Introduction The following information contained in this document should be considered a strict guideline for all Mercy personnel and any outside or third party contractor, consultant and/or product vendor who will produce, revise or modify Mercy, Computer Aided Design (CAD) documents. Mercy-Drawings Standards are included by reference for all Mercy construction projects

Preface and Assumptions This Mercy-Drawing Standards Manual documents the appropriate methods, elements, and processes relative to the Mercy and Real Estate Services (RES) group, CAD drafting procedures. It has been produced with the understanding that it is a document subject to amendment and revision. As the department seeks to provide the best and most current facilities information to Mercy, the need will arise to add new information and update the processes addressed in this manual. In this sense it is a “living” document, and the CAD Management standards are never final. When updates are made you will be notified by email. This document is a compilation of the recognized standards presently in use and a declaration of the proper and acceptable methodology to perform CAD and functions in the RES.

These CAD Management standards have been developed with the following assumptions:

Drawings will be received from contractors and vendors by the Mercy, CAD Operator in compliance with the standards in this manual. All requirements and specifications within this manual will be enforced by a drawing audit which checks each drawing document for compliance. All new layers will begin with the prefix NEW ******. Example: “New A-Wall

All Demo layers will begin with the prefix DEMO ******. Example: “Demo A-Door

If any portion of the drawing submitted is found to be in non-compliance, it

will be immediately rejected/ returned to the submitting party for correction. This will result in delayed payment sign off for you.

What are the Goals of CAD Management Mercy drawings standards are essential to establish and maintain an effective DWG system. The goals of CAD Management at Mercy are:

• To always follow these CAD layering guidelines o United States National CAD Standard (NCS) o National BIM Standard (NBS) o American Institute of Architects (AIA)

• To consolidate, standardize and establish consistency for CAD functions within all related organization’s within Mercy

• To reduce the costs associated with managing facilities and equipment • To ensure the highest standards of quality and accuracy within various

departments.

CAD Management Standards

The Standards Manual The need for the development of this Standards Manual exists within a twofold context of a long-term plan to fully automate the processes of the Real Estate with the Planning Design and Construction group and to make both the new and archived DWG drawings available throughout the departments. As such, the purpose of this manual is to standardize and create new CAD processes. The implementation of the processes outlined in this manual will allow both internal and external resources to understand more clearly Mercy requirements and to uphold these requirements in both a high-quality and a cost-effective manner. This document is a comprehensive guide for all Drafting, Planning, Engineering, and Consulting documentation created for or by Mercy, as it relates to its facilities and equipment. It defines the general features and quality of all DWG drawings produced for or by Mercy. The purpose of this guide is to assist in maintaining the accuracy and integrity of Mercy drawings and/or databases as well as to facilitate the interchange of information between organizations, both internal and external to Mercy. In addition, this guide provides a basis by which Mercy may accept or reject DWG drawing deliverables from consultants and/or contractors.

Requesting ANY Change to These Standards All Mercy standards must be followed completely. To make any request for variance, change, or addition to this document you must call or email the CAD Management Manager at Mercy to receive approval for any changes to these standards. You can also find the correct requesting a change form, that is provided in the Appendix E section of this manual. Any changes without Mercy CAD Manager Approval will be rejected.

Definitions, Descriptions and Listing of Abbreviations This document contains sections throughout which make reference to the person or persons responsible for submitting, revising or maintaining the DWG drawing files. These may include: • CAD Management technician • Outsource architect, engineer or contractor For the purpose of clarity all of the above shall be referred to in this document as the DRAWING SUPPLIER. Only in cases that a specific group or individual is to be identified will they be called by title. Base drawings supplied must be returned with projects and / or expansions incorporated, and they must conform to our standards.

Manual Organization This manual contains an introduction, sections and several appendices:

Section 1. Facility Management System This section explains all components that are needed to run Facility Management System, FMS. FMS - Future new name will change to “Real Estate – Locations”

Section 2. Standard Drawing Setup This section aids in starting the drawing process. Conventions are explained in detail for directory structure, file naming, title blocks, dimensioning, and north arrows. Furthermore, this section explains the drawing scale, limits, and other system variables required.

Section 3. CAD Properties and Elements This section describes all Mercy drawings standards that must be adhered to. The layering conventions, plotting conventions, Line Types and text sizes are all explained in detail. This chapter also describes the graphical Line Types used by Mercy to represent various types of equipment and floor plans. Plus CAD Management department check list is a layering reminder.

Section 4. Requesting, Maintaining and Accuracy Requirement This section describes how to request a newly acquired or leased or owned building to be hand measured by the CAD Management team. Requesting past or finished drawings that is being tracked by the CAD team. Also the level of detail the CAD management tracks or maintenance within the layers of the DWG drawings. The accuracy requirements for all drawings produced for or by Mercy.

Section 5. Submittal Conventions This section outlines the quality requirements for all drawings submitted to Mercy. Tolerances and general guidelines are also provided. This section describes the requirements for submitting drawings to Mercy, including file format, operating system, and drawing and plotting information Signage Egress Requirement, MEP - Manual Requirements.

