    2.1.1 Set Default Language

    Before proceeding, you can set the default language of the ScoreKeeper interface by going to the drop-down window in the upper right-hand corner. The default you select will be the language you see on thescreen as you use ScoreKeeper. Currently, ScoreKeeper is available in Dutch, English, French, German

    Japanese, Korean, and Brazilian Portuguese.

    2.1.2 Log In

    In the main table are two areas: one for New Users and one for Returning Users.

    New Users: Go to the New Users area and click, Create an account, then go to 2.1.3 below.

    Returning Users: Enter your User Name and Password, then click the Sign In button if you havealready set up an account on ScoreKeeper. You should then be directed to theWelcome Page(Fig. 5 below).

    2.1.3 Create an Account

    If you are a new user and select Create an account, a page that asks for account information will appear(Fig. 3 below).

    Fill out the form and click the button at the bottom of the page that says, Submit This Form.

    3. Batches

    When you place an order, you usually buy a Batch of tests (as opposed to just one test). Each Batch isidentified by a Batch Numberso that it can be tracked easily in ScoreKeeper.

    3.1 Batch Key

    To keep your Batch information secure, Pearson will give you a special code associated with your Batch.This special code is called a Batch Key. A Batch Key is comprised of a string of letters and digits, suchas,ABCdefg12hI3. The Batch Key is the password required to access a Batchs downloadable materialsand scores, and is only available from your Pearson account manager. The Batch Key allows you to addthat Batch to your ScoreKeeper account and administer the tests in that Batch. Please contact youraccount manager if you did not receive or have lost a Batch Key.

    3.2 Add Batches to ScoreKeeper

    Once you have the Batch Key, log in to your ScoreKeeper account. You will see a Welcome page withgeneral information about ScoreKeeper. To add a Batch, clickAdd Batch Access.

    A window will appear with the title, Add a Batch to My List. There is a field near the bottom of thepage where you can enter your Batch Key.

    Type or copy the Batch Key into the Batch Key field and click the Add Batch button. Note that theBatch Key is case sensitive.

    A new window will appear, with the message, You have successfully added this batch to your list. Youcan now view the details of the batch. The ScoreKeeper Menu will remain in the upper left-handcorner of the screen (Fig. 7 below).

    3.3 View a Batch

    Now that you have added the Batch to your account, you can manage information about the Batch. Todo this, go to the ScoreKeeper menu in the upper left-hand corner and click the List Batches link(Figure 7).

    Once you have selected List Batches, you will see a table with general information for each Batch thatyou have access to, as in Fig. 8 below.

    In the left-hand column, there will be a list ofBatch Numbers. The Batch Number uniquely identifies aBatch. The Batch Number is not the same as the Batch Key. The Batch Number identifies the individualorder (Batch); the Batch Key is your password to install and administer that order. The informationabout each Batch appears in the same row as its Batch Number. If you need more than the BatchNumber to identify the Batch, you can look at the Name column for descriptions of the Batches.

    The information displayed in the Your Batcheswindow is organized in the following columns:

    Batch: The Batch Number that uniquely identifies the Batch.

    Test Type: The type of Versant test for the Batch. All tests in a Batch are the same type.

    Name: The name of the Batch. This is assigned by Pearson when the Batch is created.

    Number of Tests: The total number of tests within the Batch.

    Used Tests: The number of tests that have been used in the Batch.

    Valid Period: The dates for which the tests in the Batch are valid. After the last day of thevalid period, the tests will expire. If a candidate attempts to take an expired test,the system will announce that the test has expired.

    Score Access: The checkbox labeled Locked allows you to prevent a candidate from viewinghis or her score on the Versant website. For more information, see Limit

    Score Access in 6.6.1 below.

    Once you have added your Batch(es), you are ready to prepare test materials and access test scores.These activities are presented in 4 and 6 below.

    4. Test Materials

    The primary materials for administering Versant tests are (i) Test Papers, (ii) Instruction Sheets, and (iii)lists of Test Identification Numbers (TINs) associated with a Batch. The Test Papers and TIN lists will beexclusive to a single Batch. This section will introduce these materials, and then show you how todownload and administer them.

    4.1 Download Test Materials

    Follow these steps to download test materials:1) Log in to your ScoreKeeper account. Go to the menu in the upper left-hand corner and click

    the List Batches link. (See Figs 5 & 7 above.)2) Find the Batch for which you would like test materials.3) Beneath the Batch Number, clickTest Materials. You will go to a page titled, Test Materials.

    Only TestAdministrators candownload TestPapers from

    Pearson.Candidates willreceive the TestPaper through theAdministrator.

