I. Introduction

Conventional Classrooms Vs Massive Open Online Courses (MOOCs)

● Conventional Classrooms

The mainstay of our education system: it provides face to facegroup interaction, facilitates discussions, spontaneous questions,and synchronized attention of all students. It has stood the test oftime and its advantages are perhaps unparalleled. However, thedark side of the coin is that in conventional teaching, the courseschedule is heavily lecture oriented and the teacher speaks formost of the time in a class, leaving very little time for meaningfuldiscussions and interactions. Using the blended MOOCs programthe time of the lectures can be efficiently utilized for healthydiscussions, clearing the doubts of the students therebyconcentrating more on enhancing the problem solving ability of thestudents.

● MOOCs

The Blended MOOCs is an out-of-the-box and technology orientedalternative to our current educational system. MOOCs permit selfpaced learning, online discussion-forums, free interaction betweenlearners. It also permits the instructor to answer specific questionsand also clarify doubts among other things.

All the potential users of BLENDED MOOCs model of IIT BOMBAY isdivided into two classes. The first class includes the persons who canaccess IITBombayX site from the local university or institution level.These include the students as well as various members in the localadministration who are in charge of managing the execution of thecourses, such as the teachers and associates, coordinators, the head ofthe institute and the administrator in charge of the local systeminfrastructure.

Student: Student is the main learner of MOOC. He registers on the site,enrolls for different courses provided to him. Accordingly, he writes

different assignments and quizzes and is awarded with grades. Theprimary essence of IITBombayX is to provide the student with anenriched learning experience throughout the Blended MOOCs model,where the basic course content is covered by the materials onIITBombayX, and the evaluations and quiz results on the courseconstitute a credit to the final results.

Associate Teacher: Associate teacher of any particular institute canview the performance of his students who have enrolled for any courseunder him and accordingly award them with grades. One associateteacher can teach many different courses in any institute. Theseassociate teachers on the same logical level as the Instructor-in-Charge,with the exception that the associate teachers are allocated to aparticular course by the Instructor-in-Charge. The associate teachershave batches of students allocated to them, whose performances aremonitored by them.

Instructor-in-charge / Course Coordinator: He is the coursecoordinator for a particular course. He assigns that course to differentassociate teachers within his institute. Besides that, he can analyse theperformance of the students individually or the associate teachersworking under him.

Program Coordinator: He can decide the MOOC courses to be addedin his institute's curriculum. He assigns instructor-in- charge for differentcourses. He can view the performance of all the students of his instituteon a course basis, or on a student basis. Accordingly, he access thesefeatures from his dashboard. He represents the body of administrationthat covers the execution of all the IITBombayX courses in the institute.

Head of the Institute: He represents his institute on IITBombayX and isresponsible for registration of his institute and appointing programcoordinator. He can view the performance of all the students of hisinstitute on a course-wise or student-wise basis. Besides, he cananalyse the overall performance of his institute on a regular basis.Accordingly, he has access to reports on the dashboard made availableto him through IITBombayX. Additionally, he can also compare theperformance of his institute with that of others as a rank, based onindividual courses.

MOOCs Course Coordinator: The MOOCs Course Coordinator is theperson who is incharge of creation and management of the individualcourses made available on IITBombayX. He can create the course,

define the course structure in terms of the week division of the course,and upload the videos. He also creates the practice examples for thestudents to work out and to grade the students, Additionally, he cancommunicate with the instructor in charge and incorporate additionalproblems and material in the course as per the former's suggestion.

Blended MOOCs Coordinator: The Blended MOOCs CourseCoordinator is in charge of managing the overall course activities of allthe courses on the IITBombayX MOOC system. He can monitor theprogress of the institutes on the different courses that are currentlyactive, as well as the performances and activities of the individualstudents. He can also download and review reports on a scheduledbasis for evaluation of performances on course wise, institute wise andother factors, such as enrolment behaviour, demographic patterns, andso on.

System Administrator: The system administrator is in charge ofmanaging the system performance and monitoring exception cases insystem behaviour, such as failures. He occasionally generates reportson features such as disk usage of course contents, the amount of databeing stored on the servers, registration and email statistics, and certainexception reports for events such as disk usage exceeding safe limits, orsimilar cases.

The MOOCs platform is a great alternative to the already existing systemof conventional classrooms. It can be accessed by the users using theIITBombayX website by first registering on it.

