Swim Meet Information

A mandatory meeting for all coaches will be held at 12:30 p.m. on Wednesday, February 17 [the first day of swimming events] at the Boilermaker Aquatic Center Classroom. Snacks and drinks will be served during the meeting. The meeting will acquaint the attendees with the operating procedures of the championships and will provide an opportunity to address any and all questions. The diving coaches at some point during the meeting will be excused to meet separately to discuss the diving portion of the championships. An agenda will be provided at the meeting. Team seating on deck will be chosen at this meeting based on the order of finish at last year’s championships. Teams will be seated on both sides of the pool.

Coaches Meeting

The format will be a four day format as it was last year. There are 13 individual swimming events, 3 diving events and 5 relay events contested in eight lanes [25 short course yards]. All events are prelim-finals with exception of the relays and the 1,650 Freestyle. The Conference Championships is governed by the NCAA Rules for Swimming and Diving, except as modified by the Big Ten Women’s Swimming and Diving Championships Manual and the Conference rules, regulations and agreements (please consult the rulebook and the manual for full information). The meet referee shall establish a timeline for the meet.

Format

A. The 1,650 heats will be run slowest to fastest in the afternoon session. The 1,650 heats during preliminaries will be timed finals

and exclude the eight fastest seeded swimmers who will compete during the evening competition. The NCAA format shall be used to schedule the heats for the 1,650s.

B. If more than eight relays are entered; there shall be two heats in the final event. The two heats shall be seeded shoulder to shoulder: the three slowest teams in heat one and the other eight teams in heat two.

C. Starting times are 11:00 a.m. for swimming preliminaries and 6:30 p.m. for finals. Diving preliminaries will begin at approximately 1 p.m. and be run as closely as possible to mirror the NCAA Championship.

D. A third (bonus/”C Final”) heat will be swum during the finals. The heat will be non-scoring and will be held before consolation finals.

Team: A maximum of 26 swimmers/divers per institution shall be permitted to participate in the championships. An entrant who swims will be counted as one competitor; an entrant who swims and dives shall be counted as one competitor; an entrant who only dives shall be counted as one-half a competitor. The competitors shall be listed on the Official Team Entry Summary Form. See next paragraph. Each team is allowed one relay team per relay event. First and last names of relay swimmers and their order of swimming must be declared prior to the start of the heat in which the relay is entered.

Entry Limits

Individual: Each participant is permitted to compete in a maximum of seven (7) events of which no more than three (3) may be individual events.

To enter your team and athletes in this meet, you must complete and file the paper forms noted in paragraph A and also complete the On Line Meet Entry process noted in paragraph B by the deadlines noted.

Entry Procedures and Deadlines

A. Team Entry Paper Forms: There are five total paper forms needed to complete your Team Entry. They are attached as

Appendices A, B, C, D and E. They are A) Official Team Entry Summary, B) Team Travel Roster, C) Team Travel Information, D) Team Information for Announcer and E) Athlete Bio for Announcer.

The Official Team Entry Summary should list all student-athletes who are eligible and may compete in the championships. It is the responsibility of each university to insure that only eligible student-athletes compete in the championships. Each competing student-athlete shall be listed on the certified eligibility list on file with the conference office. Each Institution’s final team roster (subject to the maximums allowed in Entry Limits section above) will be declared at the Wednesday, February 17 12:30 coaches meeting.

These team entry forms are due by midnight Monday, February 8th, the week prior to the start of the championships. Subsequently, Championship Manager Michael Turner will confirm receipt of the listed team forms by midnight on Tuesday, February 9th. (Make sure you list an email address where you want confirmation.) Each institution will have until midnight, Wednesday, February 10th to make adjustments to these forms. Subsequent to midnight, Wednesday, February 10th, no changes

to the Institution’s Official Team Entry Summary will be accepted. Mail, email or fax these forms to:

system can be accessed at the USA Swimming website at www.usaswimming.org.

The Online Meet entry system accesses the immediate seasons NCAA database. It will provide the entry times for you. Individual events: Seed times shall be the best times performed by the swimmer during the immediate season. [Note on 1,650 potential seed time issue: the OME system does not accept NT entries. Since the Big Ten rules indicate that NT entries are allowed for this one event, please enter an NT athlete at an 18:00 seed time and then it will be changed to NT after OME closes. Relay Events: A relay seed time must be entered. Use the best relay time achieved during the immediate season or you can use an aggregate time (using best times achieved ruing the immediate season). OME is not an eligibility report for your athletes. You must know what events you wish to enter your athletes in before starting your entry in OME. The system does not directly accept HyTek Team Manager files. Make sure you enter all the athletes you have listed on your Official Team Entry Summary Form [paper form noted in paragraph A above.]