Mercy owners understand the Level of Development (LOD) and how it defines the MercyBIM process and project delivery. More important, Mercy defines a clear expectation of what they need from MercyBIM using the LOD scale. From this Mercy owners will have their models ready to maximize their MercyBIM investment. MercyBIM has been outlined into five levels. These levels help define consistent expectations throughout the building lifecycle from planning through design and construction and ultimately the building lifecycle. There are five defined LOD standards per the AIA E202 document. LOD 100 - 300 have a reference to the traditional 2D project delivery method while levels 400 and 500 are specific to the BIM process. Level of Development - LOD is generally defined as follows: LOD 100 - The equivalent of conceptual design, the LOD 100 model usually consists of overall building massing designed to perform whole building type analysis including volume, building orientation, square foot costs, etc. LOD 200 - Similar to schematic design or design development, the model would consist of generalized systems including approximate quantities, size, shape, location and orientation. LOD 200 models are typically used for analysis of defined systems and general performance objectives. LOD 300 - Model elements equivalent to traditional construction documents and shop drawings. LOD 300 models are well suited for estimating as well as construction coordination for clash detection, scheduling, and visualization. LOD models should include the attributes and parameters defined by the owner in the MercyBIM deliverable standard. LOD 400 - This level of development is considered to be suitable for fabrication and assembly. This LOD is most likely to be used by specialty trade contractors and fabricators to build and fabricate project components including MEP systems. LOD 500 - The final level of development represents the project as it has been constructed including as-built conditions. The model is configured to be the central data storage for integration into building maintenance and operations systems. LOD 500 models will include completed parameters and attributes specified in the owners BIM deliverable specification.

Section 1: Facilities Management System

FM System (Real Estate Locations) FM Systems is a full suite of purpose-built, scalable facilities management products that can help building owners and CAD Management technician integrate building data derived from BIM processes and use it to manage their facility drawings, data, assets, occupants and work requests. FM Systems is a graphics-capable facilities management application, with both a database component and a graphics component—giving facility managers a toolset to access and work with facility data integrated with existing facility drawings. This graphic component provides non-CAD users with simple, intuitive tools for viewing and managing graphical spatial information. From a functionality viewpoint, FM Systems combines the features of CAFM (computer-aided facilities management) and CMMS (computerized maintenance management system)—with a variety of space, asset and maintenance management features. The FM Systems product suite includes these major components:

FM: Interact: The web site link of FM System. The Facility Manager enables organizations to track and maintain assets and spaces, manage repair or renovation projects, and implement maintenance procedures and schedules. With FM:Ineract, the Project Manager can organizations can manage all facility drawings and data in a single environment—enabling the users to query, pan, zoom, print, and share facility drawings and data.

AutoCAD layers New FMS:

• A-AREA = BOMA Space polyline, this is then linked to calculate the SF of space

• A-AREA-IDEN = FM Database text link (do not delete or copy) • A-ANNO-TEXT = FM all room data information • A-AREA-PATT = Rendering FM Tables including:

o Space = Lawson organization department number o Space Type = Room types used

• B-AREA-CONST = Outside / Exterior permitted, building SF • B-AREA-FLGR = Floor Gross / Interior wall SF

Facility Web: This module publishes the facility data and drawings managed with Facility Manager into web formats, providing read-only access to data, drawings and reports to others in an organization.

Facility Link: For organizations with AutoCAD-based facility drawings, this module is used to connect objects in those AutoCAD drawings to records in the FM Systems database.

Importing Facility Information - FMS FM Systems connects graphical elements contained in design drawings and BIM models to backend database engines including Microsoft Access, Microsoft SQL, or Oracle. The data import features of FM Systems means that virtually any existing digital facility data can be easily imported into the FM Systems database. FM Systems also has simple processes by which graphical1 spatial information— particularly room areas and attributes—can be connected to the database. The DWF file format can be used to import and manage drawing information outside the native CAD or BIM environment. This method is the primary means of connecting BIM-based design information to downstream facilities management and operations.

Section 2: Standard Master Drawings Set-up

Before any new Architectural walls are drawn on your DWG files, please open the web link:

This web site contains the Mercy On-line Plan Room. • Architects always need to work from the latest *DWG background because walls

changes often. • M,E,P,FP and FA Groups must phone call and set up a appointment with the

CAD Management team, before they do any new work and change spaces i.e. Room, Suite, Floor, or a Building.

Mechanical Drawing Goals 2D Set-Up for Mercy

When new construction work is going change a space i.e. Room, Suite, Floor, or a Building:

• You must contact the CAD Management Team. • Ask for all Mechanical HVAC in the space that’s being demolished and also

ask for Mechanical HVAC for that complete floor, even if you are just changing a room.

• When the As-built or Project Drawings are provide back to CAD Management team, we need to see not only the current project drawings, but also how the work connects to all surrounding areas.

• Mercy is to have a complete floor HVAC master set. • Once this is working and contractors understand our new process, we will

have the same goals for: Plumbing Electrical Fire Alarm

It is not the role of the CAD management team to combine or join the Duct work pipes in newly construction areas or past finished projects. See Section 4, for more information on these requirements.

CMMS / 4 RIVERS™ Equipment Designation for Construction

Documents for CAD Management

• The Computer Maintenance Management System (CMMS) or 4 RIVERS™, is a preventative maintenance program which is a main focal point of Mercy Facility and Operation Maintenance (O & M) Departments. This program is centralized and requires a very specific numbering system.

• To obtain this number will require the design engineer to contact the facility department during design development and request a number to be scheduled for each piece of equipment

• Equipment schedules will need to be modified to include a column for CMMS tag number. The floor plans can still reflect a typical designation

such as an exhaust fan designated as EF-1 but the schedule shall include the CMMS number.

This new numbering procedure will identify to the O & M department the new equipment being added to their facility before the design development drawings are issued. It is not the role of the CAD management team to provide you with this information

Drawing Set-Up Drawings will be created using Named Plot Styles. Check Tools>Options>Plotting and make sure the setting is checked to use Named Plot Styles. See the Named Plot Styles section on how to use Mercy1.ctb.

