Getting Started

Welcome Welcome to the User Guide for the Xerox Photo Connector. This guide describes the function of the Xerox Photo Connector and will explain how to install, configure and troubleshoot the application.

Photo Automation with Xerox Printers Xerox provides Photo Creation Software Applications a mechanism to automate submission of printable Photo products to Xerox printers with EFI Fiery Controllers or the Xerox Phaser 7760. The Xerox Photo Connector is a standalone application that runs on a Windows platform. It enables Photo Creation Applications to automatically submit print-ready PDF files to a Xerox printer. The Xerox Photo Connector will route each photo product to a Xerox printer. At print time, the photo product will have the proper job programming for paper stock (e.g., weight, size, or plex) and image processing for that item. There is a photo product list for each Xerox printer supported. For EFI Fiery controlled printers, the Xerox Photo Connector submits each PDF to the printer using a Xerox job ticket that automatically sets the proper job programming. For Phaser 7760 printers, the Photo Connector appends job programming to the PDF then submits the file to the Phaser 7760. The connector determines which job programming to use by referencing the Product Code (from the CSV) in a configuration file (Product mapping). The Xerox Photo Connector supports an assortment of common photo products. The specific products supported vary based on the capabilities of each printer/controller. Product lists are included for each of the following printers. Phaser 7760 EFI Fiery controllers for: • DC242/252/260 (Integrated Fiery or External Fiery) • Xerox 700 (Integrated Fiery or External Fiery) • DC5000/7000/7000AP/7002/8000/8000AP/8002 • iGen3 • iGen4

Operational Model The Photo Creation Application software will create 2 documents: an Order file and a PDF. The Order file must be a text CSV (comma separated value) file that contains information about the photo product to be printed: Product Code, quantity, file location, etc. The PDF is the print-ready file of the product that the customer created using the Photo Creation Application software.

Site Configuration requirements The components required to use the Xerox Photo Connector are: 1. Photo Product Creation Application administrative, back office or storefront software that

has successfully integrated their application with the Xerox Photo Connector via the Xerox Photo SDK v2.2.

2. PC running Windows XP Service Pack 3 for the Xerox Photo Connector to be installed on (ideally the same PC platform as the Photo Product Creation Application)

3. A supported Xerox printer/controller.

11 Install and Configure

The following information describes the steps necessary to install the software and prepare the system.

Install Xerox Photo Connector Application Install – Xerox Photo Connector

Verify that the system you are installing on is a PC running Windows XP Service Pack 3.

Place the installer file on your desktop (or any folder on your machine) and Double-Click (to Run).

The Xerox Photo Connector application requires Microsoft .NET Framework to run. If the following screen displays, download and install the requested software from the Microsoft site and follow the instructions.

The Xerox Photo Connector installer has two sections. The first will complete quickly and a window titled, XPC Installer, will remain. The last line of text will say ‘‘Please Be Patient.....’’. At this point it is beginning the second section; this may take up to 15 minutes. The end user license agreement must be accepted in order to complete the install.

Upon completion, this installation will require a reboot.

Configuration This section describes the behavior of the connector and the steps to configure the Photo Connector: • Enable Connectivity to PDF location • Configure Printer for optimal Image Quality • Configure virtual printers in Printer Registration • Configure Xerox Photo Connector application

Enable Connectivity to PDF location Integration between the Photo Creation Application software and the Xerox Photo Connector consists of providing the Photo Connector access to the product PDF and saving of the Order CSV to the Photo Connector hot folder. To ensure the most stable connectivity, it is recommended that the Xerox Photo Connector be installed on the same platform as the administrative/back office/storefront of the Photo Creation software. 1. Enable the Xerox Photo Connector access to the Product PDF. This will allow

consistent access to the Product PDFs. 2. Share (Windows sharing) the location where PDFs are stored so that the Xerox

Photo Connector has read access to them. 3. Ensure the Photo Creation Application software has write access to the Photo

Connector Hot Folder. This is not an issue if the Xerox Photo Connector is installed on the same PC that the Photo Creation Application Administration software is on.

