Temple Music Temple Music Foundation – Events Assistant – role description

The Temple Music Foundation (TMF) was founded in 2002 in The Temple, just off Fleet Street in the City of London. It was originally established to raise funds to present Sir John Tavener’s commission The Veil of the Temple, a choral work of over seven hours, performed overnight in the historic Temple Church, between dusk and dawn. The work was composed for the Temple Church Choir performing with the Holst Singers. Since The Veil of the Temple performances in 2003, the TMF has planned and presented an annual programme of concerts in the Temple; it works particularly closely with the Temple Church Choir and has strong relationships with Middle Temple and Inner Temple, the two Inns of Court situated within the Temple.

The TMF promotes around 20 events a year in the spectacular spaces of the Elizabethan Middle Temple Hall, the Parliament Chamber of Inner Temple and in the 12th Century Temple Church. The repertoire is a mixture of choral music, solo song recitals, instrumental chamber music and other events, some of which may be broadcast. These are spread across the three legal terms of the year, none being programmed in August and only very exceptionally in September.

The Events Assistant’s role is to support the preparation for and management of the Temple Music Foundation’s concerts, including event management, production of event programmes, assistance with some aspects of marketing, processing ticket sales, general office duties and providing administrative support to other staff. The Events Assistant may be working in the Temple Music Foundation office alone on occasion, but communicating during the day with other members of staff, who may work outside the Temple.

In addition to its own concerts, the TMF manages the box office and undertakes event management for a number of other externally-promoted events within the Temple, for which there is modest additional remuneration.

Hours: Normal working hours are 9.30am to 5.30pm, four days a week, plus evenings on event days and on days when there are board or other occasional evening meetings. No overtime is paid.

Salary: In the region of £20,000 per annum.

Holiday: 20 days per year.

Pension : The Events and Marketing Manager will be enrolled automatically in a workplace pension scheme.

Specific duties Concerts and other events

Check availability for performances and rehearsals with Middle Temple, Inner Temple and the Temple Church.

Liaise with artists and venues to agree performance and rehearsal times. Book instruments and extra chairs, arrange for staging to go in and pews to go out,

make other concert arrangements as necessary. Liaise with concert volunteers to ensure adequate volunteer staff for each event. Assist with setting up the concert venue on the day, including checking hired

instruments are delivered, laying out chairs according to the seating plan, putting up lighting, ensuring pews are taken out and floor and staging go in.

Assist with concert management on the day, including latecomers and front of house, and assist with clearing the venue after the event.

Send programme sales and door sales to the Accounts Department after each event.

Box office Take ticket bookings over the telephone and by post and process telephone

payments through Sagepay. Design and print concert tickets. Mail tickets booked by post, telephone and internet. Prepare a weekly report detailing tickets sold by post and telephone. Working with the Fundraiser, liaise with sponsors, donors, circle members and

underwriters regarding their ticket requirements.

Financial administration Arrange for the Accounts Department to send invoices to annual sponsors and

advertisers. Keep a record of petty cash spent and regularly reconcile the petty cash held. Working with the Fundraiser, record donations and sponsorship received by cheque

and send a weekly report of cheques received to the Accounts Department. Send approved invoices to the Accounts Department for payment.

Concert programmes Collate material for concert programmes, commission programme notes and text

translations. Design and proof-read concert programmes and arrange for their printing. Liaise with advertisers to ensure their artwork is received by the required date.

Temple Music Assist the marketing manager as necessary, in particular with maintaining the

website and database, updating social media, liaising with the Inns over marketing and PR and collating marketing material from artists.

Board meetings Organise board meeting dates in consultation with the Chairman. Attend board meetings and take minutes.

General duties Answer the telephone in the office and deal with queries by telephone, post or

email. Book meeting rooms. Maintain office supplies. Provide administrative support to other staff as necessary. Undertake general office administration. Any other reasonable duties commensurate with the role’s responsibilities.

Essential qualifications Excellent attention to detail and ability to prioritise a busy workload. Experience of MS Word and Excel, websites and databases. Experience of design work on a Mac. Good telephone manner. Willingness to work evenings, and very occasional Saturdays, when there are concerts

(c. 20 a year) or board meetings (c. 5 a year).

Desirable Experience of concert management and knowledge of classical music.
