Introduction

The phonics screening check was launched nationally in 2012. It is a statutory assessment for all children in Year 1.All children in Year 1 in the school year 2018/19 must take the phonics screening check. Children in Year 2 must also take the check if they did not meet the required standard in Year 1. However, it is possible to withdraw children from the check if the headteacher feels it is appropriate to do so.

If children have only recently moved to the country and are not able to understand letters and sounds in English they should not take the phonics screening check. They should, however, be considered for it the following year.

The phonics screening check will take place during the week commencing 10th June 2019. If a child is absent during that week, they may take the phonics screening check any time until Friday 21st June. Any child who is absent for the entire period should be recorded as absent when submitting data for the phonics screening check. Results should be reported to the LA by Friday 21st June 2019, unless instructed differently by your Local Authority.

The phonics screening check is designed to confirm whether individual children have learnt phonic decoding to an appropriate standard. Children who do not achieve the appropriate standard should receive support from their school to ensure they can improve their phonic decoding skills. These children will then be expected to retake the phonics screening check the following year.

The phonics screening check comprises a list of 40 words that children read one-to-one with a teacher. The list is a combination of both real and pseudo-words.

The threshold mark for the phonics screening check will not be included with the check materials. Instead, the threshold mark will be available on the DfE’s website at www.education.gov.uk/ks1 on Monday 24th June 2019.

Importing the Assessment Wizards for the Year 1 & 2 Phonics Screening Check

1. Select Routines | Data In | Assessment | Import

2. Select the file to import by clicking the Field browser (magnifying glass) button.

3. Select C:\Program Files\SIMS\SIMS .net\AMPA\England Primary (and Middle Deemed Primary)\Assessment Manager.

4. Select the Year 1 Phonics Screening 2019 wizard.

5. Click the Open button to display the screen shown in the following graphic.

6. Click the Finish button, then click the Yes button when asked ‘Do you want to proceed?’ 

7. An activity log shows what has been imported reference.

The Year 1 phonics screening check 2019 wizard has been imported to use in the next stage.

8. Repeat this process to import the Year 2 Phonics Screening Wizard 2019.

Using the Year 1 Phonics Screening Wizard 2019

1. Select Tools | Performance | Assessment | Wizard Manager.

2. Leave the filter on Incomplete and click the wizard which is going to be worked with – in this case Year 1 Phonics Screening Wizard 2019.

3. Click the Next button.

4. From the Select Group screen, click the Field Browser button to display the Group Selector dialog.

5. Click the + next to Year Group and select Year 1 or the + next to User Defined Groups to select the user defined group if one has been created then click the Apply button. This places this group on the Select Group screen.

6. Click Next on the following screen.

7. The following screen will now been presented.

Click the + sign to add your Year 1 group and click Update

Highlight the Phonics Screening Year 1 line and click the green editing button to complete the marksheet.

1. A marksheet with the year 1 pupils is displayed and columns relating to the assessments that need to be entered.

2. The first column should be left blank until the threshold is announced by the DfE at the end of June 2019 (in previous years this has been 32).

3. Enter a value out of 40 into the Mark for Phonics Check Year 1 column.

4. Click Save to save the marks.

5. Once the Threshold score is entered, the Grades for Phonics Check Year 1 column will be completed automatically along with the Data Check column to ensure that there is no missing data.

6. A Mark above the threshold will show a Wa Grade (Met expected phonic decoding standard for pupil at end of Y1) and a Mark below will show a Wt Grade (Did not meet expected phonic decoding standard for pupil at end of Y1) when the Calculate button is clicked and the school will need to do a second check next year for these pupils.

Maladministration Q

Where a zero is entered an assumption is made that a pupil has been assessed and has genuinely achieved a score of 0.

If a mistake is corrected and the result has been saved, this cannot be deleted from the cell and saved again.

To remove an incorrect score out of 40 or grade entered by mistake, right-click the cell with the wrong result and select View/Edit Result History.

Highlight the incorrect result and click the red cross on the right. Click the Yes button when asked to delete this. Click the Close button to close the View/Edit Result History screen.

Click the Calculate button so that the calculations are based on the most recent result. Then save the whole marksheet again.

Exit the marksheet by clicking the Close button. This will take revert back to the screen from where the marksheet was originally selected.

The marksheet can be printed by clicking the Print button.

Using the Year 2 Phonics Screening Wizard 2019

Select Tools | Performance | Assessment | Wizard Manager.

