Meet the NCD Team

Below you will find a list of all the chapters that are currently being assisted by the Extension/New Chapter Development Team. Each chapter is started off with our team to give it a firm foundation for chapter life before it joins the regular Chapter Development system. Liz York leads the team and works closely with IHQ to cultivate new colonies and she also serves on International Council where she represents our team and uses her broad fraternity experience to help IC make decisions across Alpha Gamma Delta. Amy Ryan leads the start up of every single colony and she keeps those colonies under her wing for one calendar year. Bobette Thompson inherits those new chapters and they stay in our stable for two additional calendar years before they graduate to the regular Chapter Development system. We are pleased to have several new NCDSs and committee members on our team for 2011/2013. I encourage you all to reach out to each other for advice and help since the best way to face the change and turmoil of a new chapter is to have someone to talk to about it. We have our own listserv/team website where you can contact each other. [email protected] is the email address that reaches us all - please use it. We have a talented team with varied and rich experience. I hope each of you will find a mentor, a confidant or even a new friend while you serve the fraternity these next two years. Team Roles and Responsibilities

Collegiate Members: The most important people that we all come in contact with. Their role is to learn to be Alpha Gamma Deltas and take responsibility for the leadership and growth of their chapter. They need to be nurtured, guided, coached, listened to, informed, and collaborated with. This brings me to our second group. Advisor Teams: The Chapter Advisor Teams are the main contacts with our collegiate women. They will be engaged in 95% of all the coaching and interaction with the collegians. It is our team's responsibility to reinforce the vision of coaching and empowering to the Advisor Teams to ensure that they are encouraging our collegians to take on the leadership and responsibility for their chapter. Advisors should advise, not do. They should advise, not decide. They should advise, not plan. It is vitally important that advisors feel empowered to advise and that they empower the collegians to lead. Area Alumnae: The role of Area Alumnae is extremely important to a colony or new chapter. They are the spokeswomen that tell the community about Alpha Gamma Delta before the colony is established or even before we have been selected to colonize. Area Alumnae know what is going on with Alpha Gamma Delta internationally. They have pride in our organization and share that pride with others in their community. They have fond memories of their collegiate experience and want to help others find sisterhood and personal development as they did during their time in school. They are involved in their neighborhood associations, local schools, religious institutions, philanthropic endeavors, business and industry. They are well respected in the community and they are people who others count on. They are visible models for what Alpha Gamma Delta stands for and they live our Purpose in their everyday lives. Our team endeavors to treat Area Alumnae with the utmost respect and reaches out to partner with them at all appropriate times throughout the life of a colony/new chapter. In almost all cases this is done through either the chapter Alumnae Relations Coordinator or through the VST Alumnae Development Team and hopefully with both, coordinated simultaneously. NCDSs: New Chapter Development Specialists are like a primary care doctor. They are the main contacts from the VST with the chapters. They have their Chapter Advisor, House Association President and Local Alumnae President programmed into their cell phones and they talk to them weekly (at first) then easing to bi weekly and finally monthly discussions. They also know all the other VST team members who are assigned to their chapter. They keep a list of all the specialists who are available to come in to teach specific subject matter to the advisor/officer team and they alert them to any possible issues or areas for improvement and consultation. The NCDS is copied on every email about a chapter. She is the person that Sheila, Amy or I go to when we need to know what is going on so she needs to be in the loop and informed about everything that is going on with her chapter. She helps the Chapter Advisor stay on track with all the tasks and planning that needs to occur. She helps the CA prepare for the overarching leadership training for the chapter. She coaches the CA in recruiting, screening, orienting and coaching other advisors. The NCDS receives monthly reports, coaches the CA on any areas of concern, applauds chapter accomplishments and discusses direction and challenges with the Directors and other NCDSs as appropriate. They collect and relay all chapter documents to the Wiggio VST website for their chapter. They pass information to the CAs and remind them of due dates. They connect the CAs with information, people and other resources. These ladies are the keys to successful chapter establishment and development.

