License and certain restrictionsUse of the qCLIP software on more than one computer is only possible if youhave purchased the multi-user version. qCLIP will run on a network, but onlyone person will be allowed to use it at one time unless the multi user option ispurchased. You may copy the software for backup purposes, provided that youreproduce all copyright and other proprietary notices that are on the originalcopy of the software. You may transfer the software and all rights under thisAgreement to another party together with a copy of this Agreement if theother party agrees to accept the terms of this Agreement and pays a transferof ownership fee. Disk warranty and limitation of liabilityThe sole warranty regarding the software is that the original CD is free fromphysical defects in material and workmanship, assuming proper use, for aperiod of one (1) year from the date of your purchase. If such defect occursduring the period, you may return (postage paid), your faulty disk to SensibleSoftware, Inc., along with a dated proof of purchase, and your "qCLIP Registra-tion Certificate" (if we do not already have one on file). Sensible Software, Inc.must have your "qCLIP Registration Certificate" in its possession at the time ofreturn. We recommend that you insure any defective item being returned, orassume the risk of loss or damage in transit.

If this Agreement is breached, Sensible Software, Inc. can terminate thisAgreement without notice to you and stop the software from functioninguntil satisfactory payment has been received. In the case of missed pay-ments, the complete debt can be required if payments are not met accord-ing to our Agreement. At our discretion, we can require you to return allsoftware copies and related materials, but the return of such does notrequire us to refund, credit or in any way return moneys to you alreadycollected or diminish your debt to us. We can also enforce our other legalrights.

The main difference between qCLIP and CLIP is where the billing is done. InqCLIP all the transactions are sent to Quick Books for billing and payment. InCLIP all the billing is handled internally.

You must have QuickBooks Pro or Premier 2002 or later.

What is missing is the ability to “run” your company. That is where qCLIPcomes in. It has been used by thousands of companies to help them run theoperations of a service based company.

qCLIP will take the customers from QuickBooks and you will create jobs withschedules and customer notes and all aspects of operations. This informationwill be able to be placed on Route Sheets automatically and given to yourcrews to perform the work. When the crews mark the work as done andreturn with the route sheets to your office, you can quickly record this intoqCLIP. qCLIP takes care of the rest. It will reschedule the jobs and keep all ofthe history. It will prepare the accounting information for transfer toQuickBooks when you are ready, and it will print out the next day’s routesheets, ready for you to continue working. All of this can be done automati-cally freeing you up to do your job, working “on” your company, instead of “in”your company.

With Revenue Tracking, qCLIP will track how many dollars per hour you areproducing from each of your customers. You will be able to quickly tell whichcustomers are your most valuable ones vs. your least valuable ones. You willknow who needs to get their price raised and who needs to get a Christmascard. Hundreds of qCLIP companies have used this ability to double and tripletheir profits!

Periodically you will tell qCLIP to transfer the information to QuickBooks. Thiscan happen daily, weekly or any type of schedule you desire. Once you trans-fer the information all the invoices are generated in QuickBooks.

How to use this manual

This tutorial manual is written to explain the basic concepts of how to set upand use qCLIP. It will not go through every option that is avaible on eachscreen. If you click on the ? icon in any screen and then click on the option,the Help program will start and show you whatever specific information aboutthis option that is available. Some screen shots in the manual may havemore options than appear on your screen because this manual is writtento cover two versions of qCLIP that are available.

Notes on qCLIP

qCLIP is a subset of a program that we call CLIP. There are a number of thingsthat have been changed and/or disabled since they would not be used withqCLIP.

Take the time to go through the Tutorial—it will save you time and frustrationin the end! It is also recommended to experiment on a second-fake copy ofqCLIP. You can install qCLIP on another machine for testing or playing aroundwith. qCLIP is very powerful software and you should not expect to learn thisovernight. Your qCLIP program may be returned up to 30 days from the date of invoice.Do not send your Registration Certificate to Sensible Software, Inc. until your30-day trial period has expired. qCLIP is not refundable after it has beencertified.

If you decide to return qCLIP, you must return all materials in resellable condi-tion.

Using Technical SupportYour successful use of qCLIP is important to us. We have programmers andsupport technicians eager to serve you. Technical Support is one of thebenefits of your Annual Service Agreement.

Every new qCLIP software program comes with a one (1) year limited AnnualService Agreement and free telephone technical support. Any unused supporttime under the original agreement expires on the first anniversary of the dateof original invoice. After the first year an Annual Service Agreement must bepurchased. See Extending the Annual Service Agreement in this chapter.

Maximizing the value of your support time

This manual includes a General Tutorial to minimize your learning curve.Follow the steps in this tutorial closely. Take time to become familiar withqCLIP's features and benefits. Enter data carefully and precisely.

As a new user, you may have many questions. Some questions may not beanswered in the tutorial. We recommend that as you use the tutorial and enterjobs, that you keep a notebook beside you and jot down questions as theyarise. When you have accumulated several, or when you have come to a placewhere your questions prevent you from going further, call Technical Support at800-286-1709. Remember, you have 1 hour of technical support to be used inthe first year of purchase.

Annual Service Agreement

Every qCLIP software program comes with a one (1) year limited AnnualService Agreement and free technical support via telephone. Any unusedsupport time under the original agreement expires on the first anniversary ofthe date of original invoice. After the first year, Annual Service Agreements(ASA) must be purchased.

Unused portions of the original free technical support will not be extendedbeyond the original Service Agreement.

If you do not extend your Annual Service Agreement, you may purchase up-dates at the current rate* of $200.00 per update.

After the original Agreement has expired, technical support is available at aprice of $5 per minute. You must have support time on file or payment isrequired at the time service is given.

Paid support time never expires or is taken away. It will stay on file yearafter year until needed. Unused portions of your deposit time (paid timeonly) may be applied to other Sensible Software, Inc. goods and services exceptsupport of programs that have been "sunsetted" or discontinued.

Technical support rates are as follows:

Tips and Warnings

During the installation (and in the rest of this manual) you will see theword "default". If you fail to make a selection, the "default" is the setting orentry that is chosen for you. You can accept the "default" settings/entries orenter your own choices. It is best to accept the defaults in the qCLIP installa-tion. The following guide will tell you when you will need to chose somethingother than the default.

Always exit qCLIP by choosing "Exit CLIP System" under the Files pull-down menu. Do not exit by pressing the reset button (the term is “re-booting”)while any software program is running. It is likely that you will lose or damagedata if you exit in this way.

BACKUP, BACKUP, BACKUP! We cannot stress this enough. How often shouldyou backup? Never work any more hours on your computer without a backupthan you can afford spending reentering the information you entered since yourlast backup. For your own peace of mind, get into the habit of regularly (daily)making backups of qCLIP.

Installing qCLIP

NOTE: If you already installed qCLIP from a Demo,you do not need to reinstall it ! You need to get anupdate form our website and use the product codeletter you recieved to unlock the demo.

You must be able to open your Quick Books com-pany from the same machine you are installingqCLIP on.

You will be given a "Product Code" to unlock the program. Simply openthe program. Go to Help/Product Upgrade. Type in the code. RestartqCLIP and skip to Phase 1 in the manual.

qCLIP is a stand-alone application and by default will be installed to C:\CLIPv

Network users: If you are installing qCLIP on a network make sure toinstall this from the actual server machine. Each work station will alsoneed a small install done in order for them to access qCLIP on the net-work. See the Network instructions later in this chapter.

Insert the CD-ROM. (In most PC's this is called the D drive)

The CD-ROM should automatically start the installation by itself. If itdoes not:

Network users: After installing this on the server you must re-run thisinstallation on each workstation except you must select "Workstation/Client Installation". You will be prompted to locate where the programwas installed i.e. the location of the CLIPv folder on the network. Thisinstalls neccesary files onto the workstation as well as creating thecorrect Icons and shortcuts.

Network Users:

You will need to create a folder on ther server called Netclip. This can beon any of the net work drives. You MUST MAP the workstation to thisfolder, do not make a shortcut through Network Neighborhood it mustbe a mapped drive. Also Do Not map the drive directly into the CLIPvfolder.

Starting qCLIP for the first time

You can start qCLIP by going to Start > Programs > CLIP Software > VisualCLIP or from the Icon created on your desktop

After you have started qCLIP you will see the following screen.

This code is located on the letter you recieved with your purchase.. It mustbe typed in exactly as shown and in all CAPITALS. Please pay attention towether you need to enter the letter "O" or the numeral "0".

You will then be prompted to enter the qCLIP number. This Serial Number isalso printed on the letter.

You are shown qCLIP's usage and liscensing terms. After you send in yourcertification, this screen will no longer display. If you agree to the terms, clickAgree to the Terms.

If this is your first qCLIP installation and you are uncertified (new pur-chase) you will be prompted to enter your information.

The information you enter here, will be used for headers on your customers'reports and letters until you become certified. Type it as you would like it toappear on these items.

The General Tutorial Overview

This tutorial is designed to walk you through all of the steps involved in settingup your company to use qCLIP. qCLIP is an extremely powerful tool, that willhelp you manage your company more effectively. So you can work smarternot harder. As with any power tool, you will need to take time to learn to useand set it up properly. That is precisely what the General Tutorial is for.

Before you begin to enter information there are several steps you should firsttake.

• Collect all the job information for your customers.

• Decide on an activation date

The activation date is the date on which you plan to be fully operational onqCLIP— that is, all customer and job information are entered.

Do not be overly optimistic. If you are a new qCLIP user with 100 custom-ers, expect to work on the data entry and setup for at least 10 hours.

8. There are certain assumptions that qCLIP must make about how your QuickBooks is set up. Quick Books has open fields for you to enter a customersinformation and it does not force you into formatting the information a certainway. We are assuming you have set it up according to the Quick Books guide-lines.

The following rules apply:

The “Customer Name" (QB) will go into the Property Name(qClip) exactly asentered.

The first line in the “Bill To”(QB) will go to the billing name in qCLIP

The second line in the “Bill To”(QB) will go to the billing address in qCLIP exceptif a "C/O,c/o, C.O., or c.o" is found at the beginning of the second line. We willassume that this is a "Care Of" and will put it into C/O in qCLIP

The third line in the “Bill To”(QB) will go to the billing city, state, zip in qCLIPexcept when the "Care Of" is found, then this will go to the billing address inqCLIP

If the "Care Of" was found, the fourth line in the “Bill To”(QB) will go to the billingcity, state, zip in qCLIP

If you do not have the “Ship To” information filled out in Quick Books theProperty info will be filled in from the "Bill To" when transferred into qCLIP.

If you have the address on the first line either in the “Ship To” or “Bill To” thedata will not go to the correct place.

If the data is incorrect or missing, most likely the data was not entered intoQuick Books correctly. You can manually fix anything that needs changing.

Important Note: Prior to Quick Books 2002, Quick Books allowed dupli-cate customers and items. If you have been using Quick Books beforethat version you MUST make sure there are no duplicate customers oritems. This includes customers and items that are inactive. Customer List

Selecting this option will import the Customer Job List from Quick Books.

Include Jobs and Sub-Jobs

In Quick Books you can have customers and then have “Jobs” under eachcustomer. If you select this option, qCLIP will create a new customer number inqCLIP for each job. This gives you the ability to have multiple jobs per cus-tomer. A good example of this would be a Burger King that has various loca-tions. You would select this option if you have that type of customer in QuickBooks Pro. If you mainly do residential services, you will not need to selectthis option because all billing will be going to the main customer.

Note: In Quick Books they are referred to as "Customer: Job List" and in qCLIPthey are referred to as customers.

Update CLIP Customer Addresses

If you make changes to a customers information (not his name) in Quick Booksthis option will update the information in qCLIP.

Do not select this for the first time since you will want all the customersto transfer in.

Only New Customers Created Since

This feature allows you to only import new customers added in Quick Booksusing a particular date in which they were added in Quick Books. This speedsup the process on future transfers if you have a large customer base.

Only Customers Modified Since

When this option is selected it prompts you to enter a date. The date youenter is customer information modified from the date used. This speeds up theprocess on future transfers if you have a large customer base.

Selecting this option will import the Item List from your Quick Books Procompany file.

Class List

Selecting this option will import the Class List from Quick Books Pro. You onlyneed to select this if you do class accounting in Quick Books. Most companiesdo not.

Customer Message List

Brings over the Invoice messages from Quick Books. You will be able to assignone of these when you transfer the data back to Quick Books for invoicing.

Invoice Templates

This feature only applies to Quick Books 2004 or newer and if you have set upcustom Invoices in Quick Books . This will allow you to access these latter on.

Note: Only active customers and active items will be transferred over.

3. For the first transfer, log into Quick Books as admin and in single user mode.

4. After selecting the correct options select "Start Import" from qCLIP.

5. You will be prompted to make sure that you have a backup of Quick Books

6. After selecting Yes, CLIP will try to connect to Quick Books. You will nowneed to switch to Quick Books by clicking on Quick Books on the task bar atthe bottom of your Windows screen

Step 3 – Grant permission in Quick Books

The first time you import data from Quick Books or export data to Quick Booksfrom qCLIP, Quick Books will display the following forms informing you that anapplication is accessing your Quick Books company file. This is a securitymeasure implemented by Quick Books to ensure that an application cannotaccess your Quick Books data without you knowing it.

Phase 2: Entering Customers' Information

We recommend that when you are adding new customers you enter them intoqCLIP first. This is much easier and qCLIP will transfer the information over toQuick Books.

Step 1: Setting up a pattern or master form for customers

There are two ways to enter new customer information in qCLIP. The first is bytyping all the related information into each customer field, each and every timeyou enter a customer, regardless of how similar that customer's information isto another customer.

The second, and recommended way, is to use existing customer informationand only type the information that differs from that of the existing customer.This can be accomplished by making a pattern or master form for customerswith identical information (e.g. city, state, zip code, area code, etc.). Thismethod will help eliminate typing errors by having this information automati-cally appear on the pattern or master form every time it is used.

Patterns or master forms can be understood simply by thinking of them as"preprinted forms". What we mean is that each time you sign up a customer toreceive your service, you record certain information about that customer. Youmay even have a form for your office staff to fill out on the new customer. If allof your customers are in the same city, zip code, and area code, you couldhave your forms preprinted with all of this information already filled in. This isall a pattern or master form is, only much more valuable.

Preprinted forms will save a little time each time you need to record acustomer's information, but the savings would probably not be tremendous.However, when recording information in a computer, consistency is crucial.Patterns or master forms not only save you that "little" time, but most impor-tantly ensure greater consistency in your information. In addition, patterns ormaster forms can be set up with information that is true for most of yourcustomers (unlike preprinted forms which can have only the information that istrue for all of your customers), because you can easily change information inqCLIP for any unusual customer. This will easily be understood by actuallysetting up and using a pattern or master form for a customer.

Planning the pattern or master form for customers (customer groups)

How many pattern or master forms will I need? Lets say all your customers arein Ann Arbor, Superior, Pittsfield, and Barton Hills, MI and that Ann Arbor has zipcode 48103, Superior has zip code 48104, Pittsfield has zip code 48105, &Barton Hills has zip code 48106. All these cities are in area code 313. Letswrite down the different customer groups that exist.

Assume the following customer break down for this example:40 of your customers live in Ann Arbor zip code 48103,10 of your customers live in Superior zip code 48104,30 of your customers live in Pittsfield zip code 48105,20 of your customers live in Barton Hills zip code 48106.

You have established four (4) customer groups and each group can have theirown pattern or master form because each group has identical information thatwould be necessary for their Customer File Maintenance screen. Therefore,you would create four (4) patterns or master forms.

Naturally, you will probably have customers in several more cities, but youwould still use the same principle of grouping your customers into customergroups as we did in the above example. You will create as many patterns ormaster forms as you have customer groups. If you only have one or twocustomers in a customer group, it may not be worth the time to create apattern or master form. The decision is yours. If a pattern or master form is notcreated, you will have to type in all the information on their Customer FileMaintenance screen including city, state, zip code, and area code. Lets con-tinue and create a pattern or master form for each of our customer groups. Inthis example, all patterns or master forms will use the numbers 1 to 99. Cus-tomer numbers will begin with the number 100.

Start with the first customer group which is Ann Arbor.

From the Main Menu, select Files > File Maintenance.

File Maintenance is the cornerstone of qCLIP. It is where you will manage allyour customer information and their jobs.

The Quick Find screen will appear. This allows you locate customers by variousconditions. To use the most common search, type in either a customer numberor Property name. qCLIP will do a live search after each entry.

You will notice that the Customer File Maintenance screen (that comes withqCLIP) will have to be modified to match the information of your customergroup. This screen is used for creating patterns or master forms and for addingcustomers into the customer database.

You can create new customers from either the Search for Customer/Con-tacts screen or from the Customer File Maintenance screen. Lets createpatterns or master forms and enter customers into the database using boththe Customer File Maintenance and the Search for Customer/Contactsscreens. Either screen will work because both screens have a Add Newbutton.

Lets start by using the Customer File Maintenance screen.Notice that there is a number 1 (to indicate group 1) already in the CustomerNumber field in the upper left hand corner of the screen. Accept this numberbecause this is the first pattern being created. Place the cursor in PropertyName field and give it a name that identifies this pattern or master form, in thiscase it would be PATTERN - ANN ARBOR. Also fill in the Property City, State/Zip, and Tax ID (MI) with the information appropriate for this customer group.

Similarly, continue with the Billing Name section, Greeting (Dear), City/St/Zip, and area code.

Note: If you have the Visual Pro version of the software and must report yourchemical usage and distribution to different counties in the state (e.g. NewYork), also enter the county code (Cty Code) information at this time. This willsave time later on when using the Chemical Tracking section of the manual.

The R/C Code can be used to "tag" your customers as either Residential orCommercial. For our example, most of our customers in Ann Arbor are resi-dential, so we set this pattern or master form as R. If most of your customersusing this pattern or master form are commercial, enter C in R/C Code.

Make sure the Status field states PATTERN. Your screen should look like theone below.(Pro version screen shown)

The customer will never see any of this information. The information that is inQuick Books will be used when generating bills.

Similar to R/C Code, QCLIP has provided Custom Letters, Custom Numbers,Word Processing Code, and Customer Type, as extra places to tag yourcustomers in a more detailed manner.

(in addition to residential/commercial), then you may know how you are goingto use these custom fields. You can go ahead and enter your most commondesignations now. Otherwise we recommend skipping these fields for now,and come back later, after mastering the more basic functions of qCLIP.

A Contract Customer is a customer that receives "levelized" billing. Thismeans that the customer pays a regular installment, that covers the charge forall jobs that are "part of contract". For example, Mr. Scully pays $100 permonth to receive mowing service. He pays $100 in May even though we cuthis lawn five times, and he pays $100 in August even though it was only donetwice. As far as qCLIP is concerned this is all a contract customer is. If most ofyour customers are contract customers click on the Installment Icon whenfilling out the information for that specific customer. For this exercise, we willjust leave all the amounts of their payments blank.

Select the Save button. You have just created pattern or master form number1 and the information is now in the database.

Lets create another pattern or master form using this screen. Select the AddNew button on the right side of the screen. The following screen will appearEnter New Customer #., Change the number to as the Customer # and selectthe Save button.

The R/C Code field reads "R" for residential customer. If this were a commercialcustomer, change the "R" to a "C". Select the Save button and Mr. Scully is inthe database. We can now have qCLIP add this customer to Quick Books. Make sure QuickBooks is open. Select the Send to QB button.

The only way that qCLIP can match its customers to Quick Books custom-ers is by using the Customer Name in Quick Books. For this reason if youever change the Customer Name in Quick Books you will lose the connec-tion to the customer in qCLIP.

Step 2 – Adding new customers and changing information

You can either update a customers information is either qCLIP or Quick Books.We recommend that you do it in qCLIP. Make the needed changes then selectthe Update in QB.

Reminder: The only way that qCLIP can match its customers to QuickBooks customers is by using the Customer Name in Quick Books. For thisreason if you ever change the Customer Name in Quick Books you willloose the connection to the customer in qCLIP.

If you change the information in Quick Books you will need to use the QuickBooks Functions on the menu to update the information in qCLIP.

Select Customers List and Update CLIP customer addresses. Using the OnlyCustomers Modified Feature Since feature is optional but will speed theprocess up if you have a large customer database.

Invoice Charges versus Statement Charges

By default qCLIP will make all your customers set to Invoice type customers.This is by far the most common way that Quick Books is used. When a cus-tomer is set up as Invoice, the transfer between qCLIP and Quick Books willautomatically generate Invoices . If you use Statements ( In Quick Books youcan read about this using the keyword Statements in the Help menu) you mustchange the "Invoice or Statement Charges?" to "S". This is located on thecustomers screen. When doing the transfer the items are added to the cus-tomers account and you must use the Statement feature in Quick Books toprint them out.

Phase 3: Setting up jobs for your customers

Note: Jobs in qCLIP are equal to items in QuickBooks

This section will take you step-by-step through entering your pattern or masterforms for job(s) and using these patterns or master forms to enter job(s) foreach of your customers. The focus in the tutorial is getting you "up and run-ning" with qCLIP. We are going to skip some of qCLIP's more advanced func-tions so you can first develop a working foundation of basic principles. Aftermastering these basic principles, you can use the Help built into the programto learn what all the options do. Do not proceed with this section unless youhave completed Phase 1.

Step 1: Setting up a pattern or master form for jobs

You should set up all your patterns or master forms before entering actualjobs for your customers. The pattern or master form for a job is your "pre-printed form" to fill in with the appropriate jobs information. After setting up apattern or master form for each service( job) you provide, adding a job to anew customer will be as simple as choosing the appropriate pattern or masterform ("preprinted form"), and filling it in with that jobs information.

Get a piece of paper out and write down every service( job) your companyprovides. This list could be pretty long. These might match up to your item listdescriptions. After you have done this, start grouping services( jobs) that arealike such as maintenance, cleans ups, irrigation, etc. After grouping these,start numbering these services( jobs) by group. Start with your most commonservice( job). Give this a #1, keep numbering all your services( jobs) until theyare all numbered.

Let's now set up a pattern or master form for our most commonly performedservice( job).

From the Files submenu choose File Maintenance.

Highlight Cust # 1 (PATTERN - JOBS) and click the Select button or just doubleclick on the name. This is the pattern or master form that came with qCLIP.

These are all the job patterns qCLIP comes shipped with. These will dependon the install you selected. We will be using the Green Industry list. They aredescriptions of typical lawn maintenance jobs, along with a few miscellaneousothers. Scroll through them to see examples of how a company's services maybe broken up as "jobs" in qCLIP.

Quick Books uses items and qCLIP uses jobs. In order for the programs tocommunicate with each other you will be assigning an item and class (optional)from Quick Books to each job in qCLIP. You may assign the same item tomultiple jobs in qCLIP. For example you may have one item called Maintenancein Quick Books and have multiple jobs in qCLIP such as mowing, trimming,pruning etc.) You can assign the Maintenance item to each of these or you canhave a seperate item for each job. The item and class lists were brought overfrom Quick Books during the setup phase.

Let's modify Job Number 1, Mow & Trim All to fit your most commonly per-formed service. Click Job Detail tab (while job 1 is highlighted) or double clickon job number 1 (Mow & Trim All) itself. The Job Detail screen will appear. Allof a job's information can be viewed or changed in this screen, except the jobnumber which can be changed by clicking Change #s button at the top of thescreen (but leave it at #1).

Remember you are going to make this job pattern ("preprinted form") for yourmost commonly performed service.

You can change the Job Description to whatever you use to describe yourmost commonly performed service. This description will appear on yourcustomer's bills as a description of the charge for performing the service.

If the Job Description field is too small for all you want to have printed on acustomer's bill when this job is performed, you can click the Notes tab andenter an invoice note. (The invoice note will print directly under the job de-scription on the customer's bill.)

Most of the fields on this screen are either customer-specific or referring tofunctions outside the scope of the tutorial. For this reason we will skip thesetype of fields and you can look them up later.

The only other field to edit now in Job Detail, is the Tax Type (D,M,L). This isa field that is not customer-specific and therefore you can fill it in on the jobpattern. If you collect sales tax on labor for the service you have described inthis Job Description, then enter an L here. If you collect sales tax on materi-als for this service, then enter an M here. If you collect no sales tax for thisservice, then enter a D.

Note: This tax will not override what you have setup in the Quick Books item.The only reason why qCLIP cares about tax is if you are going to use the RouteSheet Invoice feature.

We will explain some of the above fields in greater detail when you enter yourfirst actual job. For right now just skip them. They do not need to be filled infor a job pattern. Remember this is just the "preprinted form".

In qCLIP a job equals an item in Quick Books. You must match the item in QuickBooks to the job in qCLIP by using the Item pull down.

Choose the item in Quick Books that corresponds to this job. It will alreadyhave the default you choose during setup. You don't need to put anything inClass unless you use Class accounting in QuickBooks

Next select the Schedule tab at the top of this screen.

The following explanations of the fields in the Schedule screen go into greaterdetail because you must understand how to set up the scheduling for jobs inorder to use qCLIP. Take the time to carefully read and understand whatfollows before moving forward in setting up your jobs.

The Schedule Type is an option included with the Pro version. You can selectthe ? and click on the field for more information on this.

The Next field is where you would enter the next date you are to perform thisservice. Since we are setting up only the pattern or master form for this job,we can skip this field. We will edit Next after we have copied this job patterninto a customer's file.

If most of the time you will be doing this job for a customer, the job will not beon hold, type an N after On Hold. If it should be on hold, type a Y. On Holdmeans the job will not print out on your route sheets (the daily list of workdue to be done).

Countdown is used to put a job on hold, after the specified number of times

done. If you place a 5 in Countdown, qCLIP will decrease this number by 1each time you record this job as done, and when the countdown reaches 0 thejob will automatically be placed on hold. If you know you will not use thisfunction for this job set the countdown to 999 and the function will be dis-abled.

The Not Related field, allows you to tell qCLIP to have this job come up on theroute sheets only when the specified job is on the route sheet. For example,let's say the customer is having you mow every week and edge every twoweeks. You may relate the edging and the mowing, so the edging will onlycome up on the route sheets if mowing is also due to be done. That is, youwill relate the job that is done less frequently (Edging) to the job that is donemost frequently (Mow and Trim All). You would first bring up the Schedulescreen for the Edging job (Files > File Maintenance > Customer #1 > Jobs >Edging > Schedule screen). Enter the Mow and Trim All job's number (1) inthe Not related field on the Edging job's scheduling screen and then clickoutside the field. A screen will ask Do you want to change the Crew/routeto be the same as the related job? Answer Yes. The Not related willchange to Do with Job # 1. Select the Save button. You have now relatedthese 2 jobs (Edging to Mow and Trim All). The same thing can be done for anumber of other less frequently performed jobs to jobs that are performedfrequently.

At least XXX days Between Jobs (frequency)

This field is sometimes referred to as the job frequency. The way qCLIP re-schedules a job with this option is by first taking the date it was last done,counting forward the frequency, looking for the next day(s) of the weekselected, and rescheduling the job for that date. Another way of understand-ing frequency is by seeing it as "the minimum number of days between visitsthat the customer will tolerate". The examples that follow may not be identicalto any scheduling need you have, but looking at these examples is the easiestway to understand this important function. It is recommended that you have acalendar on hand so you can more easily follow the rescheduling logic in theseexamples:

Day of the Week

Day of the Week is used to schedule a job for a specific day or days of theweek. You may put a check next to every day of the week if it does notmatter which day this job is scheduled. However, if you need to be sure thatonce this job is performed it will always be rescheduled for a certain day of theweek, you will need to select that day.

If the job should always be done on Tuesday (excepting delays) place a checkin the Tuesday box. Once the job comes up on the route sheet, it will con-tinue to come up until it is recorded as done or you reschedule it (see DailyRoutines > Record the Work). When the job is recorded as done and posted,qCLIP will reschedule it by first counting forward the number of days listed infrequency, then skipping forward until it finds the day of the week that wasspecified in the Day of the Week field.

