COLUMBIA SAILING CLUB BOARD OF STEWARDS MEETING December 6, 2018 Board Attendance: Jan Jernigan, David Mosley, Bruce Seiffert, Curt Rone, Jerry Jowers, Tommy Tapp, John Young, Jim Edwards, Charles Bumgardner, Wayne Smith, Brion Kenline, Craig Milling, Stanley Hassinger Commodore Jan Jernigan called the meeting to order at 1831 hrs. The November Minutes were submitted for approval. Tommy Tapp made a motion that the minutes be approved. The motion was seconded. A vote was taken - all Ayes. The November minutes were approved. REPORTS Secretary (Jowers) – The Club has 190 members that count towards our total cap of 200. This month we have had 1 resignation - Bob Bond, who resigned in good standing and Josette Cachera changed her membership status from Senior to Survivor’s Associate. Treasurer ( Curt Rone) – Club financials through the end of October have been distributed and are on the website. We had an audit committee that has completed the review for the 2017 fiscal year. Robert Key presented the report of the review conducted by Robert and Clark Dubose. The review found that the club financials statements accurately represent the financial condition of the Club. In summary, CSC financials are in good order, our debt service requirements are being met, and the required transfers to the capital improvement fund have been made. Robert also stressed the importance of keeping records showing our compliance with our DOR agreement. Membership & Education (David Mosley) – David thanked the membership committee for their hard work in this busy year. We have another prospective member up for discussion tonight. If approved, that will bring the total to 17 new members for the year. Sailing (Bruce Seiffert) – Receipts from the Midlands Regatta are being reviewed and it appears we are on target to meet the budget.

BOARD OF STEWARDS MEETING

December 6, 2018

Commodore Jan Jernigan called the meeting to order at 1831 hrs.

REPORTS

Secretary (Jowers) – The Club has 190 members that count towards our total cap of 200.

Sailing Director (David Van Cleef) – David Mosley read a report from the Sailing Director. A copy of the report is attached.

Canteen (Mike Lambert) – no report.

Back Cove (Mike Mayfield) - All is well in the back cove. The lake went below 353 ft. today for the first time. Mike anticipates that it will be moving down toward 350 very quickly now.

Boat Master (Langdon Warner) – We purchased a 17 foot Boston Whaler Montauk. we paid $14,000 for it, it is a 1983 hull with a 2017 Yamaha 90HP. It has a trailer that it is in good shape and a cover. We also are moving toward purchasing a cover for the smaller Whaler.

Communication (Andrew Clarkson) - In response to the Board’s request, Andrew has looked into purchasing security cameras. Andrew reports that a 4 pack of wireless wifi cameras will work for our purposes. He’ll report on this with further information at a later meeting.

CSCA (Diane Augsburger) - Allie Hassinger - Allie thanked everyone who came to decorate the trees in the clubhouse. The kids certainly had a great time. The CSCA Christmas party is this coming Tuesday. Also, be sure to thank David Parshall for the blue cover on the playground equipment that matches the Club’s blue roof.

Docks (Billy Ray Davis) – This year we have had numerous issues with dock bolts, particularly on the T-Docks. These bolts have been breaking and require frequent monitoring. We recently found the submerged anchors from the old docks. We can use these for additional stability. Billy Ray has requested a price from the manufacturer for the device that will allow us to attach the docks to the existing anchors. Billy Ray expressed his appreciation to Johhny Jonhson and Raplph Pearson for their contributions this year.

Entertainment (Beth Ann Rocheleau and Emery Clark) - The oyster roast was a great success. Thank you to everyone who came out and to those who assisted.

Grounds (Dan Clayton) - no report

House (Tommy Tapp) – Tommy reports that the glass to fix the door in the clubhouse has been ordered - it’s a special order. A leak was reported and the source was found in the yard. Mike is going to dig it up and fix it. Also, Mike’s water well went out recently. luckily, we found out that problem was not on our end, but was due to an SCE&G equipment problem. SCE&G fixed it at no cost.

Land Parking (Bruce Seiffert) – Everything is good.

LMYRA (Seiffert) – We have a make up race scheduled for this Saturday. Stay tuned for updates in light of the weather forecast.

Recycling (Scott Leamy) – All is good.

Safety (Dennis Anderson)– No report

SAYRA (JC Moore) – The annual meeting will be at Sonesta Resort in Hilton Head the last weekend of Jan. Robert Key will be installed as the next SAYRA commodore and we hope to have a good turnout from our membership. The SAYRA website has a link to the hotel for registration. The room rate is $119 per night.

Telltale – (Margery Ballowe) - No report.

Telephone/E-mail/Yearbook (Will Haltiwanger) – The Yearbook is on track. Will expressed his thanks to Curt Rone who has agreed to help again this year. We have all but 5 members on the email list now.

Youth Sailing (Charlie Brooks) - No report.

Webmaster (Pete Gindhart) – No report.

