Preface WordFinder Grammatik is a fast and powerful program that enhances your ability to write English. This software can be customised to meet the individual needs of those who have English as a second language.

WordFinder Grammatik integrates suitable spell check and correction tools directly into the application in use.

With WordFinder Grammatik, you can:

Improve your level of written English by checking spelling, grammar, language style and choice of words.

Understand and apply the grammar rules and guidelines supported by Word-Finder Grammatik.

Customise WordFinder Grammatik to meet your daily user requirements– and add words to your personal dictionary – either before or during the document checking process.

Applications that WordFinder Grammatik will be able to directly communicate with include (but are not limited to):

Introduction

Requirements We recommend that you read this manual prior to installation and when reviewing the functions provided in WordFinder Grammatik. This manual describes Word-Finder Grammatik.

A good understanding of Microsoft Windows is required to fully understand the contents of this manual.

Technical specifications The following criteria must be fulfilled, if you wish to use WordFinder Grammatik:

Windows XP or above.

or

Windows 2003 Server or above.

WordFinder Grammatik is fully integrated with Microsoft Word 2003/2007/2010 and Microsoft Outlook 2003/2007/2010. WordFinder Grammatik can also execute checks in text fields.

Help The help section in WordFinder Grammatik contains all the details you require when administrating the software.

Do as follows to start the help guide:

Click on the Help button (where one is available) or select Contents from the ? menu.

The Contents section provides support and troubleshooting. It also includes a link to WordFinder Software’s website, software details and system information required when you contact our customer support staff. The terms of the software license are also outlined in this section.

Uninstalling WordFinder Grammatik If you would like to uninstall WordFinder Grammatik, please use the Add/ Remove programs option in the Control Panel. Here’s how in Windows 7:

1. Click the Start button.

2. Select Control Panel.

3. Click on Uninstall a program.

4. Right click on WordFinder Grammatik and select Uninstall.

How to use WordFinder Grammatik

Starting WordFinder Grammatik Once WordFinder Grammatik has been installed, you will find the program group WordFinder Language Solution in the Start menu, an icon on the Desktop, or among the apps when working with Windows 8. This is what the menu may look like in Windows 7:

If you want WordFinder Grammatik to start automatically each time you start Win-dows, you have to place the icon in the Autostart program group.

An icon is displayed in the activity field once WordFinder Grammatik is running. It could look something like this:

Advice when using WordFinder Grammatik When WordFinder Grammatik is running, the program uses up a lot of RAM. If you have an older computer, particularly one with not much RAM, the program will run faster if you try not to have too many other programs running at the same time. Also bear in mind that checking longer texts (e.g. multi-page Word documents) may take a little longer on an older computer.

If you have an older computer and often work with large documents, it may be wise to run the check in batches - after every page, for example - and not to wait until the entire text is complete. You can also choose to execute your check on a section of text that you have highlighted instead of having to work through the entire text. Find out more about this under Configure WordFinder Grammatik in the section en-titled System Preferences.

Using WordFinder Grammatik: an example Here is an example of how you can use WordFinder Grammatik with Microsoft Word. We will be looking at all the important basic functions. You can then work in the same way in other text programs supported by WordFinder Grammatik.

A full description of the options available in the program windows and dialog boxes can be found in the section entitled More information on WordFinder Gram-matik.

This is what to do when you want to check a text:

1. Start WordFinder Grammatik.

2. Open the document you want to check, if you are not already working with it.

3. Start the check by pressing the hot key (default in Windows 8; Win + G, in all other version of Windows; Win+W).

The program searches the document for grammatical, spelling, sentence structure and language style errors.

Once the check is complete, the program window is displayed in which you then review all the items the program has found. The review starts at the beginning of the checked text and proceeds on through it. This is how the screen may look.

In the preferences you can choose how extensive you want the check to be; whether you just want to check spelling, spelling and grammar, or run all checks – spelling, grammar and style.

If you want to cancel the review for any reason while it is running, click on Close.

At the top, under Sentence, you will see the sentence which WordFinder Gram-matik recommends that you change.

Under New Sentence, you will see what the sentence would look like if you exe-cuted the recommended change.

Under Grammar Error, you can find out more about the change suggested by the program.

Click on Change to execute the change shown in New Sentence.

The program shows the next sentence. It could appear something like this:

Here, under Grammar Error you can see that there are two alternative ways of correcting the sentence.

You can always make a change by clicking on the suggested change, for example:

Click on apologize for.

You will see that the sentence is changed under New Sentence.

Click on Change.

