Using the Administration Utility

 A.  Overview

The Visions Administration Utility allows you to do the following:

1.  Monitor the server to view who is logged onto which Visions application

2.  Manage your users by creating, editing and deleting users and their information, and site level

access, including Plant and Equipment Type rights

3.  Configure Visions for each site; such as, lookup categories, custom field labels, clone settings,

etc.

4.  Load and execute queries provided by Metegrity

5.  Lock your Visions service for updates

6.   Access associated form for individual results records

7.   View all activities for a selected event

B.  Implementation

The Administration Utility is a fully user configurable, security & controlled administrative accessmodule. It is to be used primarily by a limited number of users who take administrative control for agiven business unit or site. Typically they are chief inspectors or others with supervisory

responsibilities.  Any potential changes could have an effect as to how Visions works for users.

C.  Access

The Administration utility is a separate executable program accessed through a desktop shortcut or

the Start menu. i.e.: Start | All Programs | Metegrity Visions 4 | Administration. 

Once logged on, access each area of the Administration utility by clicking the appropriate form tab or

using the View menu option:

II.  Manage Users

 Visions administrators control user creation, modification and deletion; and site administrators

manage user creation, security access levels and rights for their site (by site, we mean thecombination of server and database accessed in the logon).

1.   All Visions Users: Lists all users created for Visions. These users are created directly in Oracleand only have access to Visions once added to a site. Dependent upon how your Oracle DBAsets up Visions, this functionality may be controlled externally to Visions.

a.  Create User: create a user, identifying their user name, full name, email, and password.

i.  Expire Password Now: when checked, the first time a user logs on requires a new

password.

ii.  Enforce Password Management: when checked, the password management rulesyour DBA creates will apply to the user’s password. Example: the same passwordcannot be used for 10 uses; the password must consist of numbers and letters, etc.

b.  Edit User Info: edit the information for the current selection in the user list; includingname, email and password rules (expire now and enforce management options).

c.  Delete User: delete the current selection in the list of users. A confirmation message allowsyou to cancel this action.

Limitation: Only the Visions Administrators can delete a user as it is deleted completely from theVisions database, not just the accessed site. Site Administrators can remove a user from their sitebut cannot delete users since they may not have adequate rights in all potential sites.

d.  Reset Password: reset the password for the current selection in the user list.

Limitation: An administrative user cannot reset another user's password, if the user has the same orhigher security level in the site or if the user is not added to the currently accessed site.

2.  Site Users: list the users and their security level in the currently accessed site.

a.   Add to Site: add a user to the currently access site; specifying their security level, lookupcategory restriction, plant and equipment type access restrictions.

b.  Edit User: edit the access level and restrictions for the current selection in the user list.

c.  Plant Rights: edit the plant access rights for all site users for a selected plant. Shortcut

options available to Select All or Select None to check or uncheck all listed users.

d.  Equipment Type Rights: edits the equipment type access rights for all site users for a

selected type of equipment. Shortcut options available to Select All  or Select None  tocheck or uncheck all listed users.

e.  Remove User: removes the current selection in the user list from the site. A confirmationallows you to cancel this action.

Note: By removing a user from all sites, they no longer have access to Visions .

III. Server Configuration

The Server Configuration allows the individual configuration of specific areas for each site; in essencethe business rules.

1.  Manage lookup list categories:

a.  Customize Lookup Categories: change the lookup categories that are available for theuser.

i.  Used in the F3 Lookup List management to identify which category, if any, a list itembelongs to.

ii.  Used in the Manage Users | Site Users management to restrict which category of listitems a user has access to.

2.  Customize individual fields: modify an element of the user interface for a pre-defined list offields; both forms and reports. 

a.  Customize field labels: change the displayed labels; the system field name is displayed forreference.

i.  Used in the applicable form (i.e.: Static Data):

Limitations:

Customized field labels are limited to standard edit fields

Reports cannot dynamically grab the customized label, so users need to copy and modifyreports containing fields where they customized the field label

Customized label sizes are limited to the existing size and position as they cannotdynamically reposition if a larger label is entered. Labels align to the right and must becustomized according to default space restriction; which may require abbreviations in somecases.

b.   Assign read-only fields: change the read-only value; checked fields will be read-only onthe forms and unchecked will allow editing.

c.  Set default values: set a default value; using the field rules such as F3 Lookup list, systemoptions, field size, etc. Used in the applicable form when new records are added.

i.  If a field’s default value is based on an F3 lookup list, the list of available choices will

include all values regardless of form.

Limitation: If the field is available on different forms and uses a lookup list, you may select a defaultvalue that is not always available on a form. Review common form groups to ensure your businessrules are not violated. Example: Work Memos and Work Templates – ensure the same fields in bothhave the same default value.

d.   Assign required fields: change the required value; checked fields will be required on the

forms and unchecked will not be required.