II. Sequence Flow of Application

1. There will be an email address under the Contact us page for theuser interface of the application which will be used by the head of theinstitute to send an email to IITBombayX admin to register hisinstitute on the system.2. This email will be verified by IITBombayX administrator and anemail will be sent to the Head of the Institute with a link to theInstitute Registration Form.3. The Head of Institute fills the form with his institute's details andthe details of the program coordinator.4. The Administrator authenticates the institute and activates theaccounts of the head of the institute and the program coordinator'saccounts.5. The Program Coordinator logs into his account and selectscourses and corresponding course coordinators from the list ofcourses offered, by entering email ids of the coordinators which theyhave used to register on IITBombayX.6. Each Course-coordinator can appoint associate teachers for thecourse he is assigned to, using the email ids used to register theassociate teachers.7. The teacher asks the students to enroll for the course he isassigned to on IITBombayX and also asks for the email ids withwhich the students have registered. The teacher uploads the list ofemail ids on the system with the help of which students are linked tothat teacher.8. The teachers (associate teachers or the course coordinator) thencan form groups amongst the students that are under him accordingto his needs. It will help him to view academic statistics for eachgroup of students separately.Thus, students belonging to an institute are enrolled for a particularcourse under an associate teacher.

III. Registration and Resetting Password

1. A new user can register for the Blended MOOC Program on theIITBombayX website (https://www. iitbombayx .in) by clicking the“Register Now” option provided on the main page.

2. Fill up all the details in the form provided and click “Create MyIITBombayX Account” button. Note that the fields marked with ‘*’ symbolare mandatory, the rest are optional.

3. After registering with IITBombayX, a verification link will be sent to theuser’s registered email address. Click on that link to activate theaccount.

4. Only after verifying their email address, the user can access thedashboard. However they will be automatically logged in just for once,immediately after registration. But for the subsequent logins they shouldverify their email address.

5. Registered email-id will be used as username to log in to the dashboard.6. If you have forgot your password, you can reset it by clicking on the

“Forgot Password?” link provided on the “Login” page and entering youremail address. A reset link will be mailed to the email addressspecified.

IV. Users

The different users of IITBombayX are described as follows:

1. STUDENT

1.1 OverviewThe student can be either an open learner or affiliated to aninstitution. After a student belonging to an institute enrolls for acourse, he is assigned a teacher who monitors his progress. Thestudent is required to watch all course videos and take up thequizzes and assignments regularly. The performance in theseevaluations will directly be reflected in the grades obtained by thestudent.

1.2 Registration and LoginStudents should register at IITBombayX website according to thesteps specified earlier. An activation email will be sent. Once theaccount is activated by clicking on that link, a student can loginusing the login credentials provided at the time of registration.After logging in, the student will be redirected to his personaldashboard.

1.3 Editing Profile InformationEvery student can edit his basic profile information such asname, password, email. He can do so by clicking on edit optionpresent.

1.4 Viewing/Enrolling for coursesThere is an option called “Find Courses” available. This providesthe list of all the available courses on IITBombayX. Clickingfurther the course asks for an option of “Register For <coursename>”. Now the “View Course” tab appears aside the courseundertaken.

1.5 Courseware (About the course contents)The student is required to take quizzes and assignments on aregular basis by clicking on the ‘courseware’ tab. Theperformance in these will directly affect the grades of the student.These contests help teachers assess the progress of thestudents and help them in case of difficulties.1.5.1 Quizzes

These are held on a weekly basis.1.5.2 Assignments

A deadline is given to the students to complete theassignments.

1.5.3 ContentsCourse contents as such videos, etc are also provided.Course tracking feature is also there. The last viewedsection can be seen easily.

1.6 Course InfoThe recent updates and news about the course is present anduploaded in this section.

1.7 DiscussionThe discussions are posted by the students under this section(can be posted as anonymous).

1.8 Viewing performance (Progress Tab)Reports of students are auto generated and can be viewed fromthe ‘Performance’ tab. These reports include grades,improvement graphs, areas of strengths and weaknesses, etc.These will help students in order to improve themselves andknow where they stand.

1.9 Logging outOnce the student is done with the necessary tasks, it should beensured that they log out from the system.

Except student every role is having the following interface to login andcarry on their activities.