EXAMPLES 1, 2, and 3.

Example 1: This example should only be used if the job can only be done onthe same day of the week every week. Let's say you have a job that you set upto be done only on Tuesday as the Day of the Week on the screen, and with afrequency of 7. If you post the job as done this Tuesday, qCLIP will countforward 7 days to the next Tuesday, this is the day of the week selected andreschedule the job for this date. However, if it rains on Tuesday and you don'tfinish the job until Thursday, qCLIP will count forward 7 days to next Thursday,look forward to the next Tuesday and reschedule the job for that date, effec-tively skipping over a Tuesday.

Example 2: If you have a job to be performed once a week regardless of theinterval (the customer wants you there every possible Tuesday even if delayskeep you from finishing last week until Monday), you would enter a 1 forfrequency and only Tuesday for Day of the Week. If it rains on Tuesday, youmay not complete the job until Thursday. Once it is posted as done, qCLIP willcount forward 1 day (the frequency) to Friday, and then look forward to thefollowing Tuesday and reschedule the next visit for that date. With a frequencyset at 1 you have avoided the problem of example 1, by allowing for a delay ofas many as 6 days, before skipping over a Tuesday. However, it is unlikelymany customers will tolerate repeating a weekly service on a Tuesday after

having only finished last week's service the day before.

Example 3: Now let's look at a more likely example. This customer wants thejob performed every Tuesday if possible, but will not tolerate you repeating theservice unreasonably soon (2 or 3 days) after the last visit (due to delays). Asabove, you would select Tuesday as the Day of the Week, but instead of 7 or1 for a weekly service, you should this time enter 4 as the frequency. Afrequency of 4 prevents qCLIP from rescheduling this job any sooner than 4days after last week's visit. It also allows for a delay of as many as 3 days. Thiskeeps you happy (because delays do happen), and it keeps your customerhappy (because he doesn't want to pay for unnecessary services).

For weekly jobs that need to be done on a specific day of the week (exceptingdelays), and never unreasonable soon (2 or 3 days) after the last visit, justselect the Day of the Week and set the frequency at 4. See example 3 above.

A frequency of 11 ( 7 days longer than is used for once a week on a certainday) will signal qCLIP to reschedule a job every two weeks on a certain day ofthe week. If you use a frequency of 11 and specify which Day of the Week ,qCLIP will reschedule this job on that day of the week no closer together thanevery 11 days.

For an every three week schedule on a certain day, you would add 7 days tothe frequency you used for two weeks (i.e., 18), and so on...

Once a Week (radio button)

Selecting Once a Week for a job tells qCLIP to reschedule in the following way.If you have Tuesday as the Day of the Week, and you record the job as doneon Tuesday, qCLIP will look forward to the next Sunday (the next first day ofthe week, rather than using a frequency), and then look forward to the nextday of the week you have selected (in this case Tuesday), and then reschedulefor this date.

Bi-Weekly (radio button)

Selecting Bi-Weekly for a job is similar to Once a Week. When rescheduling,qCLIP will this time look forward (from the posting date) to the second Sunday,then look forward to the next day of the week you have selected, and thenreschedule for this date.

One Time Only (radio button)

If you select One Time Only for a job, qCLIP will place the job on hold as soonas it is posted as done. You will have to take the job off of hold, when thetime comes to do it again. (That time will come, no job is truly a one-time-onlyjob.) This is essentially the same thing as setting the countdown to 1.

It will be easier to edit the exceptions, than toleave a field blank and edit it for all new jobs, merely because some are differ-ent.

Next select the Jobs tab.

You will now be at customer number 1's Jobs List.

Now select the next job in the list to set up as the job pattern for yoursecond most commonly performed service. Follow the same procedure as youdid for your first job pattern. Repeat this procedure until you have set up ajob pattern for all of the services your company performs. Any service thatcould need its own scheduling or billing criteria, would certainly need to have ajob pattern set up for it.

After you have set up all of your job patterns, scroll through them (along withthe rest that came with qCLIP) in customer number 1's Jobs List. You can nowdelete all the extra ones you know you will never use. For example, if you livein Florida, it might be a good idea to delete the jobs associated with snowplowing. It is not necessary to delete these extra ones, if you wish to keepthem to possibly use in the future.

Step 2: Entering jobs to your customers' files

After setting up all of your job patterns, you are now ready to add actual jobsto a customer's file. Let's add our first actual job.

From the Jobs List screen of customer number one (where you left off at theend of Step 1), select the Return button. This will return you to the CustomerFile Maintenance screen. Using the arrows on the right side of the screen(click them), scroll forward to your first actual customer (whom you added inPhase 1). Use the second and third arrows to do the scrolling. The first andfourth take you to the beginning and end of the list. In our example, we willchoose customer #100 whose name is Jim Scully.

Click the Jobs button for your first actual customer, to see their Job Listscreen.

Select the job patterns for all the services you provide for this customer, bymoving the cursor to the Mark field next to the pattern, and either hitting thespace bar or clicking to mark it with an X. You can select multiple jobs at onetime. For Jim Scully, we will select job #1 (Mow & Trim All) and job #10 (Edg-ing). Select the Copy Job(s) button when you are done selecting the jobs. Youwill be returned to the Job List for Customer: SCULLY, JIM screen.

Go to customer 1 andadd it as a job pattern. Then go back to the real customer and copy it inas described before. Changing the jobs description will destroy theaccuracy of the Job Revenue Report. (This report tells you who and whatmakes you the most money)

Custom Fields

The Custom Fields can all be skipped for this initial set up. (When you havemastered the content of the Tutorial, check Help in the program for a detailedexplanation of Custom Fields.)

Crew Number

Enter the number of the crew that will be performing this job for the customerin the Crew Number field. Each crew number you have, will generate a sepa-rate route sheet (a daily list of work due to be done). CLIP can accommodateup to 9,999 crew numbers. Usually each crew represents a different truck, butyou can also use it for other purposes. Later, you can look under "crewnumber" in the reference section, for advanced uses of crew numbers.

Routing Sequence

Routing Sequence number is what tells qCLIP the order in which the crew willperform this job in relation to other jobs. Because generating routing se-quence numbers can be quite time consuming, you can skip entering this fieldfor now.

After adding jobs to all of your customers, enter the Routing Sequencenumbers using the Crew/Route report under the Reports submenu. If you dowish to go ahead and set up the routing of your jobs now, follow theseinstructions for generating routing sequence numbers, and then enter them inthis field.

Generating routing sequence numbers

In order to understand the routing functions in qCLIP , you must first makesure that you do not confuse routing with scheduling. They are not the same.Scheduling answers the question: “What day, week, season, or year should Ido this job?”. Whereas routing answers the questions: “What geographicalposition is this job in relation to other jobs? In what order should the jobs ona route sheet be?”. This difference between routing and scheduling is veryimportant to remember.

There are two ways of doing this. If you own Microsoft MapPoint (availablethrough us) you can have MapPoint automatically route all your customers.The other method is manually done as described below.

To arrive at the best routing for your company, follow these steps:

• Lay out a map of the area you service.

• Place markers for every property you service.

• Decide which route you would take if you were going to visit each andevery property in one day.

