16th District Court Jury Duty Instructions

Wayne County Jury Division will send approximately 500-1000 juror questionnaires to the 16th District court, (the name, address and phone # is listed below from the person who sends the questionnaires and emails the spreadsheet). These questionnaires are received in alphabetical order.

Next on the excel spread sheet, insert a column on the left and number 1-29 keep repeating all the way to the end of the spreadsheet (See example below)

Next, select entire spread sheet, go to “Data Sort” and sort the spread sheet by column (A) so that all the ones are first then twos then threes and so on. (See example below). Next, Click on File, Save As, and name this file. (Example: 2017 Wayne Country Juror List)

CREATING THE JUROR LIST SPREADSHEETS TO CREATE JUROR LETTERS

Next, Open Excel

• Click on Blank Worksheet • Select Page Layout, choose Orientation, choose (Landscape), choose Margins and select (narrow) • Right Click on each letter one at a time, choose (Column Width) and enter the number for each letter as

listed; • A-(4.86) B-(21.57) C-(24.71) D-(10.43) E-(10.71) F-( 12) G-(35) • Number 1-45 in column A • Add column titles as listed below on example of the completed spreadsheet.

Copy and paste the spreadsheet as many times as needed, by inserting a new tab for each spreadsheet.

• Right click on the tab at the bottom of the spreadsheet • Choose (Move or Copy) • Check box (Create a Copy) • Click OK • Do this for as many spread sheet that you will need. • Right click on each tab, choose rename, insert date (example; 101217) to coincide with each jury

selection date scheduled for our court • Then Select File and Save and leave this document open

Next reopen the spreadsheet that has been re-numbered and sorted and renamed from Wayne County. This spread sheet needs to be reformatted to match the spreadsheets that were just created (Juror List Spreadsheet). Delete Columns C, D, F, G J. Starting from the column J and continuing left.

• Right Click on the Letter I, Choose delete column, continue left deleting column G

There should be one column for the name (first and last together), street address, City, State, Zip Code and Juror ID #. The example below show how the spreadsheet should look after the columns are deleted.

Select file and save.

Next, copy and paste each sections of numbers (ones, twos, threes, etc.) Select each section of ones, right click copy, and then paste into each separate spreadsheet that you just created.

The example below is what the spreadsheet will look like after each section of numbers is copied and pasted into the new blank spreadsheets.

Next, re-number each spread sheet 1-45. (The spreadsheet below is what the finished spreadsheet should look like) Each pile of juror questionnaires should match each one of the separate spreadsheets.

To make sure the tab date will appear on each page of the spreadsheet when printed

• Select Page Layout • Then Page Setup • Then Header/Footer • Then custom Header • In the (Left Section Box) Insert the page symbol • In the (Center Section) Type Worksheet Title and insert tab date symbol • In the (Right Section) type (printed) and insert date symbol

Select File and Close and Save document

How to Create Jury Selection Letters for mailing to jurors.

• Click on documents • Click on 2017 Jury Letters doc (this is the doc you created) • Click on the date for the next Jury Selection date, or if there is not listed, Click on the Jury Letter

Template. • From the Jury Selection Letter template, or dated letter (see example below) add the date when the

letters will be mailed out. • The next three lines; Name, Address, City, State and Zip Code, are merge fields. Those field will be filled

in from the information on the spreadsheet. • Add the Service date for the next Jury Selections date and also add the date for proof of new address.

(see arrows on example below) • Click on File Save • Click on Mailings on the tool bar • Choose “Start Mail Merge" • Choose “Letters” • Choose “Select Recipient’s • Choose “ Use an Existing List • On the left side, Click on documents • Choose “2017 JUROR LIST” (use current year) • Choose the date for the specific jury selections date, click on that date • Choose “Edit Recipient List” “click ok” • Choose “Finish & Merge” – “Edit Individual Documents” • Choose “All” and “OK” • The names and addresses will merge into the individual letters • Choose “File and Print” • The Juror Letters will print to Ricoh2 printer/ • Close the file, it is not necessary to save the document • Make enough copies of the map and instruction sheet (Copy Front and Back on one sheet of paper) fold

REQUEST TO BE EXCUSED: Do not phone to be excused. If for health reasons you will not be able to attend, it will be necessary for you to provide a medical statement from your physician with reasons as to why you are unable to serve at this time. You must provide your daytime phone number where you can be reached. This documentation must be presented in person 3 days prior to your service date.

It will be the decision of the Chief Judge and/or the Court Administrator, if your request will be granted per statute. No excuse from jury service will be allowed based on occupation or religion. You must call (734) 466-2500 to verify if you have been excused from jury selection if the decision was not made when you personally presented your request.

You must present this jury summons along with a form of picture identification when checking in with the jury clerk at the counter when you arrive.

If you have moved from Livonia, you must send proof (i.e. copy of bill or driver’s license) by ADD DATE You will not serve Jury Duty

JURY SELECTION DAY Jurors arrive between 10:00am and 10:30am, Check each juror in using the Juror Selection spread sheet that you created. Make sure to verify name and address with their picture ID. Give each juror a “Juror Pin” and Juror’s Manual. Send them upstairs to the “Jury Assembly Room” at the top of the stairs. Make copies of the back only of the Juror Questionnaires for only the jurors that have checked in. Take the copies upstairs to the Court officer’s desk and send an email to Patty Burklow and Barb Fugate and let them know where the Juror Questionnaires are.
