PEP Procedure1. Start the PEP with the Child in School2. Arranging the Meeting - Is the child/young person new into care?
YES - Start the PEP with the child in school. A member of the Virtual School Team liaises with the social worker and the school to arrange a time and date for the PEP meeting. The social worker informs carers and birth parents (if applicable). The PEP meeting should take place within 20 days of the child coming into care.
NO - New PEP to be started each September/October and reviewed in March/April (within 6 months of previous meeting). There should be two PEP meetings per academic year recorded on same document. PEP meetings are arranged as above.
3. Prior to the PEP Meeting Designated Teacher for CLA meets with the child/young person to complete Section 2. The teacher records
the child’s views and what they needs help with and this is included in the action plan Designated Teacher consults with other staff and completes Section 4
4. PEP MeetingFirst part of meeting – Adults only discuss:
The PEP – ensure that everyone has a clear understanding of the child’s education, progress, views and needs.
Date of next PEP which should be recorded in Section 1c. Action Plan is discussed and recorded along with costings (Section 5 or 6 or 7 where applicable) Section 9; the celebrations are recorded and Section 10; the useful information is completed/updated.
Second part of meeting – If they wish, the child/young person joins the meeting and the agreed action plan and the celebration page are shared.
5. Post Meeting - Quality Assurance and Distribution of PEPsThe Designated Teacher quality assures the PEP and ensures that :
All attendees are recorded Date of First PEP, Second PEP meeting and/or next academic year meeting are recorded All sections are completed including action plans, costings and impacts, where relevant. Schools in Cumbria to upload the PEP to the School Portal “Returns to the LA” “PEPs Virtual School

The Virtual School team quality assures the PEP and the request for pupil premium plus. The Virtual School will check the PEP and upload it onto ICS. Only when this has taken place is the PEP counted as complete
6. PEPs and the Pupil Premium Plus Spend
The Virtual School must receive the PEPs as shown below to keep everything within statutory timescales and to ensure the school receives the Pupil Premium Plus if applicable.
