WorkSpace Overview

WorkSpace is a platform that facilitates the collection and analysis of Microsoft software deployment and licensing

data gathered for a Microsoft Software Asset Management (SAM) Engagement. WorkSpace helps SAM partners and

Microsoft deliver rich, data-driven value SAM engagements for our customers, increase the efficiency of the software

asset management process, and drive more sales. There are three main components to the platform; the WorkSpace

Companion App (WCA), the WorkSpace Step 1 site, and the main WorkSpace site.

The WorkSpace is used during Microsoft SAM engagements to:

• Collect inventory data of deployed Microsoft software.

• Manage the status of customer engagements during the assessment and planning process.

• Securely store customer inventory data files.

• Protect sensitive organizational data via encryption and anonymization.

• Prepare the data file needed to import into the Analyzer.

WorkSpace Components

The WorkSpace Companion App (WCA)

A Windows Desktop Application used for the initial software inventory data collection, proper formatting of the data,

and the anonymization and encryption of sensitive customer data during a SAM Engagement. The app may be

downloaded from the WorkSpace Step 1 site, “Learn Tile.” https://www.mswstep1.com/learn

WorkSpace Step 1 Site

The WorkSpace Step 1 site is where data collected using the WCA is uploaded, compiled, and de-duplicated to

generate a preliminary Clean Inventory Data Contract (CIDC), Standard Report, and Refinement Report.

WorkSpace Site

The main WorkSpace site is where the encrypted and completed CIDC is uploaded and validated against business

rules to ensure that all naming conventions align with the taxonomy used in the WorkSpace site to generate the

Established Deployment Position (EDP) and Effective License Position (ELP) reports.

WorkSpace Reports and Templates

WorkSpace Companion App (WCA) Connectors

WCA Connectors are built into the WorkSpace Companion App and used to collect software deployment and usage

data. To use WCA Connectors, the WCA may need to be installed in the environment where the data is being

collected. The WCA will automatically anonymize data files (Artifacts) collected through WCA Connectors. Other

methods of collecting data are available such using PowerShell Collectors or manually entering data into the Simple

Generic and Advanced Generic templates. https://www.mswstep1.com/learn

PowerShell Collectors

PowerShell Collectors are scripts that can be used to query data sources without the need to install the WCA within

the environment where the data is being collected. The raw data (Artifacts) created using this method must be

manually anonymized using the WCA before uploading it to the WorkSpace Step 1 site. The Learn More section of

the WorkSpace Step 1 site is the resource to download the WCA, PowerShell Collectors, and the Simple Generic and

Advanced Generic templates that are used for manual data collection. https://www.mswstep1-int.com/learn

Simple Generic Template

The Simple Generic Template is an Excel template that is used to manually collect inventory data for devices and

software data from data sources not supported by either the WCA Connectors or PowerShell collectors. The template

contains validation assistance; however, it does not collect all types of inventory data, such as usage data. The Simple

Generic Template may be access on the WorkSpace Step 1 site. https://www.mswstep1.com/learn

Advanced Generic Template

The Advanced Generic Template is an Excel template that is used as a more comprehensive means of manual data

collection than the Simple Generic Template. For example, it allows for the capture of user, event, and usage data. It

does not contain any data validation assistance and requires a unique machine qualifier (reference number to the

machine in the devices worksheet). The Advanced Generic Template may be accessed from the WorkSpace Step 1

Standard Report

The Standard Report is an Excel report generated by the WorkSpace Step 1 site. The Scan Summary tab of the report

is used to ensure that all the necessary data has been captured successfully during data collection by indicating the

number and percent of successfully scanned machines, scans that timed out, and machines not found. Microsoft SAM

Engagements require that data coverage must reach at least 90% for all devices. If information is missing, then it may

be necessary to add more or different Artifacts and create a new Job. The Standard Report should be reviewed prior

to downloading the preliminary CIDC in case more data is needed. The report requires the WCA to restore the

original data so it can be reviewed in detail.