    On the Test Materials page, you will see general information about the Batch including the BatchNumber, the Test Type and the Batch Key. There will also be a section called, Downloadadministration materials for this batch. There you will find links to download Test Papers, TestInstructions, and a List of all Test Identification Numbers in this batch.

    4.1.1 Download Test Papers

    To download Test Papers for a Batch, click the Test Papers link on the TestMaterials page for the specific Batch (Fig. 10 above).

    There are several options to consider regarding the way the Test Papers are

    printed and downloaded.

    a) Origin Location. First, consider where the calls will originate. There willbe a drop-down menu with the list of possible locations. This willdetermine which prefix numbers will be printed with the phone numbersand will simplify the dialing process for the candidate.

    b) Telephone Number. If you would like thetelephone numberthat the candidate will callprinted on the Test Paper(recommended), click thecheckbox. If you do not want the number printed,uncheck the box.

    c) Downloading Test Papers. All Test Papers areavailable as PDF files.

    To download the Test Papers in one PDF file withmultiple pages (one document contains all the TestPapers in that Batch), uncheck the Print one test

    paper per PDF file box. This option is

    recommended if you will be e-mailing the testpapers to someone administering the test. Figure 5. Download Test Papers

    To download each Test Paper separately as an individual PDF file, leave the box checked. Thisoption is recommended if you need to send an individual Test Paper to individual candidateselectronically.

    d) Test Instructions. If you would like to include test instructions in the test papers file, check theInclude test instructions box. Test instructions will appear on page one of the test papers file. We

    recommend including the test instructions to ensure the candidates receive the instructions neededto correctly take their test.

    e) Language. Choose the language the test instructions will be in. The default language for testinstructions is English. Other options include Arabic, Chinese (Simplified), Chinese (Traditional),Dutch, English, French, German, Italian, Japanese, Korean, and Spanish.

    f) Unused TINs. The final option is toprint Test Papers for unused Test IdentificationNumbers (TINs) only. Often there are TINs remaining in a batch that have not been assigned tocandidates. This option allows test administrators to quickly determine which TINs are unused sothey can keep for future testing or re-distribute to other testing sites.

    LARGE BATCHES: The maximum number of test papers that can be downloaded in one PDF file is100. If the Batch contains more than 100 Test Papers, the system will give you an option to limit thenumber of Test Papers that are downloaded to a single archive. A screen will appear as in Fig. 12 below.

    The system will present a list of Groups. Next to each group will be a checked checkbox. Since all thecheckboxes are selected by default, all the files will be downloaded into a single archive (of multiplefiles). If you want to reduce the numberof files downloaded to an archive, you can uncheck anynumber of groups.

    When you are ready to start downloading the files, click the Get Test Papers button. Your computerwill offer to either Open or Save the archive. It is recommended that you first open the file and thensave it to a directory of your choosing.

    Zipped Files: a zipped file has been compressed so that it can be sent in a more manageable size. Tounzip a file, you can use WinZip, a free application that can be downloaded athttp://www.winzip.com/

    4.1.2 Download Test Instructions

    Test Instructions can be downloaded in two ways:

    a) Select the Test Instructions link (Fig. 10 above) to download the instructions. If instructions areavailable in English only, then a PDF file will download immediately once you click the Test

    Instructions link. If the instructions are available in multiple languages, a window will appearthat displays the list of available languages. Click the language of your choice. Once the TestInstructions are downloaded, open the file and then save it to a designated directory. You canthen print as many copies as you need.

    b) Test Instructions can also be downloaded to the Test Papers file. See 4.1.1 for more details.

    4.1.3 Download List of Test Identification Numbers (TINs)

    The list of Test Identification Numbers (TINs) for a Batch is important for assigning tests and trackingdemographic information such as the candidates name/initials, age, native language, country of origin, thedate of the test administration, etc.

    In the Test Materials page (Fig. 10 above) click the link titled, List of all Test Identification Numbers inthis batch. The file will download as a Microsoft Excel spreadsheet. Open the file and then save it toyour chosen directory.

    When the file opens (Table 1 below) it will display the Batch Number at the top. The first column will

    list the Index number of each Test Paper (numbered from 1 to n, where n is the number of Test Papersin the Batch). The second column will display each TIN. Notice that the TINs are not in numericalsequence. You can insert any information in the remaining columns.

    When you have downloaded all the materials, you are ready to finalize preparations for delivering thetest. The next section will walk you through the process of preparing for test administration.

    4.2 Test Instructions

    The Test Instructions provide an overview of the test. The Overview explains what the testmeasures and gives a brief description of the procedure for taking the test.

