Purpose:

Hackensack Meridian Health offers tuition assistance to eligible team members who seek to pursue education that supports the current business needs and future objectives of the company. Although attainment of educational goals often leads to improved performance and new career opportunities, participation in this program does not guarantee a specific career result such as a promotion or salary increase. Hackensack Meridian Health reserves the right to terminate or amend this Tuition Assistance Policy at its sole discretion.

Scope:

Team members must meet the following criteria at the time of application creation and submission:

Policy:

All educational programs must be related to the team member's current job or an established career path within Hackensack Meridian Health.

Eligible expenses for degree programs include tuition only. Eligible expenses for Certifications include prep-courses and exam fees. Prep courses will only be reimbursed upon successfully passing the exam for the certification. Team members are responsible for all ineligible expenses including, but not limited to: books, all fees, meals, lodging, transportation, and all tools or supplies. Associates Degree in Nursing is not eligible for North Region- HUMC team members.

Eligible expenses will be covered up to the annual benefit amount for the calendar year in which the course ends. Payment amounts are based on the Team Member's FT/PT status at the time of payment processing.

COURSE COMPLETION REQUIREMENTS

Educational programs not covered include, but are not limited to:

All courses related to a degree program must be provided by an institution holding Regional or National accreditation.

Certifications/Designations must be provided by a professional association, certifying body or institution authorized to award the industry accepted certification/designation.

All courses related to an undergraduate degree must be completed with a minimum grade equivalent of C or better (grades of C- are ineligible). All courses related to a graduate degree must be completed with a minimum grade equivalent of B- or better. Courses that are based on a pass/fail grading system must be completed with a passing grade. Courses in which a team member receives an incomplete, withdrawal, or equivalent grade are ineligible.

Certification/Designation exams must be passed at a level eligible to earn the industry accepted certification/ designation. Prep courses will only be reimbursed upon successfully passing the exam for the certification.

Bright Horizons EdAssist Solutions offers Education Coaches who are available to discuss program and school considerations, and assist with finding career relevant educational options. Team members are strongly encouraged to reach out to an Education Coach prior to submitting their first application for a new educational program. To schedule an advising appointment, please call 855-222-6879 or use the self-scheduler option available under "Education Coaching" on the Bright Horizons EdAssist Solutions website.

To be eligible to receive education assistance, a team member must submit a reimbursement application for each quarter, semester or academic term. Applications must be submitted prior to the course start date. Applications will not be accepted after the course start date. Applications will be reviewed for policy compliance by the program administrator before forwarding the application to the Team Member's immediate leader for final approval.

Upon application approval, the team member is responsible to make all required payments directly to his/her school and will be reimbursed for eligible expenses upon successful course completion. The team member is responsible for submitting proof of successful course completion (grades) and an itemized invoice of tuition and fees (proof of payment) within 60 days after course completion in order to receive reimbursement.

Hackensack Meridian Health team members can enter into deferred payment agreements with their respective school at their discretion. The team member is solely responsible for any deferred payment agreement with their respective school(s).

OTHER SOURCES OF FINANCIAL ASSISTANCE

Team members receiving educational grants, scholarships, military benefits or other discounts must disclose all such financial assistance and provide documentation of how the funds were applied. Funds received from such sources will be deducted first from any expenses not covered under the program. Any remaining funds received will be deducted from eligible tuition and fees. Financial Aid received in the form of student loans will not be deducted.

In compliance with IRS regulations (section 127), employer provided educational assistance is exempt from taxation up to a maximum of $5,250.00 per calendar year. Taxes will be assessed if, at the time of payment

Inclement Weather/State of Emergency Policy

• To continue regular operations (no announcement). • To arrange a meeting and/or notification of the Administrators, Directors and Chiefs of Service for

Purpose:

To assure that patients are cared for in inclement weather/state of emergency, without putting the staff at any unnecessary risk. Being fully aware of the nature of Hackensack Meridian Health's business operations and responsibilities to the community and to the patients who are entrusted to our care, we are considered an essential service that must continue regardless of weather conditions or state of emergency conditions. All team members, whether or not in direct patient care areas, may be reassigned in accordance with patient care needs.

Scope:

All team members of Hackensack Meridian Health (HMH).

