I recently heard a story about a C-level executive who was struggling to find enough time in the day. He was super successful in business but got the tap on his shoulder, his wife was getting sick and tired of the long hours and something had to give. This solution might sound overly simplistic but it worked. When he took the time to look at his diary, all he could see it was a day full of one-hour meetings. Sound familiar? It probably rings a few bells I’m sure. Let’s be honest, do each of those meetings really need to be one hour? Can they be done in 40 minutes? Is there time being wasted on unproductive chatter? So he had his assistant only schedule 40-minute meetings from that point on. What it did was keep the other person focused, wasted less time and voila – a saving of 20 minutes per meeting! If you really want to show others that you value your time, take your smartphone (we all have them now) and set the timer. When time is up, time is up! Stick to it and next time your 40-minute meetings will much more focused and the other attendees will get to the point and your meetings will be more productive. The next thing he did was plan to be interrupted. That’s right, he scheduled time when people knew he was open to interruptions. This doesn’t mean his door was closed at other times, but it reinforced the value of his time to others. The final ingredient for finding extra time in the day is ‘make sure every meeting has an agenda and clear goals’ and if you’re invited to a meeting with no agenda - don’t turn up.