    Basic information on how the test is graded as well as suggestions for achieving an optimum scoreare given.

    Finally, the instructions describe how to position the telephone and what kind of telephone to use toensure best results. We caution that candidates do not use the speaker phone function when taking thetest. This can seriously compromise the accuracy of the score.

    4.3 Test Paper

    A Test Paperis necessary for taking all Versant speaking tests. Each candidate will have a unique TestPaper. Printed on each Test Paper is a Test Identification (TIN) that uniquely identifies the call. Notwo Test Papers within a Batch are identical, since each Test Paper is labeled with a unique TestIdentification Number.

    The Test Paper is essential because it provides test materials for some items on the test, for example,the Reading section.

    The Test Paper also includes a verbatimwritten text of the instructions that are said by the system.

    5. Test Administration

    After obtaining test materials, several steps need to be taken to prepare for test administration. Thesesteps include selecting a test location and obtaining test materials.

    5.1 Test Location and Materials

    For high-stakes testing, it is highly recommended that an onsite testing location be used. Onsite testing

    allows administrators to verify the identity of each candidate and ensures that the environment andtelephones used during administration are consistent for all candidates. Alternatively, administrators caninstruct candidates to find their own testing locations. In either case, the following guidelines will ensurethat an appropriate testing environment is selected:

    5.1.1 Telephone Testing

    1) Choose a noise-free location with a telephone wall jack A room with a closed door is generally a good choice. Close any windows and silence cell

    phones, pagers, or music speakers. Make sure that there is no loud conversation ordistracting sounds that can be overheard from the selected location.

    Consider posting a Quiet. Do not disturb sign to prevent interruption. Ensure that a traditionally wired, telephone wall jack (i.e., landline) is available in the selectedlocation.

    2) Install a corded, push-button telephone Plug the telephones cord into the telephone wall jack. Listen for a dial tone to ensure that telephone service is active. Do not use a rotary phone. The candidate will be asked to enter a Test Identification

    Number on the telephone keypad. A rotary phone will not accommodate this task.

    3) We caution against using cordless phones, mobile phones, or Internet phone service(such as VoIP, Skype, etc). These types of phones may create issues with signal reception, audio clarity, or sound file

    quality that can negatively affect test scores.4) Confirm that the handset is set to Tone Dial

    Push a few numbers on the telephones dial pad. If each number produces a different tone,the phone is set to tone dialing. If each button press results in a series of pulses (e.g., fourpulses are heard after pressing 4, then change the phones setting to tone dial. Refer to thephones manual or manufacturer for instructions on changing the dial setting.

    5) Test the clarity of the telephone connection Call a friends home or business telephone. (Do not call a cordless, cellular, or internet

    phone.) Listen for static and extraneous noise. Ask the person on the other end of the lineif you sound clear. If there are any problems with the sound quality, plug a differenttelephone into the wall jack and call again.

    If the sound is still unclear, try a different telephone line (i.e., a phone with a differenttelephone number).

    6) Disable call-waiting If the phone service associated with the phone line you have selected offers call-waiting

    alerts (the beeps you hear when a second caller is trying to reach you), we recommend

    temporarily disabling the call-waiting feature. For most U.S. telephone lines, call-waiting canbe disabled by dialing *70 before dialing the Versant testing system. Please check with yourservice provider if you are not certain *70 is the correct code for your location.

    7) Do not use the speaker phone function We caution against using speaker phones as they may compromise the accuracy of the test

    score.

    5.1.2 Computer Testing

    1) Verify computer system requirements Refer to the CDTSystem Requirements and Installation Instructions document to verify that

    the computer you will be testing on meets the softwares minimum computer systemrequirements.

    Confirm that the Versant Computer Delivered Testing (CDT) software has beendownloaded and installed correctly.

    The CDT software is only supported by PC computers. Please contact your AccountManager if the computers used for testing are Mac computers.

    2) Verify screen resolution settings In the computers Control Panel, click the Display tab to check the screen resolution

    settings. The resolution should be set to at least 1024 x 768.

    3) Confirm that the computer headset is functioning properly Prior to launching the CDT software, perform an audio check through Windows. Verify that

    the headphones and microphone are both working. At the beginning of each test, test takers will go through an audio volume check. For

    speakingtests, test takers will also go through a microphone volume check. If CDT cannotverify that the microphone is working correctly, an error message will appear withinstructions for how to proceed.

    4) Confirm the computer is connected to the internet While a connection to the internet is not necessary during testing, it is required for

    downloading the test and uploading audio responses for scoring.