Configure Printer for optimal Image Quality On EFI Fiery controllers, the virtual printer queue that will be used for Photo Products should be set to ‘‘High Quality’’ to obtain the best results when printing. Not required for Phaser 7760 as this will be set automatically in the job programming.

Configure virtual printers in Printer Registration The printer controller to be used by the Xerox Photo Connector must be set up in Printer Registration (part of the application install) prior to using the Connector. The customer will need to configure only one virtual printer queue. Start Programs Xerox FreeFlow Printer Administration Printer Registration

Add Printer Wizard:

Screen 1: Printer Name or IP Address: <your printer’s IP address> For EFI Fiery controllers, click the ‘‘Identify Configuration’’ button to automatically populate the Printer Model and Controller/Server Type pull-down menus. For Phaser 7760, select Generic LPR for both pull-down menus. Confirm that they are selected properly per the following table:

Select the Queue (virtual printer) that photo products should be printed to: In the pull down for ‘‘What queue at the printer do you wish to register for FreeFlow printing?’’, select an existing ‘‘print’’ or ‘‘hold’’ queue or select a custom queue that has already been configured at the printer for photo printing. You may need to click the ‘‘Retrieve Queue List’’ button, if you recently added a new queue that you’d like to use.

In the area, ‘‘Create a custom name for the printer/queue pair as it will appear for printing from all FreeFlow products installed in your print shop:’’, type in the printer name from the table referenced in Screen 1 instructions (on the previous page). For example, if you have a Xerox 700 with an external (standalone) EFI Fiery controller, type ‘‘XPC_700ExternalEFI Fiery’’. (verify the spelling is consistent with table shown with Screen 1 above)

Click the Finish button to move to the complete the setup.

Configure Xerox Photo Connector application The Xerox Photo Connector application supports many Xerox printers. In order for it to correctly program the photo job’s attributes, it needs to know which printer and controller it will be submitting to. To accomplish this you must provide it with the correct Printer Mapping Configuration file.

Configuration files for each supported Printer/Controller are in the folder ‘‘C:\Program Files\xerox\XPC\resources\PrinterMappings’’ of the system the Xerox Photo Connector was installed on.

The connector application will use the printer mapping configuration file to properly assign job programming to each photo product printed. To enable this, the customer must copy the proper configuration file to the location used by the connector application, ‘‘C:\Program Files\xerox\XPC\resources’’.

1. Select the configuration file that matches your printer/controller. For example, if

you have a DC252 with Integrated EFI Fiery Color Server 2.0, find the configuration file: printerMapping_XPC_2xxIntegratedEFI Fiery.cfg.

2. Make a copy of it, rename it to printerMapping.cfg and place it in the directory ‘‘C:\Program Files\xerox\XPC\resources’’. Note: a non-functional printerMapping.cfg file should already exist; you may delete or overwrite this file.

3. Launch Xerox Photo Connector application: Start Programs Xerox XPC Xerox Photo Connector. The photo connector will now be running but disabled.

4. Enable Xerox Photo Connector application by right click of its Status Icon (Red circle) in the PC task bar (bottom right).

5. To validate the configuration, send a photo product from Photo Product Creation application.

This section describes the interaction between the Photo Creation Application and the Xerox Photo Connector.

Paper Stock Programming Each photo product that is supported is submitted to the printer with specific stock programming (e.g., 8.5x11, 140gsm, C2S gloss). Therefore the must be stock available at the printer with these exact attributes. If this stock is not available, either the job will not print or you must reprogram the job at the printer. This can be done on EFI Fiery via the Command Workstation if you are submitting to a ‘‘hold’’ virtual printer.

To set up the stocks appropriately on your printer, refer to the Product List for your printer. The stock attributes that should be set at the printer are specified in the last column of the Product List.

Pay special attention to settings for: • iGen 4 with EFI Fiery controller: stock is matched on Stock Name. The names in

the Product List are from the stock library and should be available with no additional programming.

