COVID-19 PREVENTION GUIDELINES FOR IN-PERSON EVENTS This document provides guidance for preventing the spread of COVID-19 in accordance with Washington state , local, and University public health requirements for in-person events. Event organizers and venue operators should coordinate to ensure that all health and safety roles and elements described below are addressed. APPLICABILITY These guidelines apply to in-person events sponsored by or conducted at the University of Washington (UW) premises, including leased spaces. These guidelines do not apply to the following: Commencement events: University guidance specific to commencement events will be forthcoming. University business and research activities and academic instruction. Requirements in the University’s COVID-19 Prevention Plan and Back to School guidance should be followed for these activities. UW Athletics team training and competitions. Requirements will be determined in coordination with state and local public health agencies and PAC-12 guidance. Museums, fitness centers (e.g., IMA), the Center for Urban Horticulture and other unique facilities will follow WA state industry specific guidance for operations and their unit COVID-19 Prevention Plans. Private events are permitted in these unique facilities in accordance with appropriate state and local health guidance. University-led youth programs, e.g., child care, pre-school, seasonal youth programs or other youth directed events must follow guidance and prevention protocols outlined by the Office for Youth Programs Development and Support. COVID-19 PREVENTION GUIDELINES FOR IN-PERSON EVENTSThis document provides guidance for preventing the spread of COVID-19 in accordance with Washington state, local, and University public health requirements for in-person events. Event organizers and venue operators should coordinate to ensure that all health and safety roles and elements described below are addressed. Weddings and funerals are not permitted at this time unless approved by the Executive Office. SUBMIT YOUR PLANFor events that require approval through the Use of University Facilities (UUF) process, event organizers must submit a completed In-Person Event COVID-19 Prevention Plan (see below) with their UUF Request Form.

For events that don’t require approval through the UUF process, event organizers must submit a completed In-Person Event COVID-19 Prevention Plan ( below) to the relevant University unit representative or sponsor.

The fields indicating TBD (to be determined) in phases 3 and 4 will be replaced with guidance when information is provided by state and local public health agencies.

Prevent people with symptoms from coming to event

Notify event attendees they cannot participate in person if they have any symptoms of COVID-19 infection or have had close contact with someone with COVID-19 within the last 14 days.

Require UW employees complete symptom attestation in Workday prior to or upon arriving at event.

Require event staff, volunteers and contractors who are not UW employees complete paper or online symptom attestation following University’s Guidance for Symptom Monitoring for COVID-19 prior to or upon arriving at event; after the event following a 30 day retention period, dispose of symptom attestations securely (e.g., shred paper documents).
