From the Coordinator’s Desk Hello once again. AGM: A big thank you to Rob and all helpers on the day. It sounded like a great success, unfortunately

I was at home on the sick list, so thankyou to everyone who gave a hand on the day. I also take this opportunity to welcome the Board members for 2013/14. The election of the chair & vice chair will occur at the next Board meeting on Wednesday 27th November. Shirley Freeman: will be returning to her role as the local Wallaroo / Kadina and Adelaide Telephone Coordinator for the Copper Coast on Thursday 7th November. We welcome her back and I’m sure the volunteers in that region welcome her back too. Christmas OFFICE Hours: We will once again attempt to ensure that no volunteers are driving long trips the day before Christmas and the YPCT office will close on Christmas Eve Tuesday 24th Dec and not reopen until Monday 30th Dec with closures on all public holidays. The after-hours support will continue to be available for those needing help: 0400-271-363. Health Bus Christmas Closure: as per normal this service takes a 2 week break with the last day on Friday 20th Dec, resuming Monday 6th January. Driving reports by email: We have been sending a growing number of drivers their trip driving report by email, which is proving to be a very successful way of sharing trip information with a report that you can take with you on the day. So if you have not received a report in this way before, please contact us and we would be happy to send them out to your email address that we have on file. Please note: electronic systems can go awry at times, so with some warning we can attempt to sort through any issues by resending as required. So if you need a report this way, a few hours lead up time might make it easier in the long run. Mobile Phone messages / blue tooth: It has become obvious that once again the message bank on the vehicle mobiles have been turned off by

Telstra, only leaving a 10 sec text option. This happened around 12 months ago once the request to turn on again was implemented, I had to travel to each vehicle and recreate the message on each phone. The other ongoing problem is blue-tooth connection. For some reason the connections seems to fail and this is placing a pressure on Rob & I to travel to meet the car to attempt to resolve the problem. I recognize this is not a good outcome and I plan to discuss this further at the next Board meeting but unfortunately the technology is ‘letting us down’ and not being reliable. Cruise Control Warning: I recently read that cruise control should only be used in good driving conditions ie not windy, wet or at slower speeds as in city driving. Its unfortunate that with all of the speed variations and speed cameras, we have become more reliant on this technology to monitor our speed. In extreme conditions, cruise can reduce the slowing reaction in city traffic whilst it could cause aqua-planning or loss of control. So it is advised to not use cruise but remain in control of the vehicle should the conditions be unusual. Christmas gatherings: We are fast approaching Christmas and about to begin the volunteer gatherings, it will be great to see as many volunteers as possible. Retirements Once again it is with some sadness that we farewell the following volunteers from our ranks. And again the period since the last newsletter has seen resignations keep pace with inductions, and our volunteer numbers are not improving as a result. The saving grace is that, at time of writing, we have 9 new people in the midst of accrediting, and I’m very hopeful that we can get ALL of them up to the starting line! Volunteer Handbook The 4th edition of the Volunteer Handbook is about due to be

released. Once again our sincere thanks to Irene Vale from down south at Foul Bay for chasing and updating information, and for producing the final document. Last year we replaced the whole handbook—it was less confusing that way—but this year there are less changes, resulting in less than half the number of pages being replaced. The updates will be sent shortly via post and will include easily-understood instructions. Please take the time to make the changes. Should any volunteer need a completely new manual for whatever reason, please contact the office. New vehicles As you would be aware, YPCT community cars are actually owned & turned over by local councils, and each year 2 or 3 are replaced. This financial year the budget from DCYP has allowed the Aurions at Stansbury, Ardrossan & Maitland to be changed, and again Toyota has been given the nod. However with costs outstripping budgets, Ardrossan & Maitland have reverted to Camrys which come with a lower level of bells & whistles and 4-cylinder engines. Volunteer response has generally been good however and already we are starting to see lower fuel bills. YP Field Days Recently we had our usual presence at the YP Field Days and my sincere thanks goes to the many volunteers who helped over the three days. In particular I would like to thank Eva Cech, Barrie Baeker, Hilda & Fred Wake, David Croser, Peter Sparnon, Rayleen Robertson & her sister Kay, Rob Anderson and Alan & Janette Norman—I couldn’t have done it without you. In total we gave out approx. 600 lots of information and gathered the names & phone numbers of 10 potential volunteers, although to date I’ve only managed to

Rob’s Column get 4 to start the accreditation process. I’ll keep working on the rest. Manual Handling Training Another 20 volunteers attended 2 training sessions in Wallaroo at the end of August. The venue allowed several from the Barunga west area to attend and both morning & afternoon sessions joined together for lunch. Facilitated by Sue Honner from Brentwood, we hope to have her services again for courses to be planned for the new year. Dates & venues will be advertised as soon as they have been determined.

Xmas events Arrangements have been finalized for Xmas functions in each of the 4 volunteer areas. Invites for the

Barunga West crew at Pt Broughton and the SYP crew at Yorketown have already been sent out, and those for CYP and Copper Coast will appear soon. Bluetooth

Although I’ve mentioned this before, we still get calls to the office saying that the Bluetooth isn’t working in one car or another. Please, when you find the Bluetooth isn’t working, turn the phone off and then on again. In many instances, that will fix it. If however that doesn’t do the trick, then feel free to let us know, and we’ll get someone to look at it as soon as possible. Pink cards Over past months you would have noticed pink cards in each of our vehicles, and drivers would have received a handful themselves to leave in their wallet for when driving their own or clients cars. As we seem to be going through quite a few of the car-based cards, we have had them professionally printed, rather than take up admin time by producing different cards for each community car. These are designed to be given by clients to their medical receptionists, and if you find yourself running low, let us know and we’ll send you some more.