• Assign the first property a routing sequence number of 10, assign thesecond 20, the third 30, and so on.

• After this initial assignment of numbers, adding a new customer is simple:just add him to the map and assign him an appropriate unused number. If heis located between number 20 and 30, assign him 25. It does not matterwhether or not this new job will be done on the same day as 20 or 30 (thatis scheduling). What does matter is that this customer's property is between

20 and 30, and should have a corresponding routing sequence number.Eventually, as your company grows, you will run out of "in between" numbersto use and will have to Renumber Route Numbers, found in the Filessubmenu.

You now have your routing sequence numbers. You can now enter the appro-priate routing sequence number for this job.

The routing sequence numbers will determine which job will come out at thetop and which on the bottom of that day’s route sheet. The lower the routingsequence number, the closer to top of the route sheet the job will appear, andof course the higher the number, the closer to the job appears towards thebottom.

Map Location

This is just a note field where you can enter the page and grid number of yourmap for this job (31-G-10). This map location will print out on the route sheetsto help your crews find their way to this job. The map location is not used bythe computer in any way.

Minimum Jobs Per Year

The Minimum and Maximum Jobs Per Year fields apply only to jobs that arepart of a contract. Remember from Phase 1 that to qCLIP, a job is part of acontract only if the charge for performing it is covered by a set monthly install-ment.

Many companies use the range option in their contracts. This contract mightspecify that the job “will be done at least X number of times and not more thanY times.” If your company uses this method, place the minimum number oftimes this job should be done in this field (and the maximum in Maximum Jobsper Year, explained below). qCLIP will print how many times the job has beendone and what your minimum is on your route sheets and summary sheets.This is an information-only field, qCLIP does not use it to perform any calcula-tions.

Max (Maximum Jobs Per Year)

Max is used to keep track of the maximum number of times a job is to beperformed for this contract (see above). Once a contract customer’s Done toDate (explained below) exceeds the Maximum jobs per Year, CLIP will chargethe Charge Over Max amount (explained below). This field is not used if thejob is a non-contract.

IMPORTANT: If minimum and maximum do not apply to a particular contract job, set Max to999 to insure that the Done to Date never exceeds Max. If you do not set Max to 999,and the Done to Date exceeds the Max, CLIP will take the amount in Charge Over Max asthe Gl amount (General ledger amount) (which will probably be set at zero since you aren'tusing minimum and maximum) and the job costing report will say you are making zero dollarsper hour on this job. The IMPORTANT thing to remember is to set Max at 999 if you don'tuse minimum and maximum.

Done To Date

CLIP maintains the Done to Date automatically, increasing it by one each timethe job is recorded and posted. On contract jobs, if the Done to Date ex-ceeds the Max Jobs per Year, CLIP will then charge the Charge Over Maxamount. See above and below.

Charge Per Job

Place the dollar amount you charge per job in this field. This amount is theamount you charge before taxes. Visual CLIP will automatically calculate andadd tax to your customer's account, as long as you have set up the tax areasand rates in Phase 1, Step 2.

FOR CONTRACT JOBS ALWAYS PLACE AN AMOUNT IN THIS FIELD. Eventhough the charge of contract jobs are covered by the customer's installment,you still need to enter the value of the job in Charge Per Job. The "value ofthe job" is the amount you are actually making each time the job is done. Thisis the total money brought in by the job divided by the total number of timesthe job is done (these totals are for the season). The Calc button next to thefield, is to aid you in calculating the Charge per Job for contract customers.

EXAMPLE: Mr. Scully pays you $100.00/month to cut his lawn, no matter how

many times you do it. (This makes him a contract customer). If your season issix months long, the total money brought in by the job is $600.00 (6mos X$100.00 per mo). Checking last year's records (or according to your bestestimation), you determine that Mr. Scully's lawn requires a total of twenty (20)mowings in a season. To determine the value of the job you merely divide$600.00 by 20 mowings to give an actual value of $30 per mowing. This $30 isthe amount you will enter into the Charge Per Job field. Don't worry Mr. Scullywill never see this figure, as long as this job is part of the contract.

Man Hour Rating

The Man Hour Rating is the maximum number of man hours this job can takefor you to still make your "dollar per man hour goal". You will use Man HourRating to help you determine exactly how profitable each of your jobs are(called job costing).

To determine a job's Man Hour Rating, you must first determine yourcompany's "dollar-per-man-hour goal". This is determined by taking your com-pany's year-end goal (the amount you must earn, in order for you to pay allexpenses and make a profit), and dividing it by the total number of productionman-hours (only man-hours that bring in actual money to the company) youproject for this year. This will give you the amount of money each productionman-hour must bring into the company (the "dollar-per-man-hour goal"), in orderfor you to make your end of the year goal.

Now divide the job's Charge Per Job by your "dollar-per-man-hour goal", andyou will have the job's Man Hour Rating.

EXAMPLE: Let's say you have determined that in order to make yourcompany's year-end goal, you need to bring in $30.00 per man hour. If youcharge Mr. Scully $60.00 per mowing (Charge Per Job would be $60.00), hismowing job would have a Man Hour Rating of 2 man hours ($60/mowingdivided by $30/mhr). Now you can quickly see (and know for sure) whetherthis job is generating a profit. If it averages more than 2 man hours per visit,you are losing money.

Charge Over Max

The amount you enter here will be used to charge the contract customer forservices performed above the maximum jobs per year (see above), as specifiedby the contract. This field only pertains to contract jobs. To disable thisfeature, simply enter 999 in Max.

EXAMPLE: Mr. Scully pays you $100.00/month for 6 months to cut his lawn asneeded. The contract states that you will not cut his lawn more than 25 timesduring this season (more often in the Spring, less in the Summer). It alsospecifies that if you have to cut the lawn more than 25 times you will chargehim an additional amount of $20.00 per extra cut. To accomplish this with CLIPyou would enter 25 in Maximum Jobs per Year and $20.00 in Charge OverMax.

Job Area

Enter measurements of the job area here. The job area will print on your routesheets, summary sheets (as Area) and work projections (see Reports > JobReports). Having this field on the work projections report is especially usefulto the chemical applicator: It will tell you how many square feet to plan for.

You can use this field for other measurements as well. If this were an edgingjob you might put in the linear feet of edging required. If this were a mulch jobyou could enter the number of bags of mulch or the area of the mulch bed.Use this field for any measurement you find useful to track.

Tax Type

You already entered the appropriate tax type for this job when you set up itspattern.

Average Time

The Average Time field is updated by qCLIP each time you record this job asdone. CLIP takes the previous Average Time, multiplies it by the previousDone to Date, adds the new time and divides by the new Done to Date. Thismaintains an accurate average of the time it takes to do this job.

Part of Contract

Note: This option will only appear if this customer is set up as an Installmentcustomer

Contract customers may have some jobs that are part of the contract andsome that are not part of the contract. By checking a job's Part of Contractbox qCLIP will not charge for this job when it is done, since the charges fordoing the job are covered by the monthly installments. Each time you record itas done, qCLIP will enter a $0.00 charge for this job (unless you have exceededthe Maximum Jobs per Year, see above).