The next sentence is displayed. It can look something like this:

This is a good example which shows that WordFinder Grammatik can recognise context and see that the wrong word has been used.

Note also that the Undo Edit button is now available. Clicking on this allows you to undo the previous change; in our example, when you switched to apologize for. However, we will not be undoing that change.

In this example you would:

Click on Change to replace the word (in this example announcements with ad-vertisements).

The next sentence can be something like the following:

Here, the program can see that the word is probably misspelt, but you also have the option of adding the word to your personal dictionary if this word is spelt correctly but WordFinder Grammatik has not recognised it. The program shows this by mak-ing the Add button available.

Note: The word which the Add button adds to the dictionary is the highlighted word under Sentence (and not the word under Spelling Error).

In our example, the word is misspelt and has to be corrected.

Click on Change.

The next step could be as follows:

This is yet another word which does not appear in the dictionary; a name. In this mode, you can opt to ignore the word in this position (Ignore) or in all positions in this text (Ignore All).

Click on Ignore.

The word is placed in a monitor list which we will look at later on in this example.

If you click on Ignore more than three times in the same session (a session is the period for which you have the program running), a dialog box is displayed which may look like this:

You choose here how the program is to deal with the word, then you click on OK. Personal Dictionary is the list we will be looking at in greater detail at the end of this example.

The next sentence displayed by the program could be:

A sentence may sometimes be corrected by deleting a word; this is one such example. However, note that the program gives a couple of alternatives under Grammar Er-ror. If you want to use one of these alternatives instead, you can click on the alter-native you want to implement, in exactly the same way as before (and then click on Change to execute your change).

The program can also tell you that there is an alternative way of expressing the sen-tence; a style error. Here is an example:

The program can tell you there is an error in a clause but does not provide an alter-native by way of correction. It can look something like this:

Read through the entire description under Grammar Error and decide what to do.

If you would like to delete a word, this can be done directly in the box under Sen-tence. Here is an example:

Select And.

Press the Delete key on the keyboard.

Click on Change to execute your change.

The review ends automatically once all the text has been reviewed and the message Check complete is displayed. This is how the screen may look.

This shows the number of words, sentences, and paragraphs that have been checked.

If you ran the check on a large volume of text, you can click on the Statistics tab to get more information about the check (a smaller amount of text does not provide an adequate basis for creating meaningful statistics.)

You can also check the readability status of the text by clicking on the Readability tab.

The Flesch formula is designed to indicate comprehension difficulty when reading a passage of contemporary academic English. High scores to the left indicates a text

that is easy to read, ie, the higher score, the better. The grade, on the other hand, should be low to indicate good readability.

All changes you make during a session are saved. You can examine them more closely and save the history.

Click on Proofing History.

Here you see all the changes you made during the session. You see all the altered sentences and how these sentences looked before the changes.

NOTE! If you wish to save proofing history, you must do that before closing the program. When you close the program, the proofing history is normally emptied. In the set-tings section you can indicate that you want the history to be saved automatically.

Refer to The Options tab section in the chapter Configure WordFinder for more information.

Click on OK to execute the changes you have made, or on Cancel to close the window without executing them.

You can also choose what will happen when you close the file or exit the editing program. See the alternatives under At program exit.

Before we leave the example, we will also take a look at your personal glossary and how to work with it.

This is what you do to access your personal glossary while the Grammatik program window is open:

Click on Preferences.

Click on the Words tab.

You will now see something like the following:

The words you have ignored are placed in the list on the left. You can opt to add these to your personal dictionary.

The program ignores the words in your personal dictionary the next time you run a check.

You can add words to and delete words from your glossary. If you would like to add a word to your personal dictionary, this is what you do:

Select the word in the Ignored words list.

Click on Add to add the word.

Note that this list is purged every time you close the program window. The words in Personal Dictionary remain between work sessions (as long as you save the changes).

You can also add words directly to your list. Here is how:

Click on Add new.

Input the word you want to add.

1. Click on OK when you have finished.

The new word also appears in the list now.

You can delete words from your personal dictionary. Do the following:

2. Select the word in the Personal Dictionary list.

3. Click on Remove.

4. Save the changes to your personal dictionary by clicking on OK:

Your text is now reviewed and complete.

5. Save your document (It may be a good idea to save the reviewed document as a copy; if you opt to save it with the existing document name you will lose your original.).

More information on WordFinder Grammatik This section contains reference information on the program window, as well as gen-eral reference information. The settings available to you are described in the section entitled Configure WordFinder Grammatik.

Program window

Below is a description of the elements in the program window and the functions available to you there. This is the program window:

Sentence

The sentence that the program wants to call your attention to is displayed here.

