We are delighted to provide information on how the Detroit Zoo can assist you in planning your birthday celebration. Inside this packet you will find all the information you need to get started. Included in this packet is the “Wild Adventure Birthday Party” order form. This order form contains very valuable information like prices, location, time slots, restrictions and a list of what’s included.

When you decide to book a party with the Detroit Zoo, the first step is to contact the Birthday Coordinator to select a date and make a deposit. Your party is not confirmed until the coordinator receives from you a $150.00 deposit reserving an agreed upon date. This deposit is non-refundable. It will be applied toward the total cost of the party. You may make your deposit by mail-in check, money order or by submitting your credit card number over the phone.

The next step in the party planning process is to return the proper paperwork to the Birthday Coordinator. The Birthday Coordinator only needs your name, address, telephone number and deposit to get started. You may complete all additional information at a later date. Inside the packet you will find a Detroit Zoo Birthday Party Contract. Please complete your contact information, along with the birthday child’s name and age to be.

Also included in the packet is information regarding additional food and activity packages for you to select. After completion, you must mail, fax or bring these sheets to the Birthday Coordinator. The mailing address and fax number are listed below. The Birthday Coordinator will keep in contact to remind you of deadlines and to address any questions or concerns you may have. Of course you may contact the Birthday Coordinator at any time for any reason. Also included in the packet are the Birthday Instructions & Directions. Terms and AgreementDeposit: To reserve the date and time of the birthday party, a non-refundable deposit of $150.00 must be processed before the party can be booked.

Final Guest Count: Your final guest count must be received by the Birthday Coordinator ONE WEEK BEFORE your party date. Your final count should include ALL children and adults attending the party. The final guest list will be used to figure your billing summary as well as order tickets and food. Payment includes Detroit Zoo admission, food & beverages, party favors and activities.

Food and Beverage: The Detroit Zoo does not allow outside food to be brought in for a catered event including the birthday cake. Please note health regulations prohibit any remaining food to be removed from the premises upon conclusion of the event.

Decorations: Due to the sensitivity of our animal collection, NO BALLOONS, Styrofoam products, straws, glitter, confetti or Mylar ribbon are allowed at the Zoo. Decorations are not required for your party—the Detroit Zoo environment alone provides a wonderful atmosphere.

Guest Check-In, Parking and Pick-Up: Please check-in with the Birthday Coordinator. Your reservation will be under the birthday child’s name at the Birthday Express Entrance (Gate 1). Guest tickets will be available 10 AM the day of the party. Parties start promptly and last for 90 minutes. We advise that you and your guests arrive at least 30 minutes before the start time. You or another adult MUST be outside the main entrance to gather your guests. UNDER NO CIRCUMSTANCES ARE PARENTS TO DROP OFF THEIR UNESCORTED CHILD AT THE FRONT GATE. The adults at your party take full responsibility for drop-off and pick-up. You must arrange for parents to pick up their children outside the main entrance.

Deposit: We require a $150.00 non-refundable deposit to book your party. We currently accept Visa, MasterCard, American Express, Discover, personal check and cash. Reservations must be made at least 3 weeks in advance, especially for the months of May through September. We do recommend, however, that you make your plans as early as possible because dates do book quickly and early! Please refer to the Birthday Contract for our Terms and Agreement.

Cancellation Policy: Dates and times are in large demand. If you need to cancel your party, please cancel as soon as possible to allow others to fill your time slot. If you call two weeks prior to your party, you will be entitled to a refund of your remaining balance minus your deposit.

Birthday Contract: The Birthday Contract and Birthday Package Sheet must be completed and returned as soon as possible. If you wish to have a caricaturist or magician at your party, we require at least 3 weeks notice to secure their availability. When we receive your completed Birthday Contract, Add-on Activities Page and Additional Food Selections Page, we will finalize your party.

Initial Guest Count: This is an estimated count of the number of guests you may expect at your party. Please overestimate at this point. This allows us to schedule enough staff members to cater your party. Remember, there is a party location maximum of 40 guests and a minimum of 12 (any combination of children and adults). More than 40 guests is considered as a Deluxe Birthday Party. See Page 8 for pricing information.

Lunch Menu: Lunch is a slice of cheese/pepperoni Pizza or Hot Dog, Potato Chips and unlimited Pepsi Beverages and will be served to all guests at the Party. All necessary zoo-themed paper products are included in the price of the birthday package. Please make your choice of either Pizza or Hot Dogs on the Billing Summary Worksheet. Extra slices of Pizza may be ordered for $16.00 a pie (8 slices). Other menu items are also available to extend the menu for adults. Any add-on food selections purchased for your party cannot leave the park such as the fruit tray, pasta salad and veggie tray due to possible spoilage.