Drawing Naming Conventions If you are in need of a master background DWG for your project? You need to contact CAD Management Team to obtain the appropriate DWG. If any questions over naming conventions arise. The building name and property code number is generated by Buxton Database program.

Building Name - Property Code # - Floor # .DWG

Drawing Scale All drawings in CAD must be drawn to a full, real world scale (i.e. 1’-0” = 1’-0”). All drawing elements should be drawn to the exact distance of the object that they represent. Since no scaling takes place in the drawing, text height, line type scale and dimension scale factors must be considered when a drawing is created. The only time that drawings will receive a scale factor (i.e. ¼” = 1’-0”) is during the printing or plotting process. Primary Units should be Architectural with precision to the nearest 1/8”.

Drawing Limits The drawing limits in AUTOCAD are essentially the area in which a user works on a drawing. No physical limitation is imposed on these limits; however the extents of a drawing should be checked to ensure that no objects are drawn outside of the drawing limits. Objects outside the drawing limits will slow the regeneration and manipulation of the drawing. Drawing limits should always be created to be somewhat larger than the outer extents of the drawing objects. Example: If a user draws a building that measures 100’ x 50’, a proper setting for the AUTOCAD limits would be: Lower left limits: 0,0 Upper right limit: 120’,70’ This setting would allow approximately 10’ on each side of the building for other drawing items such as text, notes and dimensioning. The lower left limit in AUTOCAD should always be the coordinate 0,0. All drawings should be submitted in Model Space with the drawing display zoomed to the drawing extents.

System Variables There are several AUTOCAD system variables that must be set before any drawings are submitted to Mercy. If any of these system variables are changed during the documents production, the variables should be set back to the settings described here in before submission. The most important AUTOCAD system variables are as follows:

• The TILEMODE must be set to 1 (the drawings must be in Model Space) • The BASE point must be set to (0,0,0) The following variables may be set by locating the UCS to the -Default AUTOCAD position (0,0) UCSORG must be set to 0'0",0'0",0'0" (Stores the origin point of the current coordinate system for the current space) UCSXDIR must be set to 0'-1",0'0",0'0" (Stores the X direction of the current UCS for the current space) UCSYDIR must be set to 0'0",0'-1",0'0" (Stores the Y direction of the current UCS for the current space)

Titleblocks The following are conventions for entering the Titleblock information: • The standard New Mercy E- size Titleblock is required on all drawings. • The Titleblock drawing shall be inserted as a BLOCK into the Paper Space tab

called “Layout or named the floor number. Pasted to the layer “A-ANNO-BORDER”, with the insertion base point of “0,0,0”. The data fields must be filled in completely and accurately with the appropriate information

• The standard North Arrow will be included within the provided Titleblock. The

orientation and rotation of the North Arrow will point upwards by Default. It will be rotate as needed to reflect the building’s true orientation

Standard Titleblock Key When a Titleblock drawing is inserted into a CAD drawing as a BLOCK, it contains several pre-defined fields that will activate and prompt the user for input. The following is an explanation of these fields. 30x42 E, size titleblock for your drawings. 1. Building Name Used to identify the Property Name Example: Mercy Hospital, St. Louis

Editing the Titleblock Information at a Later Time The information contained in the Titleblock drawing can be edited after it was initially inserted by typing ATTEDIT in the AUTOCAD command line and then selecting the information that needs to be changed. This will once again bring up the “Edit Attributes” dialog box allowing the user to make and accept changes and/or enter revision information. Revision Space Name Revision name is where you M-TEXT the previous name of the area (department name) and then add the new Department name. Knowing what department used to be in the area will help in archiving and searching for drawings the future North Arrow The North direction designators (North Arrow) must be on layer A-ANNO-SYMB. It will be inserted into the Titleblock as a BLOCK.

The North Arrow must be located in the Lower right hand corner of the main viewport in the Titleblock drawing. Standard North Arrow Drawing Blocks In AUTOCAD, a group of objects that are used often or will be repeated in the same drawing can be converted into a single symbol or BLOCK. A block can then be stored in the drawings’ memory and inserted time and time again. AUTOCAD maintains a list of all blocks in the drawing that are available for insertion. A block can also be stored or saved outside of the current drawing, allowing it to be inserted or used in other drawings by using the WBLOCK (write-block) command. This actually creates a small independent drawing file of the symbol on either a disk, or a local server hard drive location that the user specifies. Graphic entities such as columns or equipment symbols that occur repeatedly in a drawing must be made into AUTOCAD blocks. Well-designed blocks are essential in creating and maintaining memory-efficient and organized CAD drawings. Blocks also assist in maintaining the integrity and consistency of the drawing database.

Proper Block Creation and Naming Conventions All blocks shall be created on layer “0”. All properties of the entities within the block shall be controlled by the layer to ensure that the block will assume the properties (color, line type, etc.) of the layer that it gets inserted onto. Block names in AUTOCAD must be a maximum of 31 characters and cannot contain spaces and/or special characters.

Block Category

(The first two characters of the block name Should relay the discipline of the symbol (Example: A=architectural, EL=electrical, etc.)

Block Description (Physical description of the symbol or item represented)

ELOUTLET .DWG For every new block a CAD Drawing “Non-Standard Form Request” must be completed as provided in the Appendix section. Definition of Symbols/Blocks Standard Symbol: Symbols provided by Mercy and housed in a standards library. Interim Symbol: Non-standard symbols used as a means of transferring information from one drawing to another as a block. After the interim block is inserted and exploded, it shall be purged from the facility drawing. Site-Specific Symbol: Symbols that are specific to one building or floor and would not be useful in other drawings.