Procedure:

Given the nature of Hackensack Meridian Health's business operations and responsibilities to the community and to the patients who are entrusted to our care, we are considered an essential service that must continue regardless of weather conditions and/or state of emergency conditions. In the event HMH enacts the inclement weather/state of emergency policy, all team members will be pre-designated as essential or non-essential. It is expected that leaders will provide information, guidance and expectations regarding weather emergencies and or state of emergency conditions with their team members in advance of an anticipated extreme weather condition/state of emergency conditions.

Command center leaders and/or Senior Leadership will issue an announcement, as and if appropriate, regarding any change in policy/procedure/action from the normal course of operation. In the absence of any such announcement, all members of administration, management and team members are expected to proceed following the approved, standard policies at their site. During inclement weather/state of emergency events, all team members are considered essential to the function of the organization. However, in certain circumstances we may deem certain individuals to be non-essential which is subject to change based on the operational needs of the organization.

Depending upon the extent of inclement weather/state of emergency conditions, decisions will be made which may include:

planning and coordinating purposes. • To issue guidelines including but not limited to special needs/service, changes or modifications in

services, work hours, or curtailment of other work rules, reassignment of team members, and special pay practices.

• Type and extent of inclement weather/state of emergency conditions in consultation with the Network Chief Nursing Officer.

• Whether onset is during the night, day, weekend, etc. • Expected duration. • Safety of team members on premises by assessing conditions at the end of their work shifts. • The ability to provide coverage of subsequent shifts. • Need of all essential and critical services for a possible deployment of personnel, etc. • Need to initiate sleeping accommodations for staff. (Please note that team members electing to stay at a

nearby hotel do so at their own expense.) ◦ If team members are asked to sleep at the medical center to ensure their attendance on the

succeeding shift or shifts, time spent sleeping will be paid as work time. ◦ Team members who elect to sleep at the medical center after the completion of their shift shall not

be compensated for time spent sleeping. • Need to support staff by initiating a transport service only if a state of emergency is declared by the State

of New Jersey

• Communicate effectively and in advance, the Hospital's expectations regarding attendance/punctuality in general, and specifically during inclement weather/state of emergency. Team members should be encouraged to develop a share-a-ride system with co-workers. Further, they should be advised to allow additional traveling time to get to work when unfavorable weather forecasts/disaster are predicted in advance.

• Have a written department plan of: ◦ Essential functions that cannot be curtailed. ◦ Services that may become curtailed because of the inclement weather/state of emergency. ◦ Minimum levels of manpower staffing needs to accomplish functions. ◦ Determination when all department team members are deemed essential for purposes of meeting or

supporting patient care and services needs. ◦ Job titles and/or incumbents who may not be required within their department, but who will be

available to work in another department. Where team members are deemed essential HMH reserves the right to reassign essential staff to help fill critical shortages. Reassignments during state of emergency must be done in conjunction with Administration and Human Resources.

During inclement weather team members should use caution and judgement when deciding whether to travel. Team members should communicate with their leaders on potential alternative working arrangements. Team members who are unable to report to work and do not have pre-arranged alternative working arrangements will be charged time off as PTU.

• These numbers will be periodically updated with important information during inclement weather events. They will generally be updated by 5:00 a.m. for storms that may impact the morning commute.

• Network executives, directors and department leaders should stay apprised of updates via the hotline and other communication channels so they can relay updated information to team members as appropriate.

• Network team members are encouraged to call these numbers periodically as well for updates related to office delays, closures, etc. However, team members should always take direction from their leaders with regards to expectations regarding schedules during any weather/emergency event.

• Leaders may deny newly approved PTO requests based on operational needs during an inclement weather/state of emergency condition where the request falls during inclement weather conditions/state of emergency.

• Leaders may rescind previously approved PTO requests based on operational needs during extreme emergencies under inclement weather/state of emergency conditions.

• Where HMH Administration deems the organization to be under a state of extreme emergency, Administration deems the right to advise leaders to rescind/deny PTO.

Paid Time Off

While Hackensack Meridian Health recognizes the importance of utilizing paid time off, certain unforeseen circumstances may have a direct impact on paid time off approvals. In cases of extreme emergency, at leadership discretion in conjunction with hospital administration the following may be subject to occur:
