    1 INTRODUCTION

    1.1 What is Vonage SoftPhone X-PRO?

    Vonage SoftPhone X-PROis a software application that can transform your PC or Macinto a phone. This gives you the advantage of using the same system to make andreceive voice calls that you use to check your email and do other computing tasks. Theapplication uses the SIP Protocol for establishing phone calls over a variety of networksamong which include the Internet and the traditional telephone network.

    The softphone includes two different audio compression codecs, which means excellentquality of service on dial-up, broadband and wireless connections. Using a broadbandInternet connection along with the associated audio compression codec results in aquality of service that is often equivalent to that of traditional telephone systems.

    This guide covers the various features ofVonage SoftPhone X-PROranging frominstructions on how to accomplish the more simple tasks such as making and receivingcalls to more complex operations such as call conferencing and call transfer. This guidealso includes sections covering system requirements, installation, and configuration ofthe softphone.

    1.3 Before You Install

    1.3.1 System Requirements

    This section covers the minimum hardware and software you will need to use VonageSoftPhone X-PROon a personal computer.

    For Windows PC users:

    Processor: Pentium II 300 or faster

    Memory: 128 MB RAM or better

    Operating System: Windows 98SE, NT 4.0, ME, 2000, XP

    Connection Type: Wired or wireless broadband or dial-up Internet connection

    Sound Card: 16 bit sound card (SoundBlaster or equivalent)

    Color Setting: 16 bit (High Color)

    For Mac OS X users:

    Any Macintosh running Mac OS X version 10.2 or later will be sufficient to runVonage SoftPhone X-PRO.

    1.3.2 Vonage Account Information

    Important: If you have forgotten your Vonage phone number or password please visitwww.vonage.com and login to your web account, and click on the Features link. Scrolldown to the Vonage SoftPhone area and click on the Manage SoftPhone Lines link.Your Vonage SoftPhone Account number and Password are displayed on this page.Please be sure to enter the Vonage SoftPhone Account Number and Password exactly

    as they appear on the page (it is recommended that you copy and paste yourphonenumberandpasswordinto the login box).

    1.3.3 Download Vonage SoftPhone X-PRO

    You can download the Vonage SoftPhone X-PRO software installer from the Vonageweb site www.vonage.com under FAQs.

    2 INSTALLATION AND SETUP

    2.1 Installing Vonage SoftPhone X-PRO

    The following instructions in this section outline how to install Vonage SoftPhone X-PRO for Windows PC.

    1. Make sure to exit any software applications that use sound, such as CD andmedia players.

    2. Launch the Vonage SoftPhone X-PROinstall program. When asked Do youwish to continue?clickYes. This will bring you to the Vonage SoftPhone X-PROSetup Wizard.

    3. Follow the instructions at each step; progress through the Setup Wizard until youreach the final step. At the final step you are asked if you would like to launchthe application. It is recommended that you select this option to immediatelystart using Vonage SoftPhone X-PRO.

    4. Click Finish to complete the wizard.

    The following instructions in this section outline how to install Vonage SoftPhone X-PRO for Mac.

    1. Make sure to exit any software applications that use sound, such as CD andmedia players.

    2. If the license agreement window appears when the download is complete, readthe license agreement and click "Agree" to proceed. If the license agreementscreen does not appear when the download is complete, locate the X_pro-Vonage-Mac.dmg file after download and double-click it. Note that you mustagree to the terms of the license agreement to install Vonage X-PRO SoftPhonefor Macintosh.

    3. Simply drag the Vonage X-PRO SoftPhone application icon to the Applicationsfolder. (If you do not have permission to install to the Applications folder, you maydrag the icon to your home folder instead.)

    Go to the Applications folder (or your home folder, if that is where you dragged the icon)and double-click the Vonage X-PRO SoftPhone icon to launch the application.

