MDF / LDF Update Location Instructions Version 1, November 14, 2017 Updating MDF & LDF Locations In the November 2017 release of DAT-MAIL, Window Book gave DAT-MAIL control over the location of our Mail.dat databases’ .MDF (Mail.dat Files) and .LDFs (Log Data Files). Previously this was managed by MS SQL. Up until this release DAT-MAIL automatically used the MS SQL default locations. Not only will this enhancement make moving your SQL data easier, it also affects those Clients who, prior to the November 2017 software release, were not using the DAT-MAIL / MS SQL default locations; meaning, they modified their DAT-MAIL MS SQL setup to use different locations for their Mail.dat databases’ .MDF and .LDF files. These clients must run the DAT-MAIL DB Service Setup utility after updating to the November release of DAT-MAIL, and specify the correct paths for the .MDF and .LDF files to avoid a problem with being able to access their data. If this procedure is not performed, the affected Clients will likely not be able to open jobs (a message of the database was not found will be provided) and they may or may not be able to import new jobs depending on if their MS SQL server has access and rights to the DAT-MAIL default .MDF/.LDF locations. Assistance from Window Book’s Professional Services Team will most likely be required to help get things corrected. Updating MDF & LDF Locations

In the November 2017 release of DAT-MAIL, Window Book gave DAT-MAIL control over the location of our Mail.dat databases’ .MDF (Mail.dat Files) and .LDFs (Log Data Files). Previously this was managed by MS SQL. Up until this release DAT-MAIL automatically used the MS SQL default locations. Not only will this enhancement make moving your SQL data easier, it also affects those Clients who, prior to the November 2017 software release, were not using the DAT-MAIL / MS SQL default locations; meaning, they modified their DAT-MAIL MS SQL setup to use different locations for their Mail.dat databases’ .MDF and .LDF files. These clients must run the DAT-MAIL DB Service Setup utility after updating to the November release of DAT-MAIL, and specify the correct paths for the .MDF and .LDF files to avoid a problem with being able to access their data.

ARE YOU A CLIENT THAT NEEDS TO DO THIS?

If your system is set up to save your .MDF and LDF files in a location separate or different from where the ‘wbdbcla’ database resides, you are a Client that needs to perform the procedure documented in this Guide! How do I know where my ‘wbdbcla’ database is stored? Simply launch the SQL Server Management Studio on the server and connect to the SQL Server DAT-MAIL uses.

In the ‘Object Explorer’ panel located on the left side of the screen, expand the ‘Databases’ directory. Right-click on the ‘wbDbCla’ database and select ‘Properties’. The Database Properties window for wbDbCLA will open. Select the ‘File’ page. The location of the ‘wbdbcla’ database is provided in the ‘Path’ column.

If you copy the path and paste into a Windows® Explorer window, you will be able to confirm the location of the ‘wbdbcla’ database and whether or not the most recent .MDF and LDF files are being saved/stored in the same place.

If recent .MDF and .LDF files do NOT exist in the same location as the ‘wbdbcla’ database, you must perform the procedure documented in this Guide to avoid data access issues after the update to the November release of DAT-MAIL!

BEFORE YOU BEGIN

Clients will need to know what the existing path is for their Mail.dat databases’ .MDF and LDF files. They will also need to do the following:

• Update the existing DAT-MAIL software to the November 2017 release version. In a server with workstation(s) environment, update the server first and complete this procedure before updating the workstation installations of DAT-MAIL;

Before beginning the DAT-MAIL software update, make sure to STOP the AWAM service!

If you forget to STOP the AWAM service before beginning the software installation/update of DAT-MAIL and use the installer to shut down the AWAM service, do NOT prompt the DAT-MAIL installer to re-start the AWAM service automatically after the update completes! Click the NO

button on the prompt that displays at the end of the DAT-MAIL installation.

The DAT-MAIL installer will only display the “AWAM Active” message if the AWAM service is currently running.

• After the software update is complete, make sure all users exit DAT-MAIL for the duration of this update; and

• Verify all of the MD databases have been detached from MS SQL using the DAT-MAIL Locked Job Manager program (program is called “MDLCKMGR707” and is located in the ‘\\...wb\MDV’ folder on the server).

SPECIFY THE CORRECT PATHS TO USE

Perform the following to update the paths MS SQL should use to access the Mail.dat databases’ .MDF and LDF files:

1. On the server where DAT-MAIL is installed, launch the DB Service Setup application (i.e. “MDDBSvcMgr707”). The application is located in the ‘\\...wb\MDV’ folder on the server;

2. The application will open to the DAT-MAIL DB Service Control screen. Click the ‘File’ menu and select ‘Setup’;

3. The DAT-MAIL DB Service Setup screen will display. Enter the correct path information currently being used for the .MDF and LDF files. Please note that the path names entered must be specified from the point of view of the MS SQL server machine because it will be MS SQL that will be using that path. So if the paths exist on a machine different then the machine MS SQL Server is installed on, UNC path names must be used, and MS SQL must have access to those locations.

4. When finished, click the Test of Folder Availability for MSSQL button;

5. A Warning dialog will display. Steps 1-3 stipulated in the dialog are already documented in the

Before You Begin section in this Guide and should have already been completed. Step 4 pertains to a situation where the .MDF and LDF file location is actually being moved, which is not applicable for the purposes of this document and therefore can be ignored. And Step 5 has been completed in steps 3 and 4 of this procedure (above). Click the OK button when ready;

6. It will take a few moments for the access verification to complete. If access is successful, a Success dialog will display. Click the OK button to continue; or

If access was not successful, an error will display. Click the OK button and return to the DAT-MAIL DB Service Setup screen. Make sure the paths entered were entered correctly and make sure that MS SQL Server has access to those locations. Click the Test of Folder Availability for MSSQL button again to verify the access is successful.

After the access verification completes successfully, update any existing workstation installations of DAT-MAIL to the November 2017 release (server with workstation(s) environments only).