If you do not check a job's Part of the Contract box, qCLIP will charge theCharge Per Job to the customer each time this job is accomplished. The non-contract jobs will debit the customer's account at the time they are recorded,in the same manner as jobs for non-contract customers.

When you are finished editing Job Details,

Click Save, and then flip to the scheduling part of this screen (click the Sched-uling tab).

Job Scheduling

The explanations of the fields in the scheduling screen were given in detailwhen you set up your job patterns. Refer to that section if needed, to set upthe scheduling for the job you are now adding.

Most commonly you will want to use the "At least__ daysbetween jobs" option. 4=once a week, 11=every other week,18= every three weeks, 27=usually works for once a month.

Repeat this set up, for the rest of your first customer's jobs

After editing the Job Scheduling screen, you have finished adding this job.Now click Save and Return to return to the customer's Job List. You nowneed to repeat this procedure for all the other jobs that you perform for thiscustomer. (They are listed here in the Job List.)

When you have finished adding each of these jobs to your first actual customer,you should click the Return button on their Job List to return to the main FileMaintenance screen.

Repeating Step 2 for each of your customers

Using the arrows on the right side of the screen, scroll forward to your secondactual customer (whom you added in Phase 1). Click the Jobs button for yoursecond actual customer, to see their (empty) Job List.

Now repeat all of Step 2 for your second, third, fourth, and for all your actualcustomers, before moving on to Phase 4.

This is a time consuming process but you only have to do it once if you do itright.

A few reminders:

1. You should have all the customer and job information gathered beforeyou start this process.

2. ALWAYS use the "Copy Jobs" option when adding jobs to a customer.Never add a blank or change the description. Job #1 description shouldbe the same for every customer in your database.

makes a copy of these jobs and saves them to a database we call the work bank. Becausethis is a copy of what is in File Maintenance, any changes you make back in the customer willnot show in the work bank database unless you refresh it again. The jobs on the (1) routesheets, (2) route sheet invoices, and the (3) record work screen are always taken from thework bank database, not your job database from in the customer.

You may preview your summary and route sheets by clicking Print.

Click Proceed to Print and hand out your first route sheets to your crews.

The crews should take these out and record their times in the space provided.

Notes:

The summary sheet is a management sheet. It shows you all the crews and asummary of the jobs scheduled for that day.

A separate route sheet will print for each crew. Route sheets are sorted by therouting sequence number you set up in the customers jobs-job details. If youdid not set these numbers up, the route sheet will print in Property Nameorder.

The route sheet includes all the jobs that are due and overdue. If work was notdone yesterday it will be on today's route sheet provided the Print DelayedWork field was checked on the Print Route Sheets and Summary Sheetsscreen.

If your jobs are weekly, you can print out a week's worth if you would like. Thedrawback is that if something does not get done one day, the crew will have toremember to do it the next day. To print a weeks worth out, refresh the workbank for the end of the week, change the Print For: date to the first day of theweek, uncheck the option Print Delayed Work, then print the route sheetsout. Go and change the Print For to the next day and print the route sheets.Continue this until they are all printed. Normally you will always want to leavethe Print Delayed Work option checked.

At the end of your day, you will collect your route sheets from your crews.The next step is to Record the Work.

Record the Work is where you will record the status of the day's work, postcompleted work to customers' accounts, enter any one time transactions, etc.

To record your work, choose Daily Routines > Record the Work. You willsee the Record Work Subtotals screen.

Crew Range

If you have multiple crews enter the range of crews you would like to see aroute sheet for. Each crew will have its own route sheet. Leave the CrewRange at the default (1 to 9999) for all crews.

Date Work was done will default to the same date for which you refreshed thework bank, because usually these will be the same date. If the jobs in thework bank were done on a different date than they were scheduled for,enter that date here.

Click "Record Times For All Jobs".

Recording times will provide you with accurate job costing reports. CLIP's jobcosting function is one of its most powerful features. How do you knowexactly how much you are making or losing on each job you do? Taking theextra time to job cost will provide you with the knowledge needed to moreefficiently run your company. Knowing which are your unprofitable jobs canincrease your profits, without increasing your work. Rebid your loser jobs andif the customer isn't happy, let someone else lose money on them. For moreinformation on Job Costing, see Reports > Job Reports > Job Costing.

Click Mark Work As Done.

This will bring up the following screen, listing the jobs that are loaded in thework bank.

The cursor will be in the first Done? field. Due to the lack of room on the page,only the Do is visible on the screen. In addition to a simple Y or N, there are afew other options you can select. Right clicking your mouse while the cursoris in this field and it will display the Hot Key Menu.

You can accept the Date (it defaults to the system date on your computer).

Type in the amount that you want to charge to the customer in the Amount.

You can choose the Item and Class for this manual entry

The Descr field is the description of the transaction you are currently entering.Type in the description of the charge.

Click Save. qCLIP will return to the Customer # field where you can enter thenumber for your next customer.

After saving your work you can Preview or Print your transactions.

If there are errors in your entries click Edit and make the necessary changes.Print a tentative list again for a final check.

When you are satisfied with your tentative list, click Post to place your transac-tions in the customer's journal. You will be asked if you would like a Final Listof Transactions.

Note: You should post the transactions after you are done enteringthem. Do not let them sit unposted for days.

It is highly recommended that you print and save this list. Your Final Lists ofTransactions are chronological numbered to make an audit trail that is easy tofollow. Throw out all the prior Tentative Lists of Transactions so you won'tconfuse them with the Final Lists of Transactions.

Once the information is recorded into qCLIP, it is an easy step to transfer theitems to Quick Books for billing. You can transfer the data to Quick Books asoften as you like. You also will given a choice to transfer all data or just someitems.

Invoice Start #The start number for the group of invoices that will be transferred. Normallyyou will never need to change this. qCLIP keeps track of the last numbertransferred automatically.

Billing NoteThis allows you to choose from your Quick Books billing notes that will beadded to the invoice..

Add Service Date to DescriptionSelect this option if you want the date that each service was performed to beadded to the description for the item.

Include Invoice NotesSelect this option if you want the invoice notes to be added onto the end ofthe description. Invoice notes are used to give specific detail about the jobthat was performed.

Include Time In/Time In DescriptionSelect this option if you want the start and stop times to show on the invoice.This will only work if you are entering times when you record the work inqCLIP.

Print to PDFSelect this option if you want a print out of the transferred items to be savedto a pdf file . This allows you to reprint a copy ay any time of the transfer detail.

Include InstallmentsIf you have processed your installment customers (see Process Installmentsfeature) this feature will allow you include or not include it with the normaltransfer. If you wanted the Installment on a separate invoice you would notinclude them then do a transfer, immediately come back and select to includethem and do another transfer, they are now on a separate invoice.

Process InstallmentsIf you have customers that are charged a flat monthly charge you will want toset these up using the Installment button in the customers file. This can replacethe memorized transaction feature in Quick Books. Select one day each monthto process the charges and transfer them. You only want to do this once amonth. The date of the last time it was processed is shown. Using the pulldown select the month to charge for then select "Process Installments". Thiswill find all the customers that are setup as an installment customer and findthe amount to charge for that month. After this is done you can transfer theamounts over to Quick Books. See also the "Include Installments" option.