    2.2 Uninstalling Vonage SoftPhone X-PRO

    If for some reason you have to uninstall the software, follow these steps:

    1. Click your Windows Start button and launch the Control Panel(usually foundunderSettings).

    2. Launch theAdd or Remove Programs utility.3. From the Add or Remove Programs window, choose Vonage SoftPhone X-PRO

    and click Change/Remove. ClickYes to confirm the un-installation.

    2.3 The Audio Tuning Wizard

    When you launch the application for the first time you will be greeted with theAudioTuning Wizard. TheAudio Tuning Wizardallows you to adjust the levels of both yourspeaker and microphone devices so that you will be able to optimize the quality of yourphone conversations.

    The following section will guide you through theAudio Tuning Wizardto set up yoursystem so that you can begin making phone calls.

    Important: You are advised to complete the Audio Tuning Wizard successfully toensure that your audio devices are properly installed and in working order.

    1. Click Next on the opening dialog box of theAudio Tuning Wizardto begin.2. Select yourSpeakerand Microphone devices from the drop-down lists. Note that

    if you have any configured sound devices such as USB headsets or USB phonesthat these should be available from the lists.

    3. Select yourSpeakerand MicrophoneMixerdevices. These will typically be thedevice name of your sound card. Click Next to proceed.

    4. Adjust your speaker volume by moving the slider until you reach a comfortablelevel. Click Next to proceed.

    5. Adjust your microphone level by speaking into your microphone device wheninstructed. You will see that your voice is being recording and then hear it playedback. When you are satisfied with the microphone level, click Next to proceed.

    6. The Microphone Calibration stage is used to compensate for any background

    noise in your environment to improve the audio quality of your conversations. Itis important to remain silent during the calibration. To begin, click on the StartCalibration Test button. When the calibration is finished click Next to proceed.

    7. The final dialog box asks you to specify the type of Internet connection you willbe using. Selecting Cable/DSL/LAN will provide you with better voice quality,although it will take up more available bandwidth during calls. When using a dial-up connection be sure to select this as your connection type.

    8. When you have completed the wizard, click Finish. If you wish to re-adjust anyof the settings available from the wizard, click Back until you reach theappropriate stage.

    2.4 Logging Into Your Vonage Account

    After you have completed the Audio Tuning Wizard you will be asked to log into yourVonage account. Enter your Vonagephone numberandpasswordinto the login boxand click Login.

    Important: An incorrectly entered phone number or password can result in a failed loginand will not allow you to make or receive any calls. This will be indicated on theapplication in the Call Status (see section 3.1.1) of the softphone as Login Failed!Contact Network Admin. For this reason, it is recommended that you copy and paste

    yourphone numberandpasswordinto the login box to reduce the possibility of anyincorrectly entered values.

    It is recommended that you clickthe Remembercheck boxes for both of these fields sothat yourphone numberandpasswordwill automatically be filled in each time the loginbox appears. This is preferable since the login box appears every time you launch theapplication at the beginning of your session.

    Note: If you click Cancel, the login box will close along with the application you mustenter aphone numberandpasswordand click Login in order to start the application.

    3.1 The Call Display

    The Vonage SoftPhone X-PRODialpad provides a call display area similar to that of acell phone or regular telephone. It is used to display information including the call status,call data, calling feature indicators, and codec selection control.

    3.1.1 Call Status

    The Call Status provides useful information including phone status and various callrelated data, which provide useful details when using the phone. For example, themessage Logged In Enter Phone Numberindicates that the softphone hassuccessfully logged into the Vonage network and is ready to make or receive calls. Amessage ofLogin Failed! Contact Network Admin.indicates that either the phone

    number or password was entered incorrectly. To Login again simply click on the Loginbutton in the top right-hand corner of the softphone.

    3.1.1 Call Data

    Call Data provides useful information including your phone number, the call in progress,

    the previous call completed, and the details of an incoming call. The followinginformation can be found in the Call Data section of the call display depending on thesituation.

    YourVonage phone numberis displayed right after login along with the calltimer which is shown as reset to 0:00:00.

    Dialed digits are displayed as they are entered.

    The phone number of the called party is displayed after dialing and initiating acall.

    The caller ID along with the callers phone number is displayed when anincoming call is received.

