Articulation – Summarize Curriculum Changes

This process starts when there is a significant program change. You will receive regular notification from Curriculog when a program has changed. It will be up to you to see what has changed and determine if an Agreement Update Email needs to be sent to the agreement partner.

Change Notification is part of the ACAT Best Practices, so this process is crucial for maintaining fruitful partnerships. At the same time, there is a tension between providing enough detail to make an informed decision, while also only calling attention to details that are most important.

Processes (P’s)

P1 – Review email Notification

Below is an example of an email notification. Click on the “Click Here” links to be directed to the Curriculog login page.

P2 – Log in to Curriculog

1. In the Firefox web browser, navigate to: https://sait.curriculog.com/ then click on the “Login” link located in the top right hand corner.

2. Login using your SAIT email address and your Curriculog password.

P3 – Review Proposal

In this step, you will determine both: 1) if there is an articulation agreement with the program and 2) if the change is significant enough to notify the partner.

1)a. Scroll to the bottom of the proposal down to the Program Details section.b. Click on the middle blue tab called View Curriculum Schema.c. Scroll to the bottom of the schema and click on the Program Articulation core.d. Anything written in the Description section means that there is an agreement. If

the description box is blank, meaning there is no agreement, this process ends.

a. Scroll back up to the Change Rationale section.b. Read the Explain the Change and Provide the Rationale text box.

P4 – Open the Program of Study during the initial negotiation

1. Find the academic year of the initial negotiation.2. Open the O: drive.3. Click on the following sequence of folders: staff/Common/data/Curriculum

Archive/Program.4. Click on the school that owns the program. 5. Click on the Program code.6. Click on the Program Code and academic year found in step 1.

P5 – Open the most current Program of Study

1. In the same folder as P4, click on the most current academic year.

P6 – Open every Program of Study between the initial negotiation and the current

1. In the same folder as P4, click on all the Program of Studies between the initial negotiation and the current academic year.

P7 – Note the changes in Total Credits year-to-year

This process works best if you have 2 monitors side-by-side.

1. Open the Program of Study during the initial negotiation. Push the window against the side of your monitor to create a split screen.

2. Open the Program of Study for the next academic year. Do the same as step 1 but to the other side of the monitor. If you have more than one monitor, you will have to re-size the window manually.

3. Scroll down to the bottom of both windows until you see total credits. In a spreadsheet or in word, note the change of total credits from one year to the next. The example below shows a change of 36 total credits.

P8 – Find the CurricUNET attachmentsTo navigate to the Acalog login page:

1) Open the Firefox web browser.2) Enter the URL: https:// sait.acalogadmin.com and press enter

3) Enter your username and password. Generally, your username will be the first initial of your first name followed by

your last name. EXAMPLE: Joe Smith = jsmith.

4) Select the Historical Archive Catalog from the drop-down menu and click Go.

5) Click the Programs & Cores link in the sidebar on the left.

6) Searches can be performed by program name or code. To search for the desired program by:a. Program Name – Type the name into the search bar; OR,b. Program Code – Click the Search by program code checkbox under the search bar

then enter the program code in the search bar.7) Click the Search button.8) Click on the link to your desired program by clicking on the name once it appears in the

search results.Example for Business Administration:

9) Click on the Attachments tab near the top of the webpage.

10) Click on the desired attachment. In Firefox, a new dialog window will appear allowing you to save or open the attachment.

P9 – Note CurricUNET Program Outcome changesIn this step, you are going to begin to note all the changes in program outcomes beginning from the initial negotiation and continuing on year-to-year until users stopped using CurricUNET. You will have to note the program outcome changes in the Curriculog system as well.

Acalog stores archive information in the form of snapshots of the course and program data. A snapshot is a static, read-only picture of the catalog as it existed at a given date and time. There is one snapshot for each effective year that a change was made.

1) Click on the Version Auditing link near the top of the webpage.

2) Click on the icon beside each snapshot to expand the displayed information until you find the desired effective academic year. If you wish to expand all the snapshots at once, click on the Expand All link in the top right of the page.

Example:In the example below the user is looking for an effective year of 2013/2014.

3) Click Review Snapshot in green next to the academic year of the initial negotiation.4) Select the latest snapshot of the desired effective year in the Compare to drop-down

selection.5) Click Load Comparison.

IMPORTANT

In the Historical Archive Catalog, there are many different snapshots made for a single effective year. The reason for this is that each time the catalog changes, a snapshot is/was created. Some information was added automatically from CurricUNET, which triggered the creation of a snapshot. In addition, some information was added manually at different times, which also triggered the creation of a snapshot.

When locating the snapshot for an effective year, you will want to select the latest snapshot in the series. Generally this will be the snapshot furthest to the top of the listing for a given date.

6) Click Combine and Show Changes.

7) Make note of any program outcome changes year-to-year.

P12 – Note any major changes in equivalence using the attachmentsNow that you have both attachments from the archived CurricUNET changes and attachments from Curriculog, you can note any major changes in equivalencies.

1) Open the program transition plans.2) Make note of any major equivalence changes year-to-year from the initial negotiation to the

most current change.

P13 – Note any Curriculog program outcome changesNow you’re finding the changes in the Curriculog system.

1) In the original proposal from P1, select Show current with markup under User Tracking.

2) Open the Curriculum Schema under Program Details.

3) Click on the Program Outcomes core. The green font was added in the example below.

Examples of changes that are significant:

Need to Know Reason(s) Why

Courses Added / Removed Transfer Credit is based on the content of a program; if content changes, TC could be affected (more or less awarded).

Often course codes and names change, so up-to-date information about the history of what was added/removed—and if equivalencies exist—is needed to accurately assess the transcripts of transfer students.

Significant Hours / Credit Changes Significant changes to the amount of hours/credits for a program could affect the amount of TC awarded (more or less). Hours and credits are considered when comparing the content of programs—the learning time and value must be similar.

Majors Added/Removed Articulation agreements are made by major, so this information needs to be correct to ensure pathways are viable.

Significant Changes to Outcomes Program and/or Learning Outcomes are considered when reviewing potential transfer credit. Changes to outcomes can affect the amount of TC awarded (more or less).

D3 – Does the partner need to be notified of the change?

This still has to be defined by the Articulation team.

D4 – Was the initial negotiation done prior to February 16, 2015?

February 16, 2015 is the date when staff stopped using CurricUNET. If the initial negotiation was done prior to this date, it means that some attachments and Program Outcome change information will be housed in the Historical Archive catalog in Acalog. Changes made after that date will all be found in Curriculog.
