TENDER NOTICE
Sealed and superscribed competitive tenders are invited by the Registrar, University of Calicut, for the
supply of compatible cartridges (good quality), toenr refilling, drum replacement and blade changing of
toner cartridges of various types of printers used in various offices/departments of the University Main
Campus for a period of one year on rate contract basis.
The rates, inclusive of GST and other charges if any, should be quoted against each item In the schedule of items given below.

The tender form can be downloaded a ong with general conditions from the University of Calicut
website (www.uoc.ac.in). Cost of tender form is Rs. 448/- (inclusive of 12% GST) and EMD for the
tender is Rs.2000/-.
Sealed tender along with Cost of Tender, EMD in two separate demand drafts in favour of the
Finance Officer, University of Calicut, and primary agreement in Rs.200/- Kerala Stamp paper shall
be submitted along with the tender documents. The format of the primary agreement's given below.
The successful bidder shall furnish a security deposit of Rs.4,000/- in the form of a fixed deposit receipt or bank gaurantee from a scheduled bank.
The necessary superscription, due date for the receipt for tenders and the name and address of
officer to whom the tender is to be send are given in the table above. Any bids received after the time
fixed on the due date will be rejected.

The bidder shall quote the rates for Cartridges, Toner Refilling, Drum Replacement, Blade
Changing for each model of printers fisted in the tender notice.
The bidder should be a firm with GST registration.
The successful bidder/rate contractor shall refill the toner from University offices itself and
cartridges shall not be taken outside for refilling, drum replacement etc. If cartridges are to be
taken outside University for refilling, the rate contractor shall provide a standby cartridge and to
return the refilled cartridge within one working day, so that the normal functioning of office is not
affected.
The rate contractor is bound to rectify any damage caused to the cartridge/printer due to
refilling; like break, leakage of toner powder etc. If the damage is not rectified satisfactorily the
cost of repair/replacement will be forfeited from the security deposit and from any amount due
to the rate contractor from the Unlveristy.
The rate contractor shall attend a service call, including supply of cartridges, within 24 hours.
The rate contractor shall ensure that refilling is done as per the OEM specified capacity of each toner cartridge. My attempt on the part of the bidders or their agents to influence the Officers concerned in their favour by personal canvassing will be disqualified.
8 Special conditions, if any, printed on the quotation sheets of the tenderer or attached with the
tender will not be applicable to the contract unless they are expressly accepted in writing by the
University.
9. The University reserves the right to conclude more than one rate contract for the same item.
10. The University as well as the supplier may withdraw the rate contract by serving notice to each
other with a notice period of 30 days.
The University if it feels so, can renegotiate the price and the terms of service with the rate
contractor.
In case of emergency, the University may purchase the same Item through ad hoc contract with
a new supplier.
The University is entitled to place supply orders up to the last day of the validity of the rate
contract and, though supplies against such supply orders will be effected beyond the validity
period of the rate contract, all such supplies will be guided by the terms & conditions of this rate
contract.
14, If the rate contract holder reduces its price or sells or even offers to sell the rate contracted
goods following conditions of sale similar to those of the rate contract, at a price lower than the
rate contract price, to any person or organization during the currency of the rate contract, the
rate contract price will be automatically reduced with effect from that date for all the subsequent
supplies under the rate contract and the rate contract amended accordingly.
15. The final acceptance of the tender/quotation rests entirely with the University of Caficut who dc
not bind themselves to accept the lowest or any tender. But the tenderers on their part shall be
prepared to carry out such portion of the supplies included in their tenders as may be allotted to
them.
FORMAT FOR AGREEMENT (to be submitted along with the tendert

as "the bounden") of the other part. WHEREAS in response to the Notification No dated
the bounden has submitted to the University a tender for the specification therein subject to the terms and conditions contained In the saki tender; WHEREAS the bounden has also deposited with the University a sum of ' as earnest
money for execution of an agreement undertaking the due fulfillment of the contract in case his tender
is accepted by the University.
NOW THESE PRESENTS WITNESS and ills hereby mutually agreed as follows:
In case the tender submitted by the bounden is accepted by the University and the contract for Is awarded to the bounden, the bounden shall within 21 days of acceptance of his tender execute an agreement with the University Incorporating all the terms and conditions under which the University accepts his tender.
In case the bounden fails to execute the agreement as aforesaid incorporating the terms and conditions governing the contract, the University shall have power and authority to recover from the bounden any loss or damage caused to the University by such breach as may be determined by the University by appropriating the earnest money deposited by the bounden and if the earnest money is found to be inadequate the deficit amount may be recovered from the bounden and his properties movable and immovable in the manner hereinafter contained.
All sums found due to the University under or by virtue of this agreement shall be recoverable from the bounden and his properties movable and immovable under the provisions of the Revenue Recovery Act for the time being in force as though such sums are arrears of land revenue and in such other manner as the University may deem fit.