General Types of Symbols/Blocks Real Scale: Symbols or blocks which are inserted into drawings at real scale that represent real objects and dimensions regardless of the scale of the drawing, (e.g. desks, chairs and equipment). Scaled: Symbols or blocks must be legible at any scale. These designators are graphic representations which may contain text and are used to annotate parts of

the drawing (e.g. telephone data, and power outlets, North arrows, room numbers, etc.). Non-Standard Symbols or Blocks: • These guidelines relate to creating symbols and blocks not available as part of

the standards: • Blocks requiring text shall utilize AUTOCAD text attributes when appropriate.

Attributes will request input for information at the time the block is inserted into the drawing.

• Insertion points at 0,0,0 unless block requires specific object snap placement. • Blocks are not to be inserted with varying X, Y or Z scale factors. • Blocks are not to be exploded unless they require editing within the drawing. • All blocks are to be created on layer “0” so that when inserted into the drawing

they will acquire the properties of the proper insertion layer. Any other layers in addition to “0” need to be defined on that layer during its creation and blocked on “0.” Please see block naming convention rules and layering standards for further information.

• All blocks shall have color and line type properties set to “BYLAYER.” • Use consistent 0,0 insertion point of block. Lower left, on block standard. • Standard blocks shall not be nested or redefined. • Standard blocks shall be inserted on their appropriate layer. See the layering

standards in Appendix “A” for more information. • Explode standard blocks, then scale, copy, rotate and mirror rather than create

new blocks to accommodate new non-standard conditions • Examples of Blocks below

- Fire Extinguisher / layer name F-Prot 1&2

External Reference (XREF) Files

XREF’s are to be utilized only by Mercy. Any third party providers such as Architects, Mechanical, Electrical Plumbing Fire Protection consultants, and contractors or any approved vendors using a AutoDESK family program willl NOT use XREF’s in type of drawing submitted to CAD Management team. Any drawings containing XREF’s that are submitted to the CAD Management team must be attached using the Bind command, or the drawings will be rejected and emailed back to the PDand C project manager.

To Bind an XREF to the current drawing

• Click Insert menu » External References. • In the External References palette, select the reference name that you want to

bind. • Right-click, and click Bind. • In the Bind Xrefs dialog box, select one of the following options:

1. Bind converts the objects in the xref into a block reference. Named object definitions are added to the current drawing with a prefix of blockname.

2. Insert also converts the objects in the xref into a block reference. Named object definitions are merged into the current drawing without adding prefixes.

• Click OK to close each dialog box.

Note: Upon initial implementation the only use of XREF drawings will be the Title Block drawing, the Architectural drawing if available and the Space Polyline Drawing. All disciplines will be drawn on the Architectural drawing following the AIA Layering conventions. As CAD functions expand at CAD Management, discipline information may be divided into individual drawings.

Section 3: CAD Properties and Elements

Layers A complete list of layer names, colors and line types are provided in Appendices A, B, and C. The layers are derived from the structure of the AIA (American Institute of Architects) – Compliant Mercy approved Layer Guide is located in the - Appendix A.

Text Style, Size The primary text font to be used will be AutoCAD’s Arial CE font. Suppliers are not to use any complex fonts (e.g. complex, italic, or any True Type font (.TTF) for any notes or text. These fonts decrease performance and slow plotting / printing time. Additionally, trying to open an AUTOCAD drawing on a computer that might not have the same third party font files installed can be very difficult and time consuming. For all drawings the minimum plotted text height shall be 1/8”. All plotted text should be readable at 1/8”=1’-0” scale. The following text sizes may be modified but should be used as a guideline for all drawings.

AutoCAD Line Types, CAD Management Firewalls and Scales

AutoCAD Line Types Although AUTOCAD offers many different variations of line types only 4 of those may be used to create and maintain Mercy drawings. (No other Line Types may be used.) All AUTOCAD colors and line types should be assigned by layer. Do not use the color Yellow as line type, or as text type word, in your DWG drawings. This is part of ADA Accessibility Guidelines to people with Color blindness. Color 51 is accepted.

AutoCAD Line Type Scale As a general rule, the line type scale should be calculated by setting the LTSCALE variable to 1/2 of the drawing scale factor. Therefore, the LTSCALE may be determined by multiplying the denominator of the drawing scale by 12 and dividing the result by 2. For example, if the planned plotted scale were 1/8” = 1’-0”, you would multiply 8 (denominator) by 12, equaling 96 and then dividing that figure by 2, for an LTSCALE Value of 48.

Dimensioning The following guidelines for dimensioning should be followed. It is recommended to take the STANDARD dimension style provided with AUTOCAD, make the required modifications as shown below and perform a SAVEAS command to a style name Mercy. • Dimensions shall be defined by architectural ticks. • All dimensions must be specified in feet and inches, except for dimensions less

than 12 inches. (Example: 1’-6 ½” less one-foot equals 6 ½”) • Automatic dimensioning by AUTOCAD should not be the only source for

dimensional accuracy; distances should also be verified by the drawing supplier of the CAD file.

• Mercy encourages the rounding of dimensions to the nearest 1/8” unless greater accuracy is required for a specific case.

• The spacing between stacked dimension lines should be a minimum of 1/4” (plotted).