New Sentence

If the program is able to suggest a change, the amended sentence is displayed here. This is the sentence you switch to when you click on Change.

Grammar Error

You can read about the error here, along with other comments on the sentence displayed by the program under Sentence. You can always select a change from this window by clicking on the desired option. The items you can click on are highlighted.

More details are available for certain grammatical errors. By clicking on the Tell me more link in the Error dialog box, a new window appears displaying detailed expla-nations of various grammatical topics. Click OK to close the window when you are finished reading the explanation.

Linked errors

WordFinder Grammatik has the ability to identify linked errors. A description of the errors found is shown in the Grammar Error box. This explanation may consist of two words that are used in a new sentence. This is indicated by –AND–. The explanation may also consist of other solutions that are fully correct and can be used to replace the incorrect highlighted text in the Sentence box. These solutions are separated by the word –OR–.

Each suggestion includes an explanation why it should be used.

This is what you do to read the explanation:

1. Click on the small blue arrow at the right of the suggested text.

The explanation is displayed beneath the suggested text.

2. Click on the arrow again to hide the explanation.

Program window buttons

Click on the Ignore button to proceed without making any changes. Ignores the suggested change in this position.

The Ignore All button, for ignoring all similar changes in the text.

Click on the Change button to execute the change displayed under New Sentence.

If you have made a change directly in the Sentence box, you can undo this change by clicking on Undo Edit. This button is displayed at the point on screen where you would normally see Ignore.

If WordFinder Grammatik is unable to recognise the word, you have the option of adding it to your personal dictionary. In this instance, the Add button is displayed alongside Gram-mar Error.

Click on the Preferences button to adapt WordFinder Gram-matik; see the section entitled Configure WordFinder Grammatik.

Close the program window by clicking on the Close button.

Click on the Help button to view help text for the program window.

Clicking on the i button at the bottom left of the screen dis-plays information on WordFinder Grammatik, such as the ver-sion you are running.

Check complete

When the grammar check is completed, a dialog box is displayed that can look like this:

This shows the number of words, sentences, and paragraphs that have been checked.

If you ran the check on a large volume of text, you can click on the Statistics button to get more information about the check (a smaller amount of text does not provide an adequate basis for creating meaningful statistics.)

You can see the text readability status compared some other texts, by clicking on the tab Readability.

You can change settings by clicking on Preferences.

Proofing History

All changes you make during a session are saved. By clicking on Proofing History, you can examine all the changes, create general settings and choose to save.

NOTE! If you wish to save proofing history, you must do that before closing the program. When you close the program, the proofing history is emptied.

This is how it may look:

Here you see all the changes you made during the session. To the right you see the original sentence, to the left the same sentence after a change was made.

At the bottom left, you can create settings for the proofing history memory. You select what happens when the program ends. The default setting is that nothing is saved, i.e. that the memory is emptied. The alternatives include choosing to always get a question on whether the memory should be saved, or automatically adding the session’s proofing history memory to existing information in a designated file.

You can choose to save the session memory to a new file regardless of the selection you made on the left. Click the Save to file button, enter the file name and choose a location.

Use Clear if you for any reason want to empty the memory before continuing with your work.

Click OK to save the settings you made, Cancel to not implement them. If you emptied the memory, however, you cannot retrieve it by clicking Cancel.

Using WordFinder Grammatik in other programs

WordFinder Grammatik is used in the same way as in the example above in the following programs:

Microsoft Outlook

MSN Messenger

Notepad

Wordpad

In the majority of programs which process text in one way or another, you can copy text in the usual way, open the WordFinder Grammatik editor, paste the text there

and execute the check in the same way as shown in the example. See the section entitled Using the editor for more information.

Using WordFinder Grammatik in a text field

WordFinder Grammatik can check the text in most programs that have text fields.

This is what you do to execute a grammar check in a text field:

Start the program by pressing the Hot key defined (default in Windows 8; Win + G, i all other versions of Windows; Win+W).

The check works in the same way as in the Microsoft Word example shown above.

If you try to check a text in a field which is not recognised by WordFinder Gram-matik for some reason, something like the following is displayed:

One good alternative is to copy the text manually as shown here:

1. Open the WordFinder Grammatik editor. The editor can always be accessed.

2. Paste the text.

3. Execute your check.

You can read more about the editor in the last chapter Using the editor.

Using the editor If you cannot activate WordFinder Grammatik from the application you are using, you can still carry out a language check by copying the content in question and past-ing it into the editor, which is an integrated text editor.