    The call timer gives the duration of a call in hours, minutes and seconds.

    3.1.2 Advanced Calling Feature Indicators

    The call display allows the user to activate any (or all) of three advanced calling features.These include DND (Do Not Disturb), AA (Auto-answer), and AC (Auto-conference).

    They can be activated by clicking on the indicators at the bottom left of the call display.The individual indicator will flash to show that the feature is enabled. Clicking on theindicator again will disable that feature as shown by a grayed out indicator.

    3.1.3 Call Mode Indicators

    Vonage SoftPhone X-PROincludes two different call modes for use during calls: Dial-up and Broadband. These call modes forVonage SoftPhone X-PROare G.711u forbroadband and G.729 for dial-up as shown by the indicators at the bottom right of thecall display.

    By default both call modes are enabled as shown by the black indicators. To disableeach call mode individually, click on the indicator and it will become grayed out. Toenable the call mode again, simply click on its indicator once more.

    3.1.4 Redial

    After you have completed a call, the redial indicator will appear at the bottom center of

    the call display. Simply click on the indicator to redial the last number dialed.

    3.2 Dialing Functions

    The Dialpad allows the user to enter the phone number

    Line Selection: Line 1 is the default line in use when making or receiving a call.Line 2 is available to initiate a conference call (3 way calling) or to receive

    another call when Line 1 is already in use. A small green light on the line buttonindicates that the line is in use.

    The Dial button initiates the call.

    The Hang up button ends the call.

    The Clearbutton is used to backspace when entering a phone number or toremove the information on the call display once the call has ended.

    3.3 Phone Book and Menu Control

    The Phone Book button launches the phone book, which allows you to manageall of your contacts.

    The Menu button launches the menu, which allows you to manage the variousfeatures of the SoftPhone.

    3.4 Audio Level Controls

    The Microphone Level Control enables the user to adjust the input audio level.

    The Speaker Level Control enables the user to adjust the output audio level.

    3.5 Additional Calling Features

    The Mute button silences your microphone, still allowing you to hear the otherparty.

    The Transferbutton enables the user to transfer and inbound call to a thirdparty.

    The Conference button enables the user to participate in 3 way calling.

    3.6 Toolbar

    The Help button accesses the user support forum. The Minimize button sends the Dialpad to the task bar for Windows.

    The Close button sends the Dialpad to the system tray for Windows.

    The Login hyperlink allows you to re-login in the event of a failed login.

    4 How-to

    4.1 Place a Call

    With Vonage SoftPhone X-PROyou can make calls by dialing on the Dialpad, by usingthe speed dial list, or by using the computer keyboard.

    On the Dialpad, enter a phone number by clicking on the number buttons or by typingdirectly on your keyboard. Click the Call button, or press Enter.

    You will note the Caller ID display line shows the actual number being dialed. The callstatus line displays the Tryingmessage while the system attempts to contact the numberyou dialed. Once the system establishes contact,Vonage SoftPhone X-PROstartstiming the call and the status line displays the Connected Message. Once the call starts,

    just speak into the microphone. When youre ready to hang up, click Hang-up.

    For the next call, you may need to clear a phone number from the display; this is doneby clicking on the Clearbutton found above the Dialpad.

    4.2 Answer a Call

    You need to have Vonage SoftPhone X-PROrunning to answer an incoming call.When your computer receives a call, you will hear a ringing sound. Simultaneously, anavailable line will began flashing and the Caller ID will display the identification of thecalling party. Vonage SoftPhone X-PROhas an automatic answer feature, which will beoutlined later in this section.

    4.3 Place a Call on Hold

    While youre on a call, you can place a call on hold simply by selecting another Linebutton. The active call is automatically placed on hold and the Line button flashes toindicate the call is on hold. To resume the call, re-select the line button where the activecall is located. Alternatively, you may place a call on hold by clicking its Line button andresume the call by selecting the Line button again.