• Text will be centered above the dimension line. • Dimensions are to be created associatively and not exploded. • When applying a series of dimensions, the longest dimension should be farthest

away from the object to avoid dimension line - extension line interference. • Architectural ticks size should be set on 3” in height • All dimensions shall be read left to right or bottom to top’ • Text fonts shall be Romans

Printing and Plotting In AUTOCAD a user has generally two options for creating a hard copy output of a DWG file. Printing is a term typically used when sending the drawing file to an 11”x17” printer. Plotting usually refers to generating a larger (up to 36” x 48” and up) output. In both cases colors are assigned to entities in drawings by layer (BYLAYER). While AUTOCAD allows entities drawn on the same layer to have multiple colors, changing Default color assignments will eventually undermine efforts to maintain database consistency. Therefore, in most cases, all entities on a given layer shall have the same color. Layouts All plotting and printing is to be done with saved Layouts. A minimum of two layouts shall be defined for each drawing. These include: Discipline Check, Discipline Final. Each discipline will have its own layout settings (Architectural, Electrical, etc.) with the appropriate discipline layers visible including the Titleblock drawing which displays the attributed information. Layout Settings shall be defined as follows: Plot Areas: Extents Plot offset: Centered Plot Scale: 1:1 with scale lineweights box checked Plot options: Plot with Named plot styles/ plot paper space last Orientation: As appropriate Layout Name: Discipline_View_scale_Type For example: A_Plan_1-8_Check Plot Device names should be set to NONE. Named Plot Styles One plot styles shall be used at Mercy- Mercy1 for final plots Copy and Paste Mercy1.ctb Pen table into your Plot Style folder which in your AUTOCAD program. To choose this pen table go into AUTOCAD, Plot, Plot Device, Plot style table, and choose Mercy1 All designers, contractors, engineers, and vendors must use the approved Mercy1.ctb file all drawings or reproductions. Please check with the CAD Management manager first before changing this file.

Work Flow Check List Guide

CAD Management Team only:

1. We receive an email from INDOX stating that a new project has been uploaded to the Online Plan Room.

Communicate with Property/Facility Managers (RES) when changes are happening in their buildings.

2. In the Blueprints Excel Database, update the As-Builts CAD Management

tab with the Mercy project number, etc. (Ask project manager which disciplines will be submitted with the finished project)

3. A CAD Management Team contacts the PD&C Project Manager and

together determines where the on-going Construction Temporary Barriers are to be located. “These are only for projects with Temporary Barriers up for more than 3 months”

4. CAD Management Team will update the Fire Walls – Life Safety maps.

5. PD&C Project Manager will notify the CAD Management Tech before the

newly constructed space will be occupied.

6. CAD Management team will then contact the Plant Operations Supervisor of that building, and both will then go and inspect together the new area. In the inspection you are only to use the “Construction Drawing from the contractors” at the job site and follow the Life Safety Code NFPA101

7. 90 Days after project completion, we are to receive all disciplines of

As-Builts. At this point, start a new project “Check List”

8. Update your master building - Blueprints Excel Database in appropriate building tab.

9. Any CD’s or electronic files are reviewed per our CAD Management team

Standards and accepted or rejected.

10. Visit the newly constructed area and review walls to make sure plans are correct. Note all items listed in part 4 of “Check List”.

11. Cut and paste new walls into the Master DWG drawing.

12. Update the BOMA Polylines and link drawing to FM Systems Database with

room space descriptions.

13. Call the (RES) for the new Doctors Suites’ Lease number and Expiration date and the appropriate Lawson number.

14. All CDs and Jump Drives are backed up on the External Storage Device.

This is notated in the CD column in Blueprints Excel Database with a point number. (For example, 615 & ESD #1 means it is backed up in the #1 External Storage Device).

15. Sign Transmittal and email return.

One copy goes to Mercy Senior Capital Accountant, then that person can release payment.

One copy of “Check List” goes to the Property Manager (RES) Original transmittal goes back to the Contractor.

Asbestos Maps

We receive the Asbestos Report for the newly constructed area. Draw a polyline around the surveyed area. From the report, determine if the area needs a hot or clear area hatch (on the “H-ASBES” Layer). For other symbols, look at the Asbestos Symbol Legend.

• Update the excel file which can be found in the Asbestos folder in the K:drive.

• Then, open the appropriate building file and floor tab. • Assign the next sequential book number. Assign the next sequential

Asbestos number to the call outs in the CAD drawing. Add the date and SJMMC Job number.

• Select the entire excel tab, copy and paste into the CAD drawing (on the “H-ASBES” Layer).

• Original Asbestos Reports are securely filed.

CATV Location Maps In the newly constructed area draw the TV symbol on “E-CATV” layer. If no TV is there, but cable hook up in the wall draw CATV symbol on “E-CATV” layer. Update the number count and the date checked square in drawing. Then update the excel file which can be found in the TV-CAT folder.

CCTV Location Maps In the newly constructed area draw the Camera symbol on “E-CCTV” layer. Draw a triangle in the direction that the camera views. Assign the next sequential number to the new camera. Go to the camera location and take a photo of what the camera views. Save the photo in the folder called CCTV in the file called Pictures in K:drive. Update the legend and photos in the XREF file in the CCTV folder. Create “oversize Arch C 18x24 landscape” and save to DWF.

Fire Dampers Maps In the newly constructed area draw the Fire Damper symbol on the “F-PROT-DAMP” layer. Use the next sequential number in the 1st column of the excel legend. This number will be on the call out next to the symbol in the drawing. The new CMMS damper number needs to be added to the excel file located in K: drive in the Fire Dampers folder. Delete old excel in drawing and paste in the new updated excel. Then print the drawing and give to Systems Analyst to update CMMS numbers. Create “oversize Arch C 18x24 landscape” and save to DWF.