Commodore’s Report (Jan Jernigan) – Jan expressed her gratitude to everyone for their commitment to CSC. This has been a banner year for membership and for sailing at CSC. Among our accomplishments, we partnered with the CSCA to get a playground and it is being enjoyed by the kids. As you know, Mike Lambert is leaving on January 2nd or 3rd. She’s appointed a committee consisting of the current flag officers and Jim Edwards. If you know anyone who might be interested in the Resident Manager position, please let us know. Additionally, Tommy Tapp is working to create a job description to publish in the yearbook so that everyone knows what the resident manager is supposed to do and what he’s not supposed to do. We will also make it clear that the manager reports to the Flag Officers, not all members. Stay tuned for news on a farewell party for Mike.

Jan expressed her excitement for the incoming flag officers and their continued work to build on our successes from this year. Jan concluded her remarks by presenting the Commodore’s gavel to David Mosley.

NEW BUSINESS

1. Cover for 13 foot Boston Whaler

Bruce Seiffert has researched the cost for a new cover for the small Whaler. The estimates he’s received range from $500 to over $800. David Parshall put in a bid that is competitive. Bruce is seeking permission to buy a cover next year and suggests budgeting $550 for it.

Tommy Tapp made a motion to amend the authorization for the boat purchases to include the purchase of a suitable boat cover. The motion was seconded. A vote was taken: all Ayes. The motion carried. 2. Reimbursement for SAYRA Conference

David Mosely raised the issue of reimbursement for SAYRA conference for flag officers, our SAYRA representative, and the sailing director. Some discussion followed. Curt Rone advised that the current budget authorizes $550 for two CSC officers to attend. This matter will be discussed again when the Board takes up the budget for next year.

3. Reimbursement to CSC members for PRO class.

This is also a matter that will have to be addressed in connection with next year’s budget.

Bruce Seiffert raised the issue of some type of gift for Mike - some discussion followed. This will be addressed again in the near future.

Jerry Jowers reported on a meeting he and Margaret Clarkson had with the Central Carolina Community Foundation. This organization supports charitable activities by providing a mechanism for tax advantaged donations. We are in the earliest stages of evaluating a partnership with this organization as a possibility for CSC. The foundation is interested in our sailing educational programs and youth sailing activities and may want to work with us. They have requested more information on our educational programs and the money we budget for them. No decisions have been more nor any action taken at this time. Jerry and Margaret will report back to the board with additional information at a later date.

December 2018 Board Meeting

• Summer Camps 2019 o Registration goes lives for members on January 1. o Registration offered to non-members on January 18. o Based off our summer participation result this past year and the addition of both

Hammond and Heathwood Camps coming onboard, I anticipate classes filling quickly.

o Summer camp dates are June 3 – July 24 with no camps the week of the fourth of July.

o Job ads have been posted and currently sorting through prospects. This is a competitive environment to get quality instructors. Offering housing for instructors will be required.

• Winter Seminars o US Sailing Race Management Seminar - January 19

§ Need to promote within membership. Currently have only a handful of sign ups.

§ Several members have expressed interest until I confirm you must be a US Sailing member to attend.

§ Would like to request that we reimburse any member the $50 registration fee upon completion of the seminar and successfully passing the exam.

§ With respect to our current RC volunteers, we need to get some new people in the loop, so our pool of RC resources is bigger.

o Great American Loop – February 16th § Need to promote within membership. Currently have only a handful of

RSVP’s. § This will also be fundraiser for the CSC Auxiliary.

• Gamecock Sailing o Practice for the teams end this week. o I’m following up with the club sports director on the status of payment for the

2018 fall semester. The invoice was sent on 11/12/18 for $6,700 with net 30 terms.

o 2019 fees will increase from $150 per person per semester to $200. o A new selection of officers takes control January 1 and initial communications

with the new slate is very promising. Young, energetic and very appreciative of what CSC provides.

o GSC Spring College Regatta at CSC takes place on March 2. • Junior Race Team Spring 2019

o Details are still being sorted and will be made available to parents by December 15. Waiting on the SAYRA clubs to submit their 2019 calendars.

o Practice dates and regattas will likely be in late March through the end of May. o Will hold monthly team building events through the winter months to keep the

kids engaged.

• Adult Sail Training

o The last two sail training classes took place over the past two weekends. o 2019 schedule is in the works and will be posted on the website. Classes to begin

in April/May when the water and weather become more enjoyable. o Gamecock Football had a bigger impact on participation than expected.

• SAYRA Annual Meeting – January 25 – 27 (Hilton Head) o Will attend on behalf of CSC and strongly encourage our flag officers to also

attend. o CSC needs to be one of the leaders within SAYRA and it takes all of us to share

and lead in these breakout discussions. o I’ve been asked to be one of the presenters and discuss what CSC has done to

bring on a full time Sailing Director. • US Sailing Symposium – January 31 – February 2 (Jacksonville)

o Will attend on behalf of CSC. Cost to register for this event is $350 and certainly worthwhile. I’d encourage our flag officers to attend but the registration fee and travel expenses will not be cheap. I’ll be staying with close friends during the event to save on hotel costs.