• Phaser 7760 stocks must be programmed by tray. See the Phaser 7760 Product List for the appropriate paper type to set on the tray (e.g., ‘‘ThinCardStock’’). Note that photo products whose image is smaller than the paper size must be loaded short edge feed in Tray 1.

If there is a stock setting that is not suited for your situation, contact your Photo Creation Application software provider to see if it can be modified.

Status Icon The Xerox Photo Connector, once installed, will display a Status Icon in the task bar:

The Status Icon is a circle that displays a color to indicate the status of the application as follows: • Green

– Enabled and ready to process • Yellow flashing

– Incoming jobs will be processed. – Error or warning: – Possible causes: Could not connect to printer, PDF file could not be accessed,

malformed CSV or other error. An Error Report should automatically print if the printer is set-up and available.

– To clear: right-click the Status Icon and select Reset. • Red

– Incoming jobs will not be processed. – Application is Disabled: if just launched, the application must be enabled ---

right click the Status Icon and select Enable – Fatal error:

Possible causes: Internal configuration files cannot be found. Hot Folder may have been deleted.

To clear: right-click the Status Icon and select Exit. Restart the application. The application can repair itself in some instances. If the restart does not take care of the problem, software may need to be reinstalled.

A system log is maintained that tracks all activity. Details on the exact errors are available in the system logs in C:\XPChotFolder\sys\sysLog. A new log file is created for each calendar day.

Paper Stock Programming

The Xerox Photo Connector application must be running at all times in order to receive and process print jobs.

To re-launch the application, click:

Start > Programs > Xerox > XPC > Xerox Photo Connector

It will launch in a ‘‘disabled’’ state. Make sure you right-click the Status Icon and ‘‘enable’’ it to accept jobs.

Phaser 7760 Job Separator Page The Xerox Photo Connector provides a custom job separator page that displays informative data from the order file. This page prints by default; it may be turned off in the configuration file. See the Customization section under Hints & Tips for more information.

The Phaser 7760 normally prints default a Job Separator page. This may be disabled at the printer; see the printer documentation for instruction on how to do this

Hints & tips Customization

The Xerox Photo Connector has a few customizable features:

• Enable / disable Error Reports • Print / do not print unmapped (unknown) Products • Phaser 7760: turn custom job separator page Banner Page on/off

Error Reports If an error occurs, an error report will print. If you wish to not have the error reports printed, you may disable it in the configuration file so that the only indicators of an error are the Status Icon and information in the sysLog. To turn off Error Reports, do the following:

Find the following section of text in the printerMapping.cfg file:

Change ‘‘Yes’’ to ‘‘No’’ to turn the Error Reports off.

Prevent Printing of unmapped Products The Xerox Photo Connector will allow printing of any Order sent from the Photo Creation Application. The Order CSV normally will contain a Product ID that will match an entry in the Printer Mapping configuration file (printerMapping.cgf) so will have the proper job programming attributes when submitted to the printer. If a Product Code sent by the Photo Creation Application software does not match a product code in the Xerox Photo Connector application, it may be because the Photo Creation Application has created a new or temporary Product Code and the PDF should be printed. The Xerox Photo Connector does not have any information about an unknown product so there is no mapping in the configuration file. Any unmapped product will print using default printer settings (i.e., 8.5x11 plain paper, simplex). In order to correctly print this PDF, you will need to ensure you are printing to a ‘‘hold’’ queue so that you will be able to reprogram the job attributes at the printer (not available on Phaser 7760) prior to releasing the job to print.

In some situations, you may want to prevent unmapped products from being sent to the printer. For example, if you are submitting directly to a ‘‘print’’ queue and cannot reprogram the job before it prints. If this is the case, you may modify the configuration file to disallow submission of unmapped products. To prevent unmapped Products from being submitted to the printer, do the following: Find the following section of text in the printerMapping.cfg file:

Custom Job Separator Page (Phaser 7760 only) The Xerox Photo Connector creates a custom Job Separator Page (a.k.a., Banner sheet) to print on the Phaser 7760 with each photo job. To turn this custom page off, do the following: Find the following section of text in the printerMapping.cfg file:

Phaser 7760

Defaults and Settings:

• Ensure the Phaser 7760 local UI is left at the home screen. Jobs will NOT print unless the Phaser 7760 UI screen shows ‘‘Walk Up Printing’’.