Fire Doors Maps In the newly constructed area draw the Fire Door call out on the “A-DOOR-F-IDEN” layer. Switch on the Fire Wall Layer (F-PROT 1&2) to locate fire doors. Then, switch on Exit Lights Layer (E-LITE-EXIT) to locate the closest exit light to the new door. This number will now be the new Fire Door number (with a lowercase “d” on the end). Then print the drawing and give to Systems Analyst to update CMMS numbers. Fire Evacuation Maps

Print out the newly constructed area plan and locate where the fire evacuation map holders are mounted. Also mark on the plan where Fire Extinguishers are located. In CAD, open the Exit Map Sheet Tab and switch on the “A-EXIT-SYMB” Layer. In Model Space rotate the plan to correspond to the viewer’s real-life perspective. Add “You Are Here” call out with arrow next to where the fire evacuation map holders are mounted. Rotate North arrow in Logo and change location description to suit. Print in color 8 1/2” x 11”, save the map as a PDF file into the K:drive Exit Plan folder.

Fire Extinguisher – Life Safety Maps

Using the new Fire Extinguisher locations from Fire Evacuation Maps walk through. Add onto the “F-PROT 1&2” Layer.

Fire Valves (sprinklers) Maps

In the newly constructed area, switch on the “F-PROT-VALVE” Layer. Communicate with Maintenance to determine which valve shade or number (flow – alarm- tamper- valve- drain #) might have changed. Update Shades/ Numbers. Create “oversize Arch C 18x24 landscape” and save to DWF. Fire Walls – Life Safety Maps

Look at the new construction As-Builts and locate the new Fire Walls. In the Master Drawings, switch on the “F-PROT 1&2” and the “A-EXIT-SYMB” Layers in the newly constructed area. Update the Fire Walls to match. Fire Walls polylines must be 11” wide. Meet with the Project Manager to determine where the on-going Construction Temporary Barriers are located. These are only for projects with Temporary Barriers up for more than 3 months. Create “oversize Arch C 18x24 landscape” and save as a DWF. Post DWF on the Online Plan Room website. HVAC - Maps

In the newly constructed area, switch on the “M-HVAC-EQPM” Layer. Communicate with Maintenance to determine which HVAC shade or CMMS number might have changed. Update Shades, Numbers, and Air Handling Unit Schedule Table. Communicate with Maintenance if the new HVAC uses a charcoal filter and determine if there are any new CO Monitors in the area. Update CO Monitor table.

• When a new Air Handling Unit is installed, open “AHU Schedules” Folder in K:drive. Go to the AHU Info Data folder and create a new excel file.

• When a new Rooftop Air Handling Unit is installed, update the drawing with a call out on the “M-HVAC-EQPM” Layer.

In the newly constructed roofs, draw the new roof outline on the building level where the new constructed rooms are using the “S-Wall” Layer. Then cut the polyline out and paste it into the floor above. For Example, if it’s a new roof on the 1st floor, the new roof polyline would be pasted into the 2nd floor drawing. Open the 00K3-SJMHC-001.xls file which is located in the K:drive. Copy and paste the roof outline from CAD into the Excel file. If it’s not already open, go to Tools, to Customize, to the Toolbars tab and check the “Drawings” box to open the Drawing toolbar. Select “AutoShapes” on the toolbar, select “Lines” and then pick the icon “Free Form”. Now trace the roof outline to create a custom shape cell. Fill the roof outline with a Fill Color and assign a roof number. Create a new roofing excel by opening an existing roof excel and “Save As” the new assigned number. Make a hyperlink from 00K3-SJMHC-001.xls to the new Roof Information Sheet. Take pictures of the new roof and hyperlink file to new Roof Information Sheet. Also if there is a CAD drawing, it needs to be hyperlinked. Contractors, Vendors, Real Estate Services or Regional PD&C requests for measurements should go direct to CAD Management Manager first. Dimensional Accuracy Mercy will accept a 0" tolerance for CAD drawings. All CAD elements must be drawn to the most accurate possible dimensions possible following the master/s sent out. The drawing supplier is responsible for the accuracy of the drawings supplied or created for Mercy. The drawing supplier will correct any and all errors found in the accuracy of the CAD drawings provided to Mercy at any future date. All errors will be corrected without additional charges to Mercy.

Submitted Drawing Mandatory

Upon completion of all construction projects and before the public steps into the new space the Construction Drawings DWG must be sent via email or Jump drive (which we will provide) so we can draw and mount the new Evacuation maps in the new areas. This is a THE JOINT COMMISSION requirement on safety and Authorities Having Jurisdiction (AHJ) – Fire Department All Architectural and MEP firms must submit AutoCAD drawings no later than 90 days after project completion (projects are considered complete when the public enters the new areas). Final payment will be made upon Pass Check List receipt of drawings. As-built or (final record drawings) AutoCAD drawings must be sent to us via Jump drive or CD.

Field Verification

The drawing supplier will perform Field verification unless otherwise specified by Mercy. If the results of the verification are substantially different from the DWG drawing(s) provided, Mercy must be notified immediately. The wall columns and column lines should be drawn first and input to exact dimensions when possible. All drawing offsets should be measured from the nearest column grid. The accuracy of the CAD drawing should be +/-2” for any one room dimension. Wall thickness should be to the nearest 1/4.” The tolerance for freestanding furniture placement is typically +/-1.” The tolerance for systems furniture placement is typically +/-1/8.” The drawing supplier must use the furniture symbols provided by the Mercy approved furniture manufacturer(s). In a new or un-partitioned drawing Mercy will expect higher dimensional accuracy.