    5.2 Proctor the TestOnce you have prepared the test materials, follow these steps to proctor the Versant test:

    1) Confirm the candidates identification. For high-stakes testing, ask for pictureidentificationto verify the candidates identity. Make sure that only the candidate has accessto the telephone or computer used for the test during the testing session.

    If the candidate will not be taking the test in a location set up by your institution, instruct thecandidate on how to choose an appropriate testing location and telephone/computer headset asdescribed in 5.1 above.

    2) Record the candidates information. On the spreadsheet of Test Identification Numbers,record the candidates information next to the assigned TIN (see 4.3.3 for information ondownloading spreadsheets).

    3) Give the candidate a Test Paper and the Test Instructions. If the instructions areavailable in multiple languages, provide the instructions in the candidates preferred language.

    4) If the candidate will be taking the test on the telephone, on the Test Paper point out thetelephone numberthat the candidate will call to take the test.If the phone number is notprinted on the Test Paper, remember to give the candidate the appropriate telephone numberand/or other instructions for reaching the Versant testing system.

    5) Point out the Test Identification Number (TIN) on the Test Paper. Explain that thesystem will ask for this number and that the candidate should key in the number on thetelephone keypad or computer keyboard when prompted.

    6) Demonstrate theproper positioning of the telephone handset or computer headset inrelation to the mouth by pointing out the figure at the bottom of the Test Instructions (Figure13 above).

    7) Allow the candidate at least five minutes to read over both the Test Instructions and the TestPaper. The candidate may consult the proctor or a dictionary for help in understanding theinstructions.

    8) Inform the candidate that the test officially begins after he or she has accessed the Versanttesting system and has listened to the instructions for Part A. If the candidate hangs up the

    phone or clicks the Exit button after this point, the test will not be scored and the TestIdentification Number cannot be reused.

    9) Remind candidates to speak naturally and clearly, as their responses are being compared to anacceptable range of native speaker responses. Also, instruct them to attempt to answer everyquestion. If the candidate does not know the answer, they should say I dont know. Noresponse to questions may have a greater effect on the candidates scores than responding withsomething incorrect or partially wrong.

    10)Ask the candidate to turn off cell phones or any other device that might cause distractionsduring the test.

    11)Allow the candidate time to access the Versant testing system and complete the test.

    After a test is completed, you will be able to access the score for that test in ScoreKeeper. Instructionsfor accessing scores are in the next section.

    6. Retrieve Scores

    Shortly after a candidate has completed a test (usually within minutes), the score will become available inScoreKeeper and on the Versant website.

    There are several ways to view scores:

    For test administrators: View all scores for a Batch of tests using ScoreKeeper. For candidates: View scores individually by entering TINs (See 6.5 below.).

    Each of these approaches will be described below.

    6.1 View Scores for a Batch

    If you purchased a Batch of tests, you can track all the scores from that Batch in ScoreKeeper. This isthe same place where test materials are available for download.

    If you have already downloaded materials, you probably have a ScoreKeeper account and have addedthe Batch to your account. If this is the case, log in to ScoreKeeper and follow the procedure below.

    If this is your first time visiting ScoreKeeper, you will need to set up an account. See 2 above forinstructions on setting up and accessing an account.

    To view scores for a Batch, log in to your ScoreKeeper account and then go to the menu in the upperleft-hand corner. Click the List Batches link (Fig. 7 above). Once you have selected List Batches, youwill see a table with general information for each Batch.

    First, locate the Batch you want by scanning through the Batch Numbers and Names. In the UsedTests column, you will see a number and a link called View Scores. Click the View Scores link. A newpage will appear that lists only the scored tests (Fig. 16). Each row represents a single test.

    View All TINs in a Batch: Select Click here to see a list of all tests in this batch to view all the testsin the Batch, whether scored or not. With this view, you will see a table that lists all the tests in theBatch, as in Fig. 17 below.

    The Batch score report displays the following information (see Figs. 16 & 17 above):

    Index: Each test in a Batch is assigned an Index Number, starting with 1.

    Test Identification Number: Each test is assigned a unique Test Identification Number(TIN). The system prompts the candidate for the TIN before starting the test.

    Status: Status indicates how much of the test has been completed by the candidate

    Completed, Unused, Expiredor Late Hang-up. Entries other than Completedwill only be visible ifyou click the link to view all tests as described above. Only Completed tests will have a score.

    Date: This column lists the date and time of day that the test was completed.

    Name: This column provides links that allow you to listen to an audio file of the candidateresponding to the first prompt of the system (Please say your name).

    Open Questions: If the tests you administered have a section for Story Retelling or OpenQuestions, this column provides you with a link called Listen. If you follow this link, a separatepage will appear that will present you with the questions asked by the system and audio files ofthe candidates responses.