Online Meet Entry will be available beginning on Friday, January 8th. Your original entry is due by midnight, Monday, February 8th. The system will then close for 12 hours beginning at 12:01 a.m. (EST) Tuesday, February 9th. OME will then reopen at 12:00 noon EST Tuesday, February 9th. From noon on February 9th through midnight on Wednesday, February 10th, you will be able to make any additions or corrections to your original entry through OME. Subsequent to midnight, Wednesday, February 10th, (EST) no changes to your entries will be accepted.

A. The scratch procedure as outlined in the NCAA Rule Book will be followed. Scratch Rules

B. Scratches are to be made by the coach or official team representative prior to the official scratch deadline. C. An official scratch box, clearly marked, will be located on the meet management table. We will have an administrative official for

each championship. A numbered order of events will be posted on or near the scratch box for your convenience. D. All entries not scratched will be official entries with the exception of the one-meter, three-meter and platform diving events. E. It shall be the duty of the swimming referee and the diving referee to remind coaches of the scratch deadline at the appropriate

time prior to each evening’s competition. A checklist shall be maintained indicating that each coach has been reminded. F. Closing times for the scratch box are as follows: Wednesday Close of coaches meeting for Wednesday’s events Wednesday 6:30 p.m. for Thursday events Thursday 6:30 p.m. for Friday events Friday 6:30 p.m. for Saturday events G. Scratches are permitted up to 30 minutes after

the conclusion of the morning’s swimming preliminary session for that day’s final event.

The championships scoring procedure for 16 places and final seeding procedure shall be according to the NCAA Rules, as follows: Scoring

A. Sixteen (16) swimmers shall swim. Eight (8) in the final and eight (8) in the consolation final. B. The scoring of place value for individual events (including diving) shall be by the following points: 20, 17, 16, 15, 14, 13, 12, 11, 9,

7, 6, 5, 4, 3, 2, 1. C. The scoring of place value for relay events shall be by the following points: 40, 34, 32, 30 28, 26, 24, 22, 18, 14, 12

Time standard trials may take place immediately after the conclusion of the prelims or finals. Time trials are for championships entrants only. Please come to the meet management table and confirm with administrative official before the start of the session to make your request for a Time Standard Trial after that session.

Time Standard Trials

A race ready room will be available for the swimmers in the A final. It is requested that they appear sufficiently in advance of the heat so as to be in the processional to the starting blocks. It is located in the southeast corner of the diving well area. The participants in the B and C finals shall appear behind the blocks and will not participate in a processional.

Ready Room for Finals/Processional

The 8 finalists should wear their official team warm-ups to the award stand. Finalist will prepare in the awards staging area located in the southeast corner of the diving pool area. See the Awards Schedule noted in the Meet Script. The coach or a representative of the coaching staff from the first-place finisher in each event will be presenting the award. Meet Management appreciates the prompt appearance of both athletes and coaches in the presentation of the awards.

Award Procedures/Processional

The top eight finishers of each championship event shall be recognized on the awards stand. The top three shall receive a medal. In addition, on Friday evening, prior to the start of finals, the Sportsmanship Honoree from each institution shall be announced and recognized on the awards stand. On Saturday evening, prior to the start of finals, all senior swimmers and divers from each institution shall be announced and recognized. Also, on Saturday evening, the following honors shall be announced and recognized on the awards stand in the following order: Highpoint scorer of each institution, All-Conference teams, Diver of the Year, Diver of the Championships,

Diving Coach of the Year, Swimming & Diving Freshman of the Year, Swimmer of the Championships, Swimmer of the Year, Swimming Coach of the Year, and Team place finishers.

All ties in team and individual competition shall stand. The conference office will provide duplicate awards if necessary. Ties

Meet programs will be made available to each coach for distribution at the Wednesday coaches meeting. Programs will also be on sale to spectators on the mezzanine level during the championships. Heat sheets for teams will be available in the team mailboxes (see map for team mailbox location). Five complimentary heat sheets will be given to each team per session. Meet Management will do everything in its power to ensure that these are available in a timely fashion. Heat sheets will also be on sale to spectators on the mezzanine level during the championships.

Program and Heat Sheets

Event results will be placed in team mailboxes as soon as possible after the verification of the official results. They will be posted for spectators in the main lobby on the glass looking onto pool deck. Internet results can be found on line at: purduesports.com / bigten.org

See Appendices F and G for warm up guidelines and tentative schedule. In general, any lanes that are installed in the diving well are to be used

when diving is not in process. During finals, swimmers who are competing in a final heat may use the diving well lanes for cool down when they have two final swims close to each other. Under no circumstances will the use of the diving well by swimmers cause disruption to the divers during their preparations or competition.