Graphic Accuracy All drawings must be produced following good CAD practices. AUTOCAD OBJECT SNAPS must be used for all object intersections and placements to ensure that all corners meet. These object snaps include, but are not limited to: endpoint, midpoint, intersection, apparent intersection, center, quadrant, etc. The following are minimum requirements for graphics accuracy: • Lines or contours should not be drawn with more line segments than necessary. • There should be no duplicate drawing elements (line on line). All drawing elements should be connected as required (e.g. corners should meet).

When any drawing type supplier A,M,E,P,FP is creating a new site or drawing, all of the conditions in this manual should be followed completely.

Technical Specifications The list of approved software applications and versions can be requested from Mercy. All CAD drawings submitted must be in version R2014 When submitted in R2014 format, all plot style tables must be included. Drawings must be submitted on Jump Drive. Jump Drive will be provided by the CAD Management team. In addition, a list of the CAD drawing filenames and their corresponding drawing titles must be provided. (See section 2, for CAD Drawing File Name Conventions, and Title block Field Explanations, for description of information to be provided.) Each drawing in the sheet set must be a separate CAD drawing file. Do not externally reference materials for submission.

The most common starting points for a structural firm are 2D CAD files provided by the architect.

Revit Structure lets firms import or link DWG files from AutoCAD® software and

AutoCAD Architecture directly into Revit Structure. If the 2D CAD file is linked while being imported, it remains within Revit Structure as a backdrop and can be refreshed if the architect supplies an updated version. The engineer would use the ManagLinks option in Revit Structure to reload a new version of the architectural background. Within AutoCAD Architecture,the architect has several ways to give the project information to the engineer: 1. If the architect has designed a floor plan without linked files (also known as external references), the first step towards exporting the files for use in Revit Structure would be to enable proxy graphics by setting the system variable to 1. With proxy graphics enabled, users who do not have AutoCAD Architecture but do have another application that can read DWG files (AutoCAD 2000 or newer, Revit Structure), can view and plot AEC objects created in AutoCAD Architecture. Finally, the drawing should be saved and sent to the engineer.

The imported geometry can be referenced or converted directly to create new structural components. For example, the lines representing an architectural grid on a DWG file can be used to create a new structural grid either by digitally tracing the lines (referencing endpoints, midpoints, etc.) or by selecting the appropriate line, using the pick tool, and converting them directly to Revit Structure grid lines. 2D wall lines or 3D wall faces from AutoCAD Architecture wall objects can be converted directly to 3D structural walls in a similar fashion (using floor elevations to specify height, and wall library for material and thickness of the wall).

If the 3D Architectural model is composed of several linked files (most likely one file per floor), the recommended method is to set the proxygraphics value to 1, and export the file to AutoCAD. Alternatively, the previously described method of binding the xref files can be used, so that the imported (not linked) DWG file can be partially exploded and queried inside Revit Structure. Each AEC entity becomes its own Import Symbol and Properties dialog displays important properties of the AutoCAD Architecture objects.

Exporting 3D Structural Models

For improved coordination with architects, Revit Structure exports structural components as intelligent building objects native to AutoCAD Architecture. In Revit Structure, the engineer will select a 3D view of the building structure and export the file into DWG format.

Because AutoCAD Architecture does not support non-extruded structural members (coped elements, cutbacks, cuts, holes), there is an alternative to preserve the exact shape of objects (loosing the structural properties) or to create simplified AutoCAD Architecture object (loosing some geometry accuracy but keeping the structural properties). Structural components in Revit Structure that are not of a type supported in AutoCAD Architecture (slabs, footings, and walls with structural characteristics) are exported to AutoCAD Architecture as mass elements. Exporting Structural Views and Drawings For collaboration purposes, the ability to export any view or structural drawing from Revit Structure into a 2D CAD file is, obviously, very important. Autodesk Revit Structure can produce DWG deliverables just as AutoCAD software can, producing well-organized and layered DWG files using any layering standard the user wants.

Before exporting your Revit Structure view as a DWG file, you’ll also want to consider a layering scheme. Right out of the box, Autodesk Revit Structure supports both local and international layering conventions with built-in AIA (US), BS1192 (UK), ISO 13567 (Europe), and CP 83 (Asia) formats. For those architects who have spent time developing their own layering conventions, Revit Structure supports them as well with a convenient mapping table that maps a Revit Structure design element 1-to-1 with an appropriate AutoCAD layer name.

If there are no polylines showing on the correct layer, when the CAD technician reviews your completed drawing? This drawing file will be rejected back to the PD&C project manager for corrections. This will result in late payment sign off.

Appendix D: Mercy Space Measurement Standard

Following are the guidelines to which Mercy bases their space measurement standards. They are based in accordance with the Standard Method for Measuring Floor Area in Office Buildings, ANSI/BOMA Z65.1 1996 (hereafter the ANSI/BOMA Standard).

Definitions Some of the definitions that will be used within this document include the following:

FINISHED SURFACE shall mean a wall, ceiling or floor surface, including glass, as prepared for tenant use, excluding the thickness of any special surfacing materials such as paneling, furring strips and/or carpets. DOMINANT PORTION shall mean the portion of the inside FINISHED SURFACE of the permanent outer building wall which is 50% or more of the vertical floor-to-ceiling dimension, at the given point being measured as one moves horizontally along the wall.

