General Rules & Guidelines for Students Residing in the Ladies Hostel1. These Ladies Hostels are run by the Ahmedabad Education Society.2.* The Hostels are Intended for lady students of the Institutions run by the Ahmedabad

Education Society.3. The Hostels are having two terms in a year, June to October and November to May.4. A. FEES : Hostel fee Rs. 4500-00 per term. The Fees will be payable according to

above terms even if the admission is taken in middle of the term.B. DEPOSIT : Hostel Deposit Rs. 3000-00C. Hostel Fees once paid will not be refunded in any case, except if student has notoccupied the seat in the hostel even for a day. In such case the decision of the HostelSuperintendent will be final & binding.

5.* The Hostel Authorities reserve to themselves the right of admission. Hostelites onceadmitted must be prepared to accept the rooms allotted to them and they must abide byall the rules prescribed.

6. Committee comprising of 16 (sixteen) Members, two members from each faculty, will beconstituted to consider the difficulties felt by girls, before they are brought to the notice ofthe Superintendent.

7.* Student staying in the Hostels shall be subject to such rules of discipline as may be madeby the Hostel Authorities time to time and shall be individually and collectively responsibleto the Superintendent for discipline.

8.* In the matter of allotment of rooms and room partners the decision of the Hostel Authoritiesshall be final. Students should not change their rooms on their own, otherwise disciplinaryaction will be taken against them.

9. Once admission is granted all fees must be paid by the date prescribed, failing whichadmission will be cancelled.

10.* Admission is granted to the hostel for one academic year, unless for the reasons ofmisbehavior a student is required to leave earlier. Application for readmission can beconsidered only for those students whose behavior has been satisfactory(throughout theyear) for renewal, each year and the fees paid by the date fixed upon.

11. All hostelites are expected to arrive latest by the evening before college opens. Thosewho fail to do so without necessary permission of the Hostel Authority may forefeit theirplace in the hostel.

12. At least four day’s advance required procedure should be done before vacating the Hostel,along with no-due certificate from the Mess Contractor as well as clearance of all otherdues. Students who leave the Hostel, without the completion of procedure and withoutnotifying the Suprintendent in advance, will forfeit the deposit. Hostel Deposit will berefunded only after the student vacates the Hostel in accordance with the right procedure.

12.A. Students who are unable to secure addmission for the succeeding year should finish thecomplete procedure in the hostel office to get the deposit back within the span of oneyear, failing which their deposits may be forfeited.

13. Each hostel room is provided with a cot, cup-board, writing table, tea table, chair and ashelf.

14. In each room a main tube light is provided. In order that those who wish to sleep maysleep without being disturbed this light must be put off between 12 midnight to 5-30 a.m.Those who wish to study after midnight, must come to a common understanding withother room partners.

15. No hostelite shall invite a guest to share her room without the permission in writingobtained in advance of the Hostel Authorities. A hostelite who does so without permissionis liable to dismissal.

16.* All hostelites are expected to be back in the hostel latest by 8-00 p.m. and mark theirpresence in the register except on Sunday. They are expected to be in the Hostel latestby 10.00 P.M. on Sundays and mark their presence in the register. They are expected tostudy in their own rooms. However, for study purpose the students may go to the roomsof their class-mates, with consent of room partner upto 10.00 P.M. after that they shouldbe back in their own rooms.

17. Late Night / Night out forms alongwith L.G.’s request letter and also a post card addressedto the parents giving a full information regarding the permission taken has to be submittedduring office hours, 24 hrs. in advance. In certain circumstances when permission issought, the above mentioned procedure should be repeated well in advance. Applicationfor late evening permission up to 10.00 p.m.should be given only for Saturdays.

17A. ln absence of superintendent permission for late Night / Night out shall be granted by theappointed committee members only. Such permission for night out can be up to Maximumthree days.

17B. Those hostelites who need to attend career oriented coaching classes which can not beadjusted before 8-00 p.m. will have to submit their parent’s letter along with approvalfrom the principal of concerned college where she is studying to take late night till 9-00p.m. for their respective classes. They will also have to do the normal procedure for latenight and bring letter from the coaching class with full details including timings. This entireprocedure must be done 24 hours in advance. The decision to provide this permissionremains with the hostel authority.

18. The visiting hours are between 4.00 P.M. to 7.00 P.M. on week days and from 8.00 A.M.to 12.00 noon on Sundays. All visitors must enter their names in the visitor’s registerbefore the student is called to the visitor’s room. Visitors must not be taken to the student’sroom, visitors coming at any time other than visiting hours can leave a message with thechowkidar.

19.* During the day, students must avoid all activities likely to distract or cause inconvenienceto their companions. All such activities are forbidden. At 8.00 P.M. study time begins.Silence is then to be observed strictly and no student is permitted to enter another’sroom. Student who is warned more than once is likely to be dismissed.

20. All hostelites are permitted to use water cooler, TV. and gas with utmost care, For anymisuse or damage, the hostel superintendent’s decision for the penalty will be final.However hostelites are not permitted to use either stove, heater, iron, hairdryer or anyother electrical appliances/ instruments. Any hostelite caught using any of these items,the hostel superintendent’s decision for punishment and /or penalty will be final.