This is what you do:

1. Select the text you want to check, then copy it - for example - by pressing Ctrl+C.

2. Double click on the WordFinder Grammatik icon in the Activity field.

Or:

3. Paste the text from your document into the empty window by pressing Ctrl+V, for example.

4. Start your check by clicking on the Start check button (see under Toolbar be-low).

The check is then executed in the usual way in the WordFinder Grammatik program window.

5. Process the text as usual in the program window.

6. When you have finished, select the text, copy it and paste it to the location where you want it to appear.

Of course, there is nothing stopping you from inputting your text directly in the editor, executing the check, copying the processed text and pasting it to the intended location.

Toolbar The editor toolbar contains the following options:

Functionality

New – Create a blank document.

Open – Open a document. It is only possible to open docu-ments that have been saved as Rich Text Format (*.rtf) or text (*.txt) files.

Save as – The document can be saved as a Rich Text Format (*.rtf) or a text (*.txt) file.

Cut out the selected text.

Copy the selected text.

Paste the text into the Clipboard.

Undo last action.

Formatting text – Select fonts, font size and font style, etc. The text formatted in the editor can easily be inserted into other programs such as Outlook.

Start check.

Analyze test document. Click this button to test Grammatik.

Systems Preferences.

About WordFinder Grammatik.

Open help.

Exit WordFinder Grammatik.

Configure WordFinder Grammatik You use Preferences to customize WordFnder Grammatik. You can reach these settings both from the program window and from the editor.

Preferences You can customise WordFinder Grammatik to suit your own needs. This is done by right clicking on the program icon in taskbar and selecting Preferences, after the program has been started, or by clicking on any Preferences button.

The Editor tab

The following options are available here:

Hot key

Hot keys are selected by pressing the keys you want to use. If this is a possible combination, the box to the right of the field is green. If the key combination cannot be used, the box is red and you have to choose a different combination. The com-bination must be one or more of the Ctrl, Shift, Alt or Windows keys, together with a function key, letter or number.

Paste back

The options under Paste back affect how changes are executed in the original text when you work with programs which handle text in a way unknown to WordFinder Grammatik, so making it necessary for the text to be checked by storing it tempo-rarily in the editor. In all other instances - when working with Microsoft Word, Mi-crosoft Outlook, MSN Messenger, Notepad, WordPad et al. - your changes will be inserted automatically.

Start up

Check this box if you do not want the program to display the start screen every time you run it.

The options tab

The Options tab includes the following:

Selections

Check the box if you want the function to be enabled.

Ignore words in UPPERCASE means that the check will ignore words in upper-case. Ignore words with numbers means that the check will ignore all words con-taining one or more digits.

WordFinder Grammatik checks for possible word choice errors, i.e. words that are often wrongly translated and used in the wrong context. If you want to enable this function, check Check possible Word choice errors.

Check text in “quotes” – here, select whether or not you want to check text en-closed within quotation marks.

Check

Here, you choose how extensive you want the check to be – just spelling, spelling and grammar, or a complete check: spelling, grammar and style.

Native language

What you select here have an effect on how the text is analysed, so selecting your language can give you more information.

Spelling & Punctuation

Under Spelling & Punctuation, select which form of the English language is to be checked by WordFinder Grammatik, American English or British English with ei-ther - ise or -ize pronunciation.

Writing style Under Writing style, you can define the language style that WordFinder Grammatik checks, by clicking on the Advanced button.

Advanced

In this dialog window, you can define the rules of grammar that WordFinder Gram-matik uses to check your document. The check is carried out based on the language style you have selected. Select a rule by ticking the box to the left. Remove a rule by

clicking in the corresponding checkbox. You can also select grammar rules from the list shown.

The selected language style is displayed at the top. Choose another style by clicking in Select new style. You can choose between standard, formal or informal styles from the dropdown menu. It is also possible to create your own style settings, if you have a personal language style that you often use. Use the Custom option to make these changes. You can change language styles by clicking on the dropdown list and selecting the option that is most suitable.

In the Display rules for box, you can set the rules for spelling, spelling and grammar or spelling, grammar and style. You can change style settings by selecting one from the drop down menu to view the corresponding rules.

The centre box displays a number of rules relating to the various language control options. The set of rules that are active for the selected style are highlighted by the relevant checkboxes. In the Description of selected rule box, a description of each rule can be viewed by clicking on them.

Once you have selected the rules of your choice by the checking the relevant check-boxes, click OK.

Helper dialogs

Helper Dialogs activates the grammar check dialog boxes, if you have ignored to check the spelling, style or word choice in your document.