Subject Matter Experts (SMEs): Extension Committee Members specializing in specific areas such as Training/Member Development, Recruitment, Finance, New Chapter Transition, etc. serve very special roles for our new chapters. These VST members have developed specialized expertise, not only in a subject matter such as finance, but they have also learned the special needs of a colony or new chapter. They help bring specific training to the alumnae volunteers, officers and members of our new chapters. They work closely with advisors and officers on specialized areas of chapter operations, conveying detailed knowledge and training. They coordinate with specialists on other functional teams such as the recruitment team, to bring additional resources, training, and expertise to the chapter. They work with more than one chapter at a time and coordinate closely with the NCDS for each chapter they serve. They anticipate the needs of their chapters and work proactively to train, orient and coach advisors and teams before problems arise or due dates pass. They cc: the NCDS on all their emails concerning specific chapters. Director of New Chapter Development and Director of Extension: Our roles are to recruit, train, inform and coach our teams. We are your backup, sounding board and conduit for information from other directors on tactical big picture plans, ideas and directions. We are the connection between all the chapters and our International Council representative the IVPE. We report on a monthly basis to the IVPE on specific progress that is being made by the team and discuss any areas of concern that warrant her assistance. We are also the main contact with International Headquarters (IHQ) staff on behalf of the rest of our team. We work to help integrate the overall strategy of our team with the strategies of the other teams. We work with the other Directors to iron out uncertainties and clarify roles and responsibilities to help reduce duplication of efforts and together portray the most positive, coordinated impression of Alpha Gamma Delta to constituencies including the collegiate women, the local area alumnae, the campus administration, our Panhellenic sisters, parents, etc. It is our goal to develop systems, plans, and resources that help the rest of the team focus on providing excellent service and coaching to the chapters. International Vice President Extension: The IVPE is our leader and representative to the International Council board of directors for all of Alpha Gamma Delta. She oversees all extension and new chapter development activities. She works with the other members of IC to develop and refine the long term vision for Alpha Gamma Delta. Together, IC prepares us for challenges that lie ahead and they determine overarching direction which has a direct effect on our team's structure, relationships, operational focus and other strategic aspects. She reports to the International President and works with other IVPs to shape the overarching direction of the fraternity. She has a responsibility to the entire organization that takes precedence over her specific responsibilities for our team. She sets the overall direction and guides the policy development and approval for our team activities.

IHQ Team Roles and Responsibilities

The International Headquarters staff works with all volunteers and staff in the support of the Fraternity’s collegiate and alumnae chapters. In reference to the extension and new chapter development area, our staff provides ongoing support to the Fraternity’s newest chapters throughout their entire time in New Chapter Development, and also serves as the primary project managers for the actual extension process. The chart below provides a very simplified visual of the role of staff.

Leadership Consultant: In a new extension effort, leadership consultants serve as the initial recruiters for the new colony. They are the “face” of Alpha Gamma Delta to the members of the campus community. They immerse themselves in the culture of the new campus, building relationships and friend-raising, all while cultivating new members for the colony. Once the colony has been established one or two leadership consultants (depending on the size of the colony) will be stationed with the colony for the duration of the first semester. Her role during that time is to model Alpha Gamma Delta practices, to help colony leaders get established by doing with them and then supporting, and to ultimately help the collegiate chapter navigate and connect to the resources they have through their local advisors, campus professionals, and VST.

Extension Specialist: The Extension Specialist evaluates extension opportunities, leads recruitment efforts for extension groups, drives success during extension projects and works to develop growth strategies at new campuses. Her efforts are primarily focused on executing the process from receipt of bulletin through installation and in cultivating new extension opportunities. Assistant Director of Fraternity Services-New Chapter Development: The Assistant Director is broadly charged with analyzing, implementing, and driving the Fraternity’s extension strategy and new chapter development experience as laid out by the International Vice President-Extension and her team. The Assistant Director serves as the project lead for all extension/new chapter efforts at IHQ as well as the point of contact for any projects in development by the Subject Matter Experts (SMEs). The Assistant Director sees the overall landscape of the extension/new chapter area and helps to ensure that projects and initiatives are planned, prioritized, and executed in line with the vision, priorities, and deadlines agreed upon.

Director of Fraternity Services: The Director of Fraternity Services is the leader of the Fraternity Services team at Alpha Gamma Delta International Headquarters and has broad responsibility for the Fraternity’s chapter service

operations, membership growth and member development initiatives. She works closely with Fraternity volunteers, campus professionals and community partners to ensure that the Fraternity serves the needs of its members and achieves its Strategic Plan. She is the primary liaison between International Council members and the Fraternity Services Team and provides guidance and oversight to the International Headquarters Chapter Development, New Chapter Development, and Education teams in executing their respective parts of the Strategic Plan and priority projects.

Communication Standards

Wiggio Sites: Currently we are setting up Wiggio sites for each colony and new chapter. The NCDS should on a regular basis check the roster of members and be sure that all the VST that work with their chapter are listed as members of the Wiggio group. Please remember that these are for VST only. This provides a large enough group to share knowledge but keeps it small enough to make it effective. CC: Please remember to cc: the Wiggio site for your chapter if your email has broad appeal to the whole team. An email with the official recruitment dates is a good example. Chapter docs, changes to chapter rosters, and other important information can easily be shared with the whole VST by simply cc:ing the Wiggio site. If you decide not to cc: Wiggio, you should always, ALWAYS cc: the NCDS anyway. File Naming: Please name all of your files and encourage your chapters to name all their files according to the following standard. Start off with the Chapter Name (in Greek) then add the name of the report and finish up with the date the report was completed in yyyymmdd format. Here is an example: Theta Iota ACE Goals 20100930.pdfTheta_Iota_ACE_Goals_2010_09_30.pdf is also acceptable as is Theta Iota ACE Goals 2010-09-30.pdf (If you prefer underscores or spaces that is your preference so use this opportunity to be unique!) Thank you for doing your best to name any files you create to match this naming convention. If a chapter does not have its Greek designation, please use an abbreviation for the institution. Example: AustinP-RecruitmentDates-2010-09-30.pdf