2. ASSOCIATE TEACHERS

2.1 OverviewThe course coordinator shall assign associate teachers for acourse. For each course, we can have multiple teachers andeach teacher has a group of students under him. The teacher isrequired to perform tasks as per instructions from the coursecoordinator assigned to the respective course.

2.2 Registration and LoginEvery teacher must register at IITBombayX website according tothe steps specified earlier. An activation email shall be sent. Theaccount is activated by clicking on that link. They can then loginby clicking on the “Login” tab provided on the IITBombayXwebsite. Enter the email-id and password used at the time ofregistration. After logging in, the teacher shall be redirected to hispersonal dashboard.

2.2.1. Registration as a normal user before being selected as

associate teacher

2.3 Editing Profile InformationAll associate teachers can edit their basic profile information suchas name, password, profile picture, address, phone number etc.,They can do so by clicking on the “Profile” tab provided on theirdashboard.

2.4 List of Associate TeachersAll associate teachers can view other associate teachers list byclicking on the “List of Associate Teachers” tab.

2.5 Downloading Student ReportsThe grade reports of each individual student is auto generatedand is available for download in xls, csv and pdf formats to theassociate teacher by clicking on the “Download Reports” tabprovided on their dashboard. The aggregate reports of all thestudents under that teacher can also be downloaded from here.

This will assist them to maintain a record of the progress of thestudents under him.

2.6 Emailing FacilityThis feature is available under the “Email Facility” tab on thedashboard. The teacher can make announcements, send noticesand any additional learning material to the students under him. Hecan send enrolment reminders to the students. The teacher can alsocommunicate with other teachers teaching the same course in orderto improve the learning experience of students. The teacher canalso reply to the queries put up by the students. The coordinator canbe updated with the overall progress on a regular basis by eachteacher.

2.7 MIS Reports for Associate TeachersAssociate teachers can access various analytical reports of theirstudents from various perspectives. It will help in better analyzationand visualization of performance of the students of that course basedon various parameters. This feature will be available under the “MISreports” tab in the dashboard.

2.7.1 Student-wiseTo get the student reports go to “MIS reports” -> “ Student-wise”. The performance of each student in the various quizzesand assignments can be viewed. Also, the teacher can viewthe number of hours spent by the student reading the learningmaterial provided, viewing the video lectures etc. The totalnumber of students under him along with their details isavailable here.

2.7.2 Group-wiseThe associate teacher might be teaching the same course tomultiple groups of students. They may also teach multiplecourses. Hence, each associate teacher can have multiplegroups of students under him. They can view the reports ofeach group using the “MIS reports” -> “Group-wise” tab.

2.8 Authenticating StudentsIt will be the responsibility of the Associate teacher to group students.

2.8.1 Adding StudentsUnder the “Authenticate student”->“Add student” tab, associateteacher can upload a file containing the email id of the studentswho are in his group.

2.8.2 Updating studentsThe associate teacher can update details of students by clicking “update students” tab.

2.8.3 Deleting studentsA list of students associated with that associate teacher will bedisplayed after selecting “Add student” under “Authenticatestudent” tab. The associate teacher can delete the existingstudents by selecting them from the list and clicking on“Delete” button.

2.9 Logging outOnce the teacher is done with the necessary tasks, it should beensured that they log out from the system by clicking on the “Logout”tab.

3.1 Overview

The Program Coordinator will assign coordinators for each course inwhich the particular institute has registered. The course coordinatorhas to manage teachers and students involved in that course. Thevarious functionalities offered for a Course Coordinators in theirdashboard are described in the subsequent sections.

3.2 Registration and login

Register at IITBombayX following the steps specified in section III.

Once the account is activated the coordinator can login on

IITBombayX using his login credentials. He will be redirected to a

new interface.

3.3 Editing profile information

The Coordinator can view his profile by clicking the “profile” tab

provided on the dashboard. All the information that the Coordinator

has entered at the time of registration are visible here. They can also

edit his basic information like contact number, password etc. except

email id.

3.4 Downloading reports

The report of all students is auto generated and is available for

download in xls, csv and pdf formats by clicking on the “Download

Reports” provided on their tab. The coordinator can download reports

of students to analyse students performance in his course.

3.5 Email facility

This tab on dashboard of Course Coordinator is to provide direct

communication among all Faculties of the institute and the students

enrolled in the course. The Coordinator can send enrollment

reminders to the students and also make announcements of

important events to all the members.

3.6 Authenticating associate teacher

It will be the responsibility of the Course Coordinator to add or deletethe Associate teachers within that institute for the course of theBlended MOOC Program. This feature is provided under the “Addassociate teacher” tab on their dashboard.

3.6.1 Adding Associate teacherUnder the “Authenticate associate teacher”->“Add Associateteacher” tab, Coordinator can add new associate teacher byfilling up the required details of the user who is to beconsidered as associate teacher. An email will be dispatched tothat user notifying that their user status has been authorized asan associate teacher for some specific course.

3.6.2 Updating Associate TeacherThe Coordinator has the authority to change associateteachers. They can replace teachers associated with a group ofstudents. The Coordinator can update the existing associateteacher by selecting them from the list and clicking on “update”button.

3.6.3 Deleting Associate TeacherA list of associate teachers associated with that course will bedisplayed after selecting “Add Associate teacher” under“Authenticate Associate teacher” tab. The Coordinator candelete the existing associate teacher by selecting them fromthe list and clicking on “Delete” button.

3.7 Authenticating studentsIt will be the responsibility of the Coordinator to provide the list ofstudents of their institute enrolled in their course.

3.7.1 Adding StudentsUnder the “Authenticate student”->“Add student” tab,Coordinator can upload a file containing the email id of thestudents who have enrolled in their course.

3.7.2 Updating studentsThe Coordinator can update details of students by clicking update students tab.

3.7.3 Deleting studentsA list of students associated with that course will be displayedafter selecting “Add student” under “Authenticate student” tab.The Coordinator can delete the existing students by selectingthem from the list and clicking on “Delete” button.

3.8 MIS Reports for Course Coordinator

The course coordinator can access a tabular form of instructor related data. This is further linked to students of the particular instructor. This, on further level of inspection provides access to detailed report of the student. This is available under the MIS reports tab.

3.8.1 Course analysisThe coordinator can view the overall performance of students in his course by clicking on this tab. They can get details of the least and the most viewed topics in their course.

3.8.2 Performance reportsTo get the student reports go to “MIS reports” -> “performance”.The performance of each student in the various quizzes andassignments can be viewed. Also, the Coordinator can view thenumber of hours spent by the student reading the learningmaterial provided, viewing the video lectures etc. The totalnumber of students under him along with their details isavailable here.

4. PROGRAM COORDINATORS

4.1 Overview Program coordinators(PC) support the HOI by performingadministrative duties related to planning, directing andcoordinating the academic activities related to the MOOCsprogram. They also provide educational coordination between theteachers, students, course coordinators and HOI. While the HOIrepresent the institute, the program coordinator in fact carries outmost of the activities. The various functionalities offered for aProgram Coordinators in their dashboard are described in thesubsequent sections.

4.2 Registration and Login

Every institute must provide the details of their respective program

coordinators after registration. Selection of the Program

coordinator will be done by the HOI. The Program coordinator

must be registered as a normal user before selecting him as a

Program Coordinator. After authorizing the user as Program

Coordinator a mail will be sent to the user’s email address

notifying that his user status has been updated to “Program

Coordinator”.

4.2.1 Registration as a normal user before being selected as

4.3 Editing Profile InformationEvery program coordinator can edit their basic profileinformations such as name, password, profile picture, address,phone number etc., They can do so by clicking the “Profile” tabprovided on their dashboard. However for now, no feature isprovided to change the email address.

4.4 Authenticating Course CoordinatorsIt will be the responsibility of the Program Coordinator to add ordelete the Course Coordinators associated with that institute forthe various courses of the Blended MOOC Program. This featureis provided under the “Authenticate Course Coordinator” tab ontheir dashboard.

4.4.1 Adding Course CoordinatorsUnder the “Authenticate Course coordinator”->“Add CourseCoordinator” tab, PCs can add new course coordinator byfilling up the required details of the user who is to beconsidered as course coordinator and details of the courseassociated with them. An email will be dispatched to thatuser notifying that their user status has been authorized asa course co-ordinators for some specific course. A coursecan have only a single coordinator associated with it.

4.4.2 Updating Course CoordinatorsUnder this option, the Program Coordinators can updatedetails of the course coordinators of various courses fromtheir institutes.

4.4.3 Deleting Course CoordinatorsA list of course coordinators associated with that institute willbe displayed after selecting “Add Course Coordinator” under“Authenticate Course Coordinator” tab. PC’s can delete theexisting course coordinators by selecting them from the listof current course coordinators provided and clicking on“Delete coordinator” button.

4.5 Generating various MIS reportsProgram Coordinators can access various analytical reports associated with their institutes from various perspectives. It will help in better analysis and visualization of performance of the students ofthat institute based on various parameters. This feature will be available under the “MIS reports” tab in the dashboard.

4.5.1 Institute-wise reportsBy selecting the “MIS reports” -> “Institute-wise” tab in thedashboard Program Coordinators can generate the reports ofperformance of the students of their Institute. He can alsogenerate various reports such as teachers and studentscurrently registered with his institute etc.

4.5.2 Course-wise reportsThe course-wise reports provide analytics of a particularcourse. This includes performance of the students enrolled forthe specified course, including the course coordinatorsassigned to them. By selecting the “MIS reports” -> “Coursewise” tab in the dashboard Program Coordinators cangenerate the course reports. Program Coordinators areexpected to explore the various reports that can be generated,under different sections to get a deeper understanding of MISreports generation.

4.6 Email FacilityThis feature is available under the “Email Facility” tab and providesthe Program Coordinator with the capability of quick communicationamong various members. It supports bulk mailing with user definedcustom groups along with individual mailing facility.

4.7 Logging OutAn option is provided on the dashboard to logout of the system andby clicking the “Log out” tab, the current session will end and theuser have to log in again in order to access the dashboard.

5. HEAD OF INSTITUTE (HOI)

5.1 OverviewThe MOOCs platform hosted on IITBombayX provides a lot offunctionality to the heads of the respective participating institutes.Following are the steps required to be taken by the HOIs toaccess the system of IITBombayX:

5.2 Registration and LoginThe HOIs will access the system with the IITBombayX websitewhich contains a “login” button after registering as a user. Theregistration process also includes your institution as a part of theIITBombayX MOOCs programme for curriculum grading. Theinstitute receives an institute id assigned by IITBombayX. Oncethey are logged in by entering their registered username andpassword, they will be redirected to an independent interface.

5.3 Editing ProfileThe Head of Institute views the details of the particular institutehe/she represents. These are the details added and verified atthe time of registration to the Blended MOOCs programme.

5.4 List Of InstitutesThe Head of Institute views the list of all the institutes registeredat IITBombayX as participating institutes of the MOOCsprogramme. This comprehensive list gives basic details ofparticipation institutes for any further synchronisation.

5.5 Authenticate CoordinatorsThe program coordinator responsible for synchronising theactivities and supervising the MOOCs program can be set underthis tab. The programme coordinator then acts as a link with thecourse coordinators and the HOI. Under this tab, the HOI canalso assign other program coordinator in case of an emergencyor update the current program coordinator.

The Head of Institute views the statistics associated with thestudents of his/her institute in three different forms:

5.6.1 Cumulative student performance:The reports of all the students of that particular institute areavailable. This report provides tabular representation ofperformance of the students segregated by courses.

5.6.2 Institute-wise:A brief report about the performance of all participatinginstitutes.

5.6.3 Course-wise:The course-wise reports provide analytics of a particularcourse of choice. This includes performance of thestudents enrolled for the specified course, including thecourse coordinators assigned to them.

6. ADMINISTRATOR

6.1 OverviewThe Admin, as the name suggests, is the overall administrator ofthe MOOCs system on IITBombayX, and subsequently has anumber of privileges. He is responsible for handling theadministrative tasks like scheduling quizzes, auto-gradecompilation and serving the queries of all other users. Followingthe login through the IITBOMBAYX website, the Admin will get aDashboard with the following tabs:

6.2 Details of the instituteUnder this tab, the tabulated data regarding the variousparticipating Institutes is stored. The tables available here arelinked directly to the database of the IITBombayX.

6.3 Authentication of InstituteThe admin of Blended MOOCs platform has the authority toapprove or disapprove the registration of the participatingInstitutes. The option to authenticate the registered institute isavailable under this tab. Authentication from the Admin is requiredfor making a registered Institute a part of the MOOCs programme,so that the subsequent tools are made available to thehierarchical users.

6.4 MIS Reports for Administrator

The Administrator views the statistics associated with thestudents of various institutes in two different forms:

6.4.2 Course-wiseThe course-wise reports provide analytics of a particularcourse of choice. This includes performance of thestudents enrolled for the specified course, including thecourse coordinators assigned to them.
