Technical Parameters

ePosting Sheet Validity from 1 January, 2015

The ePosting Sheet is an electronic version of a paper posting sheet which may be used by customers of Slovenská pošta (hereinafter referred to as „the SP“) while posting items, under the fulfilment of the conditions set in the present Technical Parameters. The ePosting Sheet may be used without a need of its after-printing and presentation in the paper form.

1. Introductory Provisions

1.1. The ePosting Sheet may be used while posting the items at selected post offices and regional hubs of express services (hereinafter referred to as „the RH“) listed at http://eph.posta.sk/.

1.2. By means of the ePosting Sheet, the following categories of the items may be posted:

a) Registered Letters, b) Official Postal Items, c) Insured Letters, d) Registered Postal Items for the blind, e) Parcels, f) Express Courier, g) Easy Express, h) EPG – Business Parcel, i) EMS – Express Mail Service, j) Parcels – Contract Customers. Supplementary and dispositional services to these items and their possible combinations are specified in the respective Postal Terms and Conditions (and in Annex 2 to the present Technical Parameters). The customer shall be responsible for their correct specification in the ePosting Sheet.

1.3. The customer may complete the ePosting Sheet in the range of:

a) partial data – without posting numbers of the items, b) full data – including posting numbers of the items. In this case, the customer shall label the

items with posting numbers in terms of the Technical Parameters – Labelling of Items available at www.posta.sk and on demand, at the Customer Service of the SP. The specification of the posting numbers in the ePosting Sheets is mandatory at the selected categories of the items (in terms of the respective Postal Terms and Conditions) and while sending the ePosting Sheet pursuant to Art. 2.1.2.

2. Creating and Sending of ePosting Sheet

2.1. The SP provides the following options for the making and sending of the ePosting Sheet: 1. web application – it enables to generate and send the ePosting Sheet, 2. electronic communication portal of the SP (hereinafter referred to as „the ECP“) – it

enables to send the ePosting Sheet only and to accept outputs by means of: a) external client (hereinafter referred to as „the ECP Client“) with the qualified electronic

signature or b) communication of the client´s own application with the ECP in the mode of a static

authorization without the qualified electronic signature or c) communication of the client´s electronic registry with the ECP, with the qualified electronic

signature.

2.1.1. Web Application

Web application is located at www.posta.sk, in the „eServices“ Part and enables:

a) completion of the ePosting Sheet by direct typing and its after-sending to the electronic environment of the SP. Where appropriate, the application enables to store an incomplete posting sheet in the client´s own environment, in the XML or XLS formats which may be imported into the application later, in compliance with Art. b).

b) import of the XML or XLS (Excel) file for the ePosting Sheet which has been generated by the customer in his own environment. The format of the XML file is defined in Annexes 1 and 2 of the present Technical Parameters, the format of the XLS file is defined in Annex 4 of the present Technical Parameters. The XLS forms are available for downloading at http://eph.posta.sk.

After sending of the ePosting Sheet, the SP shall send the customer, to the e-mail address specified, a notification on acceptance of the ePosting Sheet. A part of this notification is also the number of the ePosting Sheet which serves as an identifier while posting. This identifier is not required when the customer completes also the posting numbers in the ePosting Sheet as described in Art. 1.3.

The user manual is a part of the application and is available in the „Help” Part.

2.1.2. Electronic Communication Portal of the SP

The customer may use the sending of the ePosting Sheet by means of the ECP under complying with the following conditions:

- he generates the XML file for the ePosting Sheet in his own environment. The format of the XML file is defined in Annexes 1 and 2 of the present Technical Parameters.

- he is registered at the SP as an ECP user. The registration shall be made before the first use of the communication by means of the ECP. The ECP registration, ECP usage terms and user manual are available at www.posta.sk, in the „eServices“ Part.

- he provides labelling of the items with the posting numbers in compliance with Art.1.3 b).

For the sending of the ePosting Sheet by means of: a) the ECP Client with the qualified electronic signature – it is required to be an owner of

a qualified certificate which enables to sign documents with the qualified electronic signature. The ECP Client is free of charge available at www.posta.sk, in the „eServices/ECP“ Part. A procedure for the setting the ECP for sending the e-Posting Sheet is given in Annex 5 of the present Technical Parameters. The ECP Client enables the import of the XML file and includes components for the signature of the file with the customer´s qualified electronic signature, enveloping, and sending to the ECP.

b) the customer´s own application in the mode of the static authorization without the qualified electronic signature – it is required to agree with the SP on technical details of a mutual setting of information systems (a contact to the IT support of the SP shall be provided by a marketer or the Customer Service of the SP). In this case, the SP shall provide the customer, free of charge, with the components for enveloping and sending of the XML file to the ECP. For sending of eReceipts and eReports from the SP, the customer shall set components for acceptance of these files (the files may be accepted also by means of the ECP Client).

c) the communication of the client´s electronic registry with the ECP – it is required to agree with the SP on technical details of a mutual setting of information systems (a contact to the IT support of the SP shall be provided by a marketer or the Customer Centre of the SP).

3. Posting of Items with ePosting Sheet and Posting Receipt

3.1. Posting of items shall be performed from 30 minutes at earliest and to 7 calendar days at latest after sending of the ePosting Sheet into the information system of the SP. After the period stipulated, the posting sheet will be deleted and its repeated sending into the information system of the SP shall be required.

3.2. When the customer uses a cash payment method, he may post the items at any post office or RH (Contractual Parcel, Express Courier, EPG, International EMS) pursuant to Art. 1.1. When the customer uses some of cashless payment methods or he labels the items with posting labels of the SP, he shall make the postings at the post office/RH in terms of the permission granted or agreement/contract concluded.

