No paper or extended abstract will be accepted without a COVER SHEET which can be found near the end of this announcement on the website: www.nwu.ac.za/export/sites/default/nwu/mc/events.html

REVIEWING PROCEDUREThe purpose of reviewing is to provide constructive comments from other researchers in an effort to promote high-quality papers and presentations. At least two reviewers will look at each long paper and extended abstract. Authors will be required to consider their comments and may be asked to revise their work before submitting their final paper. The review process is “blind” both ways, names of authors and reviewers are not revealed to each other, although reviewers can choose to reveal their names to authors in the interests of further discussion. It is SAARMSTE policy to use the journal reviewers as conference reviewers.

Please note: It is SAARMSTE policy that long papers be reviewed properly, consistently and timeously. We therefore ask all delegates to make sure that they abide by the deadlines in the conference announcements and submit their papers in the format requested.

BOOK OF ABSTRACTS AND CONFERENCE PROCEEDINGS The final accepted abstracts received by 31 October 2010 will be compiled into a Book of Abstracts. Final long and short papers will be compiled into conference proceedings, which will be available as a pdf file on a CD. Both the Book of Abstracts and the proceedings on CD will be available at the start of conference and their cost will be included in the registration fee. In addition, delegates will be able to pre-order and pay in advance for printed and bound proceedings, which will also be available at Registration.

Please Note: If presenters have not paid their registration fees by 31 October 2010, their papers/abstracts will not be included in the Programme, Book of Abstracts or Conference proceedings.

(Affiliations: dept, university/co., country)1 [email protected], 2 [email protected] (Email addresses)

The Main Section Heading Style Is SAARMSTE Heading 2

This is a template for preparing paper proposals for the SAARMSTE conference. It makes use of “styles” that have been set up for this particular document. This paragraph, for example, uses the style SAARMSTE Normal, to ensure that the text is in 12pt Times New Roman, with the right line spacing, and so on. This style automatically provides a 6pt space after paragraphs, which means that you do not need double returns between paragraphs. Other styles, such as the SAARMSTE Abstract, SAARMSTE Heading 1, and SAARMSTE Heading 2 styles used above, automatically produce the appropriately formatted text. The use of styles helps to ensure a consistent appearance for all papers in the conference proceedings. Do not number your pages. The authors’ names above are in 12 point and in bold. Note how the institutions are referenced with superscripted numbers. If all the authors are from the same institution, then you may omit such numbering altogether. The addresses follow on the next lines (12 point, italic) for which only the following three details are requested: department or unit, institution and county. Also please give the emails of the authors (12 point), separated by semi-colons.This is Style SAARMSTE Heading 3, if you need it.

Three Heading styles should suffice to structure your paper: SAARMSTE Heading 1 for the title, SAARMSTE Heading 2 for main sections, and SAARMSTE Heading 3 for subsections. Please do not number sections or sub-sections (as opposed to lists and footnotes).Using this document

The easiest way to use this document is to keep a copy of this original template (since it contains all the instructions) and then save a copy of this file using the intended file-name for your proposal. Files should be saved in Word format and filenames should indicate the kind of proposal and name of the first author. Files should be saved in MS-Word and filenames should indicate the kind of proposal and name of first author; e.g. for a Long Paper by Khumalo the file should be named: LP_Khumalo.doc ( _ is an underscore not a space). Use LP, SP, SN, SY, RT for Long Paper, Short Paper, Snapshot, Symposium, and Round Table respectively. e.g. LP_yourname.doc, SP_yourname.doc, SN_yourname.doc,

21

SY_yourname.doc, RT_yourname.doc. Remember that “short” papers are limited to 3600 words and “long” papers to 6000 words. These page limits must be followed, otherwise the proposal will not be considered for the conference. When considering page limits, make sure you have not changed font sizes, margins, or paper size.

Once you have your copy, the simplest way to work with the styles is to start typing over what is already here. If you need a heading or paragraph of a certain style in another part of the paper, simply copy and paste one that you already have. You just need to make sure you include the whole paragraph including the paragraph mark at the end (to make paragraph marks and spaces visible, get Word to “Show Formatting”). You can also see which style applies to a particular paragraph by inserting the cursor in the paragraph and looking at the “style” box visible in the Formatting Toolbar (usually next to the boxes showing the Font and Font Size). You can change the style of a paragraph by highlighting the paragraph and selecting the desired style from the selection shown in that style box; this may be useful if you need to paste in some material from another document. If you cannot see the Formatting Toolbar you can make it visible using the “View” menu.

Tables, Figures, Quotes, Transcripts and Bullet Lists

Below is an example of a table. Leave a clear line before the table caption. Note the format of the table caption which is above the table, left justified and only the table number is in 11 point bold text. The column headings are in bold text and table cells are not boxed. The table entries should be centred, unless deemed to be inappropriate. In the body of the text, refer to Table 1 and not table 1.

Table 1. This is an example of a table caption.

Heading 1 Heading 2 Heading 3Maseru 12 5433

Katse Dam 23 33455Morija 23 3456

Below is an example of a figure. Note that the figure is surrounded by a box. The caption of the figure must be in 11 point text (with the figure number in bold) and is centred below the figure. Do not wrap any text around the sides of figures. In the body of the text, refer to Figure 1 and not figure 1. When inserting a figure into the document, copy it, choose Edit >Paste Special, and insert it as an Enhanced Metafile. It will initially appear behind your text. Right click on the drawing, click Format Picture, choose Layout Tab, and In line with text Wrapping style.

Figure 1. How to peer through a pinhole lens. Note that one eye is closed.Quotes shorter than two lines are normally included within the text, inside quotation marks. For longer quotations, use the following style.

Indented quotations (more than two lines) are in the style SAARMSTE Quote. If you wish, you can also use this style for other text that you want to display without using a table. What you must not do, however, is use this size font for the whole paper!

If you wish to include some transcripts, you should use SAARMSTE Transcript, as in the example below.

Interviewer: So what did you notice about the relationship?Elizabeth: One figure is always twice the area of the other.

Bullet lists are generally discouraged, because they have to be formatted in different ways depending on the text that they are with, and very few people do this well.

Page set-up and formatting

Please use formatting for A4 paper, size 21 cm x 29.7 cm. This is important for the preparation of proceedings. The top, left and right margins are set at 2.5 cm, and the bottom margin is set at 3.0 cm. The line spacing is single throughout.

Presenting references

The references should be presented as shown at the end of this document, with the heading set using the SAARMSTE Heading 3 style. References use the SAARMSTE Reference style, which gives 11 point type and a hanging indent. Authors should follow the APA Publication Manual Fifth Edition reference styles for references. Some information can be found on the following web-site: http://www.psychwww.com/resource/apacrib.htm. Remember that all works cited must appear in the reference list, and all works in the reference list must be cited. The references are included in the page count. Please be careful here, especially with punctuation. When referencing in the body of your text, use the style where the author and the date are quoted in brackets as illustrated. If there are only two authors, then list both, and when there are more than two authors, use “et al.” as shown.