Limitation: If the same field is available on different forms, you may set a required value that is notalways available during some tasks. Review common form groups to ensure your business rules arenot violated. Example: Work Memos and Work Templates – ensure the same fields in both have thesame required setting so when a template is executed the field requirements in Work Memos are met.

i.  Used in the applicable form (i.e.: Static Data) displaying the field with the required fieldcolor (Based on your Desktop Properties | Appearance |ToolTip color setting):

3.  Define SMTP Server information:

a.  Set SMTP Information: configure the SMTP (simple mail transfer protocol) settingsallowing email when a firewall is in place using the Technical Contact form and the contactsidentified in the Miscellaneous Settings. Typically, IT personnel can provide the

information required.

4.  Define Reference Files Default folder:

a.  Set reference files folder: set the path for the general reference files.i.  Used in Visions 4 by selecting Tools | Reference Files to access the files.

5.  Configure Memo Fields:

a.  Set default fonts: configure the default font – type, style, size, etc. for memo fields.

6.  Miscellaneous Settings:

a.  Miscellaneous settings: configure various settings

i.  PSV Preferences: only available if the Safety Valve module is active.

Pre-Pop Acceptance (%): enter the Pre-Pop Acceptance percentage used as the

default in the PSV Service Report.

·  Used on the Service Report in the Test Details | Pre-Test field group:

ii.   Attachments: configure for all areas of attachments within Visions; IR attachments, ITattachments, WR attachments, etc.

Embedded attachments allowed: checked allows embedded attachments,

unchecked allows only linked attachments.

Max. Embedded Size Limit (MB): limits the maximum size of each attachment 

 Allow read-only users to view attachments: checked allows read-only users toview / open attachments; unchecked restricts read-only users from viewing oropening attachments.

iii.  External Interval: configure the default for the external interval in the Scheduling

Next External uses Half-life: checking this option configures the external intervaldefault to half of the internal interval (restricted interval) to the maximum of theHalf-life Maximum Interval; unchecked configures no default for the external interval- it must be entered by a user.

Half-life Maximum Interval (mths): the maximum number of months for the

external interval when the half-life option is checked.

·  Used in the External Scheduling on the Scheduling form:

iv.  Technical Support: configure the default email addresses for the Technical Support,accessed through the Help menu.

Support E-mail address: enter the email address for your Visions Administrator

providing support. Typically this is defaulted to [email protected] for initialinstallations.

CC E-mail Address: optionally, enter the email address for an additional Visionssupport person.

b.  Equipment Clone Field Settings: set which fields will be cloned for each equipment type.

i.  The configurable column identifies whether you can change the clone option.

ii.  By checking the clone option, the field will be cloned whenever this type of equipment is

cloned.

iii.  Each type of equipment can configured differently.

iv.  Used for Clone Selected Equipment:

c.  Component Clone Field Settings: set which fields will be cloned for each componenttype. This has a similar layout and functionality as the Equipment Clone Field Settings.

i.  The configurable column identifies whether you can change the clone option.

ii.  By checking the clone option, the field will be cloned whenever this type of component iscloned.

iii.  Each type of component can configured differently.

iv.  Used for Clone Selected Component.

d.  Other Clone Settings:  set which fields will be cloned for areas; Work Memos, TML,Inspection Report and RBI. This follows similar layout and functionality as the Equipment

Type Clone Field Settings.

Note: In each configuration, some fields are listed where Configurable is No and Clone is unchecked(No) to clarify that they are not available for cloning. Examples: Action To Date and Actual Cost.

i.  Current settings available:

TML  –  available in the Equipment File for TML Trending and Go | TML Trending,

using the Copy TML or Duplicate TML options

Inspection Report – available in the Equipment File for Inspection Reports and Go |

Inspection Report, using the Clone Selected IR  option

RBI – available in the Equipment File for Risk Assessments and Go | RBI Assessment,

using the Clone Selected RBI option

Work Memo  –  available in the Equipment File for Inspection Tasks and Work

Requests and Go | Work Memo, using the Clone Selected Memo option

7.  Risk Configuration:  only available when the RBI module is active.

a.  Export Risk Configuration: select one or more Risk Configurations (RAIDs) to export to afile. This allows configurations to be passed between sites with different databases.

b.  Import Risk Configuration: browse and select the Risk Configuration file to import intoyour site; (files are restricted to Visions Export files (.CDS)). When a file is imported, the

new configuration(s) may have a different RAID than the exported one as the numberingcontinues sequentially from your own data.

c.  RBI Settings: configure various settings that affect the RBI module optionsi.  PSVs use RBI: configure whether your PSVs will use the Risk Configurations and

 Assessments for their intervals or a simple list of PSV Codes and intervals. Only available

when the Safety Valve module is active.

