YuFund Grant Conditions, Autumn 2015 Your award has been enabled through the generosity of alumni, staff and friends who donate through the Giving to York programme each year. Donors give either one off gifts or make a regular gift monthly, quarterly or annually and these are directed by donors to different aspects of University life. The Development Office (DARO) recruits supporters and reports back to our donor community which in turn helps to encourage increased levels of giving. The conditions attached to your grant , outlined below, ensure that this process happens in a timely and creative way and that the support of our valued donors is recognised and celebrated. Conditions attached to the award of funding It is a condition of receipt of a grant from YuFund that recipients co- operate fully with DARO when asked to provide publicity material concerning their project. In accepting a grant, the grant recipient gives the University a non- exclusive, perpetual and royalty-free licence to distribute and broadcast the project for publicity purposes. The grant must be used as described in the original application. If you wish to change the use of your grant this will need to be referred to the Annual Giving Officer, Development Office, and then possibly to the Disbursement Group. Please email [email protected]. Please note that the grant must not be used to purchase food or drink. Meeting with your club, society or group The YuFund Ambassador will be in touch by email to arrange a time to officially award the grant. You will need to arrange a suitable time - this should be during a committee meeting, rehearsal, training session etc – the entire society or group should be present to be included in a photo. The lead applicant (or president/chair if more appropriate) should also be prepared to complete a 1 minute film interview. You should make sure that your group/society knows about your YuFund grant and understands where the money has come from. DARO has produced self-adhesive labels which should be fixed to materials/equipment purchased with your grant. These will be supplied as appropriate. Please let us know how many you require.

Projects supported by YuFund must publicise this support through inclusion of the YuFund logo on signage or publicity. Any such publicity must be cleared through the Communications Manager at DARO ([email protected]) who can also provide pre-designed templates/adverts/logos incorporating the correct form of words where necessary. Please give Sarah enough notice to give her time to clear publicity – 10 days. Thank you.

You will be supplied with posters to be displayed at Freshers’ Fair and, where possible, to be displayed in the rooms where you meet/practise.

Grant report You will need to submit a report as soon as you are able, but at the latest this should be received by 31 July 2016 If you

are unable to meet this deadline due to the timing of your project you must arrange a new deadline with the Annual Giving Officer by emailing [email protected].

Your report should be around 500 words. For guidance with this, please see model report at www.yorkspace.net/yufund You need to supply a high resolution photo (1MB+) for use in printed and online materials. YUSU activities and sports

have a good quality camera and can help you to produce this. Please contact [email protected] or [email protected]. A completed set of accounts and supporting receipts must be submitted alongside your project report It is helpful to include quotes from participants in your projects, or beneficiaries. These should be obtained with

permission to publicise.

YuDay – a celebration of giving YuDay takes place in spring term 2016 (date in early March tbc), providing a great opportunity to celebrate the impact of

giving to York.

Your group should be prepared to take part in activities on this day and the build up to it to promote Giving to York, YuFund, YuCall and YuStart.

There will be a reception for all YuFund award recipients – more information will be shared nearer the time. Please tweet your followers about the funding you received – thanks @givingtoyork and @yorkalumni. Do please

encourage giving to York by directing people to www.YorkSpace.net/giving

Claiming your grant Your grant must be spent by 30 June 2016; any part of a grant that remains unused within six months of successful

application will be retained by the fund, except by prior agreement with DARO. If you plan to spend your grant later in the year it is your responsibility to contact the Annual Giving Officer to make arrangements for this.

When you are ready to begin your project, contact the Annual Giving Officer to request transfer of the grant by emailing [email protected].

If your grant is for the purchase of an item/s, proof of expenditure, proforma invoices or invoices must be produced For more complex projects a completed set of accounts and supporting receipts must be submitted alongside your project

report. Grants to University Departments will normally be processed by a transfer to an internal work order which the grant

recipient must provide. Grants to YUSU and societies and clubs will be processed through the YUSU finance office. Please note that grants normally take 10-14 working days to arrive following the request to transfer, so don’t leave this

until the last minute.