Kay Hunt will handle HyTek Meet Manager. She has run swim meet scoring operations for innumerable swim meets including previous Big Ten Championships and Women’s NCAA Championships.

This meet will be a USA Observed meet [all swims observed]. Following the conclusion of the meet, electronic meet results will be forwarded within 45 hours to USA Swimming for inclusion in the NCAA database and SWIMS database for your use with the On-Line Meet Entry system for the NCAA Championships held this year at Purdue University and other future meets.

Student-athletes are prohibited from wearing any type of jewelry on their bodies in all Big Ten regular season and championship competition.

At the Wednesday coaches meeting, each schools coach will pick locations based on the order of finish in last year’s Big Ten Championships. Fan seating is available in the mezzanine and its capacity is approximately 1,000. Fan seating will be rotated for each session and signage will be hung on the railings to notify each university’s fans where to sit for each session. We will also have a master rotating chart posted on stanchion by the concession area on the mezzanine level.

Team and Spectator Seating

The Doris Z. Holloway Pool 50 meter pool for this meet will be set up as two-25 yard pools divided by a moveable bulkhead. There is a separate diving well that is 75’ x 57’ and 17’ deep. The pool has a minimum depth of eight feet over the length of the course. A Daktronics Timing and Scoring system and scoreboard with video capability will be used. The full facility rules and facility diagram are attached in the Appendices section of this manual.

Purdue University staff will hang all banners in the Aquatic Center. You may bring your banner to David Fraseur, Aquatics Director, at any time or bring the banner to the coaches meeting on Wednesday. Banners which advertise equipment or manufacturers are prohibited. Banners are permitted on the spectators’ grandstand railings.

Appropriate identification tags will be issued for the championship to coaches, athletes (maximum of 26 per team), officials, media, trainers, VIPs and workers. Entry to the deck level and locker rooms will be restricted to those with appropriate credentials. Space will be limited on deck so Meet Management asks that only credential person be allowed on deck.

Limited parking is available in the lot by the Aquatic Center. For vans and cars, you will need to put the number of vehicles you will have, see Appendix C. Only the number you indicated will be available for each team (bus passes not required). For parking of your team bus, see parking map on Appendix O after dropping coaches and athletes off at the Aquatic Center. Coaches will need to communicate with their bus driver for pick up times. The buses will not be allowed to sit out front of the Aquatic Center as this will cause traffic problems. Due to daily limited parking on the athletic campus, spectator parking will be available (see Appendix O). There will also be a shuttle bus to transport spectators. A certified athletic trainer will be present along with a student athletic trainer for the entire championship meet on February 17-20, 2010. Our team physicians, Dr. Greg Rowdon and Dr. Alayne Sundstrom, will be on call, as well as on site at various times throughout the meet. Medical emergencies will be managed by Purdue University Fire Department in cooperation with the athletic training and lifeguard staffs at the aquatic center. A team physician will be on-call for “sick calls” in the morning before competition. An area within the aquatic center will be reserved for massage therapists traveling with your teams. Please expect to bring you own massage table if traveling with a massage therapist. If your team will not be traveling with an athletic trainer, our staff will administer treatments only when your athlete presents a written prescription from your staff athletic trainer or team physician. As part of its comprehensive drug testing program, the Big Ten Conference will conduct drug testing at a number of conference championships and tournaments each year. Drug testing may occur at any Big Ten championship or tournament and any student-athlete on the travel squad (including a non-participating or injured student-athlete) is subject to drug testing. Warm Up Guidelines

Swimming Events

There are 12 lanes in the warm up pool and eight lanes in the competition pool for a total of 20 lanes. The lanes in the diving well are NOT to be used for general warm up/down during diving competition and only pursuant to the rules established in the meet manual text. Thus, for warm up, there are 20 lanes available for use, about two per team. The Aquatic Center opens at 4 p.m. on Tuesday and 6:00 a.m. on Wednesday, Thursday, Friday and Saturday for warm up. All lanes except during the official warm up periods are general warm up. Teams will not be assigned particular lanes during warm up unless it becomes necessary due to a lack of cooperation. Teams should vary lane usage from the competition pool to the warm up pool from session to session making sure that the competition pool is not monopolized every day/every session. If a problem or a complaint arises, meet management and the Meet Referee will assign your team/all team’s specific lanes for each session (rotating lanes each team for each session). No equipment (hand paddles, kickboards, zoomers, etc.) is allowed in the competition pool at any time when touch pads are in place. As always, safety is paramount. No jumping or diving (except during sprints). Thank you for your cooperation. Official Warm Up (9:00 a.m. to 10:50 a.m. and 4:30 p.m. to 6:15 p.m.) Lanes 1 and 8 shall be designated as pace lanes
