Why Sharepoint for Collaboration?

• Microsoft Sharepoint is a leader in the Web 2.0 space

• We have had two previous Sharepoint implementations

Page 5: CIMug Web Site Pre-Conference Tutorial June 10, 2008

Site Project Overview• UCA and CIM Collaboration Goals:

– Web identity for every group within UCA• New logo and site branding for each group• Direct URLs for CIM, TC57, IEC61850, OpenDR, etc.

– Consistent account management• User self-manages profile• Permissions handled uniformly across all sites• Pre-defined roles define authority given on each site

– Improve findability• More use of keywords• Improved search

– Improved email lists and discussion forums– Make learning easy

• Provide a training site• Package key site elements in templates

Page 6: CIMug Web Site Pre-Conference Tutorial June 10, 2008

Key Benefits• More Site Presence and Performance

– Each UCA member site will have its own URL and brand– All sites will have graphic design treatment– Re-hosted to dedicated server for better performance

• More Detailed User Account Management – Using Forms-Based Authentication (FBA) – Expanded configurability of Users, Roles, Groups, and Permissions– Cleaner implementation of Sharepoint security architecture

• Better User Experience– Multi-level, security-trimmed tab navigation– Password retrieve/reset– Content subscribe/unsubscribe– Starting point for better member communications

• Improved Document Searchability– Knowledge Base and Calendar Roll-Up to consolidate key documents– More metadata about documents

• Adding Missing Functionality– Help Desk– Issue Management

Understanding Roles• Membership Roles

for corporate member• Site Roles

sufficiently trained– Tester

Understanding Sharepoint Sites• Sharepoint components:

– Document libraries– Lists– Discussion boards– Image libraries– Surveys– Sites and workspaces

• Sites– Are built with webparts on site pages– Are built more quickly with templates, pre-built

combinations of webparts

• We customize and create templates to meet UCA and CIMug business needs

Page 10: CIMug Web Site Pre-Conference Tutorial June 10, 2008

Understanding Permissions• Sharepoint has four permission levels

– Full Control: least restrictive.• Allows user full control over site installation and post-configuration

tasks

– Design: can view, add, update, delete, approve, and customize.• Allows users or groups to create resource libraries as well as lists and

edit pages on the site, including themes and style sheets

– Contribute: can view, add, update, and delete. • Allows users or groups to add, delete and edit previously created list

items and document libraries

– Read: most restrictive.• Allows users or groups to view and read pages on the site including

the resource libraries

• Permission levels are assigned to roles and thereby to individuals

• Permission settings can be applied at any level, down to an individual file

How to Designate Calendar Events

Each calendar item can be designated

for sharing on CIMug or UCAIug.

Roll-Up Examples

Page 15: CIMug Web Site Pre-Conference Tutorial June 10, 2008

Addition of Document Metadata

• Helps improve document “findability”

• Site indexing and search will use this data

Page 16: CIMug Web Site Pre-Conference Tutorial June 10, 2008

Training Site

• Offers self-paced courses to all UCA member groups.

• Tracks your training progress.

• “Sandbox” sites also provided to play and learn.

• Access is identical to other sites.

Group vs. Task Force)– Should we post interim UML models?– How can we integrate discussion threads with

email clients?– How can we manage issues on-line?

Page 19: CIMug Web Site Pre-Conference Tutorial June 10, 2008