1. Leave the filter on Incomplete and click the wizard which is going to be worked with – in this case Year 2 Phonics Screening Wizard 2019.

2. Click the Next button.

3. From the Select Group screen, click the Browser button to display the Group Selector dialog.

4. Click the + next to Year Group and select Year 2 then click the Apply button. This places this group on the Select Group screen.

5. Click the Next button.

The following screen appears listing the single marksheet available.

1. Double-click the marksheet or select the marksheet and click the Edit Marksheet button. Do not click the Next button at this stage.

A marksheet with the year 2 pupils is displayed and columns relating to the assessments that need to be entered. If year 1 phonics results were entered into corresponding wizard last summer, they will be displayed automatically.

2. Click the Calculate button to highlight those year 2 pupils who require a Year 2 Check.

3. Enter a value out of 40 into the Mark for Phonics Check Year 2 column for those pupils who have undertaken a year 2 check.

4. Click Save to save the marks. The Grades for Phonics Check Year 2 will be completed automatically along with the Data Check to ensure that there is no missing data. You can filter the marksheet by those with previously missing Year 1 data.

NOTE: If a pupil has been absent, is disapplied, has left the school or maladministration has occurred, leave the Marks for Phonics Check Year 2 column blank and manually enter the appropriate Grade for Phonics Check Year 2 from A, D, L or Q respectively. Where a zero is entered an assumption is made that a pupil has been assessed and has genuinely achieved a score of 0.

6. Exit the marksheet by clicking the Close button. This will revert back to the screen from where the marksheet was originally selected.

The marksheet can be printed by clicking the Print button.

Using the Wizards for Reporting to ParentsOnce all the phonics screening results have been entered on the marksheets for both year 1 and year 2 pupils, reports can be produced.

1. Select Tools | Performance | Assessment | Wizard Manager.

2. Select the Year 1 or Year 2 Phonics Screening Wizard 2019 as required, then click the Next button.

3. The group selection may be left as it is. Click the Next button.

4. When presented with the list of marksheets, click the Next button.

Printing an Individual Report for Each Pupil5. Select the report – KS1 Y1 Phonics Student Eng 2019 or KS1 Y2 Phonics

Student Eng 2019 (depending upon which wizard you are working with) which will produce reports for all the pupils selected at the bottom of the screen.

NOTE: Only select those year 2 pupils who have undertaken a phonics check in 2019 when generating a report from the Year 2 Phonics Screening Wizard 2019.

6. As Word opens a security warning may be shown that macros have been disabled. Click Options and enable the content.

7. The report similar to the one shown below can now be either previewed or printed for all pupils.

IMPORTANT: Please be aware that the Year 1 report prints general information about the Phonics test after the page displaying the pupil’s results for each child, resulting in 2 sheets of paper per pupil. Alternatively Schools might wish to edit the report template in Focus | Assessment | Individual Report and locating the KS1 Y1 Phonics Student Eng 2019 file prior to printing.

Uploading Reports

A copy of each pupil’s report can be saved in the document server. This can then be viewed at any time which will save having to print a second copy to keep with the pupil’s records.

1. Once reports have been generated they can be uploaded, either individually or by selecting all pupils and clicking the Upload Report button.

2. To view the copy, open the Pupil Details screen for the relevant pupil and select Linked Documents in the Links panel on the right. The report will open as read-only.

Exporting the Results in a CTF1. Results for Year 1 pupils should be exported to your LA via a CTF file to arrive

there no later than Thursday 27th June 2019. A CTF for Year 2 pupils who re-sat the test should also be sent to your LA by the same date, but as a separate file.

2. Click the Close button to close the wizard, then select Routines | Data Out | CTF | Export CTF.

3. Select the CTF export type of Phonics Test Results. The CTF will contain export files including only phonics test data plus the pupil UPN, surname, forename, DOB and gender.

4. If you have chosen a CTF export type of Phonics Test Results, the data to be exported panel will not be visible. On the students’ panel, click on the Year Group column heading to order by the year and select the relevant Year 1 pupils.

5. Once the relevant pupils have been selected, choose your LA in the Destination LA/Other column.

6. Click the Export button. A CTF will be created and placed in the normal export directory. It will contains the letters PHO (e.g. 3532999_PHO_353LLLL_002) which will indicate to the LA that this is your Phonics Test Results return.

7. Upload the file to the LA in the normal way via S2S or in the normal way.

8. Repeat for the Year 2 pupils who have been assessed.