NOTE: The process of transferring of invoices to Quick Books requires thatthe customer name for every invoice exist in your Quick Books company file.As a result, before transferring invoices qCLIP will verify that the customersalready exist in Quick Books, if not they will be added to the Customer List inQuick Books.

You have a choice of transferring all or only some of the transactions fromqCLIP. Select "Choose" so that you can see how to transfer only a fewtransactions. The following form will be displayed. This a list of every job thatyou have posted in qCLIP but have not transferred yet.

If you have transactions that you do not want to transfer to Quick Books youhave two choices. You can just leave them unchecked and they will be thereeach time you come back to this screen or you can select the "Show On HoldItems". You will see all items that were previously marked as "On Hold" and youcan select additional items to put "On Hold". "On Hold" transactions do nottransfer. This feature is useful if you have installment customers and do notwant them to see all the detail of when each service was performed or if youhave no charge transactions.

Select the "Post" button.

qCLIP will connect with Quick Books and transfer over all the items you haveselected and will create invoices for them. If more then one item was transferredfor a customer all the items will be added to one invoice.

If an item that is being transferred from qCLIP has either no item assigned to it orthe item no longer exists in Quick Books you will get a screen prompting you toselect a valid item. Choose the correct item and select "Return"

If you did not have the option "Print to PDF" checked off you will be promptedto print out a list of transferred items otherwise the print screen will come upautomatically.

What is Code #483?Do not let 90 days elapse before you have sent your Registration Certificate tous. If you get this message, call us at800-635-8485 immediately. You will be able to bypass the error message bypressing <Enter>, however, you may only bypass the for message 10 days. How often should I backup?If it will cost you more in profit to take the time to backup your system, wait. Ifnot, backup, backup, backup! What is the purpose of indexing files?

As you add, delete, move, and modify your data, it becomes fragmented.Fragmented data will slow down your system and may cause file corruption. Itmay also cause your system to freeze-up. As you work, temporary files withthe extension “TMP” are created and, if left to accumulate, will use up valuabledisk space and slow down your system considerably.Indexing files accomplishes several very useful purposes:-Improves response time and makes it easier for you to manage your data byarranging it in orderly blocks-Detects and fixes specific errors in your database-Deletes files from your TMP file directory, freeing up space on your disk

I just received an update from SSI and now my computer has a virus. Did it come froman SSI disk?

It is almost impossible to receive a virus from a disk from SSI. It is much morelikely that the target computer already contained the virus in question. Allmaster disks are created on a secure computer that has no "unknown source"software installed. We scan this computer and keep full logs of the results.After the update master disks are created they are write-protected and scannedbefore they are sent to a mass in-house duplicator. I get an error 115 or 623 on installing an updateAn error 623 usually has one of 3 possible causes.A. You have placed the file “update.exe” in the same directory as any version ofClassic or Pro. Both have a component named “update.exe” and when the file isextracted it cannot be locked for a write due to the fact it is in use.Solution: Place the update from the web site in a temporary directory on thehard drive and execute it from there instead of the root of Clipv.

B. The qCLIP program is open during the update process.Solution: Close ALL instances of the qClip program before applying the update.

C. Virus Software InterferenceSolution: This error usually occurs because a virus-checking program is beingused on the system to prevent files from being renamed. When this problemoccurs, shut down any virus-checking software running on the system andthen run the setup again. An error 115 (may say “Specified file cannot be opened as Write.”) is caused bywindows not releasing the information stored in memory when you close qClip.Solution: Reboot the computer (includes shutting off power for a few seconds)

How do I get taxes in qCLIP? I need them for my route sheet invoices.As of 3/21/2003 we enabled the tax setup portion of qCLIP to allow for this.Make sure that you coordinate the tax rates between qCLIP and QB. In otherwords, if you charge 6.5% in QuickBooks you must set that up in qCLIP and ifyou change the tax rate in QuickBooks you must change it in qCLIP.

Why does qCLIP create multiple invoices for one customer?There are a couple of reasons why a new invoice will be created in QuickBooksfor the same customer. They are:

1. Each session is separate so that if you transfer invoices to QuickBooks andthen enter some more debits and transfer again, qCLIP will create a new invoicethe second time because it cannot add to an old invoice.

2. You cannot mix Classes on an invoice so if you have two debits for the samecustomer but they are assigned to different classes, QuickBooks requires thatthey be placed on a separate invoice.

So, to simplify: If there are more than one debit for the same customer and theyare assigned to the same class and they are transferred at the same time, theywill end up on the same invoice in QB. Otherwise, they will create separateinvoices.

System Error message "This key is already associated with an element of this collection"Duplicate Account names are found in Quick Books.To check for duplicates:1. From QuickBooks: Export the customer list to an IIF file using Files/Utili-ties/Export/Import/Export2. Choose the customer list. Export it to a temporary directory.3. From qCLIP, choose QuickBooks Functions/Test for Duplicates4. Find the Customer.iif file you exported from QB.qCLIP will run through these until it finds any duplicates. If any are found, itwill show them to you one at a time.5. Change the customer name in QuickBooks to make it unique and try it again.

1. You don't have Items in your company profile2. Your items are inactive3. You don't have sales tax set up in QuickBooks Edit/Preferences/Sales Tax/ Place a Y

A work around to # 3 with Canadian users is to have them export from QB usingthe Files/utilities/ export item list and have them drop it in the DBF directoryunder clip, named "items.iif"

Then, from the dot prompt, type:DO qb_iitem

CLIP will import the items.

Some of my customers didn't transfer properly to QuickBooks. How do I correct that?The customers that did not transfer probably have the qb_id field filled in. Youcan empty it from the dot prompt.

Errors when transferring invoices

When transferring invoices, customer gets an OLE error for Type Mismatch.You need a new version of CoreObjx.

The new version is posted on the website at:http://www.clip.com/updates/servicepacks/coreobjxpatch.exe

I just updated my customer list from QB into qCLIP and had 40% of my customers dupli-cated into qCLIP. By that I mean I started with one "mr. Jones #4" and now I have an-other "mr. jones" but his customer number is different. The duplicate customers do notcome with the jobs.

There are two possibilities here. When transferring customers into qCLIP, ifthere are changes to the customer record, qCLIP asks if this is a change ofaddress or a new customer. If you answer New Customer, it creates a newrecord. There is an option when transferring to update records or not. If youchoose not to update the records, qCLIP will not check for changes of address.

Second when transferring, you have an option to transfer customers and jobs ornot. Jobs in QuickBooks are Jones:Front Job. If you have jobs for a customer inQuickBooks you will have more than one record for each customer:

John JonesJohn Jones:FrontJohn Jones:Back

If you choose to transfer jobs, qCLIP will end up with three John Jones recordsusing the above example.

On transfer of invoices to QB, the customer receives an error message saying that transac-tion amount must be positive.

This is due to using an item in a job that is a "Credit" item in QuickBooks.Check the item designation in both the job, journal and in QuickBooks.

If it needs correction in the journal you must use the dot prompt:

SELE journalbrowse

Arrow over to the right until you see qb_item, have them change it there for allof the transactions they want to transfer.
