Exhibit RegulationsTo ensure your exhibiting experience at AHIA’s AnnualConference is successful, please read the following rulesand regulations carefully. By submitting an exhibitorregistration application you agree to abide by these andany other rules and regulations set forth for this event.

Exhibit SpaceWhenever possible, space assignments will be made byAHIA in keeping with the preferences for locationrequested by the exhibitor. Exhibitors wishing to avoidassignment of space adjacent to that of a particularexhibitor should indicate so on the application. In theevent of conflicting requests for space, booth space willbe assigned based upon the order in which applicationswith full payment are received. AHIA reserves theright to make the final determination of all spaceassignments in the best interests of the exhibition.

AHIA reserves the right to decline to permit an exhibitorto conduct and maintain an exhibit, if, in the judgment ofAHIA, said exhibitor or exhibit, or proposed exhibit, shall,in any respect, be deemed unsuitable. This reservationrelates to persons’ conduct, articles of merchandise, printedmatter, souvenirs, catalogs, and any other items, withoutlimitation, that affect the character of the exhibition.

Exhibitors are prohibited from assigning or subletting abooth or any part of the space allotted to them, nor shallthey exhibit or permit to be exhibited in their space anymerchandise or advertising materials which are not a partof their own regular products.

ExhibitsTwo chairs per exhibitor, 6’ draped table, and onewastebasket will be provided to each exhibitor. NOTE: Tomaintain uniformity and to prevent obstruction of the viewof adjoining booths, displays must NOT be higher than 8’in the back and 4’ high along dividers and aisles. No walls,partitions, decorations, or any other obstructions may beerected which in any way interfere with the view of anyother exhibit. Utilities (e.g. internet, telephone, etc) mustbe ordered directly from the designated vendors and arenot included in the booth fee.

Exhibit StaffDepending on exhibit level, the exhibit fee includes“exhibit only” passes for booth representatives. Thesepasses do not allow access to conference sessions.Meals are included in the booth fee. If additionalrepresentatives are needed, a feeof $100per person applies.

PaymentPayment in full is expected at the time the exhibitorapplication is submitted.

Failure to OccupySpace not occupied by the close of installation (unlessprevious written arrangements were made) will beforfeited by the exhibitor. AHIA may resell, reassign, oruse the space. If display equipment is available, AHIAmaychoose to have the exhibit erected at the exhibitor’sexpense. The exhibitor is not relieved of the obligation topay the full exhibit price.

Meeting CancellationIt is mutually agreed that in the event of cancellation ofthe Annual Conference due to acts of God, war, terrorism,natural disaster, strikes, civil disorder, curtailmentof transportation, government regulations, or otheremergencies making it inadvisable, illegal or causes whichwould prevent its scheduled opening or continuance,then and thereupon, this agreement will be terminated.AHIA shall determine an equitable basis for the refund ofsuch consideration of expenditures and commitmentsalready made.

Cancellation of Exhibit SpaceCancellations of exhibit space must be directed in writingto AHIA, 2012 Annual Conference, 10200 West 44thAvenue, Suite 304, Wheat Ridge, CO 80033. Refunds,less a $100 cancellation fee, will be made at the discretionof AHIA. No refund will be given for a cancellationmade after August 10, 2012.

Additional SpaceRequests for use of function space at the facility must bemade in writing to AHIA. Upon receipt of request forfunction space, AHIA will notify you if space is available.It is the responsibility of the exhibitor to finalizearrangements with the hotel.

Fire ProtectionAll exhibits must conform to fire laws, health regulations,electrical codes, and other ordinances of the local firedepartment. All materials are subject to the inspection ofthe local fire department and their regulations shallgovern. Any exhibits or parts thereof found not to befireproof may be ordered dismantled. Enclosed ceilingsare not permitted in the exhibit hall. The hotel reservesthe right to dismantle any exhibit it feels does notconform to the fire laws, health regulations, electricalcodes, and other ordinances of the local fire department.

LiabilityExhibitors shall protect, save and hold AHIA, and theirofficers, directors, employees, and agents; the hotel inwhich AHIA’s meeting is being conducted, and all agentsand employees thereof; and show management and itsofficers, directors, employees and agents (hereinaftercollectively called “Indemnities”) forever harmless fromany damages or charges imposed for violations of any lawor ordinance, whether occasioned by the negligence ofthe exhibitors or those holding under the exhibitors and

further, exhibitor shall at all times protect, indemnify, saveand hold harmless the Indemnities against and from anyand all losses, costs damages, liability, or expense(including attorney’s fees) arising from or out of orby reason of any accident or bodily injury or otheroccurrences to any property, person or persons, includingthe exhibitor, its agents employees and business invitees,which arise from or out of or by reasons of said exhibitor’soccupancy and use of the facilities, or any part thereof.

Certificate of InsuranceThe AHIA does not provide insurance for exhibitors’property. Exhibitors must insure their exhibit materials,goods, and/or equipment against theft, damage by fire,accident, or loss of any kind.

Damage to PropertyThe exhibitor is liable for any damage caused to hotel

floors, walls, or columns or to booth equipment or toother exhibitors’ property. The exhibitor may not mark,tack, make holes, or apply paint, lacquer, adhesives, orother coating to hotel floors, walls, or columns or to boothequipment.

Americans with Disabilities ActExhibitor represents and warrants (i) that its exhibit will beaccessible to the full extent required by law; (ii) that itsexhibit will comply with the American with Disabilities Act(ADA) and with any regulations implemented by the ADA;and (iii) that it shall indemnify and hold AHIA harmlessfrom and against any and all claims and expenses,including attorneys’ fees and litigations expenses, thatmay be incurred by or asserted against AHIA, its officers,directors, agents, or employees on the basis of theexhibitor’s breach of this paragraph or noncompliancewith any of the provision of the ADA.