• Set Paper Source to AutoSelect. This setting allows prompt to the operator to load the required paper for a print job. (CWIS --- Properties --- General --- Printer Defaults --- Paper Source = AutoSelect)

• The default setting on Phaser 7760 is Page Size Policy = 2. The Photo connector assumes that the Phaser 7760 is set to this default. If it is not, jobs will not print correctly. To reset this to default, send any photo product through the Photo Connector --- this will do a reset.

Stock Programming

• Stock must be programmed in the tray exactly it is called for by the Xerox Photo Connector. The proper stock type to program for each product is listed in the Phaser 7760 Product List in the last column in quotes (e.g., ‘‘CoatedPaper’’).

• Custom Job Separator Page / Banner Sheet --- the paper to be used for the custom job separator page is 90gsm plain paper. This stock will be called for by the printer if you have Banner Sheets turned on in the configuration file.

33 Troubleshooting

The following information may be useful with the Xerox Photo Connector.

System Logs The Xerox Photo Connector maintains a log of all activity for each day. These system logs are available in C:\XPChotFolder\sys\sysLog.

Error Handling by Xerox Photo Connector • If there are errors indicating that the PDF files cannot be accessed, verify that the

connectivity to the PDF location must match the manner in which PDF location is specified in the CSV. – If the CSV has an IP address, the connection (or mapped drive) to the PDF

location must also be via IP. – If the CSV has the computer name, then the connection (or mapped drive) for

the PDF location must also be via computer name – If the PDF location is local to the Photo Connector application, the PDF folder

must only be shared. • The Xerox Photo Connector will generate an error page that will indicate to the

user if a problem is encountered when accessing or processing the Order CSV or Product PDF.

• When a malformed CSV file is dropped into the Xerox Photo Connector hot folder (C:\XPChotFolder) or referenced PDF cannot be obtained, an error report will be submitted to the printer. In cases where the customer does not want printed error reports, it may be turned off (not recommended for most situations). Contact Xerox for more information on configuration settings (Customer documentation is pending).

• If a CSV is dropped into the Xerox Photo Connector hot folder that contains a Product Code that is not supported by that printer/controller configuration (see Product Lists for each printer), the job will be submitted to the queue with a default job ticket. In cases where the virtual printer queue is set to ‘‘hold’’, the job attributes may be configured at the controller (e.g., via EFI Fiery Command Workstation). In cases where the customer does not want an unmapped product to be sent to the printer, this setting may be changed. Contact Xerox for more information on configuration settings (Customer documentation is pending).

• Error messaging applies to an entire Order CSV file. If an error is incurred on any line of a CSV, all lines (i.e., orders) in that CSV will fail and must be resubmitted. For example, if an Order CSV contains two lines, the first containing a photo book cover and the second with the photo book pages, and the photo book pages PDF specified in the second line is not accessible with the Xerox Photo Connector attempts to retrieve it, both lines (orders) will fail.

Xerox Photo Connector – Configuration Checklist This checklist is being provided to be used onsite to verify proper integration between the Photo Product Creation Application software and the Xerox Photo Connector.

To enable the best connectivity and fewest issues, install the Xerox Photo Connector on the same system as Photo Creation Application or the PDF file location.

The Xerox Photo Connector, while automated, does provide Green/Yellow/Red feedback to the user when issues occur (e.g., cannot retrieve PDF, cannot connect to printer). Right click the Status Icon to enable/disable, exit or reset the application.

Connectivity and access rights

1. Determine the PDF location. Share the folder that contains PDFs. Set permission so the Xerox Photo Connector can retrieve the PDFs

2. Ensure the Xerox Photo Connector hot folder (C:\XPChotFolder) is configured such that the Photo Creation Application can write the Order CSVs to it.
