This method is used when the manager has tried all above methods of discipline and the pupil persists in an

undesirable behaviour. It is usually used on the direction of the Academic lead.

Parents’ Call

A Parents’ Call for discipline is scheduled when a pupil’s behavior has defied all corrective measures. This

method can only be used with the consent of the Head of School.

Verbal Warning

Only applicable for two times and by the third time, the pupil undesirable behavior in class behavior book and

is punished. Denial of playtime and other privileges e.g being a class monitor, playing the drums

Consequence last resort includes:

1. Rod of correction- Head of School.

2. Suspension.

3. Expulsion.

Expulsion/Dismissal

This shall mean a disciplinary measure, which requires the pupil to be struck from the CHS rolls.

Behavior that consistently deviates from accepted standards as judged by the administration will lead to

suspension from one to five school days by the Head of School. A suspended pupil cannot return to school

until a conference is held between the administration and the pupil, parent(s) or guardian. Work missed

during suspension must be made up prior to re-entry to school.

Handwriting Policy

Handwriting will be done according to the adopted CHS style which is Nelson. Pupils in preschool 1 are guided

for right positioning from inception. The main aim of the handwriting policy is for each child to develop a

legible, efficient script. Children entering the school from other systems, who already fulfill these criteria in

other styles will not be made to change to 'our style'.. It is our responsibility to ensure that neat and legible

hand writing is an expectation from all concerned pupils.

CHS Homework Guidelines

A reasonable amount of homework would be assigned to reinforce and support the material covered in class.

It will also reinforce good study habits and encourage independent work. Pupils in year one upward are

expected to keep a homework diary and to write all assignments in it. Class/subject managers are required to

monitor its use. The homework diary will also be used as a communication link with parents. This should be

returned to the school with a parent's signature and comment.

Field trips will be taken to local areas of interest in co-ordination with the theme being studied per term.

Parents will be notified in advance of an upcoming trip as well as any associated fees and may be asked to

volunteer or help in other areas if required.

Through their day-to-day contact with pupils and direct work with families, all staff understands how to

identify concerns they have about a child’s welfare.

Complaints Policy

Any matter about which a parent of a pupil is unhappy and seeks action is classified as a complaint and is

subject to the Complaints Policy and Procedure. Parents are encouraged to bring any complaint/s to the

school’s attention as soon as possible. In the first instance parents should normally contact the class teacher.

First Aid Policy

If your child has a minor accident in school and needs treatment the school nurse or first aider will administer

first aid. All accidents are recorded in the accident book and parents are informed of grazes, minor injuries and

head bumps by telephone,writing or when the child is collected.

Medication Policy

We ask that you do not give your child over the counter medicines to bring to school.

Written permission is needed if your child requires prescribed medication to be kept in school or if your child

needs to carry her own medicines. You will need to complete the appropriate medical forms, giving permission

for one of the school nurse to administer the medication.

The medication should be handed to the front office in the prescribed container with the pharmacist’s label.

The medication will be prescribed as directed and with another adult present. Please remember to collect the

medication at the end of the day if required at home. Disposal of empty containers or remaining medication is

the responsibility of the parents.

Pupils with inhalers should have two inhalers in school, which must be clearly named. One will be kept in the

locked medicines cabinet and the other will be kept in a safe place by the class teacher and this will be known

to your child. The class teacher will take the inhaler with her every time she leaves the school premises during

the school day e.g. for school trips and games.