    4.4 End a Call

    As with traditional phones, a call is brought to a close when either you or the person youare talking to actively ends the call. To end a call, simply click the red Hang Up button at

    the left of the Dialpad.

    5 Advanced Calling Features

    5.1 Inbound Call Options

    Vonage SoftPhone X-PROgives the user several control functions to manage incomingcalls. The three discussed below enhance that control based upon the userspreferences and the real-time situation.

    5.1.1 Do Not Disturb (DND)

    The Do Not Disturb (DND) mode can be turned on or off on the call display. To activateDND click the indicator once and it will display in dark letters. To deactivate DND clickthe indicator once more and it will become grayed. IfVonage SoftPhone X-PROis inthe Do Not Disturb" mode, all incoming calls will be automatically sent directly toVoicemail.

    5.1.2 Call Ignore

    When an inbound call rings, a new icon appears just below the Caller ID displayindicating IGNORE. If the user is hosting a conference (3 way call) or otherwise unableto accept the call, a click on the IGNORE icon will give a Busy indication to the caller.The IGNORE icon is activated by an incoming call.

    5.1.3 Automatic AnswerVonage SoftPhone X-PROsupports Automatic Call Answer.The Auto-Answer icon is an AA displayed at the lower left side of the Call DisplayScreen. The AA icon shows a blinking red status when auto-answer is activated to alertthe user of the fact that all incoming calls will be automatically answered. The icon isgray when de-activated.

    Vonage SoftPhone X-PRO, by default, waits 6 seconds before auto-answering howeverthis parameter is adjustable by way of the Menu/User Settings.

    The Auto Answer feature is useful in numerous situations but is most powerful whencoupled with the Auto-Conference feature outlined below.

    5.2 Conference Calling (3 Way Calling)

    To talk to more than one party simultaneously in a conference call (3 way call), yourSoftPhone is able to support both Internet and regular telephone calls in a singleconference (3 way call).

    You may initiate the conference (3 way call) by calling the parties or you may allow theconference parties to call you. As you answer and/or make the calls individually, eachLine button will display a green active indicator. To initiate the conference (3 way call)simply click the Conference button below the Dialpad and both of the lines will beincluded in the conference call (3 way call).

    Click the Conference button once again and both callers will be placed on hold. Onceyou have ended the conference call (3 way call), you also have the option to talk to each

    party individually by clicking on each respective line. If one party ends their call, theremaining party will be placed on hold and then you will be able to talk to that party byclicking on their respective line.

    Conferences may be multi-nodal, meaning each Vonage SoftPhone X-PROuser canadd parties to the conference, utilizing theirVonage SoftPhone X-PROas a node.

    For example, a user hosting his own conference call can then join another usersconference call, thereby including more than three total parties.

    NOTE: The more parties included in the conference, the more bandwidth necessary tomaintain high audio quality.

    5.3 Call Transfer

    Note:Call Transfer works with inbound calls ONLY. To initiate a transfer follow these steps:

    With a current call, inform the other party that you are going to transfer them to a third

    party and then click the Transferbutton.Dial the number you wish to transfer the call to.Click the Transferbutton again and the call is sent to the number dialed.

    5.4 Automatic Conferencing & 3 Way Calling

    Vonage SoftPhone X-PROsupports Automatic Call Conferencing. The end pointfunctioning as the Conference Host has control of how the participants will be admittedto the conference. The Conference Host has four levels of control as outlined in thefollowing table:

    Calls may be selectively answered, selectively added to the conference, or theConference Host may automate as much or as little of the teleconferencing process asdesired. When the teleconference process is fully automated by setting VonageSoftPhone X-PRO to both auto-answer and auto-conference, Vonage SoftPhone X-PROfunctions as a standalone, unattended, conference server, and it can run on either alocal machine or a remote machine.

    6 Main Menu

    The menu system ofVonage SoftPhone X-PROcan be accessed by clicking on theMenu Control found on the Dialpad as shown in the previous diagram.