Liquor/Wine: The Detroit Zoo is a licensed liquor premises. Liquor, beer and wine may not be brought into the Detroit Zoo from outside sources. Liquor, beer and wine may not be removed from the Detroit Zoo.

Outside Food: The Detroit Zoo does not allow outside food to be brought in for a catered event including the birthday cake. The catering department can handle any special food requests that you might have.

Birthday Cake: Through positive feedback from our past clients, we have customized our cake design to feature the unique zoo environment as well as match the rest of the decorations at the party. We have teamed up with the best bakeries in the Metro Detroit area to provide a one-of-a-kind custom made birthday cake. You don’t have to worry about the transportation of the cake from your home to the birthday location. You will have peace of mind knowing that your cake will be ready for your party. More information about our birthday cakes is available in this packet. Notice that we have provided two pricing categories to cater to everyone’s needs. See Page 9 for more information.

Zoo Member: As a Zoo Member, you will receive a discounted price on your party package. However, you will be charged for all guests attending the party, regardless if your guests are zoo members or not. If you are a zoo member, please make sure you include your card number on your Billing Summary Worksheet. If you are not a member and are interested in becoming a member, you can call the membership department at 248-541-5717. Please tell them you have been referred by Wild Adventure Birthday Parties.

Final Count: A final count of the number of guests (both children and adults) must be called in no later than 7 days prior to your party. Please include the birthday child in the count. Anyone attending the party must be included in your final guest count.

Guest Check-In and Parking: Check-In is handled through the Birthday Express Line. Please make sure your guests enter through this gate to avoid any confusion. Guests entering through any other gates will be charged full admission plus what you have paid in the birthday package. Parking is $5 per car. We suggest that you inform your guests to arrive at least 30 minutes prior to your party to ensure enough time to walk to the birthday party location. Remember in the summer months, lines can be longer and you will need to allow extra time.

Policies

Time Management: Parties run for 1-1/2 hours. Parties will start promptly at the scheduled time. Parties will not be extended due to guests arriving late to the party. If your party runs more than the allotted time, you will be charged $50 for each additional 1/2 hour. Zoo hours vary (please inquire).

Final Payment: The remaining balance is due the Monday before your party date. The remaining balance must be paid in full before we execute the party. Your deposit will be deducted from the final bill.

Handicap Accessibility: The zoo is handicap accessible, but please let us know if you need assistance for your guests.

Weather conditions, Party locations, and touring the Zoo: The Arctic Food Court/Leaf Room/FEC Studios is an indoor location. The birthday tent is an outdoor location. If you don’t know your birthday location, please ask the birthday coordinator. The birthday party area is not open to the general public. Parties are held rain or shine. Please advise your guests to dress appropriately for the walk from the entrance gate to the party location. Touring the zoo is at your leisure. We do not provide tours unless the client has purchased the Walk the Wild package.

Gifts and Favors: Favor bags will be provided to all children accounted for in the final guest count. Additional favor bags can be purchased for $3 a bag. Favors vary depending on availability. Prior to the party, it is your responsibility to transport your gifts to the birthday location. After the party has concluded, your hostess will pack up your gifts and transport them to a designated location at the Guest Services Office near the exit of the zoo. Balloons are not permitted on zoo grounds due to the danger they present to the animal collection.

Admission Tickets: It is very important that you call in your final count the Monday before your birthday party. Everyone will need an admission ticket to enter the zoo. They will be available at the Birthday Express Line at Guest Services at the front entrance. If you have guests that do not attend your party, we will mail you the remaining tickets which are useable for the remainder of the year. Refunds are not available for tickets that are not used.

Party Itinerary: We will cater to you and the birthday child’s wishes on the structure of the party. Time will play a major role in the amount activities such as games, piñata, magician, caricaturists, and opening of the gifts. The party itinerary will be finalized days before the actual party.

Servers: Each party will have a well-trained staff to set up, serve and clean up after your party. When you first arrive to the birthday location, the Birthday Coordinator and servers should introduce themselves to you and review the itinerary for the party. Please make a point of finding your servers when you first arrive at the birthday location. They will be able to answer any questions you may have during your party.

Piñatas: Our piñatas have met the safety regulations and material composition set forth by the Detroit Zoo to protect our animal collection. A piñata can be added to your party for $35.00. More information about our piñatas is available in this packet. Piñatas bought outside of the Detroit Zoo are not allowed to be used in to the park.

Tips: Tips are not required but appreciated. Gratuity is not included in your final bill.