21. All hostelites who wish to bring their eel! phone should restrict its use to their rooms only.Anyone found to use their mobile outside of the hostel room in the hostel campus willhave to surrender it in the hostel office and the punishment/ penalty imposed by the hostelsuperintendent will be final and binding. The hostel office is not responsible for any loss,damage or theft of cell phone.

22. Those who find computer necessary for their study purpose can keep it only afteraccomplishment of the required procedure & by paying extra fees.

23. Any students caught using computer without prior permission has to deposit the same in

the hostel office and the Hostel superintendent’s decision for punishment and/or penaltywill be final.

24. T. V. Programes can be viewed on all days till 12-00 p.m. with utmost care that othersare not disturbed. It will be the responsibility of. the viewer present in the hall to inform thechowkidar to close the cabinet when the programes are over.

25* Student as expected to use electricity and water with due care and must not waste it.When the students go out of their rooms they should see that the light and fan are switchedoff. They are also expected to ensure that all common facility provided in the Hostel areused with due sense of responsibility and maintain them as neat and clean as possibleNo waste paper or rubbish should be thrown in the veranda or in the compound. Girls willbe fined if light and / or fans are found to be kept on and taps found to be open,unnecessarily.

26* No function or meeting shall be held within the Hostel premises without the previousPermission of the Hostel Superintendent.

27. Students should take proper precaution to safeguard their belongings. They should usebag and strong locks. The hostel authorities are not responsibile for theft etc.

28. Cases of illness should be immediately reported to the superintendent.28A. If a Hostelite faces any sudden problems like illness, accident etc. the local guardians

taking care on behalf of parents should necessarily come immediately and help as andwhen required so as to provide relief and comfort to the student.

29. Students seeking admission in Hostel should take note that the Hostel authorities are notbound to provide mess facility to them. However at their descreption they may providesuch facilities on following conditions and may discontinue the same without giving anynotice and reasons.I. Dining in the Hostel Mess shall be compulsory for every student admitted this Hostel,

except in case of a student granted exemption from this condition by the societyauthorities in special circumstances. Option can be given by the special permissionof the Hostel Superintendent for the supply of tiffins from the Hostel Mess.

II. Students dining in the hostel mess should pay their mess bill prescribed by thesuperintendent otherwise necessary action will be taken against them. The Studentsgoing home during term study leave declared by the college / school, or midtermvacation will be required to pay service charges of Rs. 5.00 per day instead of foodbill, for the days of absence, in any case.

30. Once the examinations are over students should vacate their rooms within 2 days, aftertaking permission from the hostel authority.

31. Any damage caused to the property of the Hostels, movable or immovable, shall berecovered from the students responsible in the hostel.

32. Repeaters will not be admitted in the hostel.33. After Diwali when second term for the Hostel begins the necessary admission form for

second term should be filled up immediately within 10 days with permission ofSuperintendent and the necessary fees should be paid within (those) 10 days. Theadmission of those who fail to pay the fees within prescribed 10 days, shall be cancelled.

34.* If any student misbehaves, violates the discipline of the hostel or fails to comply with theabove instructions then the student is liable to face disciplinary action, punishment, fineor dismissal.I have read the above rules and I agree myself to abide by them.

RULES

1. All the students are expected to be present in their rooms between 9-00 p.m. to 6-00 a.m.

No student shall stay outside without permission of the Rector.

2. No student can disturb his neighbours by making noise or by Playing on any instrument.

3. No student will be allowed to leave hostel without previous permission of the ResidentRector.

4. Guests will not be permitted to stay overnight without the previous permission of the Rector.Lady guests or friends will not be entertained by any student without permission.

5. Bath rooms, Lavatories etc. must be used properly. Waste paper or rubbish must not bethrown about in the hostel or in the compound but must be carefully put into waste paperbox.

6. Students are responsible for the furniture, fittings and cleanliness of their rooms.

7. Resident students will be held responsible for any damage done to doors, windows, furnitureor other hostel property. They shall have to pay for such damages duly.

8. Electric lamps fitted in the lavatories and passages are the property of the students residingin the particular lobby. If any lamps is lost, all the students are expected to pay for the lamp.The students should bring their own lamps in their rooms and the candle power of lampsshould not exceed 60 w. The use of heaters and radio is strictly prohibited.

9. No extra ordinary functions, meeting etc. should be held in the hostel compound withoutprevious permission of the Rector.

10. Case of illness should be reported to the rector without fail.

11. Smoking is strictly prohibited.

12. When a student is found unfit to stay in the hostel by the Rector, he-will be expelledimmediately.

13. A food committee of students will be responsible for the management of the mess this willbe wholly an elected body. No change in the mess shall be made without consulting thiscommittee.

14. Etiquette and manner should be observed in the mess. Any wastage will be considered aserious offence.

15. Student should not keep, within the hostel, extra money, costly things like ring etc. Thebooks should be kept under lock and key.

16. Hostel mess bill must be paid before 10th of each month. Defaulters will have to payRs. 5/- per day as fine, upto 15th and then the student will be expelled from mess.

17. Students should vacate the hostel immediately after the end of the year or their UniversityExamination.

18. Rector’s decision in all will be final.