GROSS BUILDING AREA shall mean the total constructed area of a building. It is generally not used for leasing purposes. GROSS MEASURED AREA shall mean the total area of a building enclosed by the DOMINANT PORTION excluding parking area and loading docks (or portions of same) outside the building line. It is generally not used for leasing purposes and is calculated on a floor by floor basis. MAJOR VERTICAL PENETRATIONS shall mean stairs, elevator shafts, flues, pipe shafts, vertical ducts and the like and they’re enclosing walls. Not included however, are vertical penetrations built for the private use of a tenant occupying OFFICE AREAS on more than one floor. OFFICE AREA shall mean the area where a tenant normally houses personnel and/or furniture for which a measurement is to be computed. USABLE AREA is the sum of OFFICE AREA, STORE AREA and BUILDING COMMON AREA on a floor. For BOMA’s purposes, it is used in calculating RENTABLE AREA and pro-rating BUILDING COMMON AREA among floors on a basis of the rentable-to-usable ratio for individual floor and the building as a whole.

Space Measurement/ Polyline Guidelines Measurements for the purpose of a Lease Management application are generally a subset of the measurement typically captured for a comprehensive Space Management application. For the purposes of this document, the type of measurements to be identified and captured will include OFFICE AREA and MAJOR VERTICAL PENETRATIONS. The OFFICE AREA will be used as the rentable area for the Tenant. Each Room will also be identified as to its Class Type (i.e. how the room is used).

Measurements for GROSS BUILDING AREA and GROSS MEASURED AREA will not be captured at this time unless a tenant space incorporates an entire building or

floor. The reason for this is that the floor plates are not available at this time to verify the measurements

As Mercy requirements expand and additional buildings are brought on-line a full comprehensive Space Management system can be evaluated and implemented as appropriate and the CAD standard may be modified and updated.

All general measurements will be taken based on centerlines of interior spaces to DOMINANT PORTION of the exterior wall. Measurements for all adjacent spaces and spaces adjacent to floor common areas will be measured to the centerlines. Special clarifications: For measuring to exterior walls, columns are not to be considered in measurements to the DOMINANT PORTION of GROSS MEASURED AREA. However, if the DOMINANT PORTION of the exterior wall changes from one side of the column to the next, the measured line will go ½ the horizontal distance and then step to meet DOMINANT PORTION on other side of wall. For measuring interior spaces, where alcoves, recessed entrances or similar deviations from the corridor line are present, they will be considered part of the OFFICE AREA just like the space would have been if the deviation had not occurred.

Accuracy The level of accuracy expected to be achieved with the field measurement process is to be within +/- 1”. The measurements captured for input on the CAD drawing for rooms will be the ‘link’ between the CAD drawing and the RES database. Accepted Square Footage numbers for Lease purposes will be entered separately within the RES database. Based upon Mercy’s needs these numbers may be different or be entered as the same.

No AutoCAD Plans will be Accepted if you use your own room number program Please follow the room numbering system that is already in place at Mercy and all offsite buildings.

Tenant ID The Tenant ID will be used to represent the overall OFFICE AREA or gross Rentable Area for the Tenant space. This polyline will be drawn on layer B-AREA_FLGR following the polyline guidelines described in this document. Please call us with any questions. Room Number Methodology Once an Architect has assigned a Room Number it cannot be changed by, M,E,P,FP and the signage Vendor. Every room space including the corridors must room sign on the drawings.

When the approved signage vender is mounting the new signage to the newly constructed walls The Project manager must remind the sign vendor of Signage Standard Documentation Room Number sign to be visible in every space location that has a Fire type / alarm devise mounted on the wall or ceiling. (The Project manager can look at the electrical drawings these are marked on the titleblock with FA) This room / space number is then tied back to the Fire Control Panel. The Fire Marshall is requiring signage as this is part of our building certificate UL (UUJS) and with the Fire Department having AHJ. This will speed up response time, in case of an emergency situation. The room / space number is also tied back to Johnston Controls PC which controls the HVAC for that room. Room Numbers are used by Maintenance for their CMMS/4 RIVERS equipment tracking.

RES CAD Team If you are measuring a new suite and there are rooms numbers on the doors. The waiting room will be the suite number. Then in ante clockwise the room numbers will be .1 Example: Waiting room 601, reception 601.1, nursing station 601.2 Space Type Space Type is the broadest category of space description. There are only four classes to be used for defining the spaces within the Mercy organization. • Assignable • Floor Common • Vertical Penetration • Building Common = vestibules Space Type is the next level of detail in describing the space. Space Types often have a physical space size associated to them so they can be used in Space Forecasting/Planning modeling. Following are the approved list of Space Types for the Mercy organization within each Class. Space Types names of the rooms may be used and approved by the Mercy.

Step-by-Step Polyline Guidelines When creating or editing polylines (also referred to as polylining or p-lining), users should proceed from the outside moving inwards, beginning with the tenant suite polyline which defines Tenant Rentable “Office Area”, then working in through the various space categories. This is a baseline figure that Mercy uses to ensure that all the individual spaces within this perimeter have been accounted for, by calculating an error rate that indicates whether areas have been omitted or double-counted (overlapped). When p-lining at the exterior wall, the polyline is located at the inside face of the wall regardless of the type of space it is, measured to the “Finished Surface” of the inside face. “Finished Surface” refers to a “wall, ceiling, or floor surface, including glass, as prepared for tenant use, excluding the thickness of any special surfacing materials such as paneling, furring strips, and/or carpet.” The inside face is either that of glass or solid wall, depending upon which is the “Dominant Portion”, i.e., that which constitutes more than 50% of the vertical floor-to-ceiling dimension, with no deductions being “made for columns and projections necessary to the building.” This is BOMA’s 50% rule.

Any wall that is adjacent to an open space should be polylined so that the wall is included with the enclosed room, no matter what its classification is. For example, in a core and shell office tower, all rooms in the core will be polylined to the outside face of the core walls.

All poly-lines must be closed and no space-enclosing polyline may overlap another. There should be no gaps between p-lines delineating adjacent space. Areas that are one square foot or less should be ignored.