    The remaining columns may differ depending on the test you administered. In the figure above, thecolumns display the overall scores and subscores for a given Test Identification Number.

    6.2 Download Scores to a Microsoft Excel Spreadsheet

    A Batchs score results can be downloaded as a Microsoft Excel file. Find the link directly above thetables right-most columns called, Download this table into Excel. Click this link and the spreadsheet willdownload to your computer. Open the Excel spreadsheet and then save it to a directory of yourchoosing.

    6.3 View Individual Score Reports in a Batch

    You can look at individual score reports by clicking the link labeled Score Report under the TestIdentification Number The score report presents descriptors of the candidates performance based thecandidates overall score and subscores from the test. You can view descriptors for all score ranges(not just the descriptor associated with the candidates score) by clicking the checkbox in the upper

    right-hand corner of the page.

    If the score report can be displayed in a language other than English, there will be a drop-downmenu in the top-left corner of the page. Select your language preference from this menu.

    Click the Back button on your browser to return to the table of scores for the Batch.

    6.4 Return to the List of Batches

    When you are ready to return to your list of Batches, click the Back to the list of batches link at theupper left-hand corner of the page.

    6.5 View Scores Individually/Candidate Access to Scores

    The other approach to viewing test scores is to look them up individually using the Test IdentificationNumber. This approach is most suitable for individual candidates who are interested in a singleperformance on a test. It does not require access to a Batch via ScoreKeeper. Unless you haveblocked score access, candidates can view their individual scores with their TIN following the steps

    below. If you do not want candidates to have access to their scores, see 6.6 below.

    To access an individual test score:

    1) Go to the Versant homepage atwww.VersantTest.com.

    2) Find the Score Lookup area (Fig. 1 above) and click the Get Score button..

    3) Enter the Test Identification Numberin the text box and click the Get Score button.The individual score report will appear as in Fig. 19 above.

    6.6 Access and Test-Honesty Considerations

    Depending on the purpose for testing, you may not want candidates to have access to their scores. Inthis case, you can block the scores using the steps in 6.6.1 below. The default setting allows individualcandidates to view their scores online with their Test Identification Number.

    If a candidates score does not correlate with that candidates general ability and you want to confirm

    that the person who took the test was the designated candidate, you can listen to select recordingsfrom the test. (See 6.6.2 below)

    6.6.1 Limit Score Access

    If you prefer that candidates not have access to their Individual Score Report, follow these steps:

    1) Log in to ScoreKeeper.

    2) In the menu in the upper left-hand corner, click the List Batches link (Fig. 7 above).

    3) Find the Batch for which you want to limit test score access. Go to the Score Access columnand click the checkbox labeled Locked. When this box is selected, scores cannot be accessedonwww.VersantTest.com.

    6.6.2 Review Selected Responses

    If you suspect a candidate may have had someone else complete a test, there are several steps you cantake. Using ScoreKeeper, you can listen to the Name and, for certain tests, recordings for the StoryRetelling and Open Question sections. To do this, follow these steps:

    1) Log in to ScoreKeeper.

    2) In the menu in the upper left-hand corner, click the List Batches link (Fig. 7 above).

    3) Find the batch associated with the test in question and clickView Scores (Fig. 15 above). Findthe candidates TIN. In the same row, click the Listen links that appear under the Name, StoryRetelling and Open Question columns (Fig. 22 below).

    4) Decide if the voice sounds the same as the assigned candidate.

    You can also ask candidates about their responses. Compare the candidates answer to the test

    recording.

    If this is not successful, you can have the candidate re-take the test. (You will need to provide a newTIN and Test Paper.) If the scores between the two tests vary by more than the standard error ofmeasurement of the test (for the Versant English Test, the standard error of measurement is 3 points),the test may not have been completed by the same person.

    7. Troubleshooting

    Unable to download files: Sometimes you may try to download files but nothing seems to happen.One common problem is that your web browser (Microsoft Internet Explorer, Mozilla Firefox, Netscape

    Navigator) may be preventing you from downloading files as a security precaution. When this happens,different error messages may appear depending on the browser you are using. For example, in InternetExplorer 6.0, the following message appears just below the menu bar:

    To help protect your security, Internet Explorer blocked this site from

    downloading files to your computer. Click here for options

    If you do not want to reconfigure your security settings, hold the Ctrl key when you click to download.This should override any blockers. By doing this you can download the desired items without changing

    your security settings. You can also adjust the browsers security settings to allow downloads and try

    again. If you continue to experience problems downloading test materials, please contact your AccountManager or Pearson Support at +1 650-470-3503.