Email Subject Lines: We also standardize our email subject lines somewhat to start with the Chapter Name, then the Subject and finally any instructions such as FYI, FOR REVIEW BY 11/11 or ACTION NEEDED BY 3/15/2011. We know that not every email is going to follow these formats but if it fits, please consider using this convention to help us all use technology to its fullest advantage. It is much easier to search for emails or files for a particular chapter if they are named with a consistent chapter name. Example: Delta Xi - Doodle for Finance Call - complete by 05/16 Meetings: If you are setting up a meeting, it is recommended that you prepare an agenda in advance and send it to all the meeting attendees. It is also helpful to take notes, especially notes around action items, and circulate those back out to the group as soon as possible after the meeting. The meeting leader doesn't always have to

be the scribe but it is helpful to identify the scribe at the beginning of the meeting so they know to take notes. More notes are not necessarily better...so please try to be economical and clear at the same time when you are the scribe for a meeting. CC: the Wiggio and/or the NCDS on all meeting notes. Phone numbers via Email Signature: Please create an email signature that includes your phone numbers. That way if someone gets an email from you and wants to chat, they will have your number handy - right there with the email. I promise that this will help you stay informed and connected. Also, include your email address and title if you want to be really connected. Conference Call Numbers: If you call a conference call and send out an email about the call, please list the time, date, phone number and access code in every email you send about the upcoming call. This will help people attend your call on time. If you send out a reminder, include the time, date and number/code. If you send out an agenda, include the time, date and number/code. Again, I promise that this works to keep people informed and in attendance at your calls.

NCDS Technology Resources

ContentId =64 We have a wonderful resource that we all know and love...the Collegiate Leadership Manual! It is located with your other favorites, the Office Responsibility Checklist, Team Handbooks and Resource Guides on the member services portion of alphagammadelta.org. Please review these and be familiar with them as they are the general guides for all of our chapters. Keep clicking around in the Resource/Handbooks area of the site and you will also find the Collegiate Mailings Archive, Alumnae Mailings, VST Info, and instructions for doing things like filling out an expense report in order to be reimbursed. (and we all know we need to know how to do that!) There is a lot there and I advise you to review it carefully so you will know what is available and can point others to the areas that they need when they ask you questions. The other thing that I have found helpful is that if you are working with an iPhone, for example, you can open these documents in iBooks and keep them in your iBooks library where you can always get to them easily. You need a password and username to get into Member Services - contact Lisa Williams at IHQ if you need help with your login. New Chapter Development website:http :// alongwayfromindy . weebly . com / In an effort to pull together the items that New Chapters and Colonies need most, we created the New Chapter Development website. This site is intended to be organized for the person who is not as familiar with our standard notebook resources so it is organized in the way they would use the resources vs. a strict hierarchical organization. It has a section for the general user, a section for advisors, one for officers and a calendar that organizes resources and information so that someone new to the process can follow along month by month and figure out what they really need to be focused on. Check the calendar if you are looking for something. It is still being developed and improved so if you have resources that you know other colonies need, please share them and make the site better. There is no secret information on this site so there is no need for a login or password. There is a sign in page so we can see who is visiting but you don't have to fill it out unless you just want to. Wiggio Group websites: http :// wiggio . com / Each of you should be a member of two or more Wiggio groups. Everyone should be a member of the NCD Team group which is our main way of connecting to our whole team. It functions as a listserv so you can contact everyone with just one easy email address. It is a place to share and store files, reports and phone lists. It has a calendar and also allows you to set up conference calls and even gives you a conference call number and pass code you can use for the call. We have set up a group site for each and every colony/chapter and we ask that NCDSs upload any files, reports, contact lists, ACE goals, and chapter documents whenever you receive these documents or whenever they are updated. These Wiggio groups are the way that the VST communicates with each other. Please add your group email addresses to your address book and send pertinent info to the groups whenever appropriate. Advisor teams are encouraged to set up their own Wiggio Groups and Chapters also can create Wiggio Groups for their own communications - they might also like Yahoo groups or Google groups which are both similar to Wiggio. You need to be invited to the group so if you are not seeing the groups you think you should be, please contact Annie Raeder at IHQ and she can get you connected. Annie is also going to be researching all the functions of Wiggio and putting together a guide for exactly how we will utilize those features to help us manage the VST work, meetings, files, etc on Wiggio. There is a similar tool called Writeboard.com that you can also try and Wiggio has file sharing as well. Doodle Conference Scheduling:http :// doodle . com / Doodle lets you schedule a meeting without having to send and track a thousand emails between all the participants. You type in the times, invite people and ask them to record when they are free to meet. It is very easy and effective for scheduling several people for the same meeting. I think Wiggio has a poll option where you can do a similar questionnaire but I am not sure if it is as seamless as Doodle.