After choosing to ignore a potentially misspelled word three times, or if you have clicked Ignore All, WordFinder Grammatik will ask you what to do. It can look something like this:

If you have chosen to ignore a rule three times, the message is similar.

Should you chose to turn off a rule (either for the present session or all sessions), it will be displayed under the Exceptions tab in Preferences, where you can chose to turn it back on again.

Exceptions

On the Exceptions tab you can set the following.

The tab displays the individual grammar rules that you chose to ignore in the text check using the Spelling helper dialog box and the Style & Word Choice Helper dialog box.

Here you can define the rules that apply:

o For the current session

o For all session

For the current session displays the rules that have been ignored in the current work session only. For all sessions displays the rules that are ignored at all times.

To restore a rule, select the corresponding checkbox in front of the rule and then click OK.

The User Interface tab

The User Interface tab includes the following setting options:

Look and feel

For Look and feel, you can select the appearance in the program's window -Word-Finder appearance or Windows appearance.

Manual Sentence editing

You can make manual changes by typing, deleting, etc. in either of the boxes Sen-tence or New Sentence. The default for this is In “Sentence”. If you want to make your changes in the other box, In “New Sentence”, select this instead. No matter where you make your changes, you always have to click on Change to exe-cute them.

Here you can set the colour scheme used by WordFinder Grammatik to distinguish between different words and suggestions. The colour palette shown in the dialog window shows the default colours used in the program. The numbers assigned to each coloured square refer to the numbers in the text in the text window above. Any changes made to the colouring scheme can be previewed in the text window.

The colours

The numbers represent:

1. Words/sentences highlighted as incorrect in your text.

2. New words/sentences proposed by the program. Text shown in the New Sen-tence window.

3. Suggested changes. Other suggestions displayed by the program

4. Selection colour for the word/sentence change suggested by WordFinder Grammatik.

5. Other possible suggestions provided by the program. Any proposals that are not displayed in the New Sentence box.

6. The link colour for the Tell me more link.

Click Reset, if you wish to reset the default colour scheme used in WordFinder Grammatik at any time.

The Words tab

Any words that were not recognised by WordFinder Grammatik and which you chose to ignore during a grammar check, are saved under the Words tab. These words are displayed in the Ignored words box.

Here you can:

o Add words to your personal dictionary.

o Remove words from your personal dictionary.

Add:

1. Select the word you wish to add in the Ignored words box.

2. Click Add.

3. The word is transferred to your dictionary, which is now displayed in the Per-sonal Dictionary box.

Add new:

If you often use certain words that the program does not recognize, use the Add new option to include these words in your personal dictionary. Brand names that you work with frequently are a good example.

This is what you do:

1. Click on the Add new button.

2. Enter the word in question in the window.

You can enter more than one word at a time. Separate the words with a bar space or a line break by pressing Enter. You can move the insertion point, delete, etc. in the usual way.

If you have a list of words in some other form (in Microsoft Word, for example), you can select this list and paste it here.

Note: For large amounts of text, use the Custom Dictionaries function instead. The num-ber of words you can add to your personal dictionary is limited.

3. Click OK to enter the words in the dictionary.

The words, now shown in the Personal Dictionary list, will be accepted by Word-Finder Grammatik in future.

Delete words:

1. Select the word in the Personal Dictionary that you wish to remove.

2. Click Delete.

The Custom Dictionaries tab

You can add adapted dictionaries in WordFinder Grammatik.

This is useful if, for example, your company uses specific terminology and you want to make sure that WordFinder Grammatik can recognise your terms.

The glossary has to be in text format (ASCII, UTF8 or Unicode, for example). Each word may contain a maximum of 64 characters. Words containing any capital letters must be written in exactly the same way in the checked text. WordFinder Grammatik assumes that any word consisting only of lowercase letters in the dictionary should have an initial capital at the start of a sentence, otherwise that it should appear in lowercase only.

1. Click on Add new.

2. Search for the file for the dictionary you want to add, then click on Open.

2. Place your dictionary directly in the CustomDictionaries folder, which you will find in the WordFinder Grammatik program folder.

Any dictionary you have added may be active or inactive. Check the boxes for the dictionaries you want to be active.

If you want to delete a dictionary entirely, click on it and select Remove.

There is, however, an alternative way which may be of interest if you manage several computers, and that is to edit the WFGRM3.INI file located in the application di-rectory.

By default it will look like this:

The first section should be ignored.

Under the [CustomDictionaries] section, you can add the paths of both folders and specific files that will be used as dictionaries by WordFinder Grammatik, without having to add them using the user interface. After editing this file, it can also be copied to other computers with WordFinder Grammatik installed.
