Role Outline Administrative Assistant with responsibility for resources administration and communication Purpose of role –The post holder is responsible for areas of administration and ‘public’ communications. The Post holder is one of a team of staff who are responsible for providing a safe sustainable learning environment. The job holder is managed by the head teacher. The job holder is required to contribute to and support the overall Vision, Aims and Ethos of the school. Duties: The role holder is expected to fulfil the duties listed below: Carry out Reception duties including response to telephone and personal enquiries. Clerical support to include email, answering routine correspondence, filing, photocopying, carrying out typing, word processing and taking minutes of meeting as required. Take minutes at meetings as required. Update the school website, ensuring it meets statutory requirements, keeps parents/carers informed and promotes the school well. Ensure the school is positively promoted in the wider community e.g. WHT, local events, liaison with councillors/MP, open days. Coordinate all literature and information packs for new parents including updating home school communication channels. In liaison with others arrange charity events and special days/weeks e.g Children in Need, Christmas, Comic Relief. File confidential information in head teacher’s office e.g. personnel records, child protection, appraisal. Keep the staffroom tidy and well stocked. Track staff absence and log it on SIMMS. Carry out one-off tasks for head teacher. Ensuring dinners are logged, liaise with kitchen, ensure registers are correct etc Provide support for the head teacher and members of the Senior Leadership Team. Assist with all pupil welfare matters, including contacting parents and staff.