    The XPRO Vonage Menu System The following items are currently available from the MainMenu:

    Recent Calls: Dialed and Received

    Phonebook: Phonebook & Speed Dial List

    User Settings: Typical User Settings

    6.1 Recent Calls

    Viewing Recent Calls Select Recent Calls.

    To select a menu item, double-click on the itemor highlight the item and click on the SELECTbutton at the bottom right of the menu panel.

    A menu item can also be selected by pressing

    the ENTER key when the item is highlighted.

    Clicking on either of the two arrows at the bottomleft of the menu panel will move focus from oneitem to the next.

    The UP and DOWN arrows on the keyboard orscroll-wheel on your mouse can also be used tomove between items.

    A menu item can also be highlighted by a singleclick of the mouse over the item.

    The Recent Calls menu allows the user to review both received and dialed calls and stores up to a maximum of 50 foreach category.

    Note: To return to a parent menu click on the BACK button at the bottom left of the panel or press the ESC key on yourkeyboard.

    Selecting a Received Call To view the details of a given call, highlight andthen select the call entry.

    Viewing the details of a call The following details are available for the call asshown to the left

    Click BACK to return to the Recent Calls menu.

    Viewing Dialed Calls To view the Dialed Calls, Highlight andSELECT.

    After entering the Dialed Calls menu, select thecall from the list to view its details.

    The same details are available that wereavailable for Received Calls.

    A tick mark beside a call indicates that the calldialed was answered.

    6.2 Phonebook

    Much like a cellular telephone menu you can ADD, DELETE & EDIT your Phone book entries.

    Adding a new entry to the Phonebook

    You can reach the Phonebook by selecting itfrom the Main Menu.

    To add a new entry to the Phonebook, highlightand select the New Entry item from the list.

    Filling in the fields of a new Phonebook entry Highlight and select New Entry to add a newentry to the Phonebook.

    Enter the Name of the person that you would liketo be displayed in the Phonebook.

    Entering the SIP URL of the contact Move down to the SIP URL field and enter the

    SIP URL of this contact.

    Specifying the Type of contact To specify the Type field of this contact, selectthis item to enter a list of contact types.

    Highlight and select the type of contact from thelist and click on BACK to return to thePhonebook entry.

    Assigning a Speed Dial number for your contact

    Finally, assign a Speed Dial number for thiscontact. This number can be used directly fromthe main interface to make a call to this user.

    Click BACK to add another entry or Click the X or Closebutton on the Menu to exit.

    New Entry is now available You new entry is ready to use.

    Click on the Dial control on the main interface tocall this entry while it is highlighted. For moreinformation on placing calls, refer to Secion3.1How to Place a Call.

    Use the DELETE key to clear the entire entry. Allsettings for this user will be lost.

    6.3 User Settings

    Import/Export to Phonebook XPRO allows you to import contacts stored in aCSV file into the Phonebook. This CSV file mustbe created from your email program first.

    After selecting Import to Phonebook, you will see

    your Vonage network domain. Simply clickSELECT to proceed.

    Next you will see the Import Options box. ClickOK to move on. (note: the fields must be blank)

    Choose the CSV file that contains your contacts.And import it in to the phonebook.

    Likewise, existing contacts from the Phonebookcan be exported to a CSV file via ExportPhonebook

    8 Mac OS X Users

    Other than a few exceptions, the versions ofVonage SoftPhone X-PROfor Mac OS X

    should behave exactly as those for Windows. The following differences, however, doexist for installs of the software on Mac OS X.

    1. For Windows users, the Mute function is toggled by the Ctrl + U combination.For Mac users the Mute function is toggled by the space bar.

    2. For Mac users running under OS X 10.3 "Panther", the F9 key, normally used forshowing and hiding the Diagnostic Window, is used by the Expos systemservice. The hot key to show the Diagnostic Window in this case is Command-D.

    3. The "WindowShade X" system extension from Unsanity, which collapseswindows to their title bars when minimized, does not work well with X-PRO's

    windows, as they have no title bars. If you are running this system extension, werecommend that you add X-PRO to the "Exclude List" found in WindowShade X'sSystem Preferences configuration pane.