Service Certificates As you can see from the front page, the first of the Certificates of Service were presented at the Annual General Meeting by local MP Rowan Ramsey. But we still have quite a number to give out, so we plan on making the Xmas Dinners our next opportunity. Although this information was sent out to all volunteers a few weeks ago, we think it’s important to reiterate it: Eligibility for service certificates is based on

information on our database, the accuracy of which cannot be guaranteed prior to 2004. For volunteers who have been with the organisation since before that date, we have tried to verify our information from physical files (much of which lacks dates) and through phone calls. In the final analysis however, where memories and our files are vague, we have determined that starting dates on our database are correct – but if you can show that our records are incorrect, please contact us and we will alter accordingly;

For this year only, volunteers who have completed between 5 & 9 years this year will be presented with 5 Year Service Certificates, 10-14 years with a 10 year certificate, 15-19 years with a 15 year certificate, and 20 years or more with a 20 year certificate. Next year (and subsequent years) certificates will only be awarded as volunteers hit those milestones.

For those not able to attend the AGM, we intend to catch up with people at the Xmas Dinners in the first instance, and take advantage of any other opportunities as they arise.

With so many people in our volunteer corps, it is inevitable that, despite our best efforts, we are bound to make the odd mistake – we beg your indulgence and your understanding.

Police Checks

A personal plea from me!! A small part of my job is to remind volunteers to renew their Police Checks at 30 months (soon to be 36 months). So at various intervals I send out reminders, asking volunteers to complete paperwork in front of a local policeman or a JP, and then return it to me for authorization and sending on to SAPOL. I know it’s not always easy to catch the local copper but can I implore you all to return that paperwork as soon as you can—keeping tabs on volunteers yet to return their NPC forms is proving to be a nightmare … and a spot audit could be very embarrassing for us if we can’t show that all

volunteers have current Police Checks. We understand that this requirement is yet another impost on our busy volunteers (and that’s a polite way of putting it), but our very funding relies on our compliance. My sincere thanks for your assistance. My Piece Less than 2 months to go to Xmas and I’ll be glad of the break once we get there. It’s been a very solid couple of months and I can’t see it lessening much. My last day of work before 2 weeks leave will be Friday 20th December. I’m due back on Tuesday 7th January. Volunteer numbers remain about even, and although we’ve lost a few people, we’ve managed to attract a some new people as well (see p3). We need 25 to 30 each year, just to maintain numbers but we don’t always get them from areas where numbers are low. We still need more drivers in Maitland, Yorketown, Barunga West and to a varying extent in the Copper Coast. Currently only Ardrossan and the Minlaton/Pt Vincent areas have adequate numbers. This will be my last opportunity to wish you all a stress-free Xmas, although I hope to catch up with many of you at the Xmas dinners. If you haven’t booked your attendance yet with the office, please do so soon. Remember wehave quite a few service certificates to present and if you’ve been with us 5 years or more, that’s you. See you there! And before I forget again, my sincere thanks to all of you for your contributions, not only over the past year, but over the past however many years—you’ve made the organization what it is today. Goodness knows we couldn’t have done it without you! Drive safe!

From the Office

The office has been extremely busy over the past 3 months, made even more so by the need to train new staff. Both Haley & then Nikki joined the crew earlier in the year and now Ros Hatcher from Ardrossan is being trained up. See Ros’ profile further down. We welcome Shirley Freeman’s return to Telephone Coordinator duties, which will help to lighten the load in the office… but leaving staff with a much better understanding of the extent of Shirley’s job. Welcome back Shirley! Shelly & Traci unfortunately lost their mum recently following a stroke. We welcome both ladies back to work. Nikki has been fortunate in securing a half time contract covering maternity leave at Council in Minlaton but we still hope to see her on a regular basis in our office. All staff have been participating in Council training lately. As staff have employment contracts with Council, training such as this is compulsory. The new ICAC (Independent Commissioner Against Corruption) was explained by Wallmans Lawyers (it has specific relevance for Council employees) and we also attended full day sessions on Creating a Positive Workplace Culture. Angie Taylor has bought herself a new car (which does wonders for one’s self esteem!) and she’s recently installed solar panels on her roof and is looking forward to seeing the size of her next bill! Linda Goody was a pretend grandmother for three days recently when daughter Tayla brought home a mechanical baby from school—apparently that was an experience! And son Mitchell was recently flown to Adelaide for an emergency appendectomy but is now recuperating at home & doing well. And very importantly, Julie Button’s daughter is engaged! Very exciting! Merry Xmas & A Happy New Year from all in the office.

Hi I’m Ros Hatcher and I’m new to the YP

Community Transport Office. Very much part time, I’m still getting a hang of office procedures but I’m looking forward to the time when I can operate on an independent level along with the rest of the office staff. With my husband Chris, we moved from Orroroo to our retirement place at Ardrossan and although Chris has retired, I still want to contribute and was pleased to land a part time position with YPCTS. We have 2 sons and 2 grandchildren and I previously spent 28 years with the Education Dept.