Checking the option disables the Lookup Data | PSV Codes menu item so the Risk

Inspection Codes  are used, and changes the fields available in the EquipmentScheduling group on the Scheduling form:

Unchecking the option allows access to the Lookup Data | PSV Codes menu item,

and changes the fields available in the Equipment Scheduling group on theScheduling form:

ii.  Limit circuit assessment to Pipe: configure whether your risk assessmentsperformed for Circuits are restricted to Pipe. Checking this option enforces that when anassessment is done for a Circuit, that only Pipe Minor equipment and their related TMLsare available in the Apply To section of a risk assessment.

iii.  RI Based Scheduling: configure the default for the internal inspection calculations in

the Scheduling. Checking this option sets the Next Full Inspection date calculations touse only the restricted interval and not consider the remaining life from the TMLTrending for the equipment. Setting this flag once data has been entered will not causea recalculation of existing data.

Used in the Full Inspection Dates shown on the Scheduling form:

8.  Reports: a.  Export Reports: select one or more reports to export to a file. This allows reports to be

passed between sites with different databases.

b.  Import Reports: browse and select the Visions Report file to import into your site; (files are

restricted to Visions Export files (.CDS)). When a file is imported, if Metegrity reports areincluded your current Metegrity report file will be updated.

Note: Metegrity Support uses this feature to roll-out reports for installations and updates.

c.  Report Assignment: for each form, configure which report(s) will be available through theFile | Print menu items. Each form may have a primary and secondary report configured.

IV. Query

This allows administrative users to load and run a query in your Visions database.

1.  Script: created and provided by Metegrity support personnel, these secure queries allow users toperform limited data updates and modifications. Each query will identify the date written and abrief explanation of the purpose to assist the administrator who is running it.

Note: Metegrity will not provide queries that modify the database structure; these modifications arerestricted to product updates.

a.  Load: browse and select the Visions query file (files are restricted to protected Visions Queryfiles (.VSN)), which will display in the Script memo field.

b.  Clear  Script: once a script has been loaded, you can clear the script memo field so thescript will not be executed

c.  Execute: execute a loaded script

2.  Results: as a script is executed, the results are returned and displayed in the Results field.

a.  Save to Text File: browse and save the results to a text file

 V.  Service Lock

This allows administrative users to lock the Visions Service, providing a message to the users, totemporarily restrict access to Visions.

Note: If the Administration utility is closed while the service is locked, only the person that logged on to lockthe service may logon to unlock it. Should a problem occur, simply restart the Visions service to turn off thelock.

a.  Update Lock Message: enter a different message and send the update so users will

c.  Unlock Service: unlock the service to allow users to logon to Visions2.  The lock is only enforced while the Administrator remains open. Once it is closed, the service is

automatically unlocked.

 VI. Level Configurations

This allows administrative users to manage and configure security levels or groups for the Visions

users. Visions is installed with seven (7) default levels, which can be modified to create your ownsecurity environment. Each level contains functions enabling or restricting access and actions andsome field level control.

1.  Levels:

a.  Default levels:

i.  Read-only: read-only access to all areas

ii.  Sign off : restricted edit capabilities for Inspection Reports, Work Logs, and NCRs to thesign-off fields with read-only access to other fields

iii.  Data Entry: limited editing capabilities with restrictions in access and deletionfunctionality in the inspection work cycle

iv.  Jr. Inspector: full access to the inspection work cycle, with limited access toconfigurations (such as Equipment Types, Component Types), risk assessments, etc.

v.  Sr. Inspector: full access to the inspection work cycle and configurations with limited

access to system configurations (such as Business Units, Plants, Risk, etc.)

vi.  Site Administrator: full access to Visions, with limited administrative access (such asuser creation, site user control)

vii.  Visions Administrator: full access; user management, level configurations, etc.

b.  New / Save As: create new levels or use an existing level to start a new level. Since each

default level is pre-defined, the one restriction for level configuration is that functionality andfield access can only be taken away from a higher level, you cannot add to a lower level.

c.  Modify Description: change the description for a level

d.  Delete: delete a level, based on your current list selection.

i.  If the level is assigned, it cannot be deleted:

2.  Functions: configure what each level can access or edit; turn form access on or off, restrict editand deletion capabilities

3.  Field Read/Write Access: configure read-only or write access to a pre-defined list of fields

 VII.  Events

This allows administrative users to display a transaction log for events from a pre-defined list. Theevent identifies the pertinent table and field name where the event occurred. The log is comprised offields showing the date changed, equipment information, user name, original and new values.

e.  Level

2.  Server Configurations: a report of all areas configured for the currently accessed site whichincludes all options available in the Server Configuration.

3.  Level Configurations: a report of the description, functions and field access for the currentlyselected level. Only functions checked for the level are included.