Refinement Report

The Refinement Report is an Excel report generated by the WorkSpace Step 1 site that enables you to further refine

the data being used for the CIDC. The Refinement Report enables you to manually add and further refine

information—such as production environments or determining the correct licensing model—and can be modified

and uploaded again as an anonymized Artifact to generate a more accurate CIDC. If changes are necessary, then it

requires users to first restore the Refinement Report (turn anonymized values back to real ones, an option in Step 5 in

WCA), make changes, re-anonymize, upload as a new Artifact, and then create a new Job that includes it.

Enterprise Report

The Enterprise Report is an Excel report generated by the WorkSpace Step 1 site. The Scan Report tab of this Excel, and

similar summary in the Table of Contents, demonstrates the completeness of the device-level inventory underlying the

reporting by indicating the number of active Workstations and Servers identified and the subsets that have been

scanned and remain unscanned. Based on the device-level inventory collected, this report provides global and per

product views and rich data visualization features which are more suitable for management and executive review.

Clean Inventory Data Contract (CIDC)

The Clean Inventory Data Contract (CIDC) is an Excel report used as the required template to pull in and consolidate

raw inventory data from the various inventory and discovery tools, de-duplicated, and formatted to work with the

main WorkSpace site. Some manual usage and license allocation inputs will also be required to complete the CIDC.

Once uploaded, the CIDC is validated against business rules to ensure proper data collection, and the Established

Deployment Position (EDP) and Effective License Position (ELP) reports are generated. If the CIDC fails validation the

main WorkSpace site generates the CIDC Error report detailing what needs to be fixed.

Clean Inventory Data Contract (CIDC) Error Report

The CIDC Error Report is an Excel spreadsheet outlining all errors contained in the CIDC that must be corrected

before validation can be successful. If a CIDC fails validation, the CIDC Error Report can be downloaded from the

WorkSpace Step 1 site by clicking the arrow in the status column next to the text “Validation Failed” and select

“Download Error Report”.

Established Deployment Position (EDP)

The Established Deployment Position (EDP) is a customer-ready Excel report automatically generated by the main

Workspace site, and is the output of the Clean Inventory Data Contract. It represents the complete picture of the

customer’s Microsoft product and technology deployments. This report is a more customer-friendly view of the data

gathered in the CIDC.

Effective License Position (ELP)

The Effective License Position (ELP) is specific to SAM engagements and provides details related to license

entitlements and deployments. It is an output from the EDP generated by the WorkSpace. Both the ELP and EDP are

required deliverables for Proof of Execution (POE) on SAM engagements.

Other Data Template

The Other Data Template is a spreadsheet used to finalize the Effective License Position (ELP) within the WorkSpace.

It can be used to add new licenses (OEM, FPP, ISV, MPN, and Subscription Entitlements) not captured within the

Microsoft License Statement (MLS) or used to manage manual adjustments to the ELP (Manual MLS Adjustments,

Deployment Adjustments, and Licensing Allocation Adjustments). All editions applicable to the Other Data Template

can also be applied directly to the ELP by an online web form.

The table below shows the types of adjustments handled within the Other Data Template.

Microsoft License Statement (MLS)

The Microsoft License Statement (MLS) provides customers with a detailed account of their Microsoft Volume License

Agreements and the product licenses and Software Assurance (SA) benefits acquired under these agreements.

However, the MLS is much more than a customer's purchase history. The MLS also provides a License Summary – the

output of an analysis that shows the application of upgrades and SA to underlying full licenses to calculate the net

license position for each Microsoft product name edition, and version. The ELP uses the MLS to map software

deployments to license entitlements. WorkSpace will not generate an ELP without a current MLS.

Product & Program Definitions

The Product and Program Definitions spreadsheet contains the standard product taxonomy for the main WorkSpace

site. It is updated on a weekly basis as product definitions are updated (newly released products/versions, new

processors identified, etc.) This Excel spreadsheet can be found in the footer link of the WorkSpace. This report is

necessary for the completion of the CIDC and Other Data Template as it contains details on the taxonomy (i.e.,

naming conventions) used within the WorkSpace site, such as License Product Family Names or License Product

Family Version Names. If this information is entered incorrectly in either report, then the reports may fail when

uploaded to the WorkSpace site.