3.3. When the office of posting or the RH, while accepting the items and processing the ePosting Sheet, establishes any imperfection (e.g. incorrectly specified weight of items, incorrectly specified supplementary services, missing items, etc.), it shall be entitled to make an alternation needed. All the alternations shall be consulted with the customer directly at posting or in other manner agreed (e.g. by means of a contact person for services – „Pick-up Service“ or „Carrying-over Posting“).

The customer shall commit himself to acknowledge, at full length, any additional alternations made by the SP based on differences and imperfections recognized and heard directly at posting or in other manner agreed.

After processing the ePosting Sheet and the posted items by the office of posting or the RH, a posting receipt (electronic receipt) shall be available for the customer. For the customer sending the ePosting Sheet in compliance with Art. 2.1.1, it shall be available on the following website: https://mojezasielky.posta.sk, in the PDF format with the electronic signature. For the customer sending the ePosting Sheet in compliance with Art. 2.1.2, it shall be placed in the ECP (in the XML format). The electronic receipt in the XML format shall be signed by the Post´s electronic signature and include a list of the actually posted items.

An example of the XML electronic receipt with the electronic signature, placed in the ECP is given in Annex 6.

3.4. All the customers registered in the ECP shall be provided with the eReports (information on a current status of the items posted; they are generated daily if a change of the status of the item occurs). Applicable only to Contractual Parcels, Express Courier, Easy Express and Parcels.

3.5. All the customers registered in the ECP shall be provided with the Cash on Delivery eLists (hereinafter referred as to “eList”). Applicable only to Contractual Parcels, Express Courier and Easy Express.

3.6. The eReports and eLists for the customer shall be transmitted to the ECP. Examples of the eReports and eLists are given in Annex 7 and 8.

4. Complaints

4.1. Provisions of the Complaints Procedure of the SP shall be applicable to complaints.

5. Final Provisions

5.1. The present Technical Parameters – ePosting Sheet shall be obligatory for all the customers using the electronic form of posting.

5.2. The present Technical Parameters shall be available at www.posta.sk and on demand, at the Customer Service of the SP.

5.3. The present Technical Parameters shall come in force on the day of their approval and become operative on 1 September, 2012.

5.4. When amending these technical parameters, an entire text including the amendments introduced shall be issued. They came into force:

Annex 1 – Format of the XML File 1. File Format for Mailing of Items

For an exchange of information in the electronic form between an organization and the SP, the XML format shall be used. A name of the file can be optional providing that only the standard ASCII characters permitted in the name of the file (without diacritics, without special characters) shall be used. It is recommended to use the name consisting of only alphabetic characters, without diacritics, digits and special characters „-“ and „_“. While sending the ePosting Sheet (hereinafter referred to as „the EPH“) into the system of the SP, web services shall be used where a transmission is made by means of the file (i.e. the name is irrelevant). The file for mailing of the items, generated in the XML format, shall use for a string representation the UTF-8 coding. EPHID (10 characters) – EPH identifier from a mailer – it is unique for each posting from the specific mailer (in case of posting via the ECP, it is a mandatory entry, in case of sending via the web application, this entry shall be retained unfilled – the EPHID shall be generated by the system).

Datum (Date) - (RRRRMMDD) – date of the EPH generation

PocetZasielok (NumberOfItems) - (number) – number of items posted

Uhrada (Payment) – described in the Payment Section 1.3

After the successful registration, the sender shall receive, by return, an e-mail with the attached REGISTRATION CONFIRMATION of the ECP user. In this document, SenderID shall be indicated as a Subject Identifier

CiarovyKod (BarCode) - (35 characters) – bar code (i.e. a posting number) of an item – it shall be filled in only by mailers who are also item self-labellers and have a written contract signed or an agreement on labelling and sorting of items

Hmotnost (Weight) - (real number, 3 decimal places, decimal point separator) – weight of an item shall be filled in kgs. A maximum value shall be stipulated by contract or by the Postal Terms and Conditions.

CenaDobierky (CashOnDelivery) - (real number, 2 decimal places, decimal point separator – the COD value. A maximal value shall be stipulated by contract or by the Postal Terms and Conditions.

2. File Format for Receipt

The format is the same like for the posting of items except for the added element „AcceptanceDate“ in the “Item/Info” Section. It specifies if and when a specific item was accepted (date format: RRRRMMDD). If a content of the tag is vacant, then the item was not accepted.

Annex 5 – Procedure for Setting-up the ECP for Sending ePosting Sheet

1. The ownership of a qualified certificate for the qualified electronic signature shall be a condition for using the ECP.

2. Make your registration for the ECP at http://ekp.posta.sk/pps/registrationweb/. For testing

purposes, you shall make the registration into the testing ECP at http://ekpt.posta.sk/pps/registrationweb/

3. During the registration, choose the „Electronic Posting Sheet“ service in the Services/ products using the communication via the ECP Part.

4. Continue with entering the information about persons who will ensure the communication (send ePosting Sheet) and enter a signature certificate which you will use at signing ePosting Sheet.

5. After making the registration, a confirmation of the registration with a subject identifier assigned shall be delivered to you by e-mail during few minutes.

6. Download and unpack ekp-klient.zip to your PC from http://www.posta.sk/subory/36599/ekp-

klient.exe. 7. The ekp-klient.zip directory includes the EKPKlient.exe file and the DSigSetup subdirectory. 8. Install signing components, i.e. both the msi files, from the DSigSetup subdirectory. 9. After installing the signing components, execute the EKPKlient.exe file and make its installation

in the PC. 10. After making the installation, execute the EKP.exe application.. 11. In the ECP Configuration/Konfigurácia EKP selection, make setups in the following arrays:
